Task 1

Training Program
(Training Proposal)

1.0 TRAINING NEED ANALYSIS

1.1 Definition Of Training Need Analysis
According to Kelly and Sharon (2011), training need analysis is a review of learning
and development needs within an organization. Training need analysis considers the skills,
knowledge and behaviours that people need, and how to develop them efficiently. Training
need analysis is the foundation of all training activities. According to Reed and Vakola
(2006), in order to deliver appropriate and effective training which can meet the needs of
individuals and the organization and represents value for money, a training need analysis is
essential (as cited in Kelly and Sharon, 2011).

1.2 Level Of Training Need Analysis

Based on the organization-task-person (O-T-P) analysis framework, it integrates
macro through to micro analysis, arising from an investigation of training needs to meet
organizational needs, task or job needs, through to the particular needs of the individual
person (Clarke, 2003).
First of all in our program, we set Pertubuhan Kebajikan Rumah Anak Yatim Mak Teh
which located in Kangar, Perlis as our training target. In the organization, there are 17 Malay
girls who range from 13 years old to 17 years old. When conducting the training need
analysis, we decided and focused only on organizational analysis. We contacted the person
in charge of the organization, Puan Shima and had a meet up to identify the problem faced
by the organization and participants from her. This is due to Puan Shima is one of the
guardians of the participants and she knew what is in needed by them and their
weaknesses. Besides, through our organization level analysis, we identified that the
organization was willing to give fully support either in physically or mentally to the
participants in this training.
On the other hand, since our participants are all teenagers and students, their
expression of feeling were still not fully explained and they are difficult to determine what

training they needed, therefore person analysis and task analysis are not suitable and were
not conducted in this process.
1.3 Methods and Findings of Training Need Analysis
There are a few methods in doing the training need analysis such as observation,
interview, questionnaire, documentations and focus group. In our program, we have used
observations and interview as our methods of training need analysis.
Through interview, we have asked the person in charge, Puan Shima on the needs of
training that needed by the participants in the organization. We found that the participants
were blurred on their paths towards their future. They seem like had not accurate future
direction after their secondary education level. Puan Shima told us that their teenagers
always spent their free time to sleep, chat and watch the television. They seldom spent time
on reading and exercising.
From the way of observation, we had observed that their knowledge in management
of time is very insufficient. Through the observation on their way of spending time, we
tracked that they had not arrange their daily time well. They liked to do their thing in last
minute. When they back from school, they had the time to do their homework or other
activity but they straight went to watch television or sleep. When was dinner time, they just
wake up from sleep and watching television. After dinner, they will just go to take their
shower. When it was near to their fixed sleeping time, they will just start to rush and do their
homework. Furthermore, when asking them to have a revision on their study and exercising
during free time, they also showed up some negative attitudes such as lazy and ignore it.

1.4 Training Priorities

Throughout our training need analysis, we identified that our participants are need to
be guided in thinking of their dream and future ambition. They need to fix and set their own
life target and it will become their motivation to live better without wasting their time in doing
nothing. Next, they also need to be taught on how to manage their time well and have a
healthy lifestyle. Without a clear direction, systematic time management and a healthy body,
3

the participants are difficult to conduct their future. Thus, guiding them in identified their
dream, manage their time properly and have a good health are our training priorities to them.
2.0 TRAINING DESIGN
One of the successful factors of a training program is how it was designed. Training
program design is a series of continuous process comprise of program planning, outlining
and arranging learning experiences in order to achieve the set goal through effective
planning and implementation (Batten, 1962). Training program design also known as one of
the activities need in order to meet the objective and changes (Gall, 1987).
It is very necessary for the organization to design the training very carefully (Michael
Armstrong, 2000). The design of the training should be according to the needs analysis of
the employees (Ginsberg, 1997). Once the training needs analysis was identified, then we
determine or develop our program objectives to be accomplished during training program.

2.1 Lesson Plan

After we conducted the training need analysis, we developed the lesson plan to meet
our training objectives.

4.0 TRAINING IMPLEMENTATION

4.1 Pre-training
According to Ganesan, Badrinath, and Panchanatham (2010), pre-training is a
preparatory phase that prior to actual training. It involves planning of training. A training
organization has to assess individual need for training and decide appropriate course
content as well as methods. Arrangements to select participants, inform about course-details
and make necessary preparations are completed during this phase.
During the preparation period, our team had conducted around 8 times of meeting
among our group members and also 5 times of meeting with our ex-officio and mentor (refer
Appendix I). In our first meeting, we had conducted a simple ice breaking in our group so
that we get know to each other and also each members strengths, capabilities and also their
weaknesses. By this, our chairman was easier to divide job task for us based on our
strengths and weaknesses. Then, our chairman, Khor Xin Joe had divided us into few
bureau based on our capabilities. She had assigned Yip Choi Ling and Tan Meng Zhen as
secretary and assistant secretary, Szeto Vinnie as treasurer, Susan Jittai as activitys leader,
Ernne binti Basir as food and souvenir leader, Nurhusna binti Ismail as Logistic and Safety
leader, Teoh Ching Teng as purchaser and also Muhammad Luqman bin Jamil as Sponsor
leader.
Through our team members strong efforts, we got confirmation from Pertubuhan
Kebajikan Rumah Anak Yatim Mak Teh, Perlis. They had promised and gave us an
opportunity to run a training program to their orphanages. Based on the information provided
by orphanages person in charge, there will be 16 female orphanages that aging 13-17 years
old are going to participate in our program. Date to run this program was on 23 rd April 2016.
Hence, our program team had started produced an estimate tentative based on the
objectives and needs from orphanage.
As we know, income is one of an important issue to run an event. Hence, our
production team had decided to organize a business to generate income for this event. After
few times of meeting and brainstorming, we had decided to sell marshmallows around
16

university area to earn some program fund. Besides, each member had also generated RM
50 as fund for this training program.
On the other hand, our sponsor team had put a strong effort to find sponsorship and
generated fund too. The sponsor team had made application and got permission from HEP
so that we are able to find sponsorship and also collect fund around the university area.
Besides internal donation, our sponsor team had tried to contact with outside organization to
get some donation for orphanage and also our program fund. Other than that, one of a
bureau sponsor member had deal successfully with a stationary sponsor, Mr Sunny, who
owns a stationary shop at Kuala Perlis. He had sponsored us 16 sets of stationary for all
participants. Last but not least, sponsor bureau had deal and got RM 200 from a donator
who wishes her donation is usefulness for orphanage and not for events purpose. Hence,
our purchaser had used this RM 200 to buy some rice and cooking oil as donation to Rumah
Kebajikan Anak Yatim Mak Teh.
For bureau souvenir, one of our group members had applied to get note book and
also file provisions from UUM counseling center so that all those file and note book can be a
souvenir for participants. At last, our team had successfully got the file and note book from
UUM counseling center for participants. In addition, bureau souvenir had prepared
certificates for those orphans that attended our event on that day as an appreciation for
them. Besides that, our bureau souvenir had also prepared few hampers for each group on
event day. Lastly, we had also prepared some gifts as a souvenir for orphanages person in
charge and also lecturer who came and evaluate our event. For the donator who sponsor us
RM 200 and also Mr Sunny, our souvenir bureau had prepared a photo frame for them which
have our group photo with orphans.
Furthermore, bureau logistics had done some preparation before event day. We
had decided to have two cars to use on event day. One of the cars was provided by our
logistics leader and another car will be rental car. Since the application for free
transportation from COB is complex and involves quite lots of procedures and take time too,
hence, bureau logistics had decided to rent a car by ourselves instead of apply free transport
17

from COB. Besides, the petrol fee of transportation had calculated by logistics leader and
fixed the price of RM 0.25 for each kilometer traveled.
Other than that, food bureau had prepared 30 sets of breads and also mineral
waters for participants as their breakfast. For lunch, our team had deal with the person in
charge and they had prepared lunch for all team members and also participants.
Lastly, there are several materials that we had prepared well before event day. For
example, our team had applied and borrowed a projector from HEP to use on event day.
Besides, bureau publicity had also designed a banner and also printed it out. Last but not
least, our team had also prepared several song and music, video and also lyrics that will go
to use on event day.
Besides meeting within team members, our team had conducted several meetings
with our ex-officio, Dr Fadzli and also our mentor, Dr Faizal. At first, our team members had
conducted a meeting with our ex-officio and also mentor to get some guidelines and also
instructions about the ways and steps that we going to carry out the event. For the second
meeting, our team had brought a proposal to ex-officio and mentor so that they able to have
a look and also give some opinions to correct our mistakes. In third meeting, our program
bureau had come out an estimate tentative and also section outline. Hence, we had brought
all these and meet up with ex-officio and mentor to get some opinion and also consultation
from them. For the fourth and fifth meeting, our team had updated our progress to our exofficio and mentor so that they able to provide us some guidelines to make our event run
more smoothly.
Lastly, before the exact event day, our team had conducted a rehearsal. Through the
rehearsal, we had found out several problems and our team members had tried to solve and
improve it. We had estimated the ambience over the orphanage might not so high at the
beginning of the event. Hence, our team members had brainstorm and tried to improve on
songs and video. We had found some songs that teenager nowadays like it most. Besides,
all the facilitators were required to demonstrate their own section during the rehearsal. They
had showed us hows the ways they will go to present to participants and also hows they
18

conduct their section. At the same time, our team members had provided their opinion so
that those facilitators are able to improve and correct their mistakes like voice, vocabularies
and also their body language. Lastly, we had also found that our time was actually
insufficient on each section after the rehearsal. Hence, we had tried to manage time wisely
and also placed a timekeeper during event day so that the timekeeper able to remind those
facilitators of each section do not over take others sections time.

4.2 During the training

On the 23th April 2016 which is the event day, we departed from UUM to Pertubuhan
Kebajikan Anak Yatim Mak Teh, Kangar, Perlis by travel on 2 cars. One of our cars was
departed on 7.30am while another car departed earlier on 6.30am due to get the stationary
set which sponsored by Uncle Sanny at Kuala Perlis before heading to our training
destination. About 8.30am, we arrived the destination.
When we arrived the destination, we realized that all the participants had wake up
and waited us at the canteen. Although based on the timetable we had set, the time was still
early to start our event, but we still set up the place immediately and started our registration
slot earlier. All the participants lined up to register their name and get their breakfast and
stationary set from us. Next, they had their breakfast in the canteen.
After the participants finish their breakfast, we started the first slot which is Ice
Breaking slot. At first, the participants were quite shy and some feel of lazy and bored to join
the program. So all the facilitator had attract participant interests and took their heart to
participate the program. Aerobic dance had been conducted to them to warm up their spirit
on the day. Then singing session was conducted next. The theme song of this training event
was Standing in the Eyes of the world. All the participants were interested and enjoyable in
singing. A game has been provided to them to enjoy and love the program. During this slot
all facilitators and participants have been divided to a small group. All people are sharing
their background to others without feel cautious. During this slot too, the facilitators and
participants had known each others generally.
19

