Student Instructions
Introduction
Before you start, read through all of the information given to you. Make sure you understand what you are
being asked to do and at what level you must perform to obtain Achievement, Achievement with Merit or
Achievement with Excellence for this Standard.

Conditions

This is an individual assessment task. You may refer to your previous work but must not
talk.
You have eight hours of classroom time to complete it (under supervised conditions).
All work should be printed (hard copy).
You must also submit your work electronically. Ensure that your folder has your name.
Surname_Firstname_Gig_Arrange.

Assessment Criteria
You will be assessed on

The extent to which your outcome meets the specifications

The manner in which you implement the step-by-step plan and apply techniques and testing
procedures to create the specified outcome. Your independence, as well as your accuracy and
efficiency, will be taken into account.

Resource Requirements

Creating content is not part of this assessment activity.

The text and other content are provided for you to use in the student resource folder, however you
are required to apply design elements and techniques to produce a high quality document. (see
checklist)
You may not simply download a template and change its appearance to do this would not fulfil the
requirements of the task.
The internet is not required.

Legal / Ethical / Moral Responsibilities

To avoid copyright issues you should use the resources provided. Content should not be offensive or
inappropriate.

Documentation / Portfolio
You must also create documentation/portfolio to help you plan your work and show what you have done
each day. Your documentation should include

Planning of what you will do to complete this project.

The testing you did to check for accuracy, and the results of that testing.
A brief description of any problems you came across, and how you overcame them.

Context / Setting
Your company, Gig Arrange, organize various artists to perform live concerts.

Brief / Scenario
Gig Arrange needs a database to keep track of their contract information for live concerts. They also need
you to format a contract they have (text provided). Finally, they need you to use a mail merge to add the
artists name and address to the contract.

Software Selection
The assessment requires you to select the appropriate software applications to complete this task.

Specifications
Gig Arrange has provided the following specifications for this project:

Database Specifications
The database needs to keep track of upcoming live concerts for various artists (see the data
provided below to help you decide on appropriate fields to store and enter the data).
o A form to allow data entry.
o A report that lists all artists and their contract details. They want the report sorted by Artist
name.
o They need the following queries/filters.
All NZ artists.
All concerts that are three hours or less, sorted by payment method.
All concerts in Auckland or Hamilton, sorted by concert date.
Contract Document Specifications
They need you to format a pre-created Live Concert Contract so they can send it to each
artist.
o Format the document to make it presentable. Specifically, Gig Arrange require
Page headers with the text Gig Arrange Live Contract Details.
Page footers with page numbers.
The company logo needs to be at the top of the first page.
A table with the compensation amounts listed.
They specifically want bullet points for the list under Acts of God (in the text file
provided).
All pages need to have a consistent look and feel.
Mail Merge Specifications
They need you to modify the contract document you created and add in a mail merge feature.
They have put [***hints***] in the contract text to indicate where the artist information should
go. For example: [***Name of artist***].
Format the document to make it presentable.
Other Specifications
They only want you to use the text and images they have provided.
They require all files to be saved in one directory to make it easy for them to copy if required,
and files need to be named so that someone from Gig Arrange can easily figure out which file
is which.

Data Provided by Gig Arrange for the Database.

The database Gig Arrange require you to build is a prototype, so they only need you to enter in

Suggested Step by Step Tasks

The tasks / specifications required are listed below, and can also be used to help you plan your work. Gig
Arrange are happy to discuss any modifications to the specifications, but you must get teacher approval
before modifying any specification (and also record what you discussed and any reasons in your
documentation).

Task 1 Getting Started

1.
2.
3.
4.
5.

Create a folder called Surname_Firstname_Gig_Arrange and save all work to that folder
All filenames must be named appropriately
To avoid copyright issues, Gig Arrange only wants you to use the text and images they have provided.
Identify the software you are going to use (Journal)
Comment on any other ethical / legal / moral issues to consider (Journal)

Task 2 Planning
1. Excellence students need to show their forward planning. To do this, put together a list of the actions
you will need to take to create your outcome. (Journal)

Task 3 Create the Database, Table and Form

6. Create a database, setting and modifying field properties including field names, data type, and field sizes.
(Journal screenshot in design view. Can be annotated with text box)
7. Create a form. The form should be formatted to look presentable. (Journal - screenshot and
annotate)
8. Enter the data provided into your database.
9. Check the data you entered against the data provided and modify any errors. (Journal screenshot of
table. Annotate to show how you tested that the data was inputted correctly)

Task 4 Create Queries/Filters

10. Create the following queries (Journal - for each screenshot the query in design view and then the
query once run. You should have 3 pages in total.)
a.
b.
c. All NZ artists.
11. Include how you tested that the queries worked properly (Journal)

Task 5 Create the Report

12. Create a report that lists all artists and their contract details. They want the report sorted by Artist
name.
13. The report should be formatted to look presentable (Journal - screenshot and annotate)
14. Test the report to ensure it works properly (Journal (can be put on the above screenshot))Task 6
Create the Contract Document

Task 6 Creating the document

Create the document

use the text file on shared drive

15. Format the document to make it presentable. Specifically, Gig Arrange require
16. Check spelling of the contract document to ensure accuracy of all text.
17. Preview the documents before printing to ensure they display properly.
18. Include what you did to check the accuracy and reliability of the information, and what you did to
ensure the outcome meets the specifications (Journal).

