CHAPTER 1: 170 MarkView Interactive Queries
170 MarkView Interactive Queries are web-based tools that are used for
tracking key metrics in your combined 170 MarkView and ERP system. 170
MarkView Interactive Queries are easy to use and provide users the ability to
query for the exact information they are looking for. Users simply enter search
criteria into a web form and submit.
170 MarkView Interactive Queries answer the following questions:
Have any users approved invoices for which they might have a
conflict of interest?
Are journal entry records being documented appropriately?
What is the total dollar value of invoices currently being processed by
your AP department?

170 MarkView Interactive Queries help to pinpoint inefficiencies in your


workflows, identify employees who may have productivity problems, verify that
workers are assigned to the correct privileges, help detect fraud, and assist in
uncovering trouble areas that could be detected during an audit.

170 MarkView Interactive Queries are divided into three categories:


Compliance and Controls
Financial Accounting
Operational Performance

1.1 Compliance and Controls

Compliance and Controls queries provide users the opportunity to identify


problematic business practices, anticipate questions that an auditor may ask,
and assist in compiling data to show how an organization has a solid track
record for certain tasks.
Compliance and Controls is comprised of the following queries:
Invoice Approval Fraud
Invoice Creation Fraud
Invoice with no 170 MarkView Document Attachments
Invoice with only 170 MarkView Exception Document Attachments
Supplier with no 170 MarkView Attachments(for a given period)
User Privileges

Invoice Approval Fraud

The Invoice Approval Fraud Query shows if any invoice was approved (final
approval) by the same user who created or updated the invoice. This query
helps to determine how frequently people in your organization have approved
invoices where there is a potential conflict of interest. For example, if a person
who creates an invoice record in Oracle approves an invoice without having it
reviewed by a third party, this invoice would be listed in the query results for
Invoice Approval Fraud query. This query is used as a backup for existing
business controls.

Navigation
1. Log into 170 MarkView Home.
2. Mouse over the Utilities tab and select the Invoice Approval Fraud
query. (Interactive QueriesCompliance and ControlsInvoice
Approval Fraud)

3. Enter the Approval Date Range to search for invoices that have
the same creation and approval user.
a. Type the dates directly into the between/and fields in the
specified format (DD-MON-YYYY), or
b. Click the to select the dates from a calendar.

4. Click Submit to run the query based on the selected criteria.


5. The query results are displayed and show the Vendor Name,
Invoice Number, Approval User, Approval Date, and a description
of the Potential Violation.

NOTE:
If you are utilizing the standard 170 MarkView Business
Controls, there will rarely be results for this query since
business controls are already in place to catch these violations
at the time they occur.

Invoice Creation Fraud

The Invoice Creation Fraud Query shows if any invoice was created or updated
by the same user who created or updated the supplier record. All invoice
workflows contain a checkpoint that flags questionable invoice creation, (Entry
Complete Checkpoint) however the workflows still contain mechanisms for
allowing these invoices to be created. Therefore, this query provides an extra
line of defense to determine if any invoices have been allowed to be
processed.

Users enter a date range and the query will return a list of invoices that were
created or updated by someone with a potential conflict. Each line of data will
display the name of the person who created the invoice and the supplier
record.

Navigation
1. Log into 170 MarkView Home.
2. Mouse over the Utilities tab and select the Invoice Creation Fraud
query. (Interactive QueriesCompliance and ControlsInvoice
Creation Fraud)

3. Enter the Invoice Date Range to search for invoices that may have
potential Invoice Creation Fraud.
a. Type the dates directly into the between/and fields in the
specified format (DD-MON-YYYY), or
b. Click the to select the dates from a calendar.

4. Click Submit to run the query based on the selected criteria.

5. The query results are displayed and show the Vendor Name,
Invoice Number, Invoice Date, User ID and a description of the
Potential Violation.

Invoice with no 170 MarkView Document Attachments

The Invoice with no 170 MarkView Document Attachments query provides an


opportunity to ensure that AP Users are associating invoice records with an
electronic document.

Users will be prompted to submit search criteria such as invoice date range,
invoice type, and payment status. The query will return records that do not
have an associated 170 MarkView invoice. Each returned record will include the
invoice number, the user ID of the creator, and the status of the invoice.

