The working project is a program to equip students with working on
project experience and more skills. By conducting this program, the students are
prepared to be ready to face tight competition working world in the future.
Developing the costume rental in Malang City now has enough prospective
opportunity. Considering that reason, the writer chose Sanggar Tari Dan Kostum
Gading Rental as his working projects place. He did working project as a system
analyst during two months. Therefore, he has chosen Creating The Information
System Database For Costume Rental By Using Sql Server At Sanggar Tari Dan
Kostum Gading Rental as his title. To make information system database, the
writer needs data that contain important records of the rental business. Therefore,
the writer did several researches due to accomplish what information system
database needed. The writer did two kinds of researches which are quantitative
research and qualitative research. The writer had a major problem which is the
difficulty of collecting the data. To solve this problem, he did some methods to
collect the data; the interview and the observation. After the writer collected all
the data, he started to analyze the data, and created the information system
database. After working project, the writer can take several advantages, improving
his working skill, getting a lot of knowledge, having data for final report and
giving input for D-III English Program to improve the curriculum. Hopefully this
report can be useful for the other students who need significant reference or do
working project at the similar place.

CHAPTER I
INTRODUCTION

1.1

Background
Malang city is rich of culture and art. There are lot of ancient and artefact

like temples, ceramics and other artistic products (fashion, masks) which have
been produced by people in Malang. Besides, many art and culture events are held
every year in this city. Various costumes are needed to participate in this event. No
wonder costume rental business has a lot of orders and demands. At least there are
more than 100 kinds of costume items and their outfit can be loaned. Therefore
the rental transactions for this business are widely opened for the users.
To run this costumes rental business is risky when the business owners
have bad administration system for the clothes or costumes loaned and returned.
When the transactions are recorded manually, and each item is not sorted
correctly, this case makes the business do not run well. Even it is so hard to
develop.
Nowadays, technology has helped various kinds of business, including to
make a good information system database. This database system for costume
rental is made to facilitate business owners to organise and to manage their
business. With this database, every rental item can be sorted easily. The
transaction can be handled quickly, and tracking the leased item needs shorter
time. We can get a lot of information just in one click by using this database.
To create the information database system, the writer has to survey the
condition of the business. The condition of the business is they still do not have a
database system which is bad for the business because the transactions are not
managed well. To meet that reason, the writer gets the various data by checking
the reports from the business owner and invoices. Based on the data analyse, the
writer starts to create the design of the system database.

In this phase, the writer used DFD (Data Flow Diagram) method. A Data
Flow Diagram (DFD) is a graphical representation of the "flow" of data through
an information system. Next, he does the coding of the program based on the
design that he already created. After the program has done, he needed to test it
first, distributed it to business owner to get the feedback, and if there is a bug
(problems), he would fix it. There are some problems to face in doing this project.
The rental owner did not have complete and proper data that were needed. The
writer could not start to create database system if he had not got the needed data.
According to G.M. Scott (2002), the interviews are good tools for
collecting rich, detailed information and allow exploration and follow-up. So the
solution of this problem is to interview the business owners to get the needed data.
By interviewing the owner, the writer could also get the inputs which supports to
create suitable system database for the business.
The reason why the writer has chosen the tittle because this topic is
suitable with his major and the writer wants to help local business owners to run
his business well. With this information system database for costume rental, the
writer hopes that the business can get a lot of advantages from it. Not only can get
better profit, but also can satisfy the costumers.
1.2

Targets
The goals of holding the final report which is wanted to be reached by D-

III English Program are as follows:


1.1.1

For D-III English Program Merdeka University


There are two targets for D-III English Program; promoting Merdeka

University Malang, and building up the good image of the working quality of the
D-III English Program Output.

1.1.1.1 Promoting Merdeka University Malang


The working project can help to promote D-III English Program Merdeka
University Malang to the public at Sanggar Tari dan Kostum Gading Rental. By
showing the working capability of the writer through his work, the public can see
the result of the implementation of the D-III English Program.
1.1.1.2 Building Up the Good Image of the Working Quality of the D-III
English Program Output
D-III English Program Merdeka University Malang provide the students
with the needed skills and knowledge to face hard competition in real working
world. So, when the students do the working project, they can directly do the duty
well and the institution can see the positive result from the student.
1.1.2

For Students
There are two targets for the students; developing the work skills and

knowledge and promoting the student working capability.


