Business Process Procedure


1. Process Overview: Boiler Tube Leakage Analysis
The process of Boiler Tube Leakage Analysis consists of the following steps:
a) Notification will be created in the system by authorized person of site Boiler
Maint. Dept. (BMD). Supporting documents i.e. Form C1, Form C2 etc. will be
created in Document Management System (DMS) and attached to the notification.
b) After creation of the notification, it will be sent to Corporate OS through SAP
mail. Print out of the notification along with the physical sample of the boiler tube
will be sent to Corporate OS.
c) Corporate OS will decide whether further analysis is required to be done by
NETRA. If further analysis is not required to be done by NETRA, Corporate OS
will record its observations and recommendations in the notification. After that,
notification will be closed and sent to site through SAP mail.
If further analysis is required to be done by NETRA, Corporate OS will release
the notification and forward the same to NETRA through SAP mail. Boiler tube
sample will also be sent to NETRA along with the print out of notification.
d) After analysis of failed boiler tube sample, NETRA will prepare the
Failure/Condition Assessment Report and link the same to the notification
through Document Management System (DMS). NETRA will also record its
observations and recommendations in the notification. After that, notification will
be sent to Corporate OS through SAP mail.
e) Corporate OS will further record the final observations and
recommendations/action plan in the notification and close the same. After that,
notification will be sent to site through SAP mail.

2.1 Creation of document by site BMD in DMS

2.2 Creation of Notification by site BMD and attachment of document


in notification

Print out of the notification:


Print out of notification can be taken by opening notification through Tcode IW23 or
IW29. The print out of notification is to be sent along with physical sample of the boiler
tube to Corporate OS.
After opening notification in display mode, print out can be taken as shown in screen shot
given below:

Notification is to be sent through SAP mail to representative of Corporate OS as shown


in screen shot given below:

SAP mail will be sent by site BMD representative and received by Corporate OS
representative.

2.3 Release of notification by Corporate OS


Notification will be opened in change mode through Tcode IW22 or IW28. SAP menu
path is given below:

If further analysis is required to be done by NETRA, notification will be released by
Corporate OS as shown in screen shot given below:

Print out of notification along with physical sample of boiler tube will also be sent to
NETRA for analysis.

2.4 Creation of analysis report by NETRA in DMS and attachment to


notification
After receiving physical sample of boiler tube, analysis will be done by NETRA and
analysis report will be uploaded in Document Management System (DMS) as explained
in section 2.1. In this case, document type will be ZRD.
Document created as explained above will be linked to the notification in change mode
through Tcode IW22 or IW28. Screen shot showing linking of document to notification is
shown below:

Linking of Boiler Tube


Analysis Report to
notification in DMS

Mechanism and Root Cause of boiler tube failure can be specified by clicking on
Mechanism/Root Cause Tab under Items Tab. For Mechanism, relevant Tcode can
be selected from the dropdown. Root Cause can be mentioned in short text as well as
long text.
Action Plan can be mentioned by clicking on Action Plan Tab under Items Tab.
Short text as well as long text has been provided for this purpose.
More than 1 item under above mentioned heads can be entered.

2.5 Closure of notification by Corporate OS


After receiving the notification through SAP mail, Corporate OS will open the
notification in change mode through Tcode IW22 or IW28. Documents attached by
site/NETRA and other details e.g. mechanism, root cause, action plan entered by NETRA
in the notification can be viewed by Corporate OS.

the document to be viewed.

After selecting the document


as explained above, click on
this icon to view the
document.

Mechanism of failure, Root Cause of failure and Action Plan can be specified by
Corporate OS under Items Tab. Procedure to enter above is same as given in section
2.4 (Page nos. 23, 24 & 25). More than 1 item under above mentioned heads can be
entered.
After mentioning all the details, notification is to be COMPLETED by Corporate OS.

If analysis of boiler tube sample is not required to be done by NETRA, Corporate OS can
COMPLETE the notification without RELEASE to NETRA. Before completing the
notification, Corporate OS can enter their observations in the form of Mechanism of
failure, Root Cause of failure and Action Plan.
After completion of notification, notification can be viewed only in Display mode as
shown in screen shot below:
