1. Technical requirements
To participate in spreed.com online meetings and to operate your own online meetings,
you need a computer with an internet connection and an internet browser installed with
the current Flash plug-in.
The spreed.com 5-point checklist:
1. You need a computer with Windows, Linux or BSD operating system or a Mac with
OS X operating system.
2. An internet browser with the Flash plug-in version 7 or higher. If you want to start
online meetings yourself, i.e. as a conference leader, your browser should accept
cookies.
3. To transmit video, you need a webcam or a Mac iSight.
Hint: You can find recommendable webcams at
http://spreed.com/store/webcams.

4. To transmit audio (VoIP), you need a microphone. A headset is recommend.


5. To hear the other meeting participants, you need speakers or headphones.
Hint: We recommend using a headset to transmit and receive audio. You can
find selected headsets for spreed.com at
http://spreed.com/store/headsets.

2. Registration

To use spreed.com, you need a valid user account. Creating a new user account is a
simple process. We only need your name and a valid e-mail address. To go to the
registration form, click register now on spreed.com.

2.1. Filling out the Registration Form


Fill out the registration form by entering your name, company, time zone and e-mail
address. Your local time zone will already appear in the field Time zone. Please confirm
that the time zone is correct. A correct time zone setting assures that meeting times will
be displayed according to local time.

Please enter your e-mail address. To avoid typing errors, enter the address again, into the
field Confirm e-mail. When all form fields are correctly completed, you can send the form.
You should receive a confirmation e-mail, so you can finish the registration process.

2.2. Setting the Password


To set the password for your user account, access the URL from the received e-mail in
your browser. Choose a password made up of at least 5 characters.
The password quality check will aid you in choosing a secure password. After setting your
password the registration process is finished.
Now you can log in directly and use spreed.com conferencing immediately.

After logging in you will be forwarded automatically to the conference management. This
is where you can create your own conferences.

2.3. Modifying User Data


You can change the registration data and your password anytime. To modify user data,
go to Settings.

2.4. Deleting the spreed.com User Account


If you dont want to use spreed.com any more, you can delete your user account
including all created conferences. To delete your account, log in, go to Settings and select
Delete account.

You should receive a confirmation e-mail. Your user account will be deleted only upon
accessing the confirmation link provided in this e-mail.

Please communicate the reason for deleting the account by filling out the form and click
on Delete account, to irrevocably delete your user account.

3. Online Meetings
For any conference type chosen, all online meetings will have the following functions:
1. Chat: The moderator and the participants can exchange text messages in the
chat.
2. Presentations: The moderator can present during the conference Office- and PDF
documents (Powerpoint, Excel, Word, OpenOffice) as well as import images and
present them interactively to the participants.
3. Screen-Sharing: The moderator can share parts of his screen or various local
applications with the conference participants.
4. File-Sharing: The moderator can provide documents and files for download.
5. Audio and video transmission: The moderator can transmit video and audio
from a camera connected to his or her PC directly into the conference room.

3.1. Types of Conferences


There are various requirements for an online meeting; therefore spreed offers different
types of conferences.
The difference between the conference types is given by the access type to the
conference and the transmission of the participants audio and video data.

3.1.1. Conference
A conference is ideal for an online meeting with a closed, manageable group of
participants. The conference is password protected and can be accessed by a participant
only by explicit invitation from the conference moderator. During the conference the
moderator and the participants can transmit their audio and video data.

3.1.2. Training
The conference type Training is suitable for reproducing scenarios like a training, course
or workshop. The audio and video transmission capability of the participants is therefore
restricted. All training participants (trainees) can receive the audio and video
transmission of the moderator (the person running the seminar), whereas only the
moderator will receive all audio and video data of the participants.

3.1.3. Instant Meeting


By using an instant meeting, you can address a bigger target group. Unlike a normal
conference, an instant meeting can be accessed without any explicit invitation from a
participant. Knowing the meeting ID and entering a name is sufficient to access the
meeting. In an instant meeting only the audio and video data of the moderator are
transmitted.

3.1.4. Broadcast
A broadcast can be compared with an anonymous instant meeting and is ideal for the
transmission of a meeting to as many participants as possible. The participants enter the
conference totally anonymously. The participants are merely observers of the meeting,
because only the audio and video data of the moderator are transmitted. Knowing the
meeting ID is sufficient to enter a broadcast meeting.

3.2. Starting a Conference


Log in to spreed using your email and password. After a successful login you will be
automatically redirected to the conference administration. Here you can create a
conference and edit existing ones. If you havent created any conferences yet, the
conference creation form will be automatically displayed.
The number of conferences, the possible duration of a conference as well as the number
of conference participants depend on the purchased spreed package. As a user of the
spreed free package you can create a conference with at most 5 other participants, the
conference duration being limited to 10 h.
The conference creation dialogue expands to several pages. You can use the next and
back button at the bottom to navigate between the pages, so you can check or edit your
data anytime. You can also jump directly to an area by clicking the labels between these
two buttons.

