All the examples shown in this blueprint were done with the Microsoft Dynamics AX 2012
virtual machine image that was downloaded from the Microsoft CustomerSource or
PartnerSource site. If you don't have your own installation of Microsoft Dynamics AX 2012, you
can also use the images found on the Microsoft Learning Download Center or deployed through
Lifecycle Services. The following list of software from the virtual image was leveraged within
this guide:

Even though all the preceding software was used during the development and testing of the
recipes in this book, they may also work on earlier versions of the software with minor tweaks
and adjustments, and should also work on later versions without any changes.

INTRODUCTION
INTRODUCTION
There is no better way to start learning Dynamics AX 2012 then to just dive in and start setting
it up from a blank slate. As you start sculpting your system you are able to see how everything
fits together and will also give you the muscle memory that will make you a ninja when it comes
to using it in the future.
For traditional ERP systems, this is easier said than done because you need to first get the
system installed, and then you dont know where to even start. Luckily with Azure Hosting, and
the pre-built demonstration environments that Microsoft deliver through their Lifecycle
services, firing up a new system to learn in is a breeze. Also, if you want to have a local version
of Dynamics AX running on your own server and you have enough power to do that then you
can download a copy of Dynamics AX and install it locally using Hyper-V.
Once you have a sandbox to play in, creating a new partition that is clean and ready for you to
start tinkering in is just as easy.
In the following book we will walk through the setup required to deploy a training system,
configure a blank partition so that you can use as the base training system, and also show you
how to set up all of the necessary codes and controls so that when you do start learning
Dynamics AX, everything will run smoothly for you.

Having your own Pilot or Test system for Dynamics AX is a great thing to have for everyone no
matter what stage in your implementation lifecycle you are in.
If you are evaluating Dynamics AX, then it allows you to test drive the system to make sure that
everything that you have heard about it is true.
If you are implementing Dynamics AX then it gives you a base system that you can tinker
around in with demo data to test out ideas or to perform training on.
And if you are up and live on Dynamics AX, then it allows you to see all of the new features
within the new releases so that you can decide if it is worth upgrading.
The problem has always been that in order to get a Dynamics AX environment up and running
you needed to be an existing customer to access the virtual machines, and you either needed to
install Dynamics AX (either by yourself or through a partner) or have a server that has enough
horsepower to run the virtual machine without bogging down.

With the introduction of Lifecycle Services though that has all changed. Anyone is able to log in
and create a Lifecycle Services project for evaluating Dynamics AX, and also once you have a
Lifecycle Services account you can link it with Azure and have a pilot system provisioned and
deployed within an hour. You can even get a free trial of Azure so that the pilot will not cost
you a dime - for the first 30 days that is. Theres no way anyone can complain about this deal.
In this walkthrough we will show you with step by step instructions how you can do this, and if
you follow along yourself then you could be up and running with your own Dynamics AX Pilot
environment too.

Signing Up for an Azure

Account
The first step in this process is to make sure that you have an Azure account with Microsoft.
How to do it
To start off lets get a free Azure subscription which we can use to store our pilot virtual
machine on. To do this, just go to the Microsoft Azure site at www.azure.com and then click on
the Try for free button in the center of the page.
This will take you to the Free one-month trial page where you are able to get a $200 credit for
the first month on Azure, which should be more than enough to take a look at Dynamics AX. All
you need to do is click on the Try it now button.
This will take you to the Free Trial signup page. A lot of the information will already have been
populated from your Live ID.
To verify you are who you are, just type in your cell phone number into the Verification by
phone section and click the Send Text Message button.
This will open up the Verify Code option.
After you receive your verification code, just type it into the code field and click on the Verify
Code button.
After you have had the code verified, then you will be asked to add a method of payment as a
secondary verification method, and also probably to save you time when you extend the Azure
hosting, although Microsoft promise that they wont do this without your permission.
All you need to do is fill out the Credit Card details, check the Agreement checkbox and then
click on the Sign Up button.

Then Azure will start provisioning your account.

Within a couple of seconds you will be taken to an Azure setup notice and just wait a bit we
didnt have to wait the 4 minutes
Pretty soon Azure will tell you that your account has been configured and you can click on the
Start Managing my Service button.
Now you will be taken to your new bright and shiny Azure hosting portal.
You may also get a notification that your order has been processed for the free account. Just as
promised we havent been charged a cent.
Review
If you dont have an unlimited number of Azure credits (like almost everyone) then taking
advantage of the free offer from Microsoft Azure is definitely something that you should take
advantage of. $200 will go a long way if you conserve your usage, and is more than enough
Azure time to be able to tinker around with Dynamics AX.

Signing Up for an Azure Account

How to do it

machine on. To do this, just go to the Microsoft Azure site at www.azure.com and then click on

own Lifecycle Services
Account
Once you have an Azure account, you the next step is to register for your own account on
Lifecycle Services. This is the tool that you will use to provision your Azure instance of
Dynamics AX.
How to do it
To do that, just browse to the Lifecycle Services website by going to https://lcs.dynamics.com
and click on the Sign In button.
The first time you do this you will be shown a license agreement.
Read it, dont read it, we wont judge you. But what you will need to do is scroll right down to
the bottom of the agreement and click on the I Accept button.
That will take you right into the Lifecycle Services Portal.
What we need to do now is create a new Project. To do this, click on the + button underneath
the Recent Projects heading.
Review
Lifecycle Services is a free service from Microsoft that everyone should be using. There are a lot
of tools in there that you can explore and use within your own project so make sure you browse
through the features when you get a chance.