1.1.2.1 Developing the Working Skills and Knowledge
After the working project, the student is supposed to get new skills,
knowledge, and also real working experience.
1.1.2.2 Promoting the Students Working Capability
When doing the working project at Sanggar Tari dan Kostum Gading
Rental, the writer can show his capability to work to all the officers and the owner
there.
1.3

Significances
For D-III English Program Merdeka University Malang, this working

project has the following significances:

For Information System Department


There are two significances for D-III English Program; promoting

Merdeka University Malang, and building up the good image of the working
quality of the D-III English Program Output or graduates.
1.1.3.1 Promoting Merdeka University Malang
It is important for D-III English Program to get a lot of students who will
continue to study English at Merdeka University Malang. Without promotion,
people do not know that Merdeka University Malang has a good D-III English
Program which can prepare the students to work in any job venues.
By showing the capability of the students, there will be high possibility for
public to send their children or family to study at D-III English Program Merdeka
University Malang.
1.1.3.2 Building Up the Good Image of the Working Quality of the D-III
English Program Output
When people at Sanggar Tari dan Kostum Gading Rental trust that D-III
English Program has outstanding curriculum, this fact means that good link has
been built between Sanggar Tari dan Kostum Gading Rental and D-III English
Program. So, the graduates can be trusted by other companies too.
1.1.4

For Students
There are two significances for the writer. Developing the work skills and

knowledge and promoting the student working capability.


1.1.4.1 Developing the Working Skills and Knowledge
The goal of holding the final report is to produce the well-skilled students
and give working experience. By doing the project, the students can get the
applicable knowledge which are very important for their future when they get job
and work at a company. He also can improve his working potential. Which may
be needed when he applies a job at international companies exist in Indonesia.

1.1.4.2 Promoting the Students Working Capability


The Student can promote himself at Sanggar Tari dan Kostum Gading
Rental. The students can study how the way to solve the problem in working
world. He also trained to think quickly than he did. He can show his working
skills and abilities so that he can get an opportunity to be recruited as a system
analyst in there or he might be accepted in other institution.
1.4

Procedure of Collecting The Data


To create Information system database for costume rental, all necessary data

are needed. Data collection takes place constantly throughout the systems
development process. Data must be fact and real. There are several methods to get
the data: get data from source documents, interview, and observation.
1.1.5

Get Data from Source Documents


This method is the first method to choose. The examples of source

documents are invoices, all reports, note books, catalogues, and other important
documents that the business had. When getting all the source documents, the first
thing to do is identifying the data. Identifying the data involves determining what
statistics or indicators are required to measure the criteria identified earlier in the
evaluation process. After that, the next thing to do is verify the accuracy of the
data. It is important to do because the data must be real and fact.
1.1.6

Get Data from Interview


A purpose of the interview is to find out what is in the person's mind that

may not have been written down. The interviews are good tools for collecting
rich, detailed information and allow exploration and follow-up.
For this interview, the writer needs credibility informant. So, the first
informant must be the owner of the business. He knows about his business and the
information from him must be important. The second informant is the employees
of this business. They also have important information because they handling the
business directly so the information that the writer get must be more details.

After the writer defines the informants for the interview, he tried to design
the questionnaires. The questions are as follows: how many items do you have in
this rental?; Can you give the details (name item, price, and stock) of every item
in this rental?; How many costumers do you have?; Can you give the details
(name, address, and telephone number) of every costumer in this rental?; How
many employees do you have? (this question is just for the owner).
1.1.7

Get Data from Observation


Observation is the primary step of gathering data by watching behavior,

events, condition, or noting physical characteristics in their natural setting. The


most reliable data is a systems analyst which may be obtained through
observation. This provides an opportunity to meet with the systems users, observe
attitudes, evaluate performances, and see how each part of a system relates to
other parts. It also obtains a more realistic view of the actual data in the system.
In this case, the writer tried to observe the condition of the rental. The
writer watches how the transaction occurred, the technology that they used, and
the work system in the rental. After observing the condition of the rental, the
writer will know the problem that the rental has. What the writer already seen will
be recorded and it will be used as a reference in creating the database.

