Constitution of the Dressage Club at Cornell

Article 1: Name of Organization


1.1 The name of the organization shall be Dressage Club at Cornell
Article II: Purpose of Organization
2.1 The purpose of the organization shall be to provide educational opportunities and
foster interest in the sport and tradition of dressage.
2.2 To provide opportunities for dressage competition for eligible members in the
intercollegiate circuit.
2.3 To represent Cornell University in the Intercollegiate Dressage Association
competitions in a professional and sportsmanlike manner.
Article III: Statement of Non-Discrimination
3.1 The Dressage Club at Cornell complies with anti-discrimination policies of Cornell
University, which can be found in the student handbook.
Article IV: Population
4.1 The club shall consist of the General Membership and the Executive Board. The
executive board is responsible for making decisions.
4.2 Faculty Advisor: May be any faculty member at Cornell University capable of
corresponding with the University in the official and legal matters of the Dressage
Club. The club must have a faculty advisor.
4.3 Coach: May be any private equestrian instructor who provides lessons for club
members.
4.3.1 The coach will accompany team and/or club members to all intercollegiate
competitions.
4.3.2 The executive board is responsible for any coaching position changes,
including, but not limited to, hiring and dismissal.
4.3.3 The President and Vice-President agree to defer to the coach in the matters
of which members make up the teams competing at each individual show.
4.4 When applicable, more than one position may be filled by the same person.
Article V: Membership
5.1 Eligibility: The organization shall consist of undergraduate students of Cornell
University who are interested in dressage, and:
5.1.1 Meet all University and Intercollegiate Dressage Association requirements
for the participation in club sports.
5.2 Graduate students may participate on a case-by-base basis.
5.3 Members: A member is in good standing if all the eligibility requirements have
been met, and all dues have been paid by the specified deadline.
5.4 Graduate students may participate with approval of Executive Board.
Article VI: Executive Board
6.1 The Executive Board shall consist of the President, Vice President, Treasurer, and
Secretary.
6.2 Additional officer or chair positions may be added upon agreement by all officers.
6.3 Duties and Responsibilities:
6.3.1 Conduct the general management of the clubs affairs.
6.3.2 Make certain all paperwork and financial obligations are taken care of on
time.

Hold Officer Meetings as often as necessary, outside of the regular


meeting schedule.
6.3.4 Attend all club functions.
6.3.4.1 Club function is defined as any show, fundraiser, sponsorship
activity, or meeting organized or held by the Dressage Club at
Cornell.
6.3.5 Coordinate accommodations for travel shows and events
6.3.6 Develop and update club website
6.3.7 Identify and execute fundraising opportunities
6.4 Term Limits
6.4.1 No individual shall hold a specific position for more than four (4)
semesters
6.5 Removal of an Officer
6.5.1 Grounds for removal of an officer include:
6.5.1.1 Violation of rules and regulations set forth in the Cornell Student
Handbook
6.5.1.2 Failure to perform the duties of the office as set forth in the
constitution and bylaws of the club
6.5.1.3 Failure to uphold the provisions of this constitution and bylaws
6.5.2 An officer may be removed by the following process
6.5.2.1 A petition to remove the officer in question must be submitted to
another officer. Such a petition must contain the signature of at
least 20% of the voting members of the Club/Organization. When
such a petition is received the officer shall call a meeting of the
Club/Organization to decide upon removal
6.5.2.2 The grounds for removal are to be presented by the officer in
charge at a regular or special meeting of the Club/Organization.
6.5.2.3 The officer in question shall be provided one week to present a
defense either in person or in writing.
6.5.2.4 A majority vote of the voting membership shall decided upon
removal, with voting not to occur sooner than one week after the
presentation of the grounds and defense have been made. There
must be a quorum for the vote of removal.
Article VII: Officers and Respective Duties and Responsibilities
7.1 President
7.1.1 Register club and complete all necessary SAO forms in July/August of
each year
7.1.2 Handle all IDA matters, including registration of the team and individual
members, entry forms, and communication with IDA representatives
7.1.2.1 Obtain show receipts promptly following show and forward to
Treasurer
7.1.3 Communicate with potential members
7.1.4 Advertise at the beginning of each semester to attract new members
7.1.5 Lead regular meetings and prepare agendas for such meetings
7.2 Vice President
7.2.1 Schedule regular meetings and reserve rooms for such meetings

Handle clothing/merchandise design, orders, and distribution


Assist in advertising efforts
Register club for ClubFest the May prior to the next school year, develop
display and organize tabling for the August event
7.3 Treasurer
7.3.1 Handle all SAFC funding requests and subsequent hearings/appeals
7.3.2 Ensure distribution of direct deposit funds
7.3.3 Collect receipts from all members who paid for show fees, hotels, gas, and
other expenses; as well as those from Oxley and other lesson venues
7.3.4 Complete reimbursement forms within 30 days of all expenses and submit
to SAFC
7.3.5 Manage funds in club bank account
7.4 Secretary
7.4.1 Coordinate all dressage lessons
7.4.2 Serve as liaison to Oxley Equestrian Center and other riding venues
7.4.3 Collect all invoices and receipts from lesson venues and forward to
Treasurer
7.4.4 Create lesson schedule for each semester and send weekly reminder emails
Article VIII: Code of Conduct
8.1 All members are required to follow all local, state, and federal laws, Cornell
University rules, and the Club Constitution at all functions.
8.2 Any violation of the above will result in the expulsion of the violator at the
discretion of the Executive Board and the faculty advisor.
Article IX: Ratification
9.1 This constitution shall become effective upon approval by the Executive Board.
Article X: Amendments
10.1 Any member in good standing may submit a written proposal to the Executive
Board to amend the constitution
10.2 The Executive Board will present all proposed amendments to the general
members at the following general meeting.
10.3 The amendment may be approved by a majority vote of all present members in
good standing.