Creating Your First

Lifecycle Services
Project
Once you have registered on Lifecycle Services, your next task is to create a new Project that
you will then be able to link your Azure environment to. This is a pretty easy process and we
will show you how to do that in this section.
How to do it
This will open up the Create a Project sidebar.
Type in a Name (i.e. PILOT) and a Description (i.e. Demonstration Pilot).
Then click on the Product Name dropdown list and select the Microsoft Dynamics AX 2012
option.
Then click on the Product Version dropdown list and select the Microsoft Dynamics AX 2012
option (or the latest version if there is a new one).
Next click on the Industry dropdown list and select the industry that you work in for example
Distribution.
And finally, click on the Methodology and select the Evaluate Microsoft Dynamics AX option.

Now click on the Create button to create your new Lifecycle Services project.
When you return back to the Lifecycle Services project page you will be within your new project
with the Evaluation methodology ready for you to work though.
Review
You can have as many projects as you like within Lifecycle Services so dont think that you are
just limited to the one that you just created. As you create these environments you may also
want to invite other people to have access. If you want to do this, look at the project member
options.

Linking Lifecycle
Services And Azure
Now that we have a project we want to connect it with our Azure subscription that we created
earlier on so that it then knows what to use when we start deploying out our cloud based
environments.
How to do it
To do that, just click on the Azure Deployments button at the bottom of the Welcome message.
This will switch you to the Cloud-hosted environments page and pop open a Microsoft Azure
Setup sidebar which is asking for our Azure Subscription ID.
To find this, just return to the Azure portal, and click on the Settings button at the bottom of
the left hand menu. This will open up a list of subscriptions and you will see the Subscription ID
is there for you to copy.
Paste the Subscription ID into the field within Lifecycle Services and then click on the Next
button.
Now we need to authorize Lifecycle Services to update Azure. To do this we need to download
a security certificate from Lifecycle Services and then apply it to the Azure account. So just click
on the Download button.
When the download message is displayed, click on the Save As option.
And then save the certificate away in a safe place.
Now return to the Azure Settings page and click on the Manage Certificates tab. This will allow
you to click on the Upload Management Certificate button.

When the Upload Management Certificate window is shown, just click on the Browse For File
button.
Then find the Lifecycle Services Deployment Certificate and click on the Open button.
When you return back to the Upload a Management Certificate form, click on the Checkmark.
Now you will see that the certificate has been associated with the Azure account.
Now return back to your Lifecycle Services project and click on the Next button.
If your certificate was filed away correctly then you will be taken to the Azure Region setup
page.
Click on the Azure Region dropdown list and select the region that you are closest to which is
also the region that the virtual machine will be provisioned in.
Then click on the Connect button.
When we return back to Lifecycle services we will see that we have connected Azure with the
Lifecycle Services project.
Review
Each project within Lifecycle Services has its own connection with Azure. You may have the
same Azure account connected with all of the projects, or if you like you can connect the
projects to different Azure accounts for different billing requirements.

Linking Lifecycle Services And Azure

How to do it
To do that, just click on the Azure Deployments button at the bottom of the Welcome message.

Creating an Azure
Hosted Environment
through Lifecycle
Services
Now that you have connected Azure with the Lifecycle Services project, you can get to the fun
stuff, which is the creation of your Dynamics AX virtual machine on Azure through the Lifecycle
Services tools.
How to do it
To do this, all you can click on the + Add button.
This will open up the Environment Creation sidebar and you will be able to select the type of
instance that you want to create. All you need to do is click on the Demo AX 2012 R3
environment (of the latest one if it has been updated).
This will take you to the Deploy Environment options panel.
Type in the Environment Name for example PROD.
Check the Pricing checkbox that says that you understand that charges could apply, and then
click on the Next button.

You will then get a confirmation dialog asking if you are really sure that you want to do this.
Just click on the Deploy button.
As a side note though if you do click on the Pricing link then you will be taken to a worksheet
that will allow you to price out the monthly hosting cost for your Azure virtual machine. For us,
if we ran the machine 24x7 then it will cost a little under $1000 a month. Still cheaper than
hiring an IT guy to manage it although through creative time management on the VM i.e.
turning it off when you dont need it you wont necessarily pay this amount.
When you return to the Cloud-hosted Environments you will see that the virtual machine is
Queued for deployment.
Then Azure will start deploying the system for you. This may take a while, so grab a coffee and
come back in about 30 minutes.
When the environment is marked as Deployed you are up and running.
When you return to your Azure account you will now see that there is a new virtual machine
waiting for you.
Review
Provisioning your own version of Dynamics AX on Azure through Lifecycle Services is super easy
once you know how to do it, and although this will eventually cost you a little bit of money after
your free credit runs out, it is still less of a hassle than trying to host the image on your own
server.

