USE:
The Business Explorer Analyzer (BEx Analyzer) is one of the frontend of
Business Intelligence which is used for analysis and reporting tool of
Business Intelligence that is embedded into Microsoft Excel.

PRE REQUISITE:
Business Explorer should be installed along with Microsoft office 2007.

STEPS TO USE:
BEx analyzer can be accessed either by logging into SAP BI system
through SAP LOGON PAD or
by using Business Explorer Analyzer in the start menu of the PC.

Step 1: Accessing BEx Analyzer


A: Logging in SAP BI system and Using T-code RRMX

An Excel will open.

B: Directly using Business Explorer (BEx) Analyser
through Start Menu

If BEx analyzer is called directly from the BI system using T-Code RRMX,
pop up for connecting to the SAP BI server will not come. If its being
accessed from the Business Explorer through Start up menu, then a pop
up will come for connecting to the same BI server.
Enter BI client, user name and password. Press OK.

Step 5: Pop up will appear for selecting the query which


needs to be executed.
There are 5 ways of finding the required query.
1. USING FIND: If the technical name or the description of the
infoprovider or the query is known, the required query can be
searched.

2. USING HISTORY: All the queries that were accessed will appear in
this tab.
3. USING FAVORITES: The queries can be tagged as favorites. All such
queries will appear in this Tab.

4. USING ROLES: After the role has been assigned to the user, a folder
containing all such queries will appear in this tab.
5. USING INFOAREA: Application specific infoarea needs to be selected,
followed by the Infoprovider on which the queries are written. A list
of queries specific to that Info provider will come.

Step 6: Open the query


A selection screen will appear.
Enter the values for the variables and click on check. If there is some
error, the it will point out.
After rectifying the error (if any), click on OK.
Variables marked with * are mandatory.

Click on filter: It contains list of objects that can be dragged into the
report for further drill down (row wise or column wise ) and filter values
can be selected (exclusion or inclusion possible).

8.1: Drill Down

There are three ways of doing the drill down:


A. Drag and drop (across columns or rows): Info Objects are picked up
from the LHS filter pane and dropped into the report area either
across the columns or in the rows.

B. Right Click on the particular info-object that has to be added to the


drill down.

C : Query Properties : This option gives you a flexibility of arranging your


report dimensions as per your need in one go. Right click on the report
area and select Query Properties.

Report format can be set by arranging the characteristics either in rows or


in columns.

8.2 SELECT FILTER:


Right click on the info Object, select filer value.

By default when select filter value is selected, History values come, which
were used previously if any.
Select SHOW SINGLE VALUES:
On LHS, we get all the values that are present in the transaction data. As
per the requirement the value (or values) are selected and dropped on
RHS using the arrow sign.

If a value has to be excluded from the selection, we click on that value on


RHS, and click the red button.

You can also tag some filter values as favorites , it will come in favorites
drop down of select filter option.
There is one more option of ranges wherein, if there are some certain
ranges that you want to include or exclude, it can be done.

By Clicking on the green button, the exclusions will get included in the
selection criteria.

8.3: IMPORTANT POINTS:


Right Click on either in the report area or filter area:
1. Back one navigation step: It behaves like UNDO function. But it just
moves one step back in navigation.
2. Back to Start: It will open the initial report that we get before we have
done any selection or added anything in drill down.
3. Keep Filter value : By placing the cursor on a particular value , and
using the option of select filter value , that value is selected in the filter.
4. Filter and drill down : It will filter out the data for the value that was
selected and we can further have drill down as per any characteristic
selected.
5. Swap : The already existing characteristic in the report area can be
swapped with any other characteristic as available in the list.

6. Add Drill Down : More characteristics can be added for further drill
down
7. Remove Drill Down : To remove any characteristic from drill down
which is present in the report area.
8. Swap Axis : All the characteristic on rows are swapped with the
characteristics in columns and vice versa.
9. Sort : It is used for sorting the characteristic , as per the text or as per
the key in ascending or descending manner.
10. Properties: This option gives us the flexibility of setting the
characteristic properties as per our need. For e.g., if only text is required
or text and key is required. If Result rows are required or not, etc.
In the next tab of attributes, you will get all the attributes that have been
defined for the selected characteristic. Kindly note that, sometimes it
might be possible that the attributes are more , but not all the attributes
are mapped , hence you might get blank there.

10. Refresh: The icon highlighted below, performs the function of refresh.

11. Change Variable Values: If you want to change the values of the
variables that was selected initially, you can make use of this option. After
clicking on the change variable value icon, the selection screen will
appear again.
