President:

1.) Presides at all board and general meetings.


2.) Assigns responsibilities for all alumni reunions and activities.
3.) Ensures compliance with all government (local, state, and federal) regulations.
4.) Oversees all operations and functions sponsored by the Alumni Club.
5.) Provides advice and guidance to general club operations
6.) Assist in the planning and carry out of the clubs communications and activities
7.) Acts as a liaison between National fraternity and alumni Club
9.) Acts as a liaison between the University and alumni Club
10.) Recognize Alumni who have contributed to Alumni Chapter or Community
11.) Provide notice to officers of upcoming meetings
12.) Records and distributes minutes and records of alumni meetings
13.) Is co-signer on the Alumni Club’s financial accounts
14.) Works with the VP/Treasurer to prepare a budget for the Alumni Club

VP/Treasurer:
1.) Primarily responsible for the Alumni Club’s financial accounts
2.) Handles collections and payments related to Alumni Club operations
3.) Collects all alumni contributions and annual membership dues
4.) Maintain accurate records of financial transactions (balance check book, etc)
5.) Work with the President to prepare budgets for upcoming years expenses
6.) Provide all financial data to the Treasurer of the Housing Corp (for tax liabilities)
7.) Presides over meetings in the President’s absence
8.) Provides detailed written financial status of the alumni club three times per year:
At the Alumni Club Meeting, two months after the Alumni Club Meeting, and in
January or February
9.) Will plan at least one event during Summer Reunion as designated by the President
10.) Completes any necessary tax forms

Herald:
1.) Primarily responsible for the club’s communication activities.
2.) Maintains the chapter’s e-mail account and e-mail distribution list.
3.) Monitors the e-mail distribution list for posts at least twice a week.
4.) Provide regular communication and newsletters to the Alumni members
5.) Will submit at least two articles to the Emerald per year
6.) Maintain accurate alumni address records
7.) Works with Active Chapter Officers, Alumni Club Officers, Housing Corp Officers,
Alumni Committee Members to plan and prepare all events or special
occasions including but not limited to:
Homecoming, Founders Day , Summer
Reunion, Orchid Ball, Parents Weekend, Golf Tournament,
Graduation Banquets, Holiday Party, or Community
Service projects
8.) Will plan at least one event during Summer Reunion as designated by the President

Guide the undergraduates with their everyday chapter operations.


Liaison between the chapter and the Province Archon and the Executive Office.
Helps with officer training and reports, finances, recruitment and risk management.
Assists with recruiting other alumni to get involved.
Serves as contact for parents of undergraduates, new members or potential members if
they should have any questions or concerns.

Per By-Law 11 Section 3, The Duties of the Chapter Director Shall be as follows:

• To communicate directly with the Chief Operating Officer or one of the


designated assistants, on all problems involving his assigned chapter.
• Whenever, possible, to attend and to participate in all leadership conferences that
may be established by the Chief Operating Officer and to encourage similar
attendance and participation on the part of the leaders of his assigned Chapter.
• To enforce the provisions of By-Law 4, of the Grand Chapter with regard to the
discipline of Chapter brothers with financial delinquencies.
• To encourage compliance by his assigned Chapter of all the rules and regulations
of the Grand Chapter and host institution.
• To promote programs within his assigned Chapter which assist in making Sigma
Pi the best Fraternity on campus.
• To ensure each newly installed officer of his assigned Chapter receives adequate
training with to the duties of his office.
• To review Chapter programs on membership education and to participate
whenever possible with such programs.
• To promote the proper use of the Ritual by his assigned Chapter.
• To determine that all new Pledges and Initiates are properly reported to the
Executive Office and that all Pledge and Initiate Fees are paid promptly and
transmitted to the Executive Office.
• To attend as many meetings and other functions of his assigned Chapter as
possible on a regular basis.
