GAME BOOTHS GUIDELINES FOR 2015 XAVIER


SCHOOL
All grade 8 to high 4 students
are tasked to FAIR
organize a fair booth to provide FUN for
fairgoers. Booths should be safe, and the guidelines must be strictly followed.

Besides the Fair Games Committee, the High School Student Council Executive Board
will act as an implementing body to ensure that all students act according to these
guidelines.

Except for the shares given to classes, all funds raised through the fair booths are
donated to the schools various beneficiaries. Therefore, it is hoped that classes will
exert their best effort and try to earn as much as they can for the benefit of the
beneficiaries.

FAIR THEME

The title of this years school fair is LUMOS: a Magical Xavier School Fair. For this
reason, all booth designers are required to incorporate this theme (MAGIC and
FANTASY) in their booth name and design.

The top three game booths, in terms of concept and management, shall be
recognized. The criteria for determining the top three booths are:

Incorporation of fair theme 30%,

Management of Booth 30%,

Uniqueness and Resourcefulness 20%,

Overall Impact 20%.

Winning classes shall each receive Php 2,000.00, which it can spend on food. Each
class must submit food receipts for the expenses to be liquidated.

BOOTH SELECTION
1. Booths shall be approved after the students go through a presentation of proposals.
2. Distribution of forms will start on December 02, 2014 (Tuesday) for Gr.9 and H3/
December 12, 2014 (Friday) for Gr8, Gr10 and H4 through the SAP.

3. Forms should be submitted with every part duly completed during the presentation of
proposals to the Games Committee on the date set by the latter. Accomplished forms
should be submitted in a short plastic envelope properly labeled with the
classs section.

4. Forms must be presented and submitted by a representative of the section only after
inspection and approval of the CAs.

5. There can be no more than two booths of the same kind in the same unit.
Furthermore, the two booths of the same kind must have different mechanics. For
this year, only 1 maze will be allowed.

6. The standard game booth size is 4 square meters (2x2); however, game booths with
special needs may be allotted a larger area, and this must be included in the
proposal.

7. After all proposals have been approved, the layout committee shall determine the
specific location of each booth in the fair grounds.

8. On December 16, 2014 (Tuesday) Gr9 and H3/ January 13, 2015 (Tuesday)
G8, G10 and H4, will have to present their game booth proposals to the Fair Games
Committee. All appeals and clarifications will be addressed on January 6, 2015 (G9
and G10) / January 19, 2015 G8, G10 and H4

9. The classes will be informed, through their class presidents, of the status of their
booth proposals on January 13, 2015 (Tuesday) for G9 and H3/ January 20,
2015 (Tuesday) for G8, G10 and H4 during the Presidents Council meeting.

10. Please take a look at the table below for the specific booth assignments that will only
be allowed for every year level:

11. Any booth proposal that does not follow the specific booth assignments above will
NOT be approved by the Games Committee.

12. It is imperative that all materials needed are listed, but standard tents will already be
provided. Should larger tents be needed, a written request should be noted on the
proposal. However, because there is a limited supply of large tents, distribution will
be based on each classs need.

13. Certain materials for construction such as tables, shelves, and chairs are
considerably limited; therefore, these materials will be reserved on a first-come-firstserved basis depending on the approval of the classs booth proposal.

GAME BOOTH GUIDELINES

1. Booths must display their mechanics in an area where these will be clearly visible.
These mechanics must be strictly followed any deviations a class may want to make
from its approved mechanics should first be approved by the Games Committee.

2. Game booths are not allowed to give away items with perceived value exceeding Php
1,500.00. All (but not limited to) of the following items are prohibited:
Live Animals Guns
devices

Swords/ Knives

Magazines

Waterguns

Caught slips

Money

Chits

Video Game Consoles

Electronic

Furthermore, game booths are not allowed to give away prizes that may harm other
patrons. Students who have doubts on the validity of their prizes should seek the
approval of the Games Committee members. All prizes deemed inappropriate by the
Games Committee will not be allowed. A booth found to be giving away disallowed
items will be fined a penalty fee of P1,000.00.

3. Game booths cannot sell anything, including its prizes.


4. Each non-catching booth class will be provided with 5 on-duty and 2 advertise IDs.
Only students wearing these on-duty IDs in their respective booths and the advertise
IDs outside the booths are immune from catching booths. Therefore, students
wearing on-duty IDs outside of their respective booths are not immune from catching
booths.

5. Complaints by or against game booths should be forwarded to the information booth


or any Games Committee member. Opening late and/or closing early shall result in a
penalty fee to be determined by the Games Committee.

6. Booths should be left clean and empty after the fair. Leaving ones booth dirty or
unstripped by 6:00 PM on February 8, 2015 shall result in a penalty fee to be
determined by the Games Committee.

7. The fair shift assignments per class must be submitted on January 26, 2015 to the
Games Booth Committee along with the sheet of paper with the list of students
who will construct their respective booths.

8. The fair hours will be considered class hours; therefore, students who do not attend
their fair shift will be given an absent mark and the appropriate sanction if warranted.
Class advisers will check the attendance of their advisees

9. All booths must be supervised by the Class Adviser and Mentor. If booths are left
unsupervised for an extended period of time, the Games Committee may suspend
booth operations.

CATCHING BOOTH GUIDELINES

1. Only 3 High 4 sections are allowed to set-up catching booths.


2. Bails should only be 40 pesos or below.
3. Catching booths will be provided with 4 on-duty IDs, 2 catching IDs.
4. Catchers are required to wear their catching IDs in order to catch a patron.
Furthermore, if a catcher is not wearing the appropriate ID, he may not catch any
fairgoer.