The coming slot was Dream B.I.G. This slot was conducted in the library. The
participants were asked to draft or frame their dream future through drawing in a piece of
paper. Each group facilitators helped and assisted the participants to finish their drawing,
After drawing, all facilitators and participants shared their ambition and future planning
through the drawing. The facilitator gave some suggestion to participants according through
their interests. During this slot, all the facilitator and participants motivated their own selves
to ensure the ambition and interest can fulfill in the future.
After the participants identified their dreams, next was Black Sheep and White
Sheep slot which is to discover participants positive and negative side in their own selves.
All participants were very focus in written their positive things or strengths; for example focus
during lectures, never sleep in class, always come early to the school. However the
participants still have the negative side in their self; such as lazy to finish the homework,
disturbing others in the class, spend a long time of period in toilet during the teacher
lectures. So facilitators shared on their knowledge and experience how to maintain and
increase the positive sides and avoid or decrease the negative sides. Participants also
learned how to exchange or manipulate the negative side to positive side in that time. All the
participants got to know their internal behavior and knew how to share and solve the
problem with facilitators.
The following slot was Time is Gold. All the participants had been asked to write
their daily routine in a paper that had been provided. For example from 6 oclock in the
morning until 7 oclock participants wake up, take shower, pray and recite Al-Quran. From 7
oclock to 1 in the evening, participants follow lectures and activities in school. During this
slot, facilitators helped the participants to remake their daily life routine to be more smooth
and systematic. At last, the tips to make a proper timetable had been shared to participants
to improve participants daily life routine to be more productive.
After this slot, it was the lunch and rest time for an hour. Participants were getting
rest and took their lunch at the canteen. While we are resting too, we had been informed by
our visiting evaluator, Encik Rasul bin Mohd Noor that we need to prepare and distribute the
20

evaluation form to the participants for our training program evaluation after we finished the
program. We just realised that we had missed out to prepare it. A quick action was taken to
solve that problem.
After back from lunch and resting, Santapan Rohani was then conducted. During
this slots, facilitators help all the participants to remember a row of words in Holy Quran
which in Surah Ali Imran (3:110) that bring means You are the best nation produced [as an
example] for mankind. You enjoin what is right and forbid what is wrong and believe in Allah.
If only the People of the Scripture had believed, it would have been better for them. Among
them are believers, but most of them are defiantly disobedient. In this slots too, all
participants was asked to write this words in piece of paper to improve the memory and
remember the meaning as well.
Letter to myself slot was then conducted after Santapan Rohani. Participants were
requested to write a letter to their own self whom is 20 years old later. This slot is using one
of self-psychology method that had been conceived by Heinze Kohut in Chicago in the
1960s until now to make participants feel self-esteem. A small video was showed to let
participants more understand what can be wrote in the letter. After finish the letter, they put it
into an envelope and requested to keep it and only open it when they are all 20 years old.
This slot ended up with tears and group photos with the facilitator.
Health Mission is the next slot. During this slot, the facilitator explained the
important of healthy lifestyle and introduced some methods to distress. After explanation,
facilitator requested all participants who located at library to move out to the canteen which
have wider space. Next, each participant needed to find another participant or facilitator as
their partner. Then the session facilitator taught participants the dancing step by step. All the
participants enjoyed this slot and showed their happiness when dancing together with their
partners and music. The participants also requested to dance one more song that danced
before at the aerobic session.
At the last, coming the Closing ceremony section. While waiting the guest came,
training evaluation form was distributed to the participants and requested them to fill it up.
21

After collected back the form, closing ceremony started. The ceremony started by the doa
reading by Mohd Luqman. Next was the speech given by the program director following by
representative from Pertubuhan Kebajikan Anak Yatim Mak Teh and lastly our evaluator from
university, Encik Rasul. Then, souvenir was given to participants representative and Encik
Rasul. Besides, the participants were given the certificates for their participating. Lastly, as
the name from the team, we donated money and some daily supplies such as rice and oil to
Pertubuhan Kebajikan Anak Yatim Mak Teh. Lastly, the program ended up with the group
photo session.
After cleaned up the venue, we back to UUM at 5pm.

4.3 Post Training

After the training conducted, a plan of training evaluation was conducted by
distributing evaluation form to participants, conducting post mortem meeting among
facilitators and revisit to the training venue.

4.3.1 Evaluation Form

Basically, an evaluation form based on the nine sessions in the training program
which are registration, Ice Breaking, Dream Big, Black Sheep and White Sheep, Time Is
Gold, Santapan Rohani, Letter to Myself, Mission Health and closing ceremony was
designed. Due to carelessness, the evaluation form was missed to be prepared for the
participants and fortunately it had been completed successfully within the lunch time hour
after reminder by the visiting evaluator, Encik Rasul. Before closing ceremony started, the
evaluation form was delivered to all the participants to evaluate the program (refer Appendix
XI).The form was then collected back. Besides, the evaluation form also be delivered to the
evaluator Encik Rasul and the warden of Pertubuhan Kebajikan Rumah Anak Yatim Mak
Teh to evaluate facilitators training performances.