Machine From Azure
Now that you have configured your virtual machine you can connect to it through Remote
Desktop directly from your Azure account.
How to do it
To do this, click on the Virtual Machine then you will see all of the machine stats and you will
be able to click on the Connect button in the footer of the page.
When the RDP file warning is displayed, just click on the OK button.
When the Remote Desktop Connection dialog box is displayed, click on the Connect button.
Now you will start attaching to the new virtual machine.
When the credentials dialog box is displayed, click on other credentials option.
And then type in the Username of Administrator and the Password of Dyn@m1csAX. Shhhh
dont tell anyone.
Now you will get one final warning about the connection just click on the Yes button.
Next thing you know you will be taken to the Dynamics AX Demo Virtual Machine. All you need
to do is click on the Microsoft Dynamics AX icon.
And now you are running a Dynamics AX client.
Browsing around you will see that all of the standard demo data is there waiting for you.

Methodologies
Now that you have the virtual demo environment provisioned, you may be wondering what to
do with it. There is one added Easter egg that included in the Lifecycle Services project that you
created, and that is the Evaluation Methodology. This methodology comes pre-configured with
the project and within each of the stages are resources that you can link out to.
How to do it
Within the Learn section you can find links to product overviews and also customer
testimonials.
Within the Try stage are links to demo videos and also demonstration scripts.
If you click on any of the demonstration scripts then you will be asked if you want to open up
the documents.
If you do, then you will have step by step instructions on how to perform some of the common
functions within that area.
And of course within the buy phase you can also contact Microsoft or find a Partner that can
help you with the real deployment of Dynamics AX if you like.

Review
Turning off the virtual machine and conserving your Azure credits is definitely something that
you need to manage. If you leave the virtual machine up and running all of the time then you
will find that you can chew through the $200 free credit pretty quickly, but if you manage the
usage of the virtual machine and turn it off when you are not using it then you can easily eek
out all of the time that you may need to work through these training guides and get a new
Dynamics AX system configured and up and running.

Being able to test our Dynamics AX without having to invest in a lot of expensive hardware, and
without having to embark on a fully fledged installation project has been a request that
companies have been making since the beginning of time (or at least AX time). Now you can do
this and its really not that hard to do either. Even a non-technical user should be able to work
though the steps that we have outlines in this guide and be up and running on a test system in
no time.
Taking advantage of the existing training material that is available for Dynamics AX - there is a
lot out there for example just do a search on Dynamics AX Companion Guides and see what you
find. You can even sell yourself on the product by working through the setup of Dynamics AX
and learning the ins and outs of the application if you want to roll up your sleeves a little and
invest a little bit of time. Its not a difficult system to get the hang of.

Although Azure is a great place to host your Virtual Machines, but it is not the only option. You
can also download a copy of the virtual machine and run it locally on your own system through
Hyper-V. This is the same image that is running on Azure, but it gives you full control of the
virtual machine, and also you dont incur any of the Azure hosting fees.
The only requirement that you need to take into account for this option is that you need to
have a host machine that has enough horsepower in order to run the Virtual Machine in the
first place. For the environment to run properly, you need to allocate at least 16Gb on memory
to the system, and then maybe a little more. Any less and the system will run, but it may slow
down a little every now and then as it tries to manage the memory.
In this chapter we will show you how to download and configure the virtual machine to run
locally.

Downloading the
Virtual Machine Image
from CustomerSource
Getting your hands on the virtual machine image is pretty easy. All that it involved is finding it
on CustomerSource (or PartnerSource) and then downloading all of the image files. Although it
may take a while because there are about 38Gb worth of files.
How to do it
To start off, just navigate to the CustomerSource home page. Here is the link:

When you get there, click on the Microsoft Dynamics AX link in the navigation menu.
When the Microsoft Dynamics AX resource page is displayed, click on the Downloads link in
the navigation menu.
This will take you to a list of all of the different downloads for Dynamics AX. What you want to
click on the the Microsoft Dynamics AX 2012 Solution Demos link.
This will take you to the Solution Demos downloads page. There are a lot of scripts and goodies
on this page that you can download from here, so you may want to take a quick look at whats
available,

But what we are looking for are the VM files. Scroll down to the VM A image this is the first
virtual machine for Dynamics AX. There are actually 4 different VMs that you can download,
but we only need this one.
To start the process running, all you need to do is click on the first Microsoft Dynamics AX 2012
CU* Demo VM part001 file.
This will open up the File Transfer Utility where you will want to specify where you want all of
the image files to downloaded to.
After you have done that you can just click on the Transfer button in the Confirm Transfer
Request dialog box.
This will start the transfer process running and you just have to wait for the file to be
downloaded.
Then repeat the process 37 more times until you have all of the virtual machine files
downloaded.
After you have done that then you will have all of the compressed .rar files for the virtual
machine.

As new releases of Dynamics AX become available, then they are always posted here to
CustomerSource for everyone to download for demo purposes, so this is a great way to get
your hands on the newest version of Dynamics AX without having to reinstall or upgrade your
old systems. So take advantage of this resource as much as you like.

When the confirmation box is displayed, click on the Next button.
This will then show the obligatory license agreement dialog box.
Select the I accept option and then click on the Next button.
Before clicking through the Destination Folder page, click on the Change button to select a new
destination for the VM.
When the file explorer is displayed, click on the file browser button and point the destination
folder to where you are storing all of the other compressed VM files. Then click on the OK
button.
Then click on the Next button.
After you have done that, click on the Install button to start the install process.
The Install will run for a while as it extracts out the initial file.
After it is done, just click on the Finish button to exit from the process.

