Technology Evaluation Centers (TEC) is pleased to announce that the IFS product IFS Applications (v. 7.5) is now TEC Certified for
online evaluation of enterprise asset management (EAM)computerized maintenance management system (CMMS) solutions in
the Asset Management Evaluation Center. The Asset Management Evaluation Center enables you to compare and evaluate
functionality based on TECs comprehensive model of EAM/CMMS software. Data used in the Evaluation Center are obtained
from the vendors responses to TECs request for information (RFI). Certification ensures that product capabilities have been
demonstrated to TEC analysts based on the responses IFS provided in its completed TEC RFI; and that TEC analysts have
analytically and comparatively reviewed IFS Applications RFI data against known benchmarks.
Reassurance: You can be assured that the data TEC provides about its certified products conform to a well-defined
standard of accuracy. When a vendors product is TEC Certified, it means that a trusted, independent third party has
seen the product up close.
Better communication with vendors: TEC certification helps ensure that vendors understand and respond accurately
to their clients RFIs. Certification with TEC analysts provides the opportunity to clarify any issues with the RFI criteria.
This ensures that the vendor is speaking the same language as its potential clientsand gives the clients an unam-
biguous specification of product functionality to inform their selections.
The certification seal is a valuable indicator for organizations that rely on the integrity of TECs research services for assistance
with their software selection projects. Organizations looking for a solution can be confident that theyre comparing the product
on an apples to apples basis with other, similar products.
IFS is now a truly global ERP and EAM/CMMS market player, with a strong presence on all continents, over 70 regional offices,
and over 20 support centers around the world. Its client base of more than 2,000 companies represents over 800,000 users in
upwards of 60 countries. The company focuses its software on companies of medium size and up (between $75 million and $2
billion [USD] in annual revenue), operating in project-centric and asset-intensive businesses, process and discrete
manufacturing, as well as the construction and contracting, enterprise asset management, and utilities and telecom businesses.
IFS product strategy entails development in two research centers in Sweden and Sri Lanka. It does not include third-party
software acquisitions for product offering expansion; the company makes acquisitions only if it can strengthen its market
position.
Adapting to various business-related and environment-related changes seems to be a recent but strong trend among many
EAM/CMMS software vendors, and IFS is no exception. To that end, the vendor has adjusted its entire product development
strategy. As a result, IFS Applications is a flexible and agile software product that is capable of reflecting emerging and
modifiable environments.
Another pillar of the IFS product strategy is the vendor's stated ambition to create the most usable software on the market.
Simplicity of user interface and ease of use generally are, says the vendor, one of its most essential development initiatives. As a
result, anybody who is more or less familiar with basic Web browsing principles can work with IFS Applications. Certainly,
however, this does not abolish a basic requirement for sufficient knowledge of business processes and role responsibilities.
IFS offers an entirely Web-enabled, complete, and uniform business solution with consistent design, with respect to both the
service-oriented architecture (SOA) platform and the application architecture throughout the system (whereby different
modules and components of the software can run separately). Using SOA allows users to select and purchase only the required
functionality, in any combination of more than 100 business components and over 6,000 functional groups, with the ability to
add other functional components later if needed. This modular structure can also be easily upgraded and extended as required
by future business growth.
Similarly to many of its competitors, IFS prices its software based on the number of named users and the number of modules
purchased. Service work scope is derived on a time and materials (T&M) basis, which means that customers are billed for the
actual time worked plus the cost of any travel and materials used.
On average, IFS delivers three service pack releases per year. This includes patches, and some functionality/feature changes.
Major releases iterate every 18 to 24 months, on average.
As for its software implementation strategy, IFS provides its customers with a well-defined and standardized implementation
methodology called the IFS Implementation Method. This method describes in detail all the necessary steps and phases of
implementation, as well as the roles and responsibilities of both IFS and the customer, in order to ensure that the software is
properly installed, tested, and running within a pre-determined timeline.
IFS Applications represents a class of enterprise-wide solutions that support day-to-day operations and various internal business
processes for many types of manufacturers and other businesses. While it is an extremely complex and knowledge-intensive
product, it does not complicate its users' lives to the same degree, thanks to its clearly arranged user interface, comprehensible
logic, and familiar Web browsing experience.
A configurable user interface called IFS Enterprise Explorer contains user-definable functions such as software navigation
shortcuts, graphical menus, a single navigation toolbar, and a simple but very practical feature: recent screens. Likewise, the
system functionality menu is also customizable.
