June 2008 Regents Proctor Duties

Prior to Exams
o Arrange exam room in straight rows facing the front of the room th irty minutes prior to exam time. Arrange one
proctoring station at the front of the room and another at the back of the room. If snacks are being offered, arrange
a snack station in your room.
o Pick up the exams, sign in sheets and needed materials for the tests you will be proctoring from room 309 fifteen
minutes prior to exam time. Familiarize yourself with the Directions for Administering Regents Exams booklet.

During Exams
o Make sure students sign in on the sign in sheet.
o Students who are thirty + minutes late are not allowed to enter your exam room.
o Read the “Supervision of Students” statement prior to handing out exams.
o If a student requests to go the restroom they must leave all of their personal possessions either at their desk or with
you. They may not take anything outside of the class.
o Only allow one student at a time to leave the room.
o Do not allow students to talk to each other during tests. If a student refuses to be quiet ask them to leave the exam
room. If you need additional assistance, send one proctor to locate the I-Team member stationed on your floor.
o One proctor should walk around the room every 10-15 minutes to ensure students are not communicating with each
other. PLEASE BE VIGILANT AT ALL TIMES!!!!
o Make sure students answer all multiple choice and/or short answer questions and write all essays required for the
exams prior to leaving test room.
o Make sure students sign out properly.

After Exams
o Collect all test packets. Make sure that all students who signed in have signed out. Make sure you have tests from
each student who signed in. You should write in students who were absent on the sign in sheet.
o Use the sign in sheet as a cover sheet for returning exams.
o Return all test packets to their appropriate place in room 309 as soon as exams are completed.

Departmental Regents Scoring Duties

Day 1 Grading
o **Department Chair- Collect grading templates and exams from room 309 by 9:15 on the day that your department
is allotted time to grade exams.
o Report to department chair’s room (or room designated by the department team) at time/s allotted on regents
schedule grid.
o Grade exams. A ll members of the department are expected to participate in grading exams daily. **Spanish
language teachers will be expected to grade Spanish language History regents with the History team.
o 12 th grade exams are priority for grading on Day 1
o **Department Chair- Return all graded materials to room 309 by 3:25.

Day 2 Grading

o **Department Chair- Collect grading templates and exams from room 309 by 9:15 on the day that your department
is allotted time to grade exams.
o Report to department chair’s room/designated room at time/s allotted on regents schedule grid.
o Grade exams.
o **Department Chair- Complete excel sheet sent via e-mail within 24 hours of completing grades.
o **Department Chair- E-mail excel sheets to Andi at: abrown182@schools.nyc.gov within 24 hours of completing
grades.
o **Department Chair- Print excel sheet and return it along with all other testing materials to room 309 by 3:25 within
24 hours of completing grades.

RCT Grading

Teacher End of Year Accountability Checklist


During this time teachers and staff are expected to be in attendance for full school days (8:45-3:30) and to use the time you are not testing or grading
to:
A. Close out the books on this year.
B. Prepare/Reset/Reflect for next year.
C. If leaving BK, preparing for departure.
That being said, we’re most concerned with you accomplishing what you need done for second semester. We would like you to use this as a checklist to
bring the fruits of your labor to us at the short staff meeting at 3:00pm Wed. June 26.

Every Teacher is accountable for the following non-negotiable tasks:


1.  Turn in grades by 6.19.08 5PM
2.  Proctor Test/Grade Tests
3.  Do a short end of year reflection – THE ATTACHED PLUS/DELTA SHEET – handed in with this checklist.

Department Heads are accountable for e-mailing all regents test results to ANDI in MS Excel format after department teams grade tests.

From the following list choose 2 tasks that you will complete after you have completed your tasks write a description of what you did or bring the
artifact to the meeting on June 25.
