End user guide


This manual is a guide for end-users on how to browse the platform.

1. Login
Welcome to Docebo.
If you have already received your login credentials, you can start using the E-Learning platform.
To access it, you just have to insert your username and password in the login section.

Your login page may be slightly different from above image, but it will always have the login forms.
In some cases, the system may ask you to change the password at the first login. This allows you to customize your
own password that will be known only to you.

1.1 Lost Password


If you have forgotten your password, you can recover it by clicking on Lost password in the login page.

A pop-up window will open where you have to insert either your e-mail address or your username.
The system will send you an e-mail with instructions on how to create a new password.
Click SEND to confirm the operation.

1.2 Self registration


In some cases you are not given a
username and password by another
party, but rather you register yourself to
the system.
In this case, once on the login page, click
Register

A pop-up login form will open. Fill all the required details and ideally also the optional ones.
Note: The login form may be slightly different from the one in the picture below.
Be sure to select the I accept the terms of the privacy policy box and click the REGISTER button.

Once you have clicked register, you will receive an additional confirmation message on the screen, which requires
you to access your e-mail and confirm your identity by clicking on the confirmation link provided.

Sometimes, self-registration is moderated. This means that you will have to wait for an approval from Admin before
getting access to the platform.

2. Sidebar
Once logged into the platform, you will be able to see the main page.
At the center of the page you can see the courses, and on the left there is the sidebar.

In the sidebar you have two buttons: the first one is the menu, in which you can find all the available tools and
different areas; the second one is the change language button, in case you would like to change the language of the
platform.

2.1 Menu
The menu area includes all the available tools. The tools can vary based on the settings of the platform.
We are going to explore the entire range: My courses, Learning plan, My Calendar, My Activities, My Blog.

2.1.1 My courses
Select the Menu icon from the sidebar and choose the
My courses option.
In My courses, you can find all the courses you are
enrolled in.

The courses are divided into:


Active courses: all the courses you are currently attending or have to attend.
Completed courses: once completed, a course will be moved into this area, so you will not see it in the active
courses anymore.
All courses: in this area the courses you are enrolled in are shown without filters.
You also have a search bar to find specific courses: just type in the title and search.

2.1.2 My Calendar
Access the My Calendar area to see your planned training activities.
Select the Menu icon from the sidebar and select My Calendar.
In this area you will find three kinds of scheduling types
(depending on the features enabled by Admin):
1. E-Learning: the system will alert you on all the ELearning courses that will expire in the selected period
(week or month).
2. Classroom Course: the system will display all the
classroom courses in which you are enrolled.
3. Web Conferencing: the system puts together all the
web conferences planned in the courses in which you
are enrolled.
These three types are color-coded for differentiation.
You can select all the types or just the ones you are
interested in, and you can also search for an activity
using the search bar:

Select a single day to see the information related to the activities planned for that day: this will display the activity
name and kind. In the case shown in the image below you would have to complete the Business English course by
July 31. By selecting the title, you will be redirected to the course.

If the activity planned is a videoconference, you will also see the start time.

2.1.3 My Activities
Select Menu and then My Activities to access the area that has all the information and statistics about your training
activities,
such as:
Name, profile picture, level, e-mail, and groups you are
subscribed to
Subscription date, last access date, total time, and
active courses
Progress diagrams
List of E-Learning courses you are enrolled in with your
status, subscription date, first access, course completion,
credits, total time, and score.
List of classroom courses you are enrolled in with start
date, attendance, status and score.

Select one of the courses from the list to be redirected to it.

2.1.4 My Blog
Click on the Menu and select My Blog to access the area in which you can post your thoughts and ideas.

To start posting click the New Blog Post button.

Add a title and write your post inside the New Post box. You can change the size and color of the text and add links,
images, videos and tables. When you are done click Publish.