First enter important data, like the name of the conference, the start time, and duration
of the conference. Give a meaningful title and a significant description, to specify the
exact subject of the conference. Go to Start and specify the starting time of the
conference. Please use the current time displayed in the upper right corner for
orientation. This time is the actual and exact time, being synchronized with the
spreed.com server.
Go to Duration and specify how long the conference will last likely. The maximum
duration is displayed on the right.
Keep the standard conference type Conference. If you wish to keep participants waiting in
an upstream Waiting area until you decide to allow them into the started conference,
activate Lobby. If the lobby is deactivated, all participants will immediately enter a
conference, without permission from the moderator.

3.2.1. Adding Participants


Hint: If you have selected Instant Meeting or Broadcast as a conference type, you can
directly jump to 3.2.3 Loading files because for these two types of conferences the
explicit adding and invitation of participants is not needed. You can find more
information also at 3.1 Types of Conferences as well at 3.1 Inviting Participants to a
Conference.
Click on Next, to go to the screen where you can enter the conference participants. You
will be automatically added as a moderator of the conference. The check in the the
Moderator-column denotes, that you are the conference moderator.
If you want to invite more participants to the conference you have the possibility to add
them directly or from the address book.

3.2.1.a Adding Participants Directly


Select directly, to add a participant not saved to your address book. A participant which
was directly added will not be saved to your address book.

3.2.1.b Managing Contacts Using the Address Book


The address book makes it possible to save contacts permanently and comprehensively.

This way you can save frequently used contacts to your address book and add them
quickly and simply as a conference participant.
Select from address book, to open the address book.
Besides manually adding new contacts to your address book, you also have the possibility
to import contacts. The imported file must be a valid CSV file, previously exported by MS
Outlook or Outlook Express.
You can export the contacts from your address book, too.
The exported file is a valid CSV file, which you can import into MS Outlook or Outlook
Express.
If you want to add contacts from the address book as participants, select the contacts
and click invite. The contacts are now added as participants to the conference.
Hint: To select several contacts, when clicking the contacts, hold down the CTRL Key or
click on Select all, to mark all contacts in your address book.

3.2.1.c The Participants Time Zone


The importance of time zones arises especially when you want to hold a conference with
participants from all over the world. Entering the correct time zone, when creating a new
address book entry, is therefore very important.
This way you can assure that participants will see the starting time of the conference
displayed in their local time.

If you dont exactly know the time zone for a participant, use the comfortable world map
as an alternative to the drop-down menu. You can access the world map by clicking on
the globe icon.

3.2.2. Editing the Invitation E-mail


The e-mail sent as an invitation to the conference participants can be edited using the
integrated e-mail editor.
The standard text contains all important information needed for entering a conference.
The standard text is available in different languages. E-mails sent in languages for which
no standard text exists, will be sent with the English standard text.

To modify the language, select the desired language using the drop-down menu Standard
language.

You can adapt the standard text for all participants, as well as individually for each
participant. You can enter plain text and placeholders for entering conference-specific
information, like starting time, access password or meeting-id so that you can create an
individual invitation. To see a preview of the text where the placeholders are replaced
with real conference data, choose the preview-button.

To create individual invitation e-mails, select Participants texts. Then select the
participants you wish to receive the modified text.

3.2.3. Loading files


In Uploads section you can upload files and presentations needed during the
conference from your computer to the conference. Use both forms.
When uploading a presentation, respect the specified file types.

As soon as a presentation is uploaded, in the background it will be automatically


converted and optimized for the presentation mode of the conference by spreed.com.

3.2.4. Finishing the Conference Creation


Click on Next, to finish creating the conference. The most important conference data is
displayed again as an overview. Verify the information, and, if necessary, go back to one
of the dialogues to correct it.

The most important attribute of the conference is the meeting ID. This number is unique
and identifies a conference. A user who knows the meeting ID and the password can
enter a conference without an invitation e-mail.

Hint: If you change essential settings, like the starting time of the conference, dont
forget to inform your conference participants by inviting them again.

3.2.6. Inviting Participants to an Instant or Broadcast Meeting


Of course you can individually add and invite participants to an instant meeting or a
broadcast meeting (as described in 3.2.1 Adding Participants) However, because the
number of participants at an instant or broadcast meeting is much higher, and the
moderator supposedly doesnt personally know all participants, the publication of the
meeting ID is recommendable, by means of a newsletter, telephone or your homepage.
You can find more information at 7.2 Entering an Instant Meeting and 7.3 Entering a
Broadcast.