5. Fair patrons can be caught by any catching booth a maximum of two times per day
(being caught once by two different catching booths will make the patron immune for
the day), and a booth cannot catch the same patron more than once per day.

6. Students grade 6 and below and all patrons below the age of 11, faculty and staff are
immune from being caught.

7. Each booth is required to issue caught slips, provided by the Games Committee, to
those it has caught. Such slips shall include the name of the person caught and shall
serve as the individuals proof of being caught. These slips shall only be valid on the
day that the slip was issued. All catching booths should only use the caught slip
provided by the Games Committee.

10. All booths must be supervised by the Class Adviser and Mentor. Only the Class
Adviser or Mentor will be allowed to issue caught/bail slips. If booths are left
unsupervised for an extended period of time, the Games Committee may suspend
booth operations.

8. All catching booths should be able to account for its caught slips at the end
of the school fair accounting.

9. Patrons must be informed of the bail option. No Bail is not allowed.


10. Bail transactions can only be done at the booth. Patrons without sufficient fair chits
must be given the opportunity to purchase additional chits.

BUILDING OF BOOTHS

1. Students can start constructing their booths on February 6, 2015. Any student can
work on the booths during breaks and after dismissal. However, only six students per
class will be allowed to work on their booth during class hours.

2. Booths with special manpower needs may request for additional students to work on
the booth during class hours, but such requests are subject to the approval of the
Games Committee and the administration. A letter of such request must be
submitted along with the booth proposal, but such request is subject to the approval
of the Games Committee and the administration. Classes shall be informed if such
request is granted.

3. Any student can work on the booth from 4:00-5:00 PM on February 6, 2015.
Students who wish to work from 5:00PM onwards must bring a letter from a
parent, stating that he is allowed to stay in school to work on the booth after 5:00
PM. Students without this letter shall be sent home. The letter should be submitted to
any of the Games Committee representatives.

4. The latest time that a student with a letter from a parent can stay in school is
7:00PM.

5. Students can continue to construct their booths starting at 6:30AM on February 7,


2015.

6. The full names and class numbers of the six students per section (please indicate
section) who will work on the game booth on February 6, 2015 must be written on a
sheet of paper and submitted to Nino Macababbad of G8D for Gr8 and
Timothy Tan of High 4C for Gr9 to H4 on or before 4:00PM on January 26, 2015.

The list must be approved and signed by the class adviser. Students with academic
and discipline status cannot be included in the list.

7. If a student in the list is found not to be working on the booth for whatever reason, he
shall be asked to go back to the classroom.

8. Teachers may inform students at least one day in advance of their need to have all of
the students in their class during a particular time, such as if a quiz will be given. In
these cases, students must go back to their classrooms to attend the particular class.
Students may be given a zero or be considered absent if the request is not met.

9. Game booths may request for some materials and/or utilities (such as electricity) that
will be used for the booths. The request for these materials and utilities shall be
granted depending on availability and other factors and may require additional fees
from the booth.

10. Any materials given or lent by the school must first be inspected for damage. If there
is no report on damage before use, the class will be responsible for damages found
on the materials.

11. Students should not damage school property in constructing their booths.
Furthermore, students are reminded not to paint the tents or the grass. Value of
damages incurred on school property will be deducted from the classs profit.

12. Class advisers are expected to supervise the booth construction during their free
time.

13. Classes that plan to have outside personnel to assist them in constructing their
booths must submit a letter to the Games Committee on or before January 28,
2015.
Classes are only allowed to a maximum of two external workers. External workers are
expected to do work that CANNOT be possibly done by the students themselves.
Should the class need more personnel to help, it should seek approval from the
Games Committee. The letter
must include the names of the personnel.
Likewise, materials, which will be brought during class hours on February 6, 2015,
must be requested through a letter to the Games Committee. All materials must be
brought in through Gate 8 only.

FINANCIAL MATTERS

1. A game booth can charge a maximum of 50 pesos and a minimum of 30 pesos only.
The dedication booth, however, can charge a lower amount.

2. Each booth is required to have a ledger to record all chits that are deposited in its
chit boxes. A class without a ledger may not retrieve its chit box.

3. Booths can only accept chits as payments. Needless to say, accepting cash as
payment is strictly prohibited.

4. All chit boxes must be retrieved at the start of each fair day and deposited at the Fair
Headquarters at the end of each fair day. Leaving the chit box unattended shall result
in a penalty fee to be determined by the Games Committee.

5. The gross earnings of the booths will be divided 30% for the class and 70% for the
beneficiaries of Xavier School.

6. If the booths ledger and the contents of its chit box differ, the difference will be
subtracted from the amount that is found in the chit box.

7. The support that the school will provide for the purchase of prizes and materials to be
used shall be explained to class presidents as soon as these are finalized. If such
support involves reimbursements, the class must submit official receipts for the
reimbursement to be acknowledged. The deadline for the submission of receipts to
the Games Committee is at 4:00PM on February 12, 2015, Thursday.

8. Counting of chits will take place at the grade school canteen from 8:00 AM-10:00
AM on February 9, 2015, Monday. Classes whose chit boxes are left unattended
by 8:30 AM shall have their class share reduced to just 20% from the original 30%.
Students are required to present their booths ledger in order to retrieve their chit
box from the fair headquarters.

9. Class advisers are requested to remind the class officers to be present in the
counting of chits.

10. Classes can be charged for damages they incur on school property. Depending on the
classroom inspection, security deposits may be refunded or forfeited.

OUTREACH PROGRAM
Each outreach visitor shall be given a card with different booths written on it. Those
assigned to booths should acknowledge these visitors and should give them the
corresponding prizes should they win any.