Task 7 Mail Merge

19. The mail merge data comes from the database provided in the resource folder (not from the
database you have made during this assessment). As such, copy the database provided to your own

assessment folder. (if you use the database directly from the resource folder you may get errors
about not being able to access the database)
20. Perform a mail merge using the database provided by Gig Arrange. Replace the text with **** with the
appropriate artist information.
21. Print the skeleton letter, the ones with <<
22. Print the merged documents
23. Include what you did to check the accuracy and reliability of the information (Journal).
24. Show how you have been efficient throughout your project time and resources (Journal)

Assessment Schedule 1.41

Evidence/Judgements for
Achievement

Evidence/Judgements for
Achievement with Merit

The learner implements basic

procedures to produce a merged letter
by:
applying a set of techniques to
produce the specified outcome
For example:
The learner creates the letter using
information in Gig Arrange text file
and logo.
selecting appropriate software and
specific features to manage and
present information
For example:
The learner creates the letter using
at least two software applications.
applying file management
procedures
For example:
The learner applies some file
management procedures by using
suitable folder names and filenames.
applying appropriate design
elements and/or formatting
techniques
For example:
The learner uses some design and
formatting features of the two
software applications. The finished
letter shows some evidence of
awareness of design principles.
For database software, the learner
could be expected to:
- create flat file database structures,
setting and modifying field
properties including name, data
type, size and format
- create simple validation rules
(such as format, field size, titles),
entering, editing and deleting
records
- create forms and reports (can use
wizards)

The learner skilfully implements basic

procedures to produce a merged letter by:
showing accuracy in applying
techniques and testing procedures
For example, for database software, the
learner could be expected to:
- set field properties that are
appropriate for the information they
contain (e.g. by using name, data
type, size and format)
- appropriately format data in cells
(e.g. text, phone numbers)
- apply some validation rules (such as
format, field size, titles), entering,
editing and deleting records
- appropriately use filters, queries and
sorts to retrieve relevant information
(can use wizards)
- create forms and reports (can use
wizards).
For word-processing software, the
learner could be expected to:
- select fonts that are appropriate for
the purpose (e.g. headings,
subheadings and content have a
logical structure)
- customise margins to document
needs
- set appropriate line spacing (e.g.
space before and after headings and
paragraphs)
- ensure text spacing is appropriate
(e.g. condensed or expanded)
- set appropriate paragraph styles (e.g.
block or indented)
- set suitable tabs and align any
decimal points to enhance the
appearance and readability of
numbers
- ensure Word tables display
appropriately, attending to cell
dimensions, internal margins, borders

For word-processing software, the
learner could be expected to:
- select, apply and adjust fonts,
margins, line spacing, tabs and to
create tables, columns, borders
and shading, plus headers and
footers
- create an outcome that resembles
their design concept through
manipulating elements such as
alignment (left, right, centre,
justified), contrast (through font
selection, style, size, colour,
shading, reverse text, drop caps),
repetition (of fonts, heading
treatments, colour), proximity
(main heading, subheadings,
paragraphs), balance (placement
of blocks of text, use of white
space, column breaks), harmony
(through font selection, colour
treatment, graphics and text).
applying data integrity and testing
procedures to ensure the outcome
meets specifications

and shading, alignment and autofit

- structure the document logically,
using appropriate columns and
breaks
- ensure no orphan headings or lines
- ensure borders and shading display
correctly when printed
- ensure information in headers/footers
displays correctly (e.g. in terms of
pagination, placement, style, size and
alignment).
showing independent decision-making
in applying techniques and testing
procedures
For example, the learner independently:
- creates the letter using two software
applications by following the
instructions
- decides on and makes effective use
of formatting features and a range of
design elements such as alignment
(text, columns, tables, graphs),
contrast (using font selection, style,
size, colour, shading, reverse text,
and drop caps), repetition (consistent
use of fonts, heading treatments and
colour to simplify reading), proximity
(spacing between headings,
subheadings, paragraphs and graphic
elements to visually structure
information), balance (placement of
text blocks and use of white space
and column breaks), harmony (font
selection, colour treatment and
linkage of graphs/graphical elements
and text)
- independently selects and applies a
wide range of appropriate
techniques, procedures and design
elements (e.g. by adding a logo to
the heading)
- organises their files (e.g. naming and
storing them correctly)
- and accurately and independently
creates a sheet that meets
specifications and is functional for the
intended audience
- checks that they have met all of the
specifications and performs the
correct queries.