22

4.3.2 Post- Mortems

At the end of the training program, a post-mortem meeting was conducted to review
the superiority and deficiency throughout the program. We had recognized the good and bad
event occurred throughout the program hence these can be used as reference to have
further improvement in the future. Overall, the training program was completed successfully
even some obstacles happened during the program. We identified that we were lacking in
good control in time management, hence it had disturb and delay the progress of each
session which under coming (refer Appendix II). As conclusion, we alerted and take noted of
it and came out the solution that having a time keeper and taking more real practice before
the training program to make sure fully utilization of the time given.

4.3.3 Revisit
After three weeks from the training, which on 18 th May 2016, a revisit was conducted
to get the feedback from the participants about the effectiveness of the training. Overall, a
positive feedback was received. Participants were so excited and glad welcomed the
facilitators. A short interview and survey form distribution were conducted among the
participants. The participants were given their supports by answering the interview question
and survey honestly and aggressively. Besides, an observation session was undergoing in
secret to observe the behavioural changes among the participants. In fact, the participants

1.0 TRAINING EVALUATION PLAN

We used a mixed method design that seeks for both formative data which is used to
improve the project during program design and development and summative data which is
used to determine the projects outcome for our evaluation plan. We conducted our
evaluation plan in two phrases which one is immediately after training and another is revisit.
Our plan follows Kirkpatricks evaluation model. According to Noe (2013), there are six
categories of training outcomes in Kirkpatricks five level framework which are reaction
outcomes, learning or cognitive outcomes, behaviour and skill-based outcomes, affective
outcomes, results and return on investment.
In our evaluation plan, we concerned primarily with the objective of the training
program. The objectives of training program Know Yourself, Know Your Future is helping
the participants to identify their own future direction and increasing their awareness on their
strengths and weaknesses, importance of time management and healthy lifestyle. Thus, to
evaluate the achievement and effectiveness of the training objectives, we conducted an
evaluation plan address three of Kirkpatricks five-level framework for categorizing training
outcomes:
Level 1 Reactions Outcomes
Reaction outcomes are referring to trainee or participants perceptions, emotions and
satisfaction on the training experience. They represent the first level of evaluation and are
important because favourable reactions create motivation to learn during training. In this
level, we used evaluation form to identify their reaction onward the training program.

Level 2/3 Behaviour and Skill-Based Outcomes

Behaviour and skill-based outcomes are referring interpersonal skills, technical or
motor skills or behaviour acquired by the trainee or learner after training program. It is
measure trainees change in behaviour by observing their daily performance after training
program. The change of behaviour indicates the effectiveness of the training program. In this

32

level, we only focused in participants behaviour changed and evaluate the behaviour
outcomes through observation.

Level 2/3 Affective Outcomes

Affective outcomes are referring learners attitudes and motivation after conducting
the training program. Affective outcomes can be measured using surveys. By the way, in this
level, we are more focusing in identify participants attitudes towards the training conducted.
We conducted the evaluation by distributing survey form and having an interview with the
participants.

2.0 EVALUATION METHODS APPLIED

2.1 Immediately After Training
i.

Evaluation Form
We used evaluation form to evaluate the effectiveness of our training program. After

we done the program on 23rd April, we gave the evaluation form to participants on the spot.
This evaluation form was divided into nine parts based on the section program that we had
conducted, from ice breaking until closing ceremony. We divided our evaluation form into
nine parts and this was due to we wished to know more detail on which section we had done
was successful and which section we have to improve on it. Besides, by divided based on
section, we able to identify the objectives achievement of each section.
Besides, we also used two types of questions which are open ended and closed
ended in this evaluation form. For open ended, we put a comments column for each section
so that participants able to express their feeling or needs by handwriting. For close ended
questions, we used rating scale. In our evaluation form, we used the range from 1 to 5,
which 1 represent dissatisfied, 2 represent less satisfied, 3 represent moderate, 4 represent
satisfied and 5 represent very satisfied. Hence, participants are asked to choose the most
appropriate answer to reflect their opinion from the complete range of possible answers.