CHAPTER II
MAIN REPORT

2.1

Description of the Research Spot


Malang is the second largest city in East Java province, Indonesia. The

city is famous for its cool temperature and the surrounding country regions of
Tumpang, Batu, Singosari, and Turen. This city is divided into five districts:
Kedungkandang, Sukun, Klojen, Blimbing, and Lowokwaru. People in East Java
sometimes call it "Paris of East Java as there are lot of local arts and cultures in
this city.
Malang has various places of interest which can be classified into local,
regional, national and international standards, including traditional dance
performances such as Tari Topeng (Mask Dance),and Jaran Pegon. There are also
'Topeng' or Mask handicraft at the villages of Jabung and Kedungmonggo which
have become a familiar landmark in Malang Regency.
As a center of tourism, Malang has a lot of activities to celebrate a lot of
events. These events always happen every year and a lot of people are involved in
these events. As there are lot of schools and universities in Malang city, many
students are involved and joined those events. To accomplish those events, there is
lot of demands of costumes which is very important part of the event. Every
participants of the event needs costume but the costume often costs very
expensive. That is why they needs costume rental which lends a lot of costumes.
This business has enough prospective opportunity to be developed. There are a lot
of costume rental in Malang City. Sanggar Tari dan Kostum Gading rental is one
of many costume rentals in Malang City.
2.2

Sanggar Tari dan Kostum Gading Rental


Sanggar Tari dan Kostum Gading Rental is located at Gading street block

3, number 6. It is small family business that provides a lot of costume to be

rented. This place has two floors. The first/ground floor is for living room and
dressing room. The second floor is for costume storage room. The transaction
happens in the living room, the customers will go there and the owner will ask
about which costume they want to borrow. After that, the owner will ask to the
employee to get what the customers want. The employee will find the costume at
costume storage room and bring it to the customers. The customer can try the
costume at dressing room in dressing room at the first floor.
2.3

Research Methods
Research can be classified in many different ways on the basis of the

methodology of research. For this case, the writer use two types of research based
form the collected data. The types are qualitative research and quantitative
research.
2.3.1

Quantitative Research
This research is based on numeric figures or numbers. Quantitative

researchs aim is to measure the quantity or amount and compares it with past
records and tries to project for future period. In social sciences, quantitative
research refers to the systematic empirical investigation of quantitative properties
and phenomena and their relationships. The objective of quantitative research is
to develop and employ mathematical models, theories or hypothesis pertaining to
phenomena.
Quantitative research is involving the use of structured questions, where
the response options have been Pre-determined. In this case, the source for
quantitative data is from invoices, catalogue and other reports that this business
has.
2.3.2

Qualitative Research
Qualitative research presents non-quantitative type of analysis. Qualitative

research is collecting, analyzing and interpreting data by observing what people


do and say. Qualitative research refers to the meanings, definitions,
characteristics, symbols, metaphors, and description of things. Qualitative

research is much more subjective and uses very different methods of collecting
information,mainly individual, in-depth interviews and focus groups.
The nature of this type of research is exploratory and open ended. Small
numbers of people are interviewed in depth and or a relatively small number of
focus groups are conducted.
2.4

The Instruments to Collect the Data


When doing this working project, the writer needed some instruments to

collect the data. These instruments are Laptop, notebook, camera and
questionnaire. Notebook is used to take some important records in the field. All
information that we get from the observation must be recorded as soon as
possible. In that situation, notebook is very useful as it is portable and can handle
lot of things.
The camera was used to take some important pictures that were related to
the research. Camera was also used to take the picture of every product in the
rental. The photographs from the camera are the important which gave detail
information than notebook does. It will be useful when the writer analyze the data
that is sorted by the picture of the product.
Questionnaire is used to take the data based on the subjects. In this case, the
subjects are the owner and the employee. The data from questionnaire are very
useful to help the writer to create the information system. These data can be
reference to process other data from other instruments.
Laptop is the main instrument of collecting the data. It used to process the
data that already taken by other instruments. It also used to create the database and
the information system of the rental.
2.5

Collecting Data Methods from Working Project


As the writer mentioned before that creating information database system

needed an input. This inputs were processed into an output called information
system. In this case, data are input that were transformed as information. There
are several methods to collect the data: collect data from documents, interview,
and observation.