3.2.7. Deleting a Conference


If you want to delete a conference, select Delete conference. All participants already
invited will receive an automatically generated e-mail, informing them about the
cancellation of the conference.

4. The Conference View


Open the conference by clicking on the link Join conference. The conference view will
open in a new window.

The conference interface is divided into several areas. The individual functions are
arranged on several panels.

4.1. Control Panel


By using the control panel you can start, stop and close the conference.

4.2. Settings
You can configure your network connection by clicking the button Settings. The standard
setting is DSL. If, during audio and video transmissions, you experience distorted
images or dropouts you should adapt this value to obtain fluent sound and video.

4.3. Buddy List


You can see all conference participants in the buddy list.
Waiting participants are denoted by a grey chair at the left
of their name. Additionally, you can set your online status. If
you cannot actively participate in a conference, but you still
wouldnt want to leave, you can communicate this to the
other participants by changing the status Online into Away,
Right back or Occupied. According to the chosen status, a
corresponding icon will be shown next to your name in the
buddy lists.

4.4. File Sharing


The moderator and the conference participants can access uploaded files and upload
other files in the file sharing area.

4.5. Statistics
Besides the buddy list, you can see how many participants are connected to the
conference at a moment by checking the statistics.

4.6. Video Window


Video data of the individual participants are shown in the video window, as far as they
have permitted transmission of their video data.

4.6.1. Activating Audio and Video Transmission


If you have connected a microphone and a webcam to your PC, you can activate audio
and video transmission.

4.7. Main Window


The actual conference content is displayed in the main window. According to the
activated mode this can be the chat, the presentation-mode or the screen sharing mode.

5. Starting a Conference
When you enter a newly created conference, it wont start automatically. To start the
conference, click on the Start conference button and confirm the security question. Now
all participants can enter the conference.
Hint: If you start a conference with the lobby activated, the participants wont enter the
conference automatically.
You must manually draw the participants into the conference, using the buddy list. Click
on the participant in the buddy list and select Take to conference.

5.1. Conference modes


During a conference you can switch between several modes. When switching from a
conference mode to another one, the content of the main window changes accordingly.

All participants can communicate during a conference using the chat, so that an
interactive communication is possible at all times, even without using audio and video
transmissions. Every conference participant is automatically identified by his/her user
name and personal selectable color. This way the list offers a clear view even if there are
many participants. Using the chat function for a question-answer-style meeting is very
comfortable and answering questions from several participants gets clearer.

5.1.2. Presentations
You can import and interactively present Office and PDF documents (PowerPoint, Excel,
Word, OpenOffice) as well as images. The participants will always see depending on
their settings the slide you are actually showing and will have the possibility to navigate
in your presentation. Of course, this will work only for already shown slides, which were,
thus, unblocked.

You can show your mouse pointer to other participants by clicking the Pointer Button. The
mouse pointer will only be displayed, when you move it in a presentation area. All
conference participants are enabled to show or hide the mouse pointer.

Hint: Use the full screen function, to display a presentation in full screen mode.

5.1.3. Screen Sharing


When the screen sharing mode is activated, the moderator can share his display content
or any local applications e.g. Microsoft PowerPoint, Microsoft Excel or AutoCAD with the
meeting participants. Click on Screen sharing, to switch to the screen sharing mode.

5.1.3.a Downloading the Screen Sharing Client

If you use the screen sharing function for the first time, you will be displayed the notice,
that the Screen Sharing Client has not been started yet. Click the Download button, to
download the newest version of the spreed.com Screen Sharing Client. Save the file
spreed.exe on your computer.

5.1.3.b Configuring the Screen Sharing Client


Start the Screen Sharing Client by running the file
spreed.exe. You will be displayed a notice saying that you
can unlock windows using an additional menu item. In the
taskbar you will find a spreed.com tray icon, which you can
use to control the screen sharing.

By using the menu item Network connections you will be able to configure a proxy server.
If the application should use the proxy configuration of Internet Explorer, simply click
Detect.

5.1.3.c Sharing Windows


To unlock a window for screen sharing, click the application icon of the window you would
like to unlock. From the context menu select Share this window.
As soon as the screen sharing is activated, the spreed.com tray icon will be displayed on
a black background.

The content of the window will now be transmitted to all conference participants.

The moderator wont see the transmitted data during the conference, but just a notice
regarding the activated screen sharing.

You can activate the preview function using the tray icons context menu. This way you
can permanently see which part of your screen is transmitted to the conference
participants.

