FINANCIAL POLICY
School fees are determined annually by the board of directors and are binding on all learners and parents.
The directors reserve the right to change the fees any time between a specific year if circumstances
beyond their control require them to do so.
SCHOOL FEES

It is the aim of the directors to provide the best quality education at the lowest
possible cost.
School fees are used to finance the maintenance and operational costs of the school.
School fees are payable before or on the 1st of every month.
School fees are payable one month in advance.
All fees must be paid in full by 01 November of each academic year.
Interest at prime rate will be applied on all overdue accounts.
The management reserves the right to exclude learners whose fees are not fully
paid up to date from class.
Statements must be checked and queries lodged within 30 days. Thereafter a
statement will be considered correct.
No cheques are accepted at school.
Referred cheques: (Direct deoposits) Bank charges of R100-00 will be levied. The
cash amount must be paid within seven days. Interest at prime rate will be charged.

REGISTRATION

Payment of the admin fee confirms a place in the school and covers administration
costs, eg ID card, personal file etc.
An Indemnity form must be signed by parents to permit a learner to take part in
activities organised by the college.
The principal will personally endorse admittance.

NOTICE OF DEPARTURE

When leaving during the academic year, a months written notice is required.
Learners, who have been suspended, will not be re-admitted before the suspension
period has expired.
In case of expulsion, learners will not be re-admitted under any circumstances.
No school fees paid are refundable.

RULES AND REGULATIONS OF ELMAR COLLEGE


1)

UNIFORM: No learner is allowed to wear any other clothing but the prescribed school uniform
specified in the prospectus. (i.e no altered or short skirt will be allowed)

2)

School uniform will be worn in a neat acceptable way: uniform clean, shirts tucked into
trousers / skirts at all times. Blazers and ties are compulsory as part of winter uniform for
Grades 7 12. No Dri-Macs or any other jacket will be allowed.

3)

Girls are not allowed to wear boys uniform and vice versa.

4)

Only black school shoes are allowed. No sport shoes, slip-ons, high heel shoes or tekkies are
allowed.

5)

Only the prescribed school beanie/ cap / scarf will be allowed and NO other cap / hat / scarf
may be worn to school.

6)

A proper school bag with 5 divisions is required. Grade R 3 may use a 3-division bag. No
small plastic bags or any other fashion bags are allowed.

7)

GIRLS: Nail varnish is not allowed! Nails must be kept short and neat. Hair must be kept neat,
and tied if it is long.

LATE COMING: The school starts at 07:30 every morning. No learner will be allowed to
enter the school premises after 07:30 unless accompanied by a parent/guardian.

APPOINTMENTS: No doctors or any other appointments may be made during school time.
You will not be allowed to leave the school premises between 07:30 and 14:00. (Fridays 07:30
and 13:30)

BUNKING OF SCHOOL / CLASSES: Learners are not allowed to bunk school/classes. A


learner will be issued with a written warning. After a second written warning, the learner will
be suspended from school until further notice.

12)

ELECTRONIC EQUIPMENT: No MP3 players, CD players, portable radios etc. are


allowed on the school premises, and will be confiscated until the end of the year.

13)

CELL PHONES: Learners are not allowed to have cell phones on school premises. Cell
phones will be confiscated and the school will not enter into any discussions regarding cell
phones.

14)

TELEPHONE: No learner will be allowed to make use of the telephones in the office. A
card phone is available for learners. No learner will be called from class to answer a phone
call.

15)

PUBLIC PHONE: No learner is allowed to make use of the public phone during periods.

PERMISSION CARDS: No learner is allowed to be out of his/her classroom without the


teachers permission card.

ADMITTANCE CARD: No learner will be allowed onto the school premises without his/her
admittance card. Admittance cards will be issued when school fees are paid up to date. For a
forgotten card, learners pay a penalty fee of R5-00 and for a lost card, you pay R50-00.

Must be clean-shaven every day! Hair must be neat. No earrings are allowed.

SICK BAY: No learner is allowed to be inside the sick bay without a permission slip from the
office.

CHANGING OF CLASSES BETWEEN PERIODS: Changing of classes will happen in a


clockwise direction. You will be granted 2 minutes to arrive in your next subject class.

BREAK TIMES: No learner is allowed inside the building before school or during break
times without permission.

21)

GAMBLING: Gambling is not allowed on the school premises and anyone found guilty of this
offence, may be suspended.

22)

CHEWING GUM: Chewing gum is not allowed on the premises.

BAD LANGUAGE: No bad language will be endured.

24)

VANDALISM: Learners who are guilty of damaging the property of the College will be liable
for the damages and might be suspended until the account for the damages has been settled.

25)

VIOLENCE: Fighting is not allowed and anyone found guilty of this offence, may be
suspended.

26)

ALCOHOL / DRUGS: It is forbidden to be under the influence of any alcoholic beverage or


habit-forming drugs. Learners guilty of being in possession of any illegal substance will
immediately be expelled.

27)

ABSENTEEISM: If a student is absent from school, a letter from the parents and/or a sick
note from a Doctor is required. No absenteeism during test cycles and exams.

DOCTORS LETTER: In the event of being absent for a test or exam, a legal doctors letter
must be submitted immediately, otherwise the student will receive 0% as a mark.

29)

RENEWAL OF CONTRACT: In the event of a poor behavior and disciplinary record of the
learner, the Directors will exercise their right not to renew the contract for the next year.

30)

HOMEWORK: Is compulsory. Portfolio work must be up to date in order to receive marks.

31)

EXTRA CLASSES: At any stage will a student be kept after hours, if extra work is needed.
Parents will be informed in writing.

Boys: No beards or moustaches are allowed.
Girls: Long hair must be tied back. Only blue headbands are allowed.
Jewellery:
One watch will be allowed
Boys: No earrings, chains or bangles are allowed
Girls: One set of small earrings
No nail varnish, rings, chains or bangles.
No tongue rings or other piercing are allowed.
No tattoes are allowed.
No make-up are allowed.
