COURSE CONTROL DAY-13 February 2015


This day is implemented to double check if registrations are done correctly
to avoid unnecessary mistakes that create future problems.
After 6 February 2015 (which is the last day for registration) students
must check if their registered modules appear correctly.
Students in a 1st year cohort will attend class until after Course Control
day, if there is still something wrong with their registration, the student
may not attend class until it is finalized.

ASSESSMENT INFORMATION
Students may only use black or dark blue pens when writing either tests or
exams. Papers received that are written using any other medium will not
be assessed and the student will receive a zero for that paper. It is the
student's responsibility to ensure that spare pens are brought to the
test/exam. This also applies for assignments. Optical cards however should
be completed in PENCIL.
UNDERGRADUATE TEST POLICY OF THE FACULTY OF LAW 2015
1. INTRODUCTION
The Faculty of Law supports the institutional Assessment Policy and
acknowledges the value of applying various assessment methods. The
Undergraduate Test Policy of the Faculty of Law applies to those
undergraduate law modules where only tests are used as an assessment method
to calculate a module mark.
This policy replaces the Undergraduate Test Policy of the Faculty of Law
for 2014.
2. NUMBER OF TEST OPPORTUNITIES
2.1 At least three formal tests will be scheduled during a semester for
each undergraduate law module where only tests are used as an assessment
method to calculate a module mark.
2.2 Each student must obtain a mark for two of the three test opportunities
in order to obtain a module mark.
2.3 In order to participate in the third assessment opportunity, a student
had to participate in either the first or second test opportunity. No sick
certificates and/or other documentation will be required from such a
student to write the third test.
2.4 The third test affords students the opportunity to manage their test
timetable more effectively. Students can therefore decide, for example, not
to write Test One, but rather to write Tests Two and Three. However, a
student does so at his or her own risk. Should such student not be able to
participate in Test Two due to, for example, illness, he/she will not
qualify to write the third test. Students are therefore encouraged to
participate in both the first and second assessment opportunities.

2.5 Test Three consists of two sections:
Section A: The same demarcation of work as the first test
Section B: The same demarcation of work as the second test
2.6 Students who chose not to write Test One must write Section A of Test
Three, and students who opted not to write Test Two must answer Section B
of Test Three. A student may not write Sections A and B of Test Three.
2.7 Lectures will continue during the third test week.
2.8 Students should avail themselves of the test timetable for Test Three.
No conflict/clashes will be accommodated under any circumstances.
2.9 A student may not write the third test in order to improve his/her
module mark.
2.10 In exceptional instances, a student can lodge a written appeal to the
Executive Committee of the Faculty of Law to write Parts A and B of Test
Three if he or she was unable to participate in both the first and second
test opportunities. Although students are not required to obtain a medical
certificate from a registered medical practitioner or psychologist when an
illness has prevented them from writing Test One or Test Two (see paragraph
2.3), they are strongly advised to obtain such a certificate before or on
the day the test needs to be written.

3. REQUIREMENTS IN RESPECT OF TEST VENUES


3.1 Once fifteen (15) minutes from the commencement of the test session has
elapsed, no student will be allowed into the test venue.
3.2 Students may leave the test venue only once forty-five (45) minutes
have elapsed since the commencement of the test session.

ASSESSMENT RULES FOR ENGS1608 (REN108)

All assessments are compulsory


If a student misses a test, they must provide the HOD with the
relevant documentation (i.e.: medical certificate, affidavit etc. and
completed GAAF form available from your HOD) within 3 working days
from the date the student is deemed fit to resume his/her studies.
If the application is approved, the student will be allowed to write
the aegrotat test.

TEST RULES FOR EACC1614 and EACC1624 (ERRK60806)


1. No sick tests will be scheduled.
2. Two semester tests will be scheduled on the timetable. Students must
ensure that they write both semester tests.
3. For students that could not write any of the two tests due to legal
reasons, an alternative test will be scheduled.
4. The following instances will be regarded as legal reasons:
a. Where a clash between two modules tests exist. This is only a
valid reason if the clashes between the two tests occur in the
same time slot.
b. Unforeseen circumstances (medical or compassionate reasons)
5. In order to apply to write the alternative test, the student must
provide the HOD with the relevant documentation (see form C) within 3
working days from the date the student is deemed fit to resume
his/her studies.
6. In the case of 4a (test clashes) above, the supporting documentation
must include a letter with the following information: module code,
date and time of clash.
7. All applications are subject to approval.
8. Applications without supporting documentation will not be considered.
9. ONLY students who did not write one of the two semester tests and
have a legal reason (as indicated in point 4) will be allowed to
write the alternative test.
10.The semester tests will be on all the work that was completed up to
the specific semester test.
11.The alternative test opportunity cannot be used as a way to improve
current test results.
12.If a student writes both semester tests, as well as the alternative
test, the alternative test will not be marked and only the results of
the two semester tests will be taken into account in the final
calculation of the semester mark.
13.If a student did not write the two semester tests, the alternative
test will only count for one test and not for two tests.
14.No additional tests will be set to accommodate students that could
not participate in the scheduled test opportunities. The first two
test opportunities are still regarded as the main test opportunities
and the alternative test are only for students that could not
participate in these opportunities for legal reasons.
15.If you qualify to write the alternative test and circumstances
(medical and compassionate reasons) prevent you from writing the
alternative test, a zero mark will be allocated for the test that you
missed. There is no alternative for the alternative test.

