The plant maintenance system should support the planning, processing and settlement of

any statutory, safety and ISO audits.

It also should capture the quantity of spares; cost of internal labour and services availed
for compliance of such audits.

It shall also provide a base for rational decision-making by providing up-to-date

information of the technical system, its history, spares and resources available.

It is a legal requirement for companies to submit yearly and monthly reports to the
government agencies like Electrical inspector, Factory Inspector, Pollution control agency and
ISO auditor at the time of audit.

System should give advance intimation about the Audits, which falls due in the future, so as to
prepare the action plan by the concern maintenance planner.

System shall give pop-up information to the specific users.

Audit system is time based, and will be treated as planned maintenance and is carried out at
regular time intervals.

These audits may be annual inspection by government authorities, ISO teams, safety compliance
audits, energy conservation audits etc.

Single cycle plan shall used to create call object.

maintenance order and notification.

In case of audit, the call object shall be

After scheduling of maintenance plans, maintenance orders will be created by the system. The
further processing of order i.e. release, execution, confirmation, settlement and technical
completion are similar to the Unplanned/Breakdown Maintenance Process.
audits. Maintenance person may refer manufactures recommendations and the history of the
equipment to define the basis.

In case of audits, unit of plan shall be time. Cycle time or periodicity of audit can be defined in
maintenance plan.

The maintenance planner decides the maintenance call objects for the plan. This can be
maintenance order, notification. Based on the selection, the system generates a call object for
audit plan when audit call is due.

Maintenance task lists shall be prepared for equipments / functional location, for carrying out
audit as per the requirement. The task lists will contain detailed sequence of activities or checks

to be performed, spares and estimated time required for completing the job. For the activities or
checklists, which are common amongst group of equipments, a general task list can be prepared.

A maintenance audit plan will include the task list along with the scheduling parameters.

Once the audit plans are created, these plans can be scheduled. It is important to input Start
date in the individual maintenance audit plan. This date decides the schedule dates.

Scheduling can be done manually as well as by system. It is recommended to do the scheduling

by system to avoid manual errors.

Whenever a schedule falls due, the system will create a maintenance order, notification
depending on what is decided as the call object of the plan.

The maintenance planner will schedule the maintenance plan. Once the call objects are created
by the system, the maintenance planner can manually skip the job or call the job, depending on
the situation.

If the call object is a maintenance order, then it will have to be released manually by maintenance
planner after checking the order.

There is provision in the system to shift the next scheduled audit date of a maintenance plan, if
there is considerable delay in completing the order or the orders are completed much ahead of
the schedule. These tolerance ranges for shifting can be decided by the maintenance planner
depending on the nature of the job.

With the help of Status management of the notification & order, concerned departments &
maintenance team can track the processing of maintenance jobs.

Updating of technical finding will update the maintenance history of the respective equipment.
This history can be retrieved as per the damage parts, causes, tasks and activities performed
in accordance with the catalogue profile created.

Online checking of notification and maintenance order compliance with backlog list will be
available.

Breakup of maintenance cost can be obtained based on internal labor, material consumed
and external services.

Material consumption can be tracked for each of the maintenance job performed.

The work center capacity and available load can be checked online.

Individual maintenance task can be scheduled in relation to other tasks in maintenance order,
this will facilitate in better monitoring & controlling the progress of the job.

Planned maintenance activities can be scheduled for a period and comprehensive scheduling
information can be monitored.

Automatic scheduling of maintenance plans with varied maintenance packages is possible.

Graphical review of the scheduled jobs can also be done.

Desired notification and maintenance order types shall be configured.

Logical codification of catalogue profile, code groups and code shall be done.

Wherever necessary, separate number ranges shall be defined for notification & maintenance
order types.

No automatic creation of purchase requisition from the maintenance order to be configured.

Purchase requisitions will be created manually, on need basis.

System shall give warning for vendor warranty, wherever equipment is under warranty.

Maintenance plan categories for the call objects (PM order) shall be configured.

Maintenance activity types for segregating the activity such as inspection plans, maintenance
plans and calibration plans will be configured.

Logical sort fields will be configured.