Navigation
1. Log into 170 MarkView Home.
2. Mouse over the Utilities tab and select the Invoice Without
Attachment query. (Interactive QueriesCompliance and
ControlsInvoices Without Attachment)

3. Enter the Invoice Date Range to search for invoices that have no
attachments.
a. Type the dates directly into the between/and fields in the
specified format (DD-MON-YYYY), or
b. Click the to select the dates from a calendar.

4. Select the Invoice Type by clicking on the drop down arrow.

NOTE:
If you do not want to select a specific Invoice Type, select All.

5. Select the Payment Status by clicking on the drop down arrow.

If you do not want to select a specific Payment Status, select

6. Click Submit to run the query based on the selected criteria.
7. The query results are displayed and show Vendor Name, Invoice
Number, Invoice Date, User ID, and a description of the Potential
Violation.

Invoice with Only 170 MarkView Exception Document Attachments

The Invoices with Only 170 MarkView Exception Attachments query allows users
to review exceptionally large amounts of document invoices going through the
Previously Entered and Pre-Approved Invoice workflows. This query highlights
all invoice records that are not associated with a PO invoice or a Non-PO
invoice. There may or may not be reason to be concerned with the large
amounts of invoices going through these processes but this query will let you
evaluate these invoices. The query prompts users to submit the Invoice Date
Range, Invoice Type, Payment Status, and Work Item Class.

170 MarkView returns a line of data for each invoice that meets the search
criteria. Each line will include the User ID of the person who created the
record, its approval status, and the name of the supplier, etc.

Navigation
1. Log into 170 MarkView Home.
2. Mouse over the Utilities tab and select the Invoices With
Exception query. (Interactive QueriesCompliance and
ControlsInvoices With Exception)

3. Enter the Invoice Date Range to search for invoices that are going
through either the Previously Entered Workflow or the Pre-
Approved Workflow.
a. Type the dates directly into the between/and fields in the
specified format (DD-MON-YYYY), or
b. Click the to select the dates from a calendar.

4. Select the Invoice Type by clicking on the drop down arrow.

NOTE:
If you do not want to select a specific Invoice Type, select All.

5. Select the Payment Status by clicking on the drop down arrow.

8. The query results are displayed and show the Vendor Name,
Invoice Number, Invoice Date, Invoice Type, Creation User ID,
Creation Date, Approval Status, Payment Status and Work Item
Class.

Supplier without 170 MarkView Attachments (for a given period)

The Supplier Without 170 MarkView Attachments query allows users to identify
supplier records that do not have backup documentation. Many times,
corporate policies require certain supplier forms to be on file for valid
suppliers. Not having the proper attachments associated to supplier records
could cause a problem.

This query prompts you to enter a date range and it will return suppliers that
do not have 170 MarkView attachments. Each line will include the User ID of
the person who created the record, the date it was created, and the User ID of
the last person who updated the record.

Navigation
1. Log into 170 MarkView Home.

2. Mouse over the Utilities tab and select the Suppliers w/o
Attachment query. (Interactive QueriesCompliance and
ControlsSuppliers w/o Attachments)

3. Enter the Attachment Date Range to search for suppliers without


attachments.
a. Type the dates directly into the between/and fields in the
specified format. (DD-MON-YYYY), or
b. Click the to select the dates from a calendar.

4. Click Submit to run the query based on the selected criteria.


5. The query results are displayed and show the Supplier Name,
Creation Date, Created By, Last Updated On, and Last Updated By.

User Privileges

The User Privileges query allows you to keep track of various privileges that are
assigned to users. If you would like to search for an individual User ID this

query will return a line of data for each group and role assignment granted to
that user. This query prompts you to submit the following search criteria: User
ID, Group, and Role.

Navigation
1. Log into 170 MarkView Home.
2. Mouse over the Utilities tab and select the User Privileges query.
(Interactive QueriesCompliance and ControlsUser Privileges)

3. Enter the User ID, Group, and/or Role for which you would like to
search.
a. Type the User ID, Group, and/or Role in the text field, or

b. Click the List button to select the User ID, Group,


and/or Role from the List of Value field.