When your blog post has been published, you can see it in your blog area.
Blog posts are arranged in months on the right side of the page in the My Blog Archive section. If you need to find a
specific blog post, you can use the Search bar.

If you would like to share a post with other users, you have to write it within a course you are enrolled in. This will
allow other enrolled users to read, comment and evaluate it.

To do that, access the course in which you would like to post a new blog,

Inside the course, find the Blog widget and click the NEW BLOG POST button.

Add a title to your post and type the text. You can insert links, images, videos and tables.
Click Publish to complete the operation.

Once your post has been added in the stream, every user enrolled to this course can see the post and also comment,
rate, and state if it has been useful or not.

You will also be able to comment, rate and state if posts by other users have been helpful.

If you would like to read other posts written by a specific user you just have to click their name to be redirected to their
blog area where you can read all their posts.

If a blog post has been posted into a course, it will be tagged with the course name.

2.1.5 Change password, edit/view profile, change image


Inside the Menu area there is a button that allows you to change your password and, if the admin enables it, you will
also see the Show profile button, which allows you to edit your profile.

If you are editing your profile, a pop-up window will open,


where you can fill the empty fields or edit the existing
ones.
Sometimes it is also possible to set date and time
options.

If you would like to upload a profile picture or to replace the current one, you have to select the Menu icon from the
sidebar and click the picture box.

2.1.6 Gamification area


Gamification is a learning system that turns training into
healthy competition. Earn as many badges as you can to
be the best user on the E-Learning platform.
The objective is that you can receive badges for the
activities achieved. These activities can be related to
courses (e.g. completion of learning objects or courses)
or related to social aspects (e.g. blog or forum posts
and comments).
Every time you complete the activities needed to receive
a badge, a pop-up message will appear on the screen
advising you of the new badge earned.
Select the Menu icon from the sidebar to see a resume
of your gamification activities, which include: your last
two badges with a red number that indicates how many
times you received this badge, the total number of
obtained badges, your point rank with your position in the
chart, and your total score.

Select View all to access your Gamification area.


This area is divided into My Badges and Points, and
Top point chart.
In the first tab you can see how many badges you have,
how many times you have received each one of them,
and the points obtained.

In the second one you can see the top users of the gamification chart and your position

2.2 Change language


The Change Language icon from the sidebar allows you to decide in which language you would like to display the
platform.

3. The courses area

In the My Courses area you can see all the courses you are enrolled in.
Hover over a course with your mouse to get information on your enrollment level (learner, tutor, instructor), your
progress (how many learning objects you have completed) , and the course language.
Click the course icon to start exploring it.

3.1 E-learning courses


The E-Learning courses are those you can attend online: the training material is published inside the course and the
platform will keep track of your progress.
Lets explore the course area, which is divided into Training Materials and Widgets.

3.1.1 Training Materials


See the available training materials in the bar below the player.
Each training material is marked with a symbol:
- A padlock: indicates that to start this learning object you have to complete the previous one.
- A grey check: indicates that this learning object has not been started yet.
- A yellow check: indicates that you have started but not completed this learning object.
- A green check: indicates that you have completed this learning object.

You can also monitor your progress by selecting the Play icon from the sidebar:

A course can be made up of different kinds of training material. Let us explore them:
- Multimedia items: can include text, images, audio, video and also games and interactions
- Videos: you can see them online
- Presentations: you can read them online
- Surveys: to express your opinion about a topic or the course attended

- Tests: to prove knowledge of the course material


- Assignments: instructors can ask you to upload a project or a file
A course will be considered finished when all the training material are completed.
Once completed, the course will be moved into the Completed courses area. To view it, select the Completed
courses filter inside the My Courses area.

3.1.2 Widgets
Below the training materials, sometimes you will find widgets. These are useful tools that can be integrated in the
course.

