Video Solutions Editing Workflow


CP Video Solutions is Postmedias editing service. They will handle video editing so our newsroom can
focus on shooting more. The Postmedia chain will send 20-25 videos a day to be edited by our CP
editors. Postmedia newsrooms will use applications called Trello and Slack for scheduling and
submitting videos and communicating with our CP editors.

Heres how the process works!

Using Trello and Slack:



We use an application called Trello for the scheduling and notification of videos that need to be edited
by our CP editors. This Video Progress Board on Trello helps us keep track of the workload each day
and provides a visual for the progress of your video as the card moves across the board. You will also be
able to see who has been assigned to edit your video.

If you have a video to send to CP Video Solutions to be edited please log on to Trello and add the video
to the Video Progress Board. If you do not have access to this board and need to see it on a regular
basis please contact CDVideo@postmedia.com.


For communication with our CP editors we use an application called Slack. This takes email and full
inboxes out of the equation. You will use Slack to communicate with our editors when you submit a
video to be edited, and when you provide feedback or changes to edits. CP will use Slack to send you
your edited video for review and you can then respond with an approval or more changes.

In Slack, we have created a Private Group for each paper. You will need to join and subscribe to that
group so you receive notifications and can communicate with the editors.

If you dont have access to Trello or Slack or dont use it at all in your workflow please contact your web

Scheduling a Video:

The Trello Video Progress Board helps us keep track of the workload each day and provides a visual
reference for the progress of your video. To schedule a video go to the Video Progress Board on Trello
and do the following:

Under the On the Board list Click the Add Card button
Type in the title of your video and include the ETA for when the video will be available to edit
o For example: Matthew Fisher in China ETA: 12pm ET
Hit the Add button again and you will see the video on the board
Now you need to add your papers label to the video so we know where the video is from:
o Click the pencil icon in the top right corner of your videos card
o When the overlay menu pops up select Edit Labels and find your papers label
o Select the label and click the x in the top right corner of the labels window to close out
Finally you need to add a due date to your video so we know when you need it:
o In the same overlay menu click on Change Due Date
o A calendar will pop up where you can select the proper date and enter the time
o Once youve done this hit Save at the bottom of the calendar and then hit the main
Save button on the card to save all of these changes
Thats it, youre done!

Sending Video Assets to CP:

To send video clips to CP to be edited you will use CPs FTP server. You can use an FTP client on your
computer such as Filezilla or Cyberduck to access the server. You can also connect to the FTP and send
video directly from your iPhone using an FTP app like FTP Manager. Note: This server doesnt work in a
web browser so make sure you have an FTP client installed.

On the CP FTP we have created a folder for each paper. When filing video please be sure to put your
video clips within your own folder and label the clips and folder accordingly so that CP can decipher
what's what. Try not to put video clips without proper names loose in your paper's folder.

Here is the info for connecting to the CP FTP:

Edit Notes and Notification:



Now that youve sent video to the CP FTP you need to add your edit notes to the video card in Trello.
Heres how:

Open the attached Request Form in Word
Fill in the information in the form
o This is the most important info CP needs to do your edit so be thorough!
Once youve filled it all out copy all of the info and head over to Trello
Click on your video and an overlay window will pop up
In the comments section paste in the notes you copied from Word and hit the Comment
button. This will add the comment and alert our editors that edit notes are available



Again, be sure to include as much info as you can so you get the desired result. Also, be sure to include
any imagery, photos, archived clips, links etc. that should be used for the edit. CP does not have access
to our servers or Merlin so they will require any specific elements you want included.

Once you have uploaded your assets to the FTP and added the edit notes to Trello flip over to Slack and
under your private channel send a note to the editors that the video has been uploaded to the FTP and
that the info is available in Trello. Slack is where you can continue any communication about your video
with our CP editors.

Video Approval and Posting:

Once an edit is complete CP will upload the video into Kaltura. For 'Raw Video' the video will be posted
live right away with appropriate curator tags. These are edits that are quick top and tail edits to get
video up quickly and on stories ASAP as breaking news happens. A message will be sent in your Slack
channel notifying you that your raw video has been posted.

For more involved edits CP will post to Kaltura but will leave the Curator tag off so it does not go to any
channel players. They will post the video for your review in Slack. If you approve of the edit then write
back to the editors that the edit is Approved. Also indicate if you will handle the Curator categories or if
you would like CP to add them for you. If you have any changes to the edit please provide CP with your
feedback in Slack and then the above process will start again.

Please do your best to look at the video as soon as you can so we can get the videos into channel
players and story pages!

CP Editing Quick Guide:

Step 1: Add your video to the Video Progress Board on Trello. Make sure you indicate an ETA time of
your video clips on the FTP, select your papers label and set a due date and time.

Step 2: Upload all of your video assets to the FTP server. Make sure you put the files in your papers
proper folder:

Step 3: Type out your edit notes in Word using the Request Form and then copy and paste it into the
comments section of you video card in Trello.

Step 4: Alert the CP editors that your video is ready to be edited using Slack. Make sure you use your
papers Slack group.

Step 5: Once the edit is done CP will post to your Slack group for approval. If you approve say so. If you
dont approve let them know what you need changed. Once approved, get your video on some stories!