When you return back to where you have all of the VM files, you will notice that there is now a
part001.exe file. Just click on that new file.
This will open up the extraction dialog box. You can click on the Browse button and select
another location for the VM if you want and then click on the Install button.
After a little bit, all of the files will be decompressed and you will have a new folder with all of
the virtual machine files.
You will have a couple of virtual hard drives.
And you will also have a virtual machine configuration file as well.
Review
Now you have all of the files for your virtual machine. One thing that we would also suggest is
that you maybe make a copy of these files so that you can then use them for additional virtual
machines later on. It saves you the step of re-extracting out the files.

The virtual machine is hosted on your computer using Hyper-V which is a standard Windows
component on Windows 8 and 10. If this is the first time that you are using this feature then
you may want to check that it is enabled.
How to do it
To do this, just open up the Programs and Features panel from the Control Panel and then click
on the Turn Windows Features on or off option.
Then look for the Hyper-V optional component and make sure that all of the features are
enabled.
After you have done that you will be able to open up the Hyper-V Manager console application.

Now you have everything that you need up and running in order to host your own virtual
machine. Rock on!

two up and get the virtual machine running on your local system.
How to do it
To do this, return to the Hyper-V Manager console application and click on the Import Virtual
Machine link on the right hand side of the application.
This will open up the Import Virtual Machine wizard and you can click on the Next button.
When the Locate Folder page is displayed, click on the Browse button.
Then navigate to the base folder where all of the virtual machine files were extracted and click
on the Select Folder option.
When you return back to the wizard, click on the Next button.
You will then be able to see that the virtual machine was found and you can click on the Next
button,
When the Choose Import Type page is displayed, select the first option (Register the Virtual
Machine In-place) which tells the system not to relicense the VM or assign a new MAC address
and then click on the Next button.
When the Summary page is displayed, just click on the Finish button.

When you return back to the Hyper-V Manager you will see that the virtual machine is now
registered and ready for you to start it up. Before you do that though, just click on the Settings
option on the right hand side of the console.
Check the Memory that is allocated to the virtual machine and assign it at least 16Gb of
memory (16,384 MB) so that you have enough memory to run the machine without page
swapping.
Also if you have enough CPUs you may want to allocate a few of them as dedicated to the
Virtual Machine. After you have done that then you can click on the OK button to exit from the
settings.
All that is left for you to do is click on the Start option for the virtual machine to start it running.
This will start the virtual machine initialization process,
Within a couple of seconds the virtual machine should start up and you are done. To access the
virtual machine, just double click on the virtual machine image.
This will open up the Virtual Machine console and you should be able to see the login screen
just like we saw with the Azure virtual machine.
For this virtual machine type in the Username of Administrator and the Password of
pass@word1. Shhhh dont tell anyone.
Next thing you know you will be logged into your very own local copy of Dynamics AX.
Review
Importing in a virtual machine this was is not that hard to do. If you want to go the extra mile
then you can also tinker with the Virtual Network settings and set up some network adapters
for the virtual machine. This allows the machine to communicate with the local system, and
also get onto the internet by piggybacking on the host systems network adapter.

Apart from a lot of sitting and waiting for the virtual machine files to download and extract, this
process is pretty simple to do, and if you have a system with enough memory to run the virtual
machine then it is a very cheap way to get your own training instance for Dynamics AX up and
running.
If you want to be more creative then you can also set up this system on a shared server and
then have multiple people log into the system for centralized training. The possibilities for the
in-house hosted images of Dynamics AX are wide open.

MAINTAINING YOUR VIRTUAL MACHINE LICENSES
MAINTAINING YOUR

LICENSES
Both the Azure and local versions of the Virtual Machines will be fully licensed to run all of the
components within the system, and also to run Dynamics AX. The core components are
licensed for 180 days which includes the OS etc. And Dynamics AX is usually licensed to run
for a year or so. But if you use the system for longer than 180 days then you may need to
rearm the system, and if you run out of time on the Dynamics AX license then you may need to
apply a new license to it.
In this chapter we will show you how you can relicense the components if they run out.

Relicensing the Virtual

Machine for 180 Days
The first license that may expire is the OS license, which has a default license of 180 days. If
you use the virtual machine for longer than the default of 6 months, then dont worry, you can
extend out the OS license for another 180 days up to 2 extra times to give your system a little
more longevity. By then you will probably be wanting to get a new image anyway so this works
out pretty well.
How to do it
To do this start off by opening up a command prompt within the virtual machine.
The within the command prompt type Slmgr /rearm.
Within a second or two you will get a message saying that the virtual machine as been updated
and all you need to do is restart the virtual machine.
Review
If your virtual machine OS is running on borrowed time, then you can just rearm the license
yourself. You should be able to keep the virtual machine Operating System resuscitated
enough times before you will want to swap over to a new image of Dynamics AX.

apply to your system which then extends the life of the application for you.
How to do it
To find the license, just return back to the Demo Solutions download page and scroll right
down to the bottom. You will see that there is a section there to download the extended
license file.
Just click on the link and then save the license file to your desktop.
If you look within the zip file you will see that there is a text file for the new license that you will
need to apply to your virtual machine.
Copy that file over to your virtual machine image desktop and then click on the Microsoft
Dynamics AX icon to start up AX.
Now click on the License Information menu item within the Licensing folder of the Setup group
within the System Administration area page,
When the License Information maintenance form is displayed, if your license has expired then
you will see that the Expiration Date is set to 2006. To load the new license, click on the Load
License File button within the menu bar.
This will open up the Load License File dialog box and you will want to click on the file browser
icon to the right of the File Name field.
Then navigate to the license file that you saved on the desktop and click on the Open button,

After you have done that click on the OK button.

