This guide is intended for system administrators, decision makers, and consultants responsible
for configuring and using SAP BusinessObjects Dashboards and SAP Crystal reports in
corporate environments. Proficiency with SAP Business Objects is required in order to complete
the configuration.

Overview
Business Objects offers Business Intelligence solutions that help organizations better
understand their business and make wise decisions. Through these solution offerings,
organizations can monitor and explore data, and then use it to plan and take action. Business
Objects enables an organization achieve better results in all areas of their business.

System Landscape
This section provides an overview of the system landscape of Business Objects. The system
landscape describes both the technical and the system infrastructures.
Technical infrastructure describes the software components of Business Objects, the supporting
software required, and the hardware to run the Logistics add-on for import/export 6.06,
localization for India solution. System infrastructure describes the functional operations,
communications, and interactions within the Business Objects architecture.

Relationships and Dependencies on ERP Applications


You can choose which Business Objects solution to use in your organization. For that reason,
you need to understand and manage the relationship and interdependency on the ABAP
components in your existing SAP system for use with the chosen solution.
Note
Failure to install any of the related components on which other components depend, can
affect the proper functioning of a specific business application.

Data Flow from SAP to Business Objects - SAP Dashboard (Xcelsius)


Dashboards use the Adobe Flash file format SWF. The SWF file graphics are scalable and
enable play back on any screen resolution. When you save these files on your local drive, they
are saved with XLF extension. The XLF file format contains the model information and must be
opened using Xcelsius Enterprise 2008.
The diagram below illustrates the flow of data from an R/3 Add-on system to the Xcelsius
dashboard.

Create a Role and Generate a Profile


An authorization object allows a user to perform a certain activity on a certain object in the
Business Intelligence (BI) system. These authorizations are required by all users who are
working in the Business Explorer (BEx) Broadcaster or defining queries.
The authorization object that you require to work in an Xcelsius dashboard is S_RS_XCLS. This
enables you to create, change, delete, execute, and maintain Xcelsius Dashboards. In a
Business Warehouse (BW) system, you can create a role that generates a profile with
appropriate user rights in Xcelsius dashboards. Different roles can be assigned to people based
on their job profiles.

Create a Role and Generate a Profile


To create a role and generate a profile, follow the below-mentioned steps:
1. Execute transaction PFCG.
On the Role Maintenance screen, enter a name in the Role field and choose the Single
Role pushbutton.

2. On the Enter role attributes dialog box, enter the package that you want to save the role
in.
3. On the Create Roles screen, enter the description and save.
4. In the Authorizations tab, under Maintain Authorization Data and Generate Profiles,
choose the Change Authorization Data pushbutton. The system displays the list of all
available templates.

5. Choose the Do not select templates pushbutton.


6. On the Change Role: Authorizations screen, choose the Manually pushbutton. The
system displays the Manual selection of authorizations dialog box.

7. Enter the authorization object S_RS_XCLS and choose Continue.

The system assigns this authorization to the role.

8. Expand the role and navigate two levels.

9. Choose the change icon against Activity. The system displays the Define Values dialog
box.
10. Choose the relevant authorizations under Activities and save. Choose the Full
Authorization pushbutton, if you want the entire set of authorizations.

11. To control access to the Xcelsius dashboard, choose the change icon against Technical
name of the Xcelsius. The system displays the Field values dialog box.
12. Enter the dashboard names under Value Intrvl. You could also enter *, in which case,
the system would make all dashboards available for the user with this role. Save your
entries.

13. To restrict access to the dashboard on a user level, choose the change icon against
Owner (Person Responsible) for. The system displays the Field values dialog box.
14. Enter the appropriate values or * under Value Intrvl. Save your entries.

15. On the Change Role: Authorizations screen, choose the Save pushbutton. The system
displays the Assign Profile Role for Generated Authorization Profile dialog box.
16. Enter the profile name or use the default value and choose Continue.

17. Once you the save the data, choose the Generate pushbutton. The system generates
the relevant profile.
You can assign this profile to any user in the BW system. Similarly, profiles with different
authorizations can be generated and assigned to various users.

BI Java System
With respect to the Business Warehouse (BW) portal, you create a user which can then be
linked to the BW user. If the BW user has all authorizations in Xcelsius dashboards, the BW
user can use the portal user to perform necessary actions on the dashboard. For this to happen,
portal users need to be assigned to the EVERYBODY group, thus ensuring end user rights.
On the portal side, the following two standard roles could be assigned to the portal user:

pcd:portal_content/com.sap.pct/platform_add_ons/com.sap.ip.bi/Roles/com.sap.i
p.bi.bi_showcase (relevant for BI-specific functions)
pcd:portal_content/administrator/super_admin/super_admin_role (relevant for
systems communication)

Xcelsius Dashboard Configuration


Prior to installing Xcelsius Dashboard, you need to configure the following settings:
Create System Alias
1. Login to your portal using the Administrator credentials.
2. From the top-level navigation bar, choose System Administration -> System
Configuration -> System Landscape.
3. Expand Portal Content.
4. Right-click a system name and choose Systems -> New -> System (from template). In
the System Wizard, choose the SAP System with load balancing radio button.
5. Choose Next and then choose the Finish pushbutton.

