TITLE:CAR RENTAL MANAGEMENT SYSTEM

ABSTRACT
The idea of people shopping online is something that is being embraced by
many people in the 21 st century. Advances in technological innovations
have simplified human life and many people nowadays fancy doing most
activities on click of buttons using their electronic devices. Similarly, the
mobile Car Rental System is an online facility to book cars online within
few clicks only. Some people cannot afford having a car, for those people
this system becomes very helpful. This system includes various cars, as
per the customer order and comfort; it provides a platform to place the
order and delivery of the car as per the location within the area. Data
matching technique is applied to the system to fulfill customers needs. The
system will match the data entered by users to advice or recommend car to
be rented. The data includes the user budget, number of passenger and
distance. However, user may choose either to accept the recommendation
or they can view the car catalogue provided by the system to choose by
their own. They can select their preferred car from the car catalogue. It is a
helpful system especially to users who urgently require many cars at a go
for functions such as weddings, funerals and other celebrations

1.1 Introduction
This project is designed so as to be used by Car Rental Company
specializing in renting cars to customers. It is an online system through
which customers can view available cars, register, view profile and book
car.

1.2 Background study


The advancement in Information Technology and internet penetration has
greatly enhanced various business processes and communication between
companies (services provider) and their customers of which car rental
industry is not left out. This E-Car Rental System is developed to provide
the following services:
-Enhance Business Processes: To be able to use internet technology to
project the rental company to the global world instead of limiting their
services to their local domain alone, thus increase their return on
investment (ROI).
-Online Vehicle Reservation: A tools through which customers can reserve
available cars online prior to their expected pick-up date or time.
-Customers registration: A registration portal to hold customers details,
monitor their transaction and used same to offer better and improve
services to them.
-Group bookings: Allows the customer to book space for a group in the
case of weddings or corporate meetings (Event management).

1.3 literature review


a)Vehicle Rental Business
People typically using rental services when they want to use things for a
short time which is more reasonable than buying a new one.
There many types of rental services which most of rental companies
provide specific items to rental such as car rental, house rental, clothes
rental and so on. Car rental is one of the popular rental services. One of
the obstacles is the difficulties in demands forecast in considering
customers behavior natures, for example the high rate of no-show,
returning cars remotely and uncertainty of length-on-rent.
Hence, a proper strategy should be workout to create and effective system
for car rental industries so that all that problems can be minimized

b) Related systems in area of study


Most of the car rental services are manage using manual way and it cause
a lot of problems to its users and also few clients will rent from them.
With the birth of Car Rental Management System (CRMS), car rental
service will be upgraded because it provides convenient to its user

1.4 Problem Statement


The Manual car rental system provides services only during office hours.
So; customers have limited time to make any transactions or reservation of
the cars.
The existence of the online car rental systems nowadays has overcome
the limitation of the business operation hour. Besides that, there are some
customers who faced a problem in choosing car to be rented which
suitable with some of the important requirements.
1. To rent a car a prospective renter must first go to the nearest office to
register as a client.
2. Cars that provide difficulties to rent out are normally advertised in local
or national newspaper. it involves a lot of paper work and consumes time.
1.5 Research Objectives
The objective of the proposed Online Car Rental System, the users are
able to enter the company's website for searching and reserving their
favorite cars easily through the Internet and it can be accessed anywhere
anytime in the world. Hence, the company is able to improve their
customer satisfaction level, increasing efficiency by provides better
services to their customer.
Therefore, the proposed web-based system has the following features that
will be included in the Online Car Rental System. With the proposed
system, the achievable advantages are as follows:
1. View tracking history and update personal information The registered
members are allowed to view and track the reservation history. Besides,
they are able to update their personal information if necessary from time-
to-time.
2. View cars with affordable pricing The rental pricing for each type of cars
are clearly listed in the propose system to enable the registered and
unregistered users to compare themselves with their competitors. The
listed pricing are affordable for employed and unemployed employees or
citizens who their incomes range are between low-medium levels to upper-
upper level.
3. Post suggestions, comments, and complaints The registered and
unregistered users are able to post their suggestions, comments and
complaints through the propose system. Therefore, the company will
improve themselves from time-to-time to ensure that their customers are
satisfied with their services given.
4. Print reports The propose system is able to generate reports such as
monthly car reservation reports and monthly GPS navigation device
reservation reports to the management for further improvements purpose
or future reference purpose
1.6 Project justification
After interaction with some of the employees from a car renting company
they informed me of the problems which they encounter in their daily
routines work and hence found it wise to develop a system to solve their
problems. Also this system is developed to meet my requirements in my
study
1.6 Area and scope of study
-The developer is going to develop prototype or semi-system which will be
tested by the public users.
.Then the fully functional Online Car Rental System will be delivered to the
end user after the evaluation and the system testing.
.It functions as a system which storing, processing and handling customer
information and the information of the most valuable assets which are the
cars for the company.
.The web administrator is the one who has full control and authority to
control the privilege and update the propose system from time-to-time. In
addition, they also required to ensure that the different type of user access
via their permitting level.
.The unregistered members or users are restricted to view, update or
delete any information about the registered members' information such as
car reservation history.
.In addition, the registered members are allowed to update their personal
information if necessary with their own valid user name and password
through the proposed system.
.Each of the updated personal information will be stored and kept in
company's database and categorized it as company confidential
information. And, the company will not sale their customer's information to
any third party to earn extra income for their company.
.The reports are generated by the propose system based on the
management requirement such as print and view the reports in monthly or
quarterly basis.
.The management is able to improve and provide the better services to
their customers from time-to-time or make it as future references.
.The proposed system provides a three tier login concept. It means that
different users will login with different permission or privilege.
.Therefore the users are able to access different functionality of the
proposed system.
1.7 Implementing the Research;
Languages - mysQL and PHP.
Hardware requirements
Input devices - Standard keyboard and mouse. This is the devices
to introduce data to the CPU.
Computer processor For preparing and executing the program.
- Processing speed of over 2.0 GHz.
Storage devices - Flash disk (512 MB) to store documents related
to the project
- Over 20GB hard disk size.
- RAM at least 512 MB.
Networking Devices - A modem.
- RJ- 45 connector.
- Active internet connection.
Uninterrupted power supply - Over 400VA.

Software Requirements
The proposed program will run in windows environment from windows
2000 and other advanced windows.
Operating system - Windows 2000 and above.
Project Application - mysql and php will be used to implement
the project

1.9 Assumptions
a) That the system will be fully developed within the allocated time span
and hence the company will implement it as planned.
b) That the necessary resources will be provided for the development
and implementation of the project.
c) Most of the customers will be computer literate before the system is
developed to enable them to use it.
d) The system will not take more than the stipulated resources hence
causing inconveniences.
e) That all the parties involved are going to cooperate to enhance
effective and fast development of the system.
f) The time allocated will be sufficient for the fully development of the
system.