5.1.3.d Adapting the Image


As a conference participant, you have several possibilities to control the display of the
transmitted image. First, the transmitted image is fitted to the actual browser window.
This view is suited best for having a general view over the unlocked window.
By deactivating the option Fit content the window will be shown in its original size.

If the option Follow mouse cursor is activated, the displayed area will follow the
movement of the moderators mouse movement. If you wish to move the unlocked
window independently, select the option Drag visible screen. Now you can use the
scrollbars, or dragging with the mouse pointer, to move the visible area.

5.1.3.e Stopping Screen Sharing


To stop using the screen sharing mode, you can select Stop screen sharing from the tray
icons context menu or you can deactivate the option Share this window from the context
menu of the shared window.

5.1.4. Remote Control


You can use the remote control function to gain access to other conference participants
computers as a conference moderator. To be able to do this, the participant whose
computer you wish to remote control has to run the spreed.com client software
spreed.exe. You dont have to run the spreed client to remote control a participants
computer.

5.1.4.a Starting Screen Control

Select the participant, whose screen you would like to remote control, from the buddy
list. Select Request control.

The participant will receive a request, to confirm your right to remote control his/her
screen. Until he/she confirms, you can remove your request, by clicking Cancel.

You can control the screen of a participant only if he/she has confirmed your request. If
your request is rejected, you will accordingly receive a notice.

5.1.4.b Adapting the display


You can adapt the way the transmitted screen looks like on your display. First, the
transmitted image is fitted to the actual browser window. This view is suited best for
having a general view over the unlocked window.

Deactivate the option Fit content, if you want to view the transmitted screen in its original
size. This way the readability of the displayed elements will be increased.

5.1.4.c Controlling the remote screen


You can control the remote screen directly inside the transmitted image.
Use your mouse and keyboard as usual, to perform actions and data entry on the remote
computer.
Hint: You can simulate actions of the right mouse button e.g. displaying a context
menu by activating the button Right Click before clicking.

5.1.4.d Share Your Own Screen for Remote Controlling


If, when being a participant at a conference, you want to grant control of your own screen
to a conference moderator, you first have to start the spreed.exe software. At the time
being, you can unlock your screen to others only when using Windows 2000/XP.
As soon as a conference moderator requests control of your screen, you will be asked in a
dialogue-box if you want to permit that or not. Click Yes to unlock your screen.

Your screen is now unlocked for remote controlling. The spreed client icon in the taskbar

You can end the screen remote controlling anytime by clicking in the conference area on
Stop or select Stop screen sharing from the context menu of the spreed client.

6. Ending a conference
Only the conference moderator can end a running or paused conference.
Hint: A conference once ended, cannot be started again. If you would like to restart the
conference at a later time, use the Pause conference button.
To close the conference, click the Stop Button at the Control Panel. To prevent closing the
conference by mistake, you have to confirm this action twice. Only after answering Yes
to both security questions the conference will be ended. A message will be shown to all
participants, stating that the conference has ended.

An ended conference cannot be accessed any more, however, you still can access the

7. Entering an Online Meeting


7.1. Entering a Conference
If you are invited to a conference as a
participant, you normally receive an invitation
by e-mail. This e-mail should already contain
a link, which you can click to directly register
at spreed.com as a participant at this
conference.
If you have not yet received an e-mail, you
have to ask the conference moderator about
the meeting ID, your user name and your
password. You can use the data to log in to

Enter the meeting ID into the Join meeting
form. If you have entered a valid meeting ID,
you will be asked for your user name and password. Enter this information, too, and then
click the Log in button.
After successfully logging in, you will be redirected to the Join conference page. Click on
Join conference.

7.2. Entering an Instant Meeting


To participate in an instant meeting you
only have to know the meeting ID. The way
you enter the instant meeting depends on
how the conference moderator has invited
you. If you have received an e-mail
automatically generated by spreed.com,
the complete link will already be in it
taking you directly to the Enter
conference page.
If you only know the conference ID and the
starting time you can use the log in form
on the spreed.com homepage. Enter the
valid meeting ID and your name and click
the Log In button.

After successfully logging in, you will be redirected to the Enter conference page. Click
on Join conference to enter the instant meeting.

7.3. Entering a Broadcast


To participate in a broadcast you only have
to know the meeting ID just like for an
instant meeting. Enter the valid meeting ID
into the log in form on spreed.com and click
the Log In button. If you have entered a
valid meeting ID, the message You can
enter the meeting now will be displayed. If
no participant list is displayed in the
broadcast, you dont have to enter a name,
meaning that you enter the broadcast
meeting in anonymous mode.
Click on the Log in button, to go to the
Enter conference page. Click on Join
conference to enter the broadcast meeting.