ASSIGNMENTS

Please note that you will be penalised if you are found guilty of
plagiarism. You can view the UFS plagiarism policy on the UFS
website, in the VC library, or a copy is available from your HOD and
AA.
If you hand assignments in late, there will be a penalty:
o Law modules: failure to hand your assignment in on the due date
will result in a zero 0 mark being awarded. Only exceptional
cases will be reconsidered.
o REN108: failure to hand your assignment in on the due date will
mean 5% deducted from your assignment mark for each day late up
to 3 days. After that you will receive zero 0.

Therefore ensure you manage your time and start your assignments early!

BLACKBOARD TURNITIN
1. If an assignment is required to be submitted through turn it in, it
must go through the UFS Blackboard turn it in and NOT Varsity College
turn it in (with the exception of the Developmental Assignment).
If you do not submit the assignment via turn it in on Blackboard by
the due date, you will receive a zero 0 result for the assignment.
GROUP ASSIGNMENTS
Students may not change the groups that they are allocated to. They will
stay in these groups for all group assignments for that module.

TEST AND ASSIGNMENT REMARKS


1. Students are allowed to apply for a remark on tests and assignments
WITHIN five working days of the release of the result.
2. The cost is the same as an IIE VC remark (please ask your HOD for the
exact cost).
3. A UFS/VC GAAF form must be filled out with the UFS student number
indicated.
4. Students must also attach a letter motivating which part/section of
the paper he/she would like the lecturer to remark/review. The remark
will not take place without the letter.
5. The assessment will be marked by another lecturer.
6. Students can only apply to have an assessment remarked once.
7. The outcome of the remark is final, whether the mark decreases or
increases.
PREDICATE DAY
What is Predicate Day?

This is the day that students MUST check all their results online
carefully to ensure that they are displaying correctly. This is not a
day to apply for test remarks.

When is Predicate Day?

It will take place on the Friday before exams start. The dates will
be confirmed.

What do I do if I have a query on any of my results or find an error?

You must report this to your HOD immediately and work with them to
rectify the problem.

How long do I have?

You must alert your HOD before or on predicate day regarding a


problem/query. Note: It is the students responsibility to alert
their HOD of any issues/queries. If these changes to results are not
addressed on this predicate day, these results cannot be changed.

EXAMS
Entrance to write the exam:

Please note you need minimum 40% CASS/semester mark to gain entrance
to write the exam. For those modules with just two tests: to work out
your CASS mark: test 1 mark + test 2 mark, divided by 2. For e.g.:
(56 + 78) / 2 = 67.
For the law modules: you cannot qualify to write a final exam with
only one test mark (even if your CASS/semester mark is 40% or more).
Varsity College students are not eligible for promotion e.g.: even if
your CASS mark is 70% or more, you will still have to write the exam
and achieve at least 40% in the exam.

What do I do if I miss an exam?

If your reason for missing the exam is valid (e.g.: serious illness
with a doctors note would be considered), please see your HOD or
Academic Assistant AS SOON AS POSSIBLE to fill out the Additional
Examination due to unforeseen circumstances form.
Please note the fully completed form and all ORIGINAL documentation
(Application, ID and doctors note) MUST be submitted to your HOD by
the closing date which will be communicated to you by your HOD. The
ID and doctors note must be stamped by the doctor. Applications will
not be accepted after the closing date.
UFS are extremely strict with the approval of an additional exam
opportunity, therefore only under very particular circumstances will
they approve your application (its not automatic).

What do I do if I have two exams on the same day at the same time (an
exam clash)?

You will need to fill out an Additional Examination due to unforeseen


circumstances form. Please submit this to your HOD as soon as
possible!
You will then write the additional exam for one of these modules on
approval of your application.
BUT BE AWARE: There are only two exam sittings: the main exam and the
additional exam. If you have to write the additional exam as your
main exam, you will NOT be granted another exam sitting even if you
are sick or eligible to write an additional exam. This means that you
need to ensure you study hard and pass the exam.

When are exam results released?

These dates are to be confirmed for 2015. Please visit the UFS
website or speak to your HOD for this information.

Can I view my marks online?

Yes. Your final module marks can be viewed via http://ps.ufs.ac.za.


Use your UFS username and password to log onto your student portal.

If you have fees outstanding you will NOT be able to view your
results online. To check your account balance you can log onto the
student portal mentioned above to check.

EXAM REMARKS

The same procedure/rules apply as the test and assignment remark.


