CHAPTER 1
INTRODUCTION

Background of the Study

Inventory is basically the total amount of materials held in stocks by a store,
factory and business. An inventory management system is a process by which keep
track to the goods and materials whether it status is available and unavailable and the
total sales of the company at the end of the day. Normally the count of materials and
total sales can be done manually at the end of the day. In this way of procedure it is
possible to keep the record of materials coming to the business company and material
being sold.
Since sales and inventory can be done in manual process practically it consume
a lot of time and is prone to a lot of errors. It would be helpful to build a system that will
computerize the transaction, keep the records in database, update the total amount of
stock available, and notify if there is stocks that will be expire and already expired. The
computerized inventory management system will help and improve employees work by
computerizing routinely and time consuming task such as the task that they spent in
taking down the information of product. As a result the time can be used in more
production activities.

IMS (Inventory Management System) is a software or application that tracks and

monitor sales and available inventory of a business. The Inventory Management System
is usually one of the most important and biggest financial investments a business must
make (Rosemary Peavier 2012).
The Proposed Automation of the Benguet District Hospitals Pharmacy
Dispensing, Inventory, Purchasing and Sales System is a proposed system to the
Benguet District Hospitals. It was proposed to computerize the dispensing, inventory,
purchasing and sales processes of the said institution. It was also proposed to automate
report generation and preparation. The proposed System will provide a great help to the
staff and personnel of the pharmacy. Computerization will ease their report preparation
and generation and will eliminate their manual processes. (Celino, Embralino, Locano,
Mendoza, Oplas, & Pescador, 2005)

Objectives of the Study

General Objective
The main objectives of the study is to create a Pharaceutical Inventory
Management System of Botika ng Panlalawigan ng Oriental Mindoro.
Specific Objectives
1.To optimize the validity of the number to stocks in pharmacy.
2.To provide the pharmacist a system that can help them maintaining the quality of the
medicines.
3.To easily track the medicine that will be expire and already expired.

4.To lessen the use of paper and pen.

5.To satisfy the user.

Statement of the Problem

Based on the conducted interview and observations, the group had come up with
the following problems being encountered by the project.
The study seeks to answer the following problems:
1. What are the problems being encounter of the pharmacy in present system?
If they have.
2. What are the procedures in Inventory of pharmacy in Botika ng Lalawigan ng
Oriental Mindoro?
3. What are the benefits of having a Computerized Inventory Management
System?
4. What are the procedure being used in knowing the expired medicine?

Significance of the Study

This IT project intends to provide an accurate and effective Pharmaceutical
Inventory Management System which will benefit the following:

The Management: Using this system they can secure that all information of the
medicine is right, accurate, and complete.

The Pharmacist: They can easily track the information of the medicine, the no of
stocks available, the price, the expiration and the so on.

The Customers: The system gives benefits to the customer for good and safe
medicine that they buy. Also the time being consume if they ask for the information of the
medicine whether it is available or unavailable if they pharmacist use the manual
process.

The Researchers: The project serves as a basis of the study. It help to improve
their knowledge about the benefits of having a computerize inventory instead of manual.
Also encourage them to made a computerize system.

Scope and Delimitation of the Study

The proposal aim to establish the better way of making good services to the
customer and pharmacies. The system is capable of fastest giving information about the
medicine, it can monitor the available and unavailable stocks, tracking and notifying the
medicine that will expire and the medicine that already expired, giving the total sales at

the end of the day and backup the file. It is also capable of printing the records of the
medicine.
This system is not capable of using barcode of the medicine for the sales
transaction instead the system use the search button to identify the stock and the price
that the customer is buying. It is not capable of online transaction because this system
creates as a lan base system.