Then Dynamics AX will ask you to Synchronize the configuration, and you will want to click on
the Yes button to make sure that all of the license details are updated correctly.
After a couple of minutes you will get a InfoLog box that says that everything is completed and
you can click on the Close button.
When you return back to the License Information form you will notice that the license file has
been updated with a new date and you will be up and running with Dynamics AX again.
Review
If you do notice that your virtual machine is acting a little squirrelly - maybe you cannot get
into the development environment, or maybe all dates revert back to 2006 then you probably
have a license problem. Applying a new license is not a big deal though as you can see from
this section.

down to the bottom. You will see that there is a section there to download the extended

Although the demo systems that are delivered through both CustomerSource and Azure are
usually fully licensed, they do have an expiration date to stop people from using them for
production systems. But for testing and demo purposes, you can see that you can easily
relicense them and keep them up and running both at the OS level and also at the application
level as well.

CREATING A NEW PARTION

PARTION
There is no better way to start setting up Dynamics AX then from a blank slate, and the easiest
way to create a blank slate within Dynamics AX if to create a new Partition. Partitions are great
because they allow you to create a completely new version of Dynamics AX within an existing
installation but all of the information is completely stand alone.
In the following worked example we will walk through the configuration of a new partition so
that you can build and use one to configure and learn Dynamics AX through.

Creating A New
Partition
The first step in the process if to create a new Partition for your system.
How to do it
To do this, click on the Partitions link within the Setup group of the System Administration
page.
When the Partitions form is displayed, click on the New button within the menu bar to create a
new Partition record.
Then give your Partition record a Primary Key of tsr and also a Name or TSR Partition.
When you have done that, click on the Close button to exit from the form.

Partitions are a great way to create new instances of Dynamics AX that are stored within the
same database, but do not share any of the data from the other partitions within the database.
You dont need to worry about reconnecting databases, or even initializing other databases. All

After the new shortcut has been created, right-mouse-click on the shortcut and select the
Properties menu item.
When the Properties dialog box is displayed, add the following text to the end of the Target:
-partition=PartitionKey
After you have done that you can close out of the shortcut properties.
All this is left to do is rename the shortcut so that you know this points to your new partition.

Review
Knowing how to create new shortcuts to different partitions within Dynamics AX is a great thing
to have stored away in your back pocket. This allows you to create different login links for
different systems. If you create multiple partitions, then you can have multiple shortcuts
allowing people to have their very own instance to work within.

How to do it
To do this, go to your desktop, and find an existing link to Dynamics AX.

Initializing The
Partition
Now that you can open up the Partition you can open it up and start setting it up. Dynamics AX
will help you with this process as well by stepping you through an Initialization checklist.
How to do it
All you need to do to start the process is to double click on the new shortcut that you just
created that points to your new partition.
When Dynamics AX pops up it you will be taken into the Partition Initialization Checklist.
If you expand the checklist you will see all of the steps that you need to perform in order to set
up your new system.
And the first step is to click on the Configure Partition Accounts link.
This will open up a dialog box asking you to define the System Service Accounts.
All you need to do is specify the Alias for the administrator user and also the Network Domain.
After you have done that, click on the OK button.
Now you will notice that the first step has been marked as completed. Now click on the Create
Reference Data link.
Dynamics AX will work for a couple of minutes and then the Create Reference Data step will
mark itself as complete and you can then click on the Create Legal Entities step.
When the Legal Entities dialog box is displayed, click on the New button in the menu bar to
create a new company.

Note: There will be a dat company already within your partition, but you dont want to use this
as your main company this is used to store reference data.
When the New Legal Entity dialog box is displayed, enter in a Name, a Company identifier, and
also select your Country/Region.
When you have done that, just click on the OK button to exit from the form.
Now when you return to the Legal Entities you will see that you have a new entity to work with.
There are just a couple more things that you can do right now to tidy up the Legan Entity. The
first one is to select a default Language for the entity.
And the second is to specify the time zone (if you are not on Pacific time).
Now you will see that the checklist has moved you to the next step, so click on the Setup
System Parameters link.
When the System Parameters maintenance form is displayed, start of by selecting the General
page.
All you need to do here is specify the System Language of en-us, and also set the Increment
value to 1.
Then switch to the File Store page, and click on the folder icon to the right to the Directory field.
Navigate to the common location where you want all of the default files to be placed, and then
click on the OK button.
Once you have done that, just click on the Close button to exit from the form.
Now we have one step left. If you already have template data that you want to import into this
legal entity, you can click on the Import Data link. But we dont have any at this point so we can
skip this by clicking the Mark As Complete link.
Now that everything has been completed, just close out of your Dynamics AX session and then
re-open your partition.
Now you will see something that look a lot more like what we want.
If you click on the first dropdown arrow of the breadcrumb bar, you will see that in addition to
the DAT entity, you also have your new one that you just configured.
Now you can switch from the DAT company to your new one.