Functional menus resemble a set of Web pages in structure, and the entire navigation process recalls the Web browsing
experience, including quick access to any functional screen and the go back button. It is possible for users to return to multiple
recently visited screens, which is truly impressive for ERP and EAM/CMMS software. A Google-like enterprise application search
and filtering engine allows users to find transactions or documents by, for instance, supplier contact name. It also offers the
option of saving search parameters and results, and sharing these results with other users.
IFS Applications offers a business intelligence (BI) and data mining tool that is basically a fully integrated Microsoft BI
application. It offers a standard library of pre-built key performance indicators (KPIs) and pre-arranged data sets corresponding
to different user roles. These KPIs cover all aspects of a business and can also be set up and customized in multiple ways
depending on business requirements. Note that the BI application is not part of the standard IFS package, and must be
purchased separately. A smaller-scale business and accounting report writer is, however, a standard cross-module tool and
available to clients at no additional charge.
What may be an important issue for project-based businesses is the fact that the IFS product supports import/export of pre-
defined projects from and to Microsoft Project and Oracle Primavera. Data export/import to and from spreadsheets is also
organized in a straightforward way.
Another interesting option is the internal messaging system, which lets users send short messages to each other, and attach
selected enterprise data, such as data screen records. It is especially interesting that the tool allows users to share unstructured
data (Web links, pictures, various documents, etc.) as well as to leave and exchange notes on any record (sticky notes, in IFS
terminology).
Extensive multisite and multicompany capabilities comprise another strong point of IFS Applications. Besides routine support for
multisite, multicurrency, and multilanguage businesses, specific functionality allows quick switching between sites,
intercompany financial and inventory records elimination, and cross-company reporting. Although not all these tools are
essential, they come in handy in the real world, as they help save a great deal of time in a live business environment.
Based on four main principles, here is TECs analyst commentary for IFS Applications:
Ease of Use
Task performance: A number of features make day-to-day operations more convenient, such as the ability to
summarize and highlight sets of records in any grid, by any parameter, including colors. Different data elements can
also be shared among users. Tasks can be set with different statuses such as current, sent, selected, saved, or
scheduled.
Integration capabilities: Developed in accordance with SOA principles, IFS Applications makes the potential task of
integration with other packages less painful for developers, and provides an additional layer of flexibility and
adjustability to future needs.
Ease of Implementation
Server platforms: IFS Applications can be deployed on Microsoft Windows, UNIX, or Linux-based server platforms.
The software also provides plug-and-play capabilities to support combined infrastructures of multiple platforms.
DBMS platforms: IFS Applications can be deployed using the Oracle database platform only.
Flexibility: Regular functional forms and screens are easy to modify and adjust to user needs, and even allow for the
creation of new user-defined screens.
Innovation
Embedded comprehensive document management allows for an unlimited number of attached documents with
different statuses, check-in/check-out, and locking for editing functionality, revision control, and full audit.
Many system functions are organized via wizard-driven instructions that drive users through step-by-step workflows
(e.g., copying coding elements between projects, or copying the entire project structure).
Conditional data formatting on screen (in a manner similar to Excel), as in cell selection or conditional highlighting
(for example, selecting and indicating cells containing numbers that are lesser or greater than a given value).
The software includes built-in graphical capabilities as needed by users (such as item cost structure breakdown
diagrams in different views and dimensions), in addition to commonly used spreadsheets and grids.
The system provides intelligent wizard-driven data export and import in many data formats, to and from Excel and
other third-party applications.
IFS Mobile Client provides the ability to run the software and access corporate information from many types of mobile
devices, from smartphones to laptops. The product is developed in a way that does not require any additional
intermediate integration middleware. All IFS Applications multisite, multilanguage, and multicurrency capabilities
remain the same in case of mobile access.
The rankings in this Focus Indicator represent neither the quality of the product nor an absolute quantity of supported
functionality. Rather, the rankings show support relative to the quantity of functionality supported, on average, by software
products in this market space. The functional focus axes indicate the modules of a typical EAM/CMMS product. Red dots that
are near the center of the functional focus axes reveal where IFS Applications is more likely to differentiate itself through
breadth of functionality. If your needs tend toward the type of functionality for which the red dots are located closer to the
center of the Focus Indicator, this product will be a strong competitor for what you need.

Competitive Zone
The IFS Applications product has no modules located in the Competitive Zone.
