Clarity

The quality of being expressed, remembered, understood, etc., in a very


exact way. (Merriam-Webster Dictionary)
In communication, whatever you want to say to receivers should really be
clean and concise.

Principle of Clarity
The idea or thought that the sender wants to transmit must be clear enough to be
understood by the receiver. In writing business communication, the clarity of thought
and the clarity of expression are of two important things. It is also important in oral and
non-verbal messages.
For clarity, this are the following guidelines to be followed:

Select short, familiar and easy words


Avoid ambiguous words and jargons
Use short and effective sentence
Avoid excessive use of infinite
Put appropriate examples, illustration and visual aids where applicable

Example:
Unfamiliar: After our perusal of pertinent data, the conclusion is that a
lucrative market exists for the subject property.
Familiar: The data we studied show that your property is profitable and in high
demand.

How to construct effective sentences and paragraphs:


Length
Try for an average sentence length of between 17 and 20 words.
Unity
The quality of oneness in a paragraph or essay that results when all the words and
sentences contribute to a single main idea.
Ex: Do not say: The dog returned to the beggar and cruel blows fell on it.
Say: The dog returned to the beggar who rained cruel blows on it.

Coherence
When sentences and ideas are connected and flow together smoothly. An essay without
coherence can inhibit a readers ability to understand the ideas and main points of the
essay.
Ex: Do not say: The pretty, red girls sweater was lost.
Say: The girls pretty, red sweater was lost

Emphasis
The principle of the paragraph composition in which the important ideas are made to
stand. In here it is very important that the main points of the writer should be evident
inside the paragraph.
Ex: Original: Mr. Damon arrived for the meeting, and he saw that the decision had
already been made.
Revised: When Mr. Damon arrived at the meeting, he saw that the decision had already
been made.

Clarity is the quality of being clear.


To achieve clarity we should use precise language and familiar language.
Use Latin terms instead of synonyms.
Use shorter words instead longer or more complicated ones.
Length is not essential in constructing effective sentences and paragraphs.
Unity is the quality of oneness in a paragraph or essay.
I like Jim and the Eiffel Tower is in the Paris, Is one example of using unity in
constructing effective sentences?