Remember that if you are applying for a main exam remark, the
additional exams usually run so closely to the main exam results
release, that students are encouraged to request a remark as soon as
possible after results have been posted.
There are no remarks for Additional exams. The number of students
writing additional exams are so few that all scripts are moderated by
the UFS

What do I need to pass a module?

You need to achieve a subminimum of 40% in the exam, and a minimum of


50% for the module overall (semester mark (CASS) + exam mark / 2 =
final module mark).

When am I eligible to write an additional exam?


1. If you submitted an Additional Examination due to unforeseen
circumstances form and applied to write the additional exam, and it
was accepted by UFS.
2. If you got an overall (final) mark of 45%-49% for a module, and
achieved the subminimum of 40% in the exam. You will not be required
to fill in an application form and no extra fees are applicable
HOWEVER, please inform your HOD that you will be writing, so that
arrangements can be made.
3. If you got an overall (final) mark of 45% or more, but achieved 30%39% for the exam. You will not be required to fill in an application
form and no extra fees are applicable HOWEVER, please inform your
HOD that you will be writing, so that arrangements can be made.
4. If you achieved a final mark of 60% or more for a module, you are
allowed to write the additional exam to improve your mark. Please
note you must fill out an application form and your most recent
academic record must be attached. These must be submitted to your
HOD. Please see the UFS website or speak to your HOD for the closing
date for applications to be submitted. If you do not apply or submit
your application too late, you CANNOT write the additional exam to
improve your marks.
If I write an additional exam because I meet the requirements of points
2, 3 or 4 above, how is my final mark calculated?

If you achieve a higher mark in your additional exam, it replaces


your first exam result and your final module mark will be:
(Semester (CASS) mark + additional exam mark/2 = final mark).
However, if you do worse in your additional exam, UFS will use
your first (higher) exam mark towards your final module mark.

Will I receive a hard copy of my results after the exams?

Yes, after the Additional Exam results are released, UFS will post
your semester results to the account payer at the address provided
to UFS by the student.
Please note that if you have fees outstanding, you will NOT
receive your results in the post. You will need to pay the
outstanding fees and then inform your HOD about the payment, so
they can send a request to UFS to post your results.

What do I do if I havent passed certain modules?

For guidance, please make an appointment to see your Academic


Development Coordinator, campus Law Counsellor or your HOD.
Please note there are no pre requisites. I.e.: If you dont pass
RPK112, you can still register for RPK122.

ACADEMIC RECORDS
After final additional exam results are posted to your student
portal, UFS will send out a copy of the semester results to each
student via post (to the address stipulated by the student on their
application form).
If a student did not receive the above (due to outstanding fees
etc.), please let your HOD know so they can contact UFS and request
one on your behalf.
If you require an official academic record from UFS, you can request
one by filling out FORM D and sending it with a copy of your ID or
passport to Yolanda de Klerk deklerkY@ufs.ac.za.

Please note: You will not receive an academic record if your UFS fees
are not up to date.

DURATION OF THE DEGREE


How long do I have to finish my degree?

The duration of study for the Baccalaureus Legum is a minimum of


four years;
The duration of study for the Baccalaureus Legum is a maximum of
six years.
Note: you have to register for any failed modules in the next
semester in which they are offered by UFS. E.g. If you fail SFR114 in
1st semester 2014, you will be expected to register for it in 1st
semester 2015.
IMPORTANT: You can only register for the same module twice. For
example: If you fail RPK112 the first time, you only have one more
opportunity to register and pass that module. Only by special

permission from the Dean of Faculty, will you be allowed to register
for that same module a third time.
Gap Year Students: In terms of the UFS General Rules a student who
previously discontinued his/her studies for at least one academic
year, must reapply for admission to the UFS. Admission is subject to
the requirements for the programme set for the year that he is
applying for. Thus, applying for admission in 2015, a student must
comply with the admission requirements set for 2015. That is, VC
students who were admitted with e.g. AP score of 24 in 2013, takes a
gap year, now wants to continue in 2015 will be subject to the
admission requirements of 2015 (AP score 28 or more). The UFS General
Rules state that if a student interrupts his/her studies for a year
or more, that student remains subject to the maximum period of study
for the programme. This means that a gap year will count towards a
student's residential period - it will count towards the 6 years. It
is at the Deans discretion to grant an additional year of study and
usually the study record etc are considered.

HOW CAN I TRANSFER TO THE UFS BLOEMFONTEIN CAMPUS?


This information can be found in Rule 55(d) bottom of page 22 and top of
page 23 of the UFS Law yearbook (available from your HOD).
The position for VC students (referred to as students registered for Study
code 3304 with "an external service provider").
RECOGNITION OF MODULES PASSED AT ANOTHER TERTIARY INSTITUTION

Upon application for admission, a student must apply in writing on the


prescribed form for recognition of module(s) successfully completed at
another institution;
The application must be accompanied by:

a copy of the modules table of content and outcomes, together with the
applicable module code of the UFS Law module applied for (the
description and outcomes of the UFS Law modules are available on the
community page at http://varsitycollege.ufs.ac.za);
an original copy of the academic record;
a certificate of good conduct.