Summary
Partitions are really useful, because they allow you to create completely separate instances of
Dynamics AX within the same database without having to set up and more application servers
or tinker with any other databases. Also these partitions do not overlap in any way so the data
is isolated away from the other partitions.
If you wanted to get clever with this feature then you could even set up multiple partitions that
you could then use for training and give your students access to just one partition. The multitenant approach to hosting environments makes it easier to manage the systems because there
is only one, and also allows for everyone to share the same resources. How cool is that.

settings so that you get the best experience. This includes configuring some of the system
parameters, configuring users, and also linking in some of the portals that you may want to take
advantage of.

Changing The Default

Company
You dont want to have to change your company from DAT every time you open up your
partition, so its a good idea at this point to change the default company that is associated with
your user.
How to do it
To do that, change to the System Administration area page wither through the navigation pad,
or through the breadcrumb bar.
When the System Administration area page is displayed, click on the Users menu item within
the Users folder of the Common group.
When the Users list page is displayed, you will notice that the default Company for your user is
DAT. Double click on your user to open up the document view.
When the document view of the User is displayed, click on the Edit button within the Maintain
group of the User action panel to change from display to edit mode.
Now you will be able to change the Default Company for your user from DAT to your new
company of TOF.
Now on the Users list page you will see that the user has a new Default Company.

Setting the default company by user allows for you to have multiple log ins which are then
directed to different companies by default. This is another great way to set up multiple users to
have their own sand boxes that they can work in.

partition purr. One of these is to configure your Document Types storage locations so that
when you use your document attachments, Dynamics AX knows where to store them.
How to do it
To do this, click on the Document Types menu item within the Document Management folder
of the Setup group within the Organization Administration area page.
When the Document Types maintenance form is displayed you will see the default document
types that have already been loaded into your partition. One problem though is that the
document location is set to an Archive Directory but no Archive Directory has been specified.
You can either specify a file path where you want to store the documents, or change the
Location to Database to store them within the database itself.
Once you do that the Archive Directory will become disabled and you are done.
Look through all of the default Document Types and fix any other records. When you are done,
click on the Close button to exit from the form.

There are a number of different options that you can take advantage with the default file
locations. If you want you can store the documents on a file share, or if you want to be really
clever, you can actually store them within SharePoint giving you an extra level of document
control.

To do this, click on the User Profiles link within the Users folder of the Common group of the
System Administration area page.
When the User Profiles list page is displayed, it will probably be completely empty.
Click on the Import button to the right of the form, and select the Import From AOT menu item.
When the Initialize User Profiles dialog box is displayed, you will see all of the default user
profiles within Dynamics AX. Click on the Select All button, and then click on the OK button.
When the confirmation box is displayed, click on the Yes To All button.
Since this is running a script in the background, the Compiler Output window may be displayed.
If it does, then wait for it to complete, and then close the panel.
Now when you return to the User Profiles list page and refresh it (F5) you will see all of the
default profiles have been loaded for you.

The profiles that are delivered within Dynamics AX are ready made personas that you should be
able to easily map to anyone within your organization, and give you a quickstart when it comes
to setting up security profiles, and also give people a starting point for all of the role centers
within the system. It would be a shame not to use them especially since they are so easy to set

As you get more users loaded into the system you will want to assign each of them to different
profiles just as we did with the administrator. This will start the security assignments for the
users as well and allow you to easily restrict access to the different areas in the system without
a lot of administrative work.

Luckily there is an import function that will allow you to grab all of the users directly from
Active Directory, and load them in bulk which saves a lot of time and setup.
How to do it
In my system I have a number of users already within Active Directory.
To import them in, click on the Users menu item within the Users folder of the Common group
of the System Administration area page.
When the Users list page is displayed, click on the Import button within the New group of the
Users action panel.
This will start off the import wizard. Just click Next to move on from the welcome page.
When on the Select Users To Import from Active Directory page, select the Domain that you
want to search through for your users within Active Directory.
Then specify the search criteria that you want to use to filter out the users. In this case all of
the users have the same Company.
On the Select Users page you will see the users that matched your selection.
Click on the Select All button to select all of the users, or select the users that you want to
import. Then click the Next button.

On the second Select Users page, just click on the Next button.
When the Select Roles page is displayed, select the default role that you want to assign to the
users and then click on the < button.
This will move the Role over into the Selected Roles panel and you can click the Next button to
continue on.
Finally when the Select Profile page is displayed you will need to select the default profile for
the users.
Click on the dropdown box for the Same Profile In All Companies field and select the profile that
you want to assign to the users.
When you have done that, click on the Next button.
When the confirmation page is displayed, click on the Finish button.
Now when you look at your Users list page you will see that all of your new users have been
added to your system.
That was easy.
Review
You can make this process a lot easier by using the filter fields that are included in the user
search. If you have your users set up within Active Directory and associated with different
organizations then you can easily search for all of the users that match the Organization and
then import them in all at once. This makes the user setup a lot simpler since you dont have to
work with the users one at a time.

When the Administration of the Web Sites maintenance form is displayed, you will notice that
the Default Enterprise Portal and Website Used To Display Role Centers In The Client links are
empty.
Just paste in the link to your Role Center base URL and then click the Close button.
Now when you select the Home area page, a new option will be displayed that allows you to
see the users Role Center.
That is too cool.
Review
The Role Centers are one of the most useful tools within Dynamics AX because you can easily
link them to the user accounts and then when the users log in they will have immediate access
to a lot of the metrics and data that they need in order to run their daily processes. They are so
easy to link up I dont know why anyone wouldnt want to take advantage of them.