We calculate what an average solution would look like based on the features and functions about which software vendors have
provided us with recent information. We then normalize the scores of this solution as the circle labeled "Industry Average"
bisecting the TEC Focus Indicator graph. We also define boundaries on the high and low ends of the average, which are the
demarcation points for passing into Dominant or Minimal Support zones. Next, we determine the quantity of functionality
supported by the product for each module in our model. We assume that all criteria are equally important. In a real-world
situation, of course, you would give a greater priority to criteria that are more important for your needs. However, for the sake
of the TEC Focus Indicator analysis, we want to draw conclusions about the product's focus independently of any priorities.
The Industry Average forms the benchmark from which we calculate the difference in functionality offered by the product. The
difference between the product score and the Industry Average is plotted as a positive or negative distance from the Industry
Average line. For example, if the product offers a greater quantity of support than average for a particular module, the red dot
will be located toward the inner focus of the graph. Note that a product is not good or bad just because it has more or less
functionality than other products. To understand whether it will do what you need it to do, at a price within your budget, you
must evaluate the product in depth.
The Zones
The area of functional focus within the green Dominant Zone indicates where a product has a much greater level of support for
functionality than the average solution in this market space. Dominant modules are likely to be competitive differentiators.
The area of functional focus falling within the pale Competitive Zone indicates where the product has a level of support for
functionality that is generally on par with what you can find from other solutions on the market. The functionality provided by
the vendor likely remains a core part of the product's focus. In some cases such a module may be considered a commodity
within the market: many vendors offer the majority of the functionality, which makes it difficult to differentiate a product based
on breadth of that functionality alone.
In other cases, a vendor may intend its product to compete on a level that satisfies most customers' requirements, with a
market focus requiring that it differentiate itself through other modules or through the qualitative manner in which it provides
its functionality.
The Competitive Zone is bisected by the Industry Average circle, which shows the quantity of functionality supported, on
average, by software products in this market space.
The red Minimal Support Zone indicates where the product supports fewer features and functions than the average solution in
the market. Modules listed in this zone are unlikely to be as important to the vendors target clientele as the other modules. If a
product has rankings in this zone, it generally offers the bare essentials and isn't focused on competing for clients that highly
prioritize this functionality.
Even if a product has modules in the Minimal Support zone, it may still be entirely capable of satisfying your requirements,
particularly if the average solution on the market offers more functionality than you require.
In all cases, it's likely that you will need to review the product in more depth to determine whether the functionality it provides
in any zone is applicable or sufficient for your requirements.
This module refers to the basic framework that supports the other core features of a CMMS: flexibility in structure, execution,
traceability, and regulation management, among others. This module includes the Enterprise-level Standards, Risk
Management, Help, User Interface, Customization, Reporting, Internet site, Workflow, Document Management, Import/Export,
and Barcode Technology submodules.
The IFS solution equals or exceeds the industry average in rating for all 11 submodules. IFS applications doesn't support
standards, such as the Joint Commission on Accreditation of Healthcare Organizations (JCAHO; The Joint Commission [TJC]),
Environmental Protection Agency (EPA), or Occupational Safety and Health Administration (OSHA), which affects its rating for
the Risk Management submodule; however it can provide support for the EPA and OSHA standards through customization. Both
the IFS solution and the industry average don't fare well in Workflow design, as most solutions in the industry are not ingrained
with an advanced workflow design platform. A future release of IFS Applications will offer additional workflow design
capabilities to allow for more flexibility and control in process design.
Due to the high value of assets managed by the EAM/CMMS industry, companies must ensure the proper continuity of their
operations by maintaining their equipment at peak operational level, or otherwise risk incurring significant losses. This module
covers Work Order Management, Preventive Maintenance, Equipment History, Vehicle Maintenance, Calibration Management,
PDA, and Specialized Modules.
With a strong focus on manufacturing operations and equipment management, IFS Applications offers a leading set of
functionalities to the EAM/CMMS industry that stands well above the market average offering. While the IFS product currently
offers geographic information system (GIS) support through a third party, the solution provides out-of-the-box support for a
surprising number of functionalities, rather than relying on partner add-ons from other, competing solutions.
This module covers the various capabilities and the flexibility an EAM/CMMS solution requires to integrate with other core
solutions, thereby supporting and complementing the operations of businesses in the EAM/CMMS space.
IFS Applications was designed to integrate with existing systems. While the industry average also has excellent integrative
capabilities, other solutions in the EAM/CMMS market likely have to rely on partner add-ons and modification in order to
leverage similar connectivity access.
