IPD Online
A new web-based portal for recording,
updating and completing initial
professional development

About the IPD Online portal


All ICE trainees members on a training agreement working towards EngTech, IEng or
CEng can now record and manage their IPD online.
Everyone involved in mentoring trainees supervising civil engineers (SCEs), delegated
engineers (DEs), mentors (professionals approved by ICE) and membership development
officers (MDOs) will also have access to trainee records.
Weve developed this web-based system in response to member feedback. Its part of an
effort to streamline our processes, cut down on admin and make it easier to manage IPD.
Whats changed?
IPD Online has also been introduced to support a new professional development
programme:

Attributes Trainees will be assessed on attributes rather than development


objectives. This change will tie in more closely with our Professional Reviews, which
are also based on attributes

Training agreements The portal is ideal for trainees working for an ICE-approved
employer because it makes the process smoother for trainees, mentors and
employers (see section below on benefits)

Mentors Members aiming for professional qualification, who cant follow an


employer-led training agreement, are also welcome to use the online system.
However, youll need to find a mentor first. Mentors can be engineering professionals
or academics, but well have to approve your choice before you start using the portal

Professional Review Once your IPD is signed off you can apply for your
Professional Review whenever youre ready

New or old system? If youre on a training agreement and youre not close to
completing your training, we advise you to transfer over to IPD Online. But if your
agreement has been running for over a year, you can stay on the old system (please
note you wont be able to use development objectives after 31 December 2017)

Benefits of the new IPD programme


For trainees

Managing your IPD is easier and more efficient because its all electronic, you
dont have to deal with lots of paper or post large documents

Remote working between trainee and SCE, DE or mentor is easier so you can
be at different locations in the UK or abroad

Timely email alerts for you and your SCE, DE or mentor and MDO at key stages
of the process

Central portal and online resource for storing and accessing supporting
documents and records so better visibility and control for you and everyone
involved

Attribute-based IPD will be more straightforward for trainees and more closely
linked to the Professional Review process

More efficient annual review process which will be recorded online.

For ICE-approved employers


So, why provide structured training for your graduate trainees when you could just pair them
with a mentor instead?

Structured training puts you in control As an employer committed to developing


your staff, youll be able to integrate your corporate training goals with ours. So youll
have full control over the process, through your SCEs and DEs, and will be able to
guide and steer your employees

Evaluate overall graduate progress IPD Online will allow you to monitor and
assess how well your graduates are doing, and to take any steps you need to drive
improvement

well always recommend employer-led training agreements as the best way to
complete IPD

trainees on employer-led training agreements and their SCEs and DEs. So well
make visits in person, maintain contact remotely and keep up to date with progress
through IPD Online

Getting started on IPD Online

To start using IPD Online, go to MyICE

Trainees

Then click on My Career Tools and select Initial Professional Development

When you get to the Initial Professional Development tool, select Trainee and then youll see
a short registration form. Please fill this in
If youre on a training agreement:

Your SCE will automatically be linked to your IPD Online records

If you have a DE, youll need to add your DEs email address and membership
number to the registration form. If your DE isnt an ICE member, theyll need to
register with MyICE and get a non-member contact number to use instead

Once youve submitted the form, youll see the IPD Online homepage and can start
using the tool

Well also send your DE an email with a link to your record

If youre doing your training independently:

ICE will need to approve your mentor beforehand. Once theyre approved, you can
register on the IPD programme. If they havent been approved, please ask them to fill
in the mentor application form and arrange a meeting with your Regional Support
Team

Youll need to add your mentors email address and membership or registration
number to the registration form

Well email your mentor a link to IPD Online when youve registered. They need to
open the email and click on the link to confirm that theyre your mentor

Once your mentor is confirmed, you can start using IPD Online

SCEs:
Your role as an SCE wont change in the IPD
Online process, so you just need to:

Log into MyICE and click on My trainees

Youll then see a list of your trainees who


have registered with IPD Online (they wont
appear in the list unless they have registered)

If you want to become an SCE, please fill in our SCE application form and arrange a
meeting with your Regional Support Team

DEs:

When your trainee first registers for IPD Online, theyll fill in a short registration form
which asks for your email and membership number. If youre not a member, youll need
to register with MyICE and get a non-member contact number to use instead

The system will then send you an email

When you receive this email, please click on the link to our website and log in

Once you log in, youll be automatically linked to your trainees records

If you have more than one trainee, youll receive an email for each one to link you to their
individual records

When you log back into MyICE next time, youll see the My trainees section (as per
SCEs above)

Mentors:

To become a mentor, please fill in our mentor application form

This will be approved by the Regional Support Team who may need to meet you. Once
you receive our approval, youll be registered as a mentor

When your trainee enters your email address on their registration form, well send you an
email with a link

Click on the link and log into MyICE and view My trainees to see your trainees records

If you have more than one trainee, youll receive an email for each one to link you to their
individual records