Create Authentication Ticket Type


1. From the top-level navigation bar, choose System Administration -> System
Configuration -> System Landscape.
2. Expand Portal Content.
You can find the new entry under Systems.
3. Open the object for editing.
4. In the Property Editor, enter the system alias, authentication ticket type and other
relevant details.
5. Save your entries.

Xcelsius Dashboard Installation


You can install the Xcelsius Dashboard only after you have performed the necessary
configuration settings. Refer to the standard Dashboard installation guide for more information.
You can access this guide on the SAP Help Portal (http://help.sap.com).

Crystal Reports
Crystal Reports is an SAP Business Objects offering that is designed to work with your
database to help analyze and interpret important information. Crystal Reports makes it easy to
produce the report (simple, complex, or specialized) you want by using the comprehensive tools
at its disposal. You also have the flexibility to publish these reports in a wide variety of formats
including Microsoft Word and Microsoft Excel, E-mail, and even over the web.

Data Flow from SAP to Business Objects


Crystal Reports
Crystal Reports are designed to produce the report you want from virtually any data source.
These reports can then be published in a variety of formats and even over the web.
For the Export Import Add-on project, crystal reports created are published into the centralized
Business Objects (BOE) system. Once you get access to the centralized BOE system, a
production process model entry is created.

Prerequisites

Ensure that you have configured the BI client.


Installed Business Objects Enterprise 4.0 and configured it to use SAP Authentication.
Ensure that you have the necessary authorization to perform the connection setup. For
generic information on connection setup, refer to the BOE administration guide or the
BOE configuration guide in the SAP Help portal (http://help.sap.com).
Ensure that you have SAP Installation Kit (IK) installed on your system when using
Crystal Reports 2008.
Import transport files from the Crystal Report/SAP IK installation directory.

Delivery Mechanism
Developments related to Business Objects are done using respective design tools (CRs,
Xcelsius dashboards) whereas analytical queries are created in the SAP R/3 Add-on
development system.
The shipment of the Business Objects solution to the customer takes place as mentioned below:
1. The ODP and the Business Intelligence query are shipped as part of the standard
shipment.
2. The Shockwave Flash (SWF) file that you generate using Xcelsius Dashboard is shipped
in the form of a TLOGO object as an embedded SWF file in SAP WebDynpro.

Publish Crystal Reports


Crystal Reports are shipped as a report template in the form of a TLOGO object. The customer
needs to publish these reports in their Business Object Explorer (BOE) system and update the
connection details. To publish Crystal Reports, follow the below-mentioned steps:
1. Publish the Crystal Report to the BOE using transaction /CRYSTAL/RPTADMIN.
2. In the Operations tab, under Publish reports choose Select reports and roles to publish.
The system displays the Content Administration Workbench dialog box.
3. On the Content Administration Workbench screen, choose the Enterprise System, select
the Object version as A and choose OK.

4. In the Content tab, expand the system and choose the relevant report that you want to
publish.

5. Choose the Publish pushbutton. The system publishes the report into the BOE system.
Note
Dashboard users must be able to create Dynamic Cascading Prompts in a
business view. If the user is unable to create a dynamic cascading prompt, then
the Crystal Report does not populate the dynamic value when refreshed.

BEX Query
If either in the Crystal Reports or the Xcelsius Dashboards, suppose there is a field named
Quantity. This field is mapped to another entity called Unit of Measurement that has multiple
values for a given quantity. The standard Business Objects Explorer (BEX) behavior ensures
that a * is inserted into the query field (in this case, Quantity). To ensure that this does not
impede the processing, remove the * from the BEX query using transaction RSCUSTV4.

Process to transport BI-content objects from DEV to Q-system


To transport Business Intelligence content objects, you need to first create a role and save all
the objects under that role. Ensure that all these objects (including the ODP) along with the role
are transported to the test system.

Crystal Reports
To transport Crystal Reports related objects, you require three separate requests: one for the
role, one for the ODP, and the other for objects.
Once the transport is complete, you can test the objects as mentioned below.
Test Crystal Reports
After creating the user and confirming that the transport is in the test system, activate the
respective role so as to create the active role and the objects that the role contains.
Test the Crystal Reports in the test system by performing the below-mentioned steps:
1. Execute transaction RSOR.
2. On the Data Warehousing Workbench: Transport Connection screen, choose Object
Types.
3. Under Crystal Report, double-click on Select Objects.

4. On the resulting dialog box, select the report that you want to activate and choose the
Transfer Selections pushbutton.

5. Select the objects that you want to activate and choose the Install pushbutton.

Note
Follow the above-mentioned steps to activate the role for crystal reports. Once
the role is activated, assign your user to the role. Next, import this role to the
BOE and provide necessary user level access. For generic information on role
activation, refer to the SAP Integration documentation in the SAP Help Portal
(http://help.sap.com).

