WORK ORDER CUM AGREEMENT

Please refer your request for revision of Housekeeping contract value of Wolkem
India Ltd., Udaipur. After having mutual discussions by and between the parties, you
are hereby given the contract of work for one year on the following terms &
conditions with effect from 01.04.2013.

1. SCOPE OF THE WORK


Scope of the work shall include cleaning and maintenance as appended hereunder of
the premises which includes all four floors and ground area of plot no. E-101, Mewar
Industrial Area, Madri, Udaipur:
a) The areas viz. Office Building which includes offices, reception, lobby, toilets,
conference hall, meeting rooms, canteen etc., and Pathway, Parking areas,
Security Cabin, external area and all Toilets with skilled manpower using
standard chemicals and machines.
b) Proper dusting of window ledges, all the furniture, picture frames, doors,
switch boards, book shelves, computers, printers, AC grills, glass fittings and
walls.
c) Upholstery dry-cleaning i.e. Chairs, Sofas, Carpets and blinds.
d) To place clean glasses and drinking water in the Departments.
e) Disinfecting of phones.

2. EXECUTION OF WORK
a) You shall work and prepare standard procedures and systems for daily and
periodic services, based on the assessment of work involved for various
services.
b) You will provide/maintain total 8 adult persons as house keeping attendant for
this purpose.
That the daily attendance sheet of deployment of the employees shall be
prepared along with the name which will be given by you to the in-charge of
P&A at WOLKEM INDIA LTD. who may verify the sheet & if needed they will
arrange physical verification of the employees deployed.
c) In addition to the above you will have one Supervisor who will be responsible
for all the activities of these workmen.
d) The chemicals / machinery that will be used for the cleaning purpose have to
be of standard Quality. You will use the chemicals of leading companies,
which will neither harm the floor and the persons working there nor the fabrics
(Upholstery and carpets etc.).
e) Your Manager / in-charge would visit the site twice in a week to check and
ensure that House Keeping plans and procedures are followed effectively and
suggest changes, if any, for further improvement.
3. CONTRACT RATE & GENERAL CONDITIONS
You shall be paid for House Keeping of our premises.
a) The cost of contract at WOLKEM INDIA LTD. would be Rs 83,800.00 per
month for cleaning and maintenance of the premises which includes all four
floors and ground area of plot no. E-101, Mewar Industrial Area, Madri,
Udaipur:
b) If in any month, the activities defined at page 1 with heading Scope of the
Work is not carry out in any floor then the payment will be made on prorate
basis.
c) Service tax @ 12.36% on Service Value. You shall be charge only 25% of
Service Tax on Total Service value as a service provider & also mentioned
75% of Service tax amount on Service value separately which shall be
deposited by us as a service recipient under Reverse charge mechanism of
Service tax.
d) You are advised to take all possible safety precautions to avoid any accident
and do comply the legal norms.

e) You shall provide us wage sheet for all workers and payment made by you on
or before 3rd day of every month. In case delay in submission of wage sheet
before 3rd day of every month you will be solely responsible for any penalty
imposed by Government department.
f)

Income Tax or any other such taxes will be deducted as applicable from your
bill.

g) You will maintain the statutory records under the relevant laws as applicable &
keep ready & available as and when needed by the authorities under the
relevant statutes. Failure to which you yourself would be responsible.
h) PF & ESI Employer & Employee's both Contribution as may be applicable
shall be deposited by you through separate challan / return in respect of the
employees deputed at WOLKEM INDIA LTD. as per the number fixed and you
will provide us a copy of challan / return along with details of contribution.
i)

Payment will be made monthly.

j)

You shall provide us necessary details (Police station Certificate, Village


Panchayat Certificate.) for new worker on the very first day of joining.

k) You shall report to the Vice President (P&A) of WOLKEM INDIA LTD.
l)

The contractor will be directly responsible for all legal obligations due on him
i.e. obtaining any license/certificate etc from any department and any other
formalities as per laws and rules applicable from time to time.

m) Staff will not involve themselves in any in disciplinary act. In such cases the
company reserves the rights to take appropriate action against the defaulter.
The seriousness of the act will be deciding factor to allow the worker in the
company premises.
n) The staff will be strictly responsible for the cleaning and maintenance purpose
or any other work, which will be briefed by the Supervisor. Any damage
occurred to the assets of the Company's will be borne by Classic Hospitality
Services.
4. MATERIAL PROCUREMENT & PAYMENT
a) The material required for house keeping and other maintenance work shall be
procured by you.
b) You shall procure the required cleaning material from authenticated sources
and should be of standard brands.
c) You shall get the brands approved by the company authorities and intimate
for the change as and when takes place.
d) No hazardous material to be used for cleaning purpose.

e) The material should necessarily be environment friendly.
f)

The MSDS (Material Safety Data Sheet) shall be made available to company
before putting into use.
g) Any harm sustained to company asset or employees attributable to material
shall be the responsibility of Classic Hospitality Services.
h) In no case the material shall be in short supply to affect the House Keeping;
in such cases the company reserves the right to procure the material from the
sources found suitable. The cost of the same shall be the liability of Classic
international.
5. HOUSE KEEPING STANDARDS.
You will ensure the followings.
A.

Toilet :
No Stains on Urinals, W.C & Tiles.
Floor to be kept dry.
Availability of Toiletries every time.
No foul odor in toilets.

B.

Floor
No spots or water marks on floor.
Clean Corners & Skirting.

C.

Furniture
Shinning Surface.
No Spots or Water marks on the furniture.
No dust & cobweb underneath the furniture.

D.

Building.
No dust on building exterior.
No Cob webs.
Clean grills, windows and windows pans.

E.

Instruments.
Telephone - Proper Cleaning with dettol without any stains.
Computers, Printers, Other Instruments - No dust on the equipment & stains
including finger marks.

6. ADHERENCE TO DAILY & WEEKLY SCHEDULE.


a) You will adhere to the daily and weekly schedule, which can be amended from
time to time with mutual discussions. In case of any lapse in the above a penal
deduction @ Rs.200/- for every non compliance will be made.

b) In case of any lapse on supply of housekeeping staff as defined at clause 2 (b) &
(c) a penal deduction @ Rs.176/- per housekeeping staff will be made,
c) In case of any complaint / feedback by Company Staff, if the problem is not
rectified within a reasonable period a penal deduction @ Rs.200/- for every non
compliance will be made.
d) If your services are not found satisfactory i.e. you will not maintain the quality of
agreed terms than an amount of equivalent to 10 % of your bill of that month shall
be recovered as penalty.
e) If any of your employee / workmen is found dishonest, breaks the norms /
discipline of company and indulging in any immoral activities, you will take the
appropriate legal action against him in accordance of the law as applicable.
7. VALIDITY OF CONTRACT
a) The period of contract will be for a fixed period of one year i.e from 1 st April
2013 to 31st March 2014.
b) On completion of the above period this contract can be renewed further on
mutually agreed terms & conditions.
c) This contract can be terminated by either party without assigning any reason, by
giving one months notice.
d) If the contractor is found violating any rules given in this contract, In that case the
management will terminate the agreement without giving any notice. In that case
the contractor will not be eligible for any compensation.
The company will not in any manner be responsible for any act. omission or in
case paying less than minimum wages to the workmen engaged by you if any
such claim is made against the company by any of the worker due to the mere
fact that the workers are / were working in the company premises, the contractor
will be liable to reimburse all the expenses to the company if any incurred by the
company.
e) In case of any dispute arising out of this contract the court at Udaipur shall be
final jurisdiction, whose decisions shall be binding on both the parties.
