INTRODUCTION
1. Introduction
1.2 Introduction
Through this new Jewellery management system, shop managers can easily handle their
shop and business transactions by accessing a single window. This system will have Utilities,
Transactions and Report generations menus. Utilities section will deal with backing up
databases either on daily basis, timely basis, monthly basis etc as set by the admin, adding
new employee, deleting new employee, managing existing employee details, adding new
customer, adding and deletions of new supplier, changing the password, categorize different
Jewellery items etc. Transaction will deal with financial accounting part of this business
scenario. It will provide information on sales, purchase, Cash In and Cash Out associated
with this business process. Generating report by accessing information stored in database is
another important feature of this system. This system will able to generate as per user
requirement in user friendly manner. User does not require any technical details to generate
reports. They have to submit their requirements by using different options available. This
section will able to generate reports on sales, purchase, Cash In and Cash Out between a
given time interval. If the date option will not be used, it will generate report from the
starting date of business to the current date. However user can refine their query by using any
specific date and time.
In the modern era, computers have made every thing under one root and have knit the
world together. Even the complicated and time consuming works are made nothing by the
computers. Because of the technological IT revolution computer has been made
as the core element in every place. Computerization has become an essential one, for the
people who prefer speedy and ease of access. Human beings are liable to make mistakes and
the output usually depends upon the efficiency of the persons involved. But computers could
usually generate error output and highly efficient which varies depending on the
person operating. Jewellary management system helps the retailer to maintain
their records properlyand accurately. This system provides a user friendly
interface for controlling Purchaseand sales management system.The project entitled

Jewellary Management System is developed with an aim of automating the work


of Retailer. The project is developed using
Microsoft Visual Basic 6.0-Front End Tool
Ms-Access 2000-Back end tool
The project is broadly divided into following modules

Sales Details
Billing Details

All the above modules are designed to meet the requirements of a Retailer. Theinterface is
developed with a feature rich interface and user-friendly Environment
Scope
This software provides solution for database back up which will help to store old
records. Admin has unique user name and password for using this software. He can
change password delete records, add new records. Easy to analyze sales and transaction
details using report generation module . Admin can generate monthly and yearly reports.

Chapter 2
SYSTEM OVERVIEW
1. Existing System
The existing system is handled manually. The system has a formatted accountingsystem
for Purchase and Sales. The indent is prepared when items are to be purchasedand bill is
generated for sale of items. The system follows the predetermined purchaseand sales
procedures.
2. Problem with Existing system

Manual systems are more time consuming


Large number of ledger books has to be maintained for each transaction
Since the data are entered manually there are possibilities for errors.
Data security is very minimal.
There is a possibility for double entries.
Since the transaction are mainly viz. paperwork updating of data is veryhard.
Generating the reports in the desired format is a tedious process.
Reporting to the higher officials is not done through the proper channel.
Data stored on papers is subject to loss due to physical damage.

3. Solution on problem
The aim of this project is to evaluate the efficient and efficacy of developing
Jewellery shop so that business transactions are easy. To do this a simple set of tables will
be identified from those in use at a database. These tables will be explored and mapped.
Queries will be aimed at accessing data in its native environment

HARDWARE AND SOFTWARE REQUIREMENTS
Technologies Used in Project

VB 6.0 as front end.


Microsoft Acess as back end.

Hardware Requirements

Processor Pentium III or higher version.


Ram 250 MB.

Hard Disk 500 MB.


Monitor.
Keyboard.

Software Requirements

Windows 7.
Visual studio 2008.
Microsoft Acess.

Chapter 4
REQUIREMENT ANALYSIS
Feasibility Study:
One of the many stages in the system development life cycle is determining the feasibility of a
project. A measure of how beneficial or practical the development of a software system will be to
an organization. This analysis recurs, and how that technology can be of benefit. These studies
can include policy recommendations for imaging systems, document management, and workflow
applications for an interactive process of collecting and analyzing through the life cycle.
Feasibility studies examine the organization data with the client and searching for cost-effective,
viable technical and non technical solutions.

Economic Feasibility

The economic analysis of one project counts for the cost effectiveness of the project. The
economic feasibility study (EFS) should demonstrate the net benefit of the proposed application
in light of the benefits and costs to the agency, other state agencies and the general public as a

whole. Economic feasibility is generally the bottom-line consideration for most of the systems.
Economic justifications includes a broad range on concerns that include cost-benefit analysis,
long term corporate incomes strategies, impact on other profit centres or products, cost of
resources needed for the development etc.
Economic feasibility is measured under the following heads:
1. The project fits in the proposed budget.
2. The project satisfies the economic constraints.
3. Weather the existing hardware will meet the budget proposed.
4. Weather new software is required for its working.

Technical Feasibility

The technical feasibility of the system counts for the technical acceptance of the system. It refers
to the ability of the process to take advantage of the current state of the technology in pursing
farther improvement. The technical available technology should be considered.
The criteria for technical feasibility is
1. Easy to use: the users were assumed to be normal ordinary people having knowledge of
simple computer operation, so ease of use is a very essential factor if we want to get the job
actually done quickly.
2. Reliable: we assume that the device will receive a lot of shock, from mishandling, vibrations,
etc.

3. Easy maintenance of information


Since the records of all the activities performed by the various sites are stored digitally and
with the use of software it becomes east to retrieve and maintain data. It is also easy to
backup the data.
4. Save time and effort
Since the entire data management task is done by the system, it saves lot of time, effort and
energy of the user to get the work done.

5. Various processes running


The various processes that will be running through the project execution time can be
summarized as follows:
1. User login
2. Changing password
3. Adding new item
4. Adding new copies of existing item
5. View an item
6. Searching an item
7. Entry of transaction detail(rent/purchase)
8. Return of items, if rented
9. Searching a customer
10. Looking at transactions and incomes
6. Secure: the system should be secure enough to provide access to only authorized users.
In our project the technical feasibility is considered up to a greater extent. The software is build
using visual basic 6.0. Thus the problem of non availability of software is eradicated. The
backend of the system is MS access, which is freeware database application. Proposed system
can be expanded in future if required. Proposed system also provides data security by password
protecting.

As we are also student according to our views we have tried our best of fulfill the
Requirement about the project inspire other awareness may be left some important things.
As we have realized later after discussion in our friends.
1. Visual Studio can make system slower.
2. Any Unexpected bug can be cause the data failure.

Chapter 10
FUTURE ENHANCEMENT
This system is developed such a way that additional enhancement can be done without
much difficulty. The renovation of the project would increase the flexibility of the system. Also
the features are provided in such a way that the system can also be made better and efficient
functionality
The programs were coded in an easier and more structured manner so that may further
modifications may be incorporated easily. The processing time in this system is very lesser
compared to existing system. This system has good flexibility of accommodating any more
changes that might arise in the future also.
In this system, data integrity is maintained and data redundancy is avoided and it increase
system efficiency. The database is designed in such a way that it will be also helpful for
enhancement of the system.

Chapter 11
CONCLUSION
The system Jewellary Management system deals with purchase and sales processing of
a Jewellary shop. This system has been developed to satisfy all the proposed requirements. The
process of recording details about supplier, item, Billing and customers is more simple and easy.
The system reduces the possibility of errors to a great extent and maintains the data in an
efficient manner. User friendliness is the unique feature of this system. The system generates the
reports as and when required. The system is highly interactive and flexible for further
enhancement.
The coding is done in a simplified and easy to understandable manner so that other team
trying to enhance the project can do so without facing much difficulty. The documentation will
also assist in the process as it has also been carried out in a simplified and concise way.