When the Enterprise Portal Parameters maintenance form is displayed, click on the Search
page, and then paste in the URL for your Search Service that should have been installed with
your base configuration. The default one is:

Now if you exit from your client and then re-open it, you will notice that there is a Search
button in the top right of the form.
Just type in what you are looking for to test it out and you should get menu item links, data
links, and also help links that relate to the search.
That will definitely be useful later on.

The Enterprise Search is just a feature within SharePoint that crawls through all of your data,
but once you have this up and running you will find that this is a super easy way to go out and
find those hard to find pieces of information. All you need to do is ask for it.

Initialize the
Organizations Number
Sequences
The Number Sequences within Dynamics AX are used to index all of the records and
transactions, and almost any record within Dynamics AX has a related Number Sequence.
Unfortunately when you first create a blank organization, there are almost no number
sequences that are created by default. So the first task that you should do is create them.
Fortunately thats not a big deal, because you can just run a quick wizard, and it will create the
100+ number sequences for you.
How to do it
To do this, click on the Number Sequences menu item within the Number Sequences folder of
the Common group within the Organizational Administration area page.
When the Number Sequences list page is displayed, click on the Generate button within the
New group of the Number Sequences action panel.
Dynamics AX will then show a few messages to do with numbering ranges, just click the Close
button to continue on.
When the Set Up Number Sequence wizard is displayed, click Next to step to the next page.
The next page will show you all of the default number sequences that Dynamics AX will create
for you. If you just have a single organization then you can click the Next button to continue
on.

If you are going to have multiple legal entities, then you may want to click on the Include Scope
In Format button in the action panel.
If you click on the Details button it will then show you that the organization id is included in the
number formats, providing a little more segregation between the organizations, and removes
the chance of number sequence duplication between organizations.
When the final page is displayed, you will see a summary of all the number sequences that are
going to be created, and to create them, just click on the Finish button.
Now when you return to the Number Sequences list page you will see that you have a lot more
records.

unique transaction IDs for pretty much everything. If you had to set all of these up by hand it
would take you forever, but as youve seen in this session, the wizard makes this a breeze. Now

You need to get an list of all the zip codes, and then format the data in a fixed length delimited
file. You can do this yourself, or you can save time, and grab the file from our resources page.

The Global Address Book contains all of the contact information for all of the people and places
that you will be referencing within Dynamics AX. Before you start creating contacts though you
can save yourself a lot of time in data tweaking by setting a couple of default within the Global
Address Book Parameters.
How to do it
To do this, click on the Global Address Book Parameters menu item within the Global Address
Book folder of the Setup group within the Organization Administration area page.
When the Global Address Book Parameters maintenance page is displayed, select the General
page.
When a Global Address Book record (either a Person or an Organization) is created within the
system, by default it will suggest that you are creating an Organization. This is fine if you are a
B2B organization, but if you are interacting with people for the most part, then you may want
to change the default record types to Person. To do this, just select the record type from the
dropdown box within the Select Default Record Type For Entities group.
Note: You can mix and match the Organization and Person defaults for all of the different
entities.

Also, when you create a new Person record type in the global address book, Dynamics AX will
create a default description for them. You may want to have this displayed the default way
which is First Name, Middle Name, and then Last Name, but if youre like me then you may

Once you have done that, click on the Close button to exit from the form.

Now you have configured the Global Address Book you will be able to see all of the contact
information in a better format when selling and buying from individuals. You can save a lot of
time by tweaking these parameters because every time you create a party that you are working
with, a lot of the information will already be defaulted in for you. There is nothing worse than
creating a customer and having to change the party type every time. Also organizing the
naming conventions for the global address book makes it easier for you to find the parties that
you are working with, especially if you work with individuals rather than organizations because
they will sort more appropriately on the screens.
Now we can move on and look at some other ways that we can organize the parties that we
work with.

Address Books within Dynamics AX are a great way for you to segregate out all of your contacts
into different groups, and also to secure your contacts so that only certain people have access
to the contacts. So a good idea is to configure a few default Address Books so that later on as
you start creating contacts, you can assign them to different groups.
How to do it
To do this, click on the Address Books menu item within the Global Address Book folder of the
Setup group within the Organization Administration area page.
When the Address Books maintenance page is displayed, click on the New button in the menu
bar to create a new record.
Then assign your Address Book a Name of Default and a Description of Default Address Book,
which we will use as the catchall address book for the organization.
You can then continue adding additional Address Books that we can use to segregate out
contacts into other categories. After you are done, you just need to click on the Close button to
exit from the form.

Creating different Address Books is a very easy way to classify the organizations and people
that you work with, and they are really flexible as well. Your parties dont have to just belong
to one address book either, they can belong to as many as you like.
If you want to get really clever you can also secure down the address books so that only some
people see them, and also this secures down the contacts under that address book so that the
users cannot see the contacts that they have not been granted access to. This is definitely a
great way to have private groups and secret covert lists.