Xcelsius Dashboard
With respect to Xcelsius Dashboard, you need to transport the role along with the dynamic
URL.To do this, you require four requests: one for the role, one for the ODP, one for the BEX
query, and the other for the role. Change the URL by performing the following steps:
1. Execute transaction PFCG.
2. Select the relevant role and choose Change.

3. In the Menu tab, under Hierarchy, right click on the Xcelsius file name and choose
Details.

4. In the Change Node dialog box, under Object Description, change the system
parameter. Doing so forces the Dashboard to pick the correct/right URL in the test
system.

5. Choose Continue.
Note
The system parameter can be created/defined using transaction
SM30_SSM_VAR.
Once the transport is complete, you can test the objects as mentioned below.

Test Xcelsius Dashboards


After creating the user and confirming that the transport is in the test system, activate the
respective role so as to create the active role and the objects that the role contains.
Test the Xcelsius Dashboards in the test system by performing the below-mentioned steps:
1. Execute transaction RSOR.
2. On the Data Warehousing Workbench: Transport Connection screen, choose Object
Types.
3. Under Xcelsius Dashboard, double-click on Select Objects.

4. On the resulting dialog box, select the dashboard that you want to activate and choose
the Transfer Selections pushbutton.

5. On the Select Source Systems dialog box, select the relevant systems and choose
Continue.

6. Select the objects that you want to activate and choose the Install pushbutton.

Crystal Reports Configuration


Prerequisites
Prior to configuring crystal reports, ensure that you have made the following settings:

Create a logical system for the test client (usually 001)


Define the client in transaction SCC4
Create user ALEREMOTE and the relevant BW client in the Control Table That
Customer Can Change (Tenant-Specific) (RSADMINA) application table.

Procedure
Configure Crystal Reports following the steps mentioned below:
1. Execute the Modeling - DW Workbench (RSA1) transaction.
2. On the Data Warehouse Workbench: Modeling screen, under Modeling, choose Source
Systems.
3. Right-click on the relevant source system and choose Activate.

4. You now need to activate the technical content. To do so, execute the Technical BW
Content (RSTCO_ADMIN) transaction and choose Activate.
The system starts an activation job and displays
installation.

5. Maintain the System Settings (RSADMINS) application table with relevant details.
Ensure that you have selected the Step 2 is automatic and Drag&Drop off checkboxes.
6. On the Modeling - DW Workbench (RSA1) transaction, in the left navigation page,
choose Source Systems.
The system displays the list of source systems.
7. To create a source system, select File and using the secondary mouse-button, choose
Create.

The system displays the Create Source System dialog box.


8. Enter the Logical System Name (for example, PC_FILE).
9. Now add/assign the following roles to all users:
SAP_QAP_DEVELOPER_ODP_COMP (for BW and ODP authorization)
BOESAP_CRXC_DEV (for crystal reports development)

10. Next, add the system in the Content Administration Workbench. You do this using
transaction /CRYSTAL/RPTADMIN.
11. Under Operations, expand Enterprise System.

12. Choose Add New System.


13. In the Content Administration Workbench dialog box, enter the Alias and CMS name.
Choose the Default system checkbox, if you want to set this system as your default
system.

14. In the RFC Destinations tab, add the destination name. Ensure that this destination
name is the same as the one you create in the BW Publisher Service.

15. In the HTTP tab, enter the protocol as HTTP. Also enter the web server host and port.
Note that the path should be SAP and the viewer application reportView.do.

16. In the Role tab, add all the relevant roles.

17. In the Layout tab, enter the content base folder as /SAP/2.0/. Set the default security as
required.

The system is now added to the administration workbench.

BW Publisher Service
BW Publisher allows you to publish reports individually or in batches from SAP BW to Business
Objects Enterprise. The BW Publisher Service is different from the Publishing Wizard and the
Publishing feature.
To enable the BW Publisher, you need to configure an RFC destination on your BW system.
The BW Publisher service uses this RFC destination to register itself on the SAP system. Next,
you need to configure an RFC destination on the SAP side, where you have installed the local
SAP Gateway and the BW Publisher.
For more information on integrating BusinessObjects Enterprise and BW, refer to the
Configuring a destination for the BW Publisher service and To create the required RFC
destination (TCP/IP connection) sections in the SAP BusinessObjects Enterprise Integration for
SAP Solutions installation and administration guide.
Access the guide on the SAP Help Portal (http://help.sap.com); under Analytics, choose
Business Intelligence -> Business Intelligence Platform (Enterprise).

Extended scenarios/features
Apart from the above-mentioned scenarios/features, you can extend the reach of Business
Objects to consume more services from SAP. You can design and modify your own Crystal
Reports. With respect to Xcelsius Dashboards, you cannot modify the dashboard since it is a
Shockwave Flash (SWF) file. To create your own dashboards, you require licensed Xcelsius
software.

The SAP Service Marketplace stores certain installation
guides, upgrade and migration guides, deployment
guides, release notes and Supported Platforms
documents. Customers with a maintenance agreement
have an authorized user ID to access this site. Contact
your customer support representative to obtain an ID. If
you are redirected to the SAP Service Marketplace from
the SAP Help Portal, use the menu in the navigation pane
on the left to locate the category containing the
documentation you want to access.