33

2.2 Revisit
i.

Interview
Three weeks after completed the program, we went back to Pertubuhan Kebajikan

Rumah Anak Yatim Mak Teh to have a revisit as a follow-up evaluation. We used interview
as our evaluation method because body language and non-verbal signals from the
participants can indicate key issues of successfulness of the training program. Besides, this
method was good for uncovering feelings and hidden causes. The interview section was
conducted by one of our team member and throughout this interview section, those
participants had express their real emotions and thoughts.

ii.

Survey Form
Besides of interview, we had prepared survey form to participants to fill it up during

our revisit. This is because interview was time consuming, we were not able to interview al
the participants one by one. Hence, the rest of the participants were provided us their
feedbacks through survey form by handwriting. Through the survey form, our team was able
to identify whether we had successfully achieved the main objectives of this program. We
prepared several questions such as asking either participants have a better time
management now, the awareness of participants for their future direction, way to improve
their weaknesses and motivation to achieve their dreams.

iii.

Observation
Observation method was used during revisit. This is due to some of the objectives of

the section was not able to be evaluated through handwriting or even verbal. We observed
the participants based on their interaction or physical movements. For example, in one of our
programs sections Mission Health, the objectives of this section were to increase
participants awareness on importance of healthy lifestyle and introduced participants to use
dancing method to reduce stress. All these have to be evaluated based on observation

34

instead of handwriting survey. As the result, our team members observed the participants
either using dancing to reduce stress during their free time.

3.0 EVALUATION INSTRUMENT(S) USED

In the evaluation conducted in immediately after training, the instrument used is the
evaluation form as refer in Appendix XI. Meanwhile, in the revisit phrase, the instrument
used in interview section is the interview question (Appendix XII) and the instrument used of
survey form method is referring Appendix XIII.

training program. The participants showed their most satisfaction in the Letter to Myself slot
which the satisfaction level had achieved to 98.83%. From the feedback collected, the
participants were very interested and loved on the content of this slot. However, throughout
this training program, we found that the participants showed their least satisfaction in the
registration slot which the satisfaction level only achieved 67.64%. This was due to the
participants hoped to get more in amount of their stationary set and breakfast. They were not
full enough when only got one pack of bread for their breakfast. As the overall, we can
conclude that the main objective of the training program is achieved and participants
satisfied on it.

4.2 Revisit
4.2.1 Interview
From the interview, we had picked up five participants in order to get in close and
know about how their feelings and attitude change after the training program. Basically, from
our interviews, we found that we had success in helping our participants in terms of building
their confidence levels in order to achieve their goals and ambition in their life. Besides, the
participants also told us that they are now more knowing on their strengths and weaknesses
and tend to love and study hard in the subject that they are weak but will helpful in achieving
their dream. They found the direction in their future.
4.2.2 Survey Form
From the survey form which we had distributed to 16 participants, we can conclude
that all of participants really satisfied with the training program and they really wants to join
such training program again. Mostly, the participants agreed that they got a useful guide
from the facilitators in order to know themselves better in term of strength and weakness and
identified their ambition in the future. Majority agreed that they are now more motivated and
organized in terms of time management. In addition, some of them also said that they
become hardworking to finish their homework and do revision to prepare for their Malaysian
Certificate of Education examination (SPM) on this year.
36

4.2.3 Observation
Throughout the observation to the participants, we identified that participants had
changed in their daily habits and motivated in their studies. After the participants back from
school, they will automatically doing their homework. After finish the homework, they will just
have a break by watching television program in the canteen. In the evening, they will have
some exercises or even dance to maintain their health. After dinner, they will continue for
their homework and some will having revision after finish the homework. They had changed
and use their time wisely and avoid to waste their time in useless activity.

4.2.4 Conclusion
As a conclusion, this training program is consider success in achieving the objectives
and helping the participants to overcome their problems.