Before we set that up though we need to define a Working Time Template that we will use to
specify how many hours we will work a day, and also what days we will work.
How to do it
To do this, click on the Working Time Templates menu item within the Calendars folder of the
Common group within the Organization Administration area page.
When the Working Time Templates maintenance form is displayed, click on New button in the
menu bar to create a new record.
Assign your new record a Working Time Template code to DEFAULT and the Name to Default
Working Time.
Then switch to the first working day tab that you want to configure working hours for. In this
case its Monday.
Click on the Add button to create a new working time period.
We will create a morning work shift first. To do this we will set the From time to 8:00 am, the
To time to 12:00 pm and also the Efficiency percentage to 100%.
To create a second shift you can add another record and set the From time to 1:00 pm, the To
time to 5:00 pm and also the Efficiency percentage to 100%.
If you add additional time ranges as you like here to describe the working calendar.

Now we need to set up the working times for the rest of the work days. Rather than do this for
each day, once you have your first day configured, you can click on the Copy Day button in the
menu bar which will open up a Copy Day dialog box and you can select the next day that you
want to copy to.
And this will copy the same time periods to the second day.
Now you just need to repeat the copy function for all of the other days that you want to work
on.
When you are done, then click on the Close button to exit from the form.

Now you have set up a working time template which we can use as the basis for our working
calendars. The templates are useful because it allows the system to automatically create the
working times for the system based on your default time intervals without you having to
maintain them individually. We will see how this is used in just a minute. By creating additional

system plans for the time it can make sure it doesnt account for time that is not available.

When the Compose Working Times dialog box is displayed, we will tell the system that we
want to create the calendar dates a little bit in the past and then out onto the future for so that
we dont have to keep on coming back to this form. To do this we can set the From Date to
1/1/2014 to get some history and the To Date to 12/31/2020 so that we have a few years into
the future.

Then also set the default Senders Name to Administrator, and also the Senders E-Mail address
to administrator@contoso.com.
Now we will wand to define the defaults for the E-Mail message itself. In the lower portion of
the form set your E-Mail template Language to en-us.
Note: Even though you have defined the default language code for the email template in the
header, you can create multiple versions of the e-mail template itself with different language
codes in the lower section.
You can then type in a generic Subject value, or if you want to be clever, type in %subject% as a
placeholder, and this will tell Dynamics AX to replace it with whatever the subject of the e-mail
is that is being sent from the alert of workflow message.

Select the Admin user and then click on the Relations button within the Set Up button group

This will open up the User Relations form which allows you to link user accounts with parties
within the global address book like Customers, Vendors, and Employees.
Start off by clicking on the New button in the menu bar to create a new User Relation record
which will automatically be lined with the Admin user account.
Then click on the Person dropdown list and you should be able to find the worker record for
Arvin Sloane that you just created. In this example we also filtered the dropdown list by typing
in arv* to save time.
After you have done that, your user will be linked to the worker and you can click on the Close

Since you have the address components configured, you can now add the default corporate
address to the Organization details.
How to do it
To do this, click on the Legal Entities menu item within the Organization folder of the Setup
When the Legal Entities maintenance form is displayed, select your organization, and then
expand the Addresses fast tab so that you can see the default address for the organization.
There will be a placeholder address there already, and to add the full address, click on the Edit
button within the menu bar of the Addresses fast tab.
This will open up an address editor.
Lets start off by setting the Zip/Postal Code to 53147. Notice that when do this Dynamics AX
will automatically populate the City as Lake Geneva, the State to WI, and even the County to
Walworth. All of this information is being validated against the address components that we
loaded earlier on.

You can attach corporate logos to any of the legal entities within Dynamics AX, and these will
automatically be displayed on the forms like the sales order, purchase order etc.
How to do it
When the Legal Entities maintenance form is displayed, select the company that you want to
add a logo to and then click on the Company Logo menu item within the menu bar.
When the Image dialog box is displayed, click on the Change button within the menu bar.
Then navigate to the company logo file that you want to use and click on the Open button.
When you return back to the Image dialog box, you will see the logo is now associated with the
legal entity.
Tip: Dont make this logo too big, because it shows up in life sized form on the documents.
Sometimes bigger is not better.
When you are done, click on the Close button and exit out of the forms.

The logo that you associate here on the Legal Entity will show up on all of the pre-printed
documents like the Sales Orders, the Invoices, Purchase Orders and more, but if you add your

When the Legal Entities maintenance form is displayed, select the company that you want to
add a logo to and then click on the Company Logo menu item within the menu bar.

Tip: Dont make this logo too big, because it shows up in life sized form on the documents.

Usage Agreement
Murray Fife (the Author) agrees to grant, and the user of the eBook agrees to accept, a nonexclusive license to use the eBook under the

you alleging that your use of the eBook delivered to you hereunder directly infringes a United States patent, copyright, trademark, trade
secret, or other third party proprietary right, provided the Author is (i) promptly notified, (ii) given the assistance required at the Authors
expense, and (iii) permitted to retain legal counsel of the Authors choice and to direct the defense. The Author also agrees to pay any
damages and costs awarded against you by final judgment of a court of last resort in any such suit or any agreed settlement amount on
account of any such alleged infringement, but the Author will have no liability for settlements or costs incurred without its consent. Should
your use of any such eBook be enjoined, or in the event that the Author desires to minimize its liability hereunder, the Author will, at its
option and expense, (i) substitute a fully equivalent non-infringing eBook for the infringing item; (ii) modify the infringing item so that it no
longer infringes but remains substantially equivalent; or (iii) obtain for you the right to continue use of such item. If none of the foregoing is
feasible, the Author will terminate your access to the eBook and refund to you the applicable fees paid by you for the infringing item(s). THE