Human Resources (HR) management encompasses all the applications necessary for handling personnel-related tasks for
corporate managers, field supervisors, and individual employees. The module includes the Personnel Management, Benefits,
Payroll, Employee Self-Service, Employee Metrics, Health and Safety, Workforce Management, and Training submodules.
IFS Applications offers a level of support well above the industry average in all aspects of HR, except for Health and Safety, for
which IFS is working on a release that will address a significant number of functions to support the tracking, documenting, and
reporting of health-related incidents. IFS' product rates well above the average solution in managing trained personnel and
distributing them throughout the organization, which may be of interest to businesses operating with a sizable workforce.
The Financials module provides features and functions that allow accountants and financial managers to ensure financial
transactions are tracked and properly recorded, and that this information is available via reports and other data retrieval tools.
Traditionally, this module includes the General Ledger, Accounts Payable, Fixed Assets, Cost Accounting, Cash Management,
Budgeting, Accounts Receivable, Financial Reporting, and Project Accounting submodules.
IFS Applications equals or exceeds the industry average on all aspects of financials, scoring a perfect 100 points for the Cost
Accounting and Cash Management submodules, unlike the average solution, which is in need of leveraging partner add-ons. The
solution can provide a granular level of support for businesses that rely on solid planning and cost visibility for their operations.
Purchasing management encompasses a group of applications that control purchasing of raw materials and manage inventory
stocks. It also involves creating purchase orders/contracts, supplier tracking, goods receipt and payment, and regulatory
compliance analysis and reporting.
While the industry average proves its maturity in Purchasing Management despite relying on more partner involvement, the IFS
product offers close to perfect support rating in all areas of Purchasing Management. Businesses operating in a wide array of
purchasing schemes, such as consignment, outsourcing, and bidding processes, will find a strong ally in this solution.
Solutions for inventory management are used for the record-keeping of warehoused consumables or rotable parts, and
managing the movement of these goods to, from, and through warehouses. Forecasting, finished goods reservation and
allocation processes, and inventory adjustments are also a part of this functional module.
Though both IFS Applications and the industry average offer significant support for the Inventory Management module, the IFS
product exceeds the average offering in all areas. The IFS solution misses getting a higher rating in Adjusting Inventory, as it
requires some customization to allow for rule definitions. Of note, IFS Applications achieves a perfect score in Data
Requirements, Reporting and Interfacing, and Forecasting.
This module presents the aspects of an EAM/CMMS solution that are required to define, monitor, control, report, and validate
activities, and thus ensure that maintenance activities are conducted in an appropriate manner to support ongoing operations.
The module includes the Asset Definition, Work Identification, Conditions Monitoring, Inspections, Triggers and Alarms, Work
Management, Work Order Control, Handheld Support, and Key Performance Indicators submodules and various other
supporting activities.
IFS Applications stands well ahead of the average product in the EAM/CMMS industry on all 10 aspects of the Reliability module.
The solution provides out-of-the-box support for most functionalities, with the exception of some condition monitoring and
alarm-related features (mainly the immediate alarm issuance and handling), which are managed through a third party or by
modification, explaining the lower rating of IFS Applications for the Condition Monitoring and Triggers and Alarms submodules.
Of note, the average offering supports most of this module through partner add-ons, which can mean additional cost and extra
maintenance depending on the solution, thus making IFS Applications an interesting option.
IFS Applications is a single integrated product that is flexible and rich in functionality.
It is capable of reflecting changing business requirements.
The user interface is simple and easy to use.
The product provides wide-ranging multisite and multicompany capabilities along with strong cross-company
reporting and extensive multicompany transaction features.
A comprehensive and convenient document management component is embedded into the system.
IFS Applications is accessible via various mobile devices without additional integration middleware.
Not surprisingly, the IFS Applications software is strong in all functional modules, as demonstrated by the TEC Focus Indicator.
This means that the product provides a much greater level of support for functionality than the average solution in the
EAM/CMMS market space. As all modules are in the Dominant zone, this makes the solution a strong contender for asset-
focused businesses that derive strong value from their equipment.
This software may surpass EAM/CMMS system expectations for the average medium-sized company, as the company
defines requirements for its new corporate application during the software selection phase.
With its modern look and feel, extensive functional capabilities, and convenient user interface, IFS Applications is a practical
and forward-looking option for businesses in need of keeping equipment operating with maximum uptime. IFS' professional

market.