Lets explore the available widgets:


- Course info: read subscription info, be updated on your course activities (time and progress), and download the
course certificate.
- Forum: discuss topics with other students and pose questions to the instructors.
- Course description: read the introduction to the course you have to attend
- File download area: download files uploaded by instructors, which often provide additional information about a
specific topic
- Comments: participate in live discussions with other students
- Blog: express yourself through posts and comments
- Web conferencing: join live web conferences organized by instructors

3.1.3 Certificate
The certificate is a document that attests to your participation in, and completion of a course.
It is available for some courses; check the Course Info widget to know if it is provided or not.

3.2 Classroom courses


In your courses area, you can also find classroom courses.
Access the course to see the information about the session you have been enrolled in.

Select the highlighted icon to receive more information about the appointment of the classroom course.

This includes:
- Location information, such as address, telephone number, and e-mail address.
- Classroom information, such as available seats, building, floor, and equipment (projector, ADSL connection, etc.).
- Additional information, such as directions, suggested accommodation, and pictures.

When the course ends, the instructor will evaluate you. The evaluation will be visible inside the course.

Like E-Learning courses, classroom courses can also include widgets, which are displayed below the session dates.

4. Courses organization
Courses can be organized into Catalogs, Learning plans, and/or Labels.
Labels are visible in the My courses area, while Catalogs and Learning plans are accessible through the Menu icon
on the sidebar.
Remember: you will see these tools only if they have been enabled by the Admin.

Lets explore these tools one by one.

4.1 Catalogs
In the Catalogs area you will find a list of courses to
which you can enroll yourself.
The enrollment can be free, moderated, or for a fee.
To access the Catalogs area, select the Menu icon from
the sidebar and choose Courses Catalog.

In this area you will see catalogs (can be one or multiple), and choose courses you would like to attend.

Click View More Courses to explore the catalog and select the course you are interested in.
Note that sometimes the enrollment has to be approved by an admin.

4.1.1 Self and moderated enrollment


The enrollment policy of courses included into catalogs can be free or moderated.
Select the course you are interested in to check the enrollment policy
Self-enrollment
Choose the course from those available in the catalog and click SUBSCRIBE

Read the detailed description and select SUBSCRIBE if you are still interested.

The course will be automatically added into your courses area


Moderated enrollment
In courses with a moderated enrollment policy, you will have to wait for admin approval before you can access the
training materials.
Select the course from the catalog and click MODERATED SELF REGISTRATION

Read the detailed description and click MODERATED SELF REGISTRATION again if still interested.

The course is automatically added to your courses, but you will not be able to access it until an admin approves you.

4.1.2 Buy a course


A course included into a catalog could also be for a fee.
In this case you can buy it; it will be marked by a green cart to indicate that it needs to be bought.
Select the course you are interested in from the catalog.
View the price by clicking BUY NOW

You will see the details of the course: price, duration, language and description.
If you like the course select BUY NOW again to confirm.

You will be redirected to the payment page. To confirm the order, the user has to fill in the form with their billing
information, and then agree to the terms and conditions of the service.

Once the payment is complete, you will see the course inside your courses area.

4.2 Learning Plans


A learning plan is an educational program specifically created for you.
You will find it in the Menu area by choosing the Learning Plan option.

In the Learning Plan area you will find the learning plans assigned to you; there could be one or more.
Check the status and the current activity, and see if there are any prerequisites.
Courses will be marked with a padlock to indicate that you have to complete the current course before you can
access the following one.
Courses are also marked by a status icon: grey if the course has not been started yet, yellow if the course has been
started but not completed, and green if the course has been completed.
Use the filters to view courses by status, and the search bar to find a specific course.
Select the course name to be redirected to the training materials.

Sometimes you can also obtain a Certificate at the completion of a learning plan.

4.3 Labels
Inside the course area, your courses could be organized into labels, which help you find them more easily.
Labels could refer to a topic, a category or maybe a difficulty level.
The courses not associated to any label are grouped into the Other Courses label.

Remember: the courses you find in the My courses area are mandatory.
