Project Closeout Checklist

The Project Closeout Checklist is used as a guide for the Project Manager at the end
of a project. This Checklist should be reviewed by the Project Manager and Practice
Manager at the end of each project to ensure that all tasks have been completed.
More details on the steps in this checklist can be found in the BizXpert Launch Tasks
on PS MySP.

Complete Launch Activities:


Complete all Go Live Checklist activities
Conduct CS Transition process, including creation of CS Transition
document for all Customers and set up transition meeting 3-4 weeks prior
to go-live for Premium and Platinum Experience Support Customers.
Ensure that the customer signs a Production Readiness Form prior to Go
Live

Project Documentation: Ensure that all project documentation has been


posted to the Customer SharePoint site
Configuration Workbooks, Requirements docs, final configuration files,
etc.
SOW(s), Change Order(s), Project schedule, Status reports, Cutover Plans,
etc.

Complete ByDesign Activities (Project Admin Closeout):


Make sure that all time has been entered and approved in ByDesign for
all project team members.
Confirm that all change orders have been signed by the customer, sent to
and processed by Accounts Receivable, and that all countersigned
versions have sent back to the customer.
Confirm that all Project milestone signoff documentation has been signed
and attached to the billing milestone in ByDesign, and that an email has
been sent to Accounts Receivable team (if FF project).
Create final Invoice Request (for T&M projects)

Confirm that invoices have been created for all labor, billing milestones,
and billable expenses.

From the Maintain Project page, go to Sales Tracking and select


Document Flow to review all invoices that have been created.

Adjust Planned Hours to equal Actual Hours, which creates a % complete


of 100% for Revenue Recognition purposes
Set project status to Completed (DO NOT SET TO "Completed and
Closed":

Make sure all tasks are marked complete as well.

Final Closeout Activities:


Complete Project Go-Live form. The information you provide will be
included in the next weekly SAP Go-Live email announcement.
Complete Project Closeout form. Once the form is completed the
Customer Project Manager contact information is used to launch a
Customer survey to provide feedback on PS. The information you provide
is used to gain a better understanding of what is happening on our
projects and to improve our process.
Submit CS ticket to remove provisioning access for team members.

Conduct Lessons Learned session.
