EXTENDED SCHOOL YEAR GENERAL INFORMATION

District ID Badges:
All staff and volunteers must wear district 877 I.D. badges daily.
Documentation of Student Attendance:
Teachers will keep a student attendance sheet in Google Docs for each student
assigned to their classroom, which will be sent to you via email.
All you need to do is mark A for absent nothing else.
First Day ESY staff must:
Send a note home introducing yourself on the first day of class
Provide parents with your classroom number and phone number (or office
number)
Other items as you see fit (i.e. request snack or change of clothes)
Keep class lists and student information confidential
Data Collection:
Document student performance and progress on all goals and objectives
selected for ESY services. This will be done via Infinite Campus. You will have
access to Campus during the week of June 20th 2016.
Parent Communication:
Provide frequent information to parents (i.e. home work samples, projects,
and/or positive notes to communicate)
End of the Day:
Teachers and ESPs should walk with students to their buses at the end of each
session.
E-mail:
Teachers, please check your e-mail daily for summer program updates.
Time Sheets for All Staff:
Timesheets will be given to you prefilled by Nancy Smolensky. Please complete
your timesheets and return them at the end of each pay period to the main
office in your building.
Substitutes:
In the event of an illness or emergency, please call the Special Education office
at (763-682-8715) by 7:30am to arrange for a substitute.
Student Issues:
Administrative support is available from Amy Green, Tessa Newby and Molly
Geislinger (ESY administrative intern). Call the SPED main number, 763-6828715 for Nancy or Alexa and they will locate an administrator.

Supplies:
If you are in need of any supplies the request must be approved first by
the SpEd office. To make a request please fill out the online form called
Special Education Purchase Requisition located on the landing page and Nancy
will get back to you ASAP.
Copy/printer paper will be provided at BHS, PES and at NES.
Use 88696 when making copies at NES.
Use code 1234 for copies at BHS (printer located in Media Center).
Use code 0646 for copies at PES.
Walkie Talkies
Walkies will be signed out through the Special Education Office at DES. Please
connect with Alexa or Nancy at 763-682-8715. You will need to pick them up
prior to the start of ESY.
Field Trips:
If taking students off site, notify the Sped office in advance with all information.
Make sure that permission slips have been collected, send busing requests to
Alexa, and if walking make sure you have SPEDs main phone # 763-682-8715 in
your cell. If you dont have a cell phone please request walkies from Alexa or
Nancy in the SPED office.
Transportation:
Transportation information if provided on the class lists.
Transportation questions/concerns should be routed to Alexa Hinz at 763-6828715.
Schedule:
Staff should post a daily schedule (if appropriate) in their rooms.
If staff leaves the building to go outside, they should let the office know or post a
note on the door.

Assignment and Timesheet Information


Elementary Classrooms
Student hours:
8:15-12:15pm
4 days per week, 4 hours per day
Teacher hours:
8:00-12:45pm
4.75 hours per day (45 minutes of prep)
ESY classroom teachers get 3 additional hours of prep. This time can be divided
and is to be used for set up, returning classroom to original condition and
progress reporting.

Secondary Classrooms & PRIDE


Student hours:
8:00-12:00pm
4 days per week, 4 hours per day
Teacher hours:
7:45-12:30pm
4.75 hours per day (45 minutes of prep)
ESY classroom teachers get 3 additional hours of prep. This time can be divided
and is to be used for set up, returning classroom to original condition and
progress reporting.
Example teacher hours:
4 weeks of ESY
4.75 hours per day x 4 days per week= 19 hours per week
19 hours per week x 3 weeks = 57 hours in 3 weeks
4.75 hours per day x 3 days per week=14.25 hours per week (week of July 4 th)
71.25 hours in 4 total weeks + 3 additional hours= 74.25 TOTAL HOURS
Letter of Assignment:
Letter will provide information on total possible hours
Timesheets will document hours worked
Hours exceeding the assignment need to be pre-approved through the
Special Education Department

ECSE Classrooms
Student hours:
Preschool Readiness 8-10:00am, 10:30-12:30
Social Skills 8-10:00am, 10:30-12:30pm, 1-3:00pm
Talk and Play 10:30-12:30pm
2 days per week, 2 hours per day
Teacher hours:
2 hours per class + 20 minutes of daily prep per class session
ECSE ESY classroom teachers get 3 additional hours of prep. This time can be
divided and is to be used for set up, returning classroom to original condition
and progress reporting.
Example teacher hours:
4 weeks of ESY
6.75 hours per day x 2 days per week= 13.5 per week
13.5 per week x 5 weeks=67.5 hours in 5 weeks
67.5 hours in 5 total weeks + 3 additional hours= 70.5 TOTAL HOURS
Letter of Assignment:
Letter will provide information on total possible hours

Services at school
Travel Time:
When staff needs to travel between sites to deliver services, they should submit
mileage forms for reimbursement in the same fashion they would during the
school year.
Hours of assignment will be calculated based on the # of visits, the length of
each visit and prep time. Service providers will have 5 minutes of prep for every
25 minutes of a direct service.

Home Visits
Time Frame
Services provided to students should be given between June 12th and August
12th. Services outside of this range need to be preapproved through the Special
Education Department.

Travel Time:
If parents/guardians cancel a scheduled session, provider should attempt to
reschedule the session.
If a scheduled session is canceled at the time of arrival, the provider should
claim mileage and drive time but not the session time. Attempts should be made
to reschedule the session with parents/guardians.
When staff needs to travel between sites to deliver services, they should submit
mileage forms for reimbursement in the same fashion they would during the
school year.
In case of an emergency, contact parents/guardians and the SPED department to
notify them that you are canceling a session. Reschedule the session with the
parent/guardian.