2.5.1

The Documents
In this working project, the writer tried to collect all necessary documents

from the business. The writer found the data from invoices, note books, and
catalogues. From those documents, the writer will identify it. After that, the next
thing to do is verify the accuracy of the data. It is important to do because the data
must be real and fact.
The writer took several documents from this business. Those documents
are: invoices started 3 months ago, note books that record the transactions started
3 months ago, and catalogues of the costume.
2.5.2

The Interview
As the writer mentions before that a purpose of the interview is to find out

what is in the person's mind that may not have been written down. The interviews
are good tools for collecting rich, detailed information and allow exploration and
follow-up.
The writer chooses the owner as the respondent of this interview because
the owner knows everything about the business. The writer also chooses the
employees as the respondent of this interview because the employees handle the
daily activities of the business.
The data that the writer gets from this interview is included as qualitative
data. The data that obtained from this interview is very important due to complete
the quantitative data. It also used as the reference to process the data.
For this interview, the writer has made questionnaire that will be given to the
respondents. The questions are as follows: How many items do you have in this
rental?; Can you give the details of every item in this rental?; How many
costumers do you have?; Can you give the details of every costumer in this
rental?; How many employees do you have? ?(this question is just for the owner);

The Observation
Observation is the primary step of gathering data by watching behavior,

events, condition, or noting physical characteristics in their natural setting. The


most reliable data a systems analyst may obtain are gathered through observation.

This provides an opportunity to meet with the systems users, observe attitudes,
evaluate performances, and see how each part of a system relates to other parts. It
also obtains a more realistic view of the actual data in the system.
When observing the condition of the business, the writer found that every
transaction that happened in this rental is still using notebook to record it. This
method is time consuming and human error often occurs. Such as the employee
forget to write the date, or write the wrong amount of money in the note book and
invoice. The writer also found that the employee needs lot of time just to find the
costume for the customer. This business does not have list items, so the employee
always checks it one by one in the costume storage room. This method is also
time consuming and unproductive.

2.6

Data Analysing
After the writer obtained all the data from any different methods, the data

will be processed through several stages. These stages are as follows: data
validation, categorizing the data, drawing the relations of the data, and the result
of the data.
2.6.1

Data Validation
Data validation is the process of ensuring the data. The data that the writer

gets must be checked first due to the accuracy of the data. It is very important that
the data is accurate, complete and valid. If there is a data that does not have
integrity, the writer will ask the owner about its integrity.
In this stage, the writer found some data that does not have integrity. The
data are as follow:

2.6.2

Categorizing the Data


Categorizing the data is the process of organizing data into categories for

its most effective and efficient use. A well-planned data classification system
makes essential data easy to find and retrieve.
After the writer finished checking the data, the writer must categorize the
data based on significance of the data. In this case, the data is classified into four
categories. First is data item that contains all information about costume, second is
data employee that contains all information about the employees, third is data
customer that contains all information about the customers, and the last is data
transaction that contains all information about the transactions.
Every data has primary key and attributes that will help to create the
database. The example of the data that already categorized is as follows:

2.6.3

Drawing the Relations of the Data


The table of data that has been made must be determined the relationship

with other data. A relationship exists between two database tables when one table
has a foreign key that references the primary key of another table.
There are three types of data relationship: One-to-one relationships, Oneto-many relationships, and Many-to-many relationships. In a one-to-one
relationship, each row in one database table is linked to one and only one other
row in another table. In a one-to-one relationship between Table A and Table B,
each row in Table A is linked to another row in Table B. The number of rows in
Table A must equal the number of rows in Table B. In a one-to-many relationship,
each row in the related to table can be related to many rows in the relating table.

This effectively save storage as the related record does not need to be stored
multiple times in the relating table. In a many-to-many relationship, one or more
rows in a table can be related to 0, 1 or many rows in another table. A mapping
table is required in order to implement such a relationship.