4. Click Submit to run the query based on the selected criteria.


5. The query results are displayed and show the User ID, First Name,
Last Name, Group, Role and Role Enabled for the particular user,
group or role you queried for.

1.2 Financial Accounting

The Financial Accounting query, called Unprocessed Financial Liability, provides


details about all the invoices that are currently being processed in your AP
department.

The Financial Accounting query is unique in that it will automatically give you
an overview without prompting you for specific search criteria. You may then
sort this data and drill down to learn more about particular items. Once fields
are selected, 170 MarkView organizes the data according to your specifications.

Users have the opportunity to export the query results to a file. If users want
to learn more about a particular row of data, users may click the number in the
Count column to drill down.

The data pulled by the Unprocessed Financial Liability query is based on a


materialized view that, by default, runs every four hours. If you want to run
this view more or less frequently, a system administrator can change the
default.

Navigation
1. Log into 170 MarkView Home.
2. Mouse over the Utilities tab and select the Unprocessed Invoice
query. (Interactive QueriesFinancial AccountingUnprocessed
Invoice)

3. The Unprocessed Invoice Liability query automatically displays at
the top of the screen. Review the information to view the
Outstanding Amount, Distributed Amount and Undistributed
Amount for all unprocessed invoices.

4. After evaluating the above distributed and undistributed data,


select how the aggregate data will display by selecting the column
headings.
a. Select the desired data column heading in the Aggregate by
this First list.
b. If desired, select additional data column heading in the
second, third, fourth. Lists.

NOTE:
It is not necessary to display all information. You may only want
to display three columns such as Workflow Queue,
Organization, and Holds. In this case, you would select the
column headings for the First, Second, and Third Columns.

5. Click Submit to display the query results.

6. The query results are displayed based upon the column headings
selected. Column headings may include Workflow Queue, Type,
Organization, Holds, Source, Status, Work Item Class, Count,
Amount, Distributed Amount, and Undistributed Amount.
7. To output the data into a file such as Excel, click on the Output
to File button located at the
bottom of the search criteria screen.

1. 3 Operational Performance
The Operational Performance queries allow users to assess the efficiency of
individual processes and people. The queries that make up this particular
category are:
User Throughput by Queue query
User Working Folder Detail query
Time to Complete Workflow query

User Throughput by Queue


The User Throughput by Queue query helps to examine an employees
productivity or compare the performance of multiple workers. The query shows
the number of items that a worker or a group of workers processed in a given
time period. In order to run this query, you will be prompted to select the date
range (required), user ID (optional), workflow (optional), and queue (optional)
for which you wish to query.

The User Throughput by Queue query provides a lot of flexibility in that the
query can offer a significant amount of detail, including the total number of
items each user processed, plus the minimum, maximum and average times it
takes a user to process an item.

Navigation
1. Log into 170 MarkView Home.
2. Mouse over the Utilities tab and select the User Throughput by
Queue query. (Interactive QueriesOperational
PerformanceUser Throughput by Queue)

3. Enter the Date Range to search for the productivity of a particular


User ID, Workflow, and/or Queue.
a. Type the dates directly into the between/and fields in the
specified format (DD-MON-YYYY), or
b. Click the to select the dates from a calendar.

4. Enter the User ID, Workflow, and/or Queue for which you would
like to search.
a. Type the User ID, Workflow, and/or Queue in the text field, or

b. Click the List button to select the User ID, Workflow,


and/or Queue from the List of Value field.
5. Click Submit to run the query based on the selected criteria.
6. The query results are displayed and show the User ID, First Name,
Last Name, Workflow, Queue, Items Processed, Minimum Time,
Maximum Time, and Average Time.

User Working Folder Detail


The User Working Folder Detail query allows users to view all the items that are
contained in an individual users Working Folder. This query may help by
determining why invoices are not being processed.

This query provides a display of the contents of a persons particular Working


Folder so documents may be identified and evaluated. It is important to keep
in mind that this will only provide a current snapshot of all items a user is
responsible for.

Navigation
1. Log into 170 MarkView Home.

2. Mouse over the Utilities tab and select the User Working Folder
Detail query. (Interactive QueriesOperational
PerformanceUser Working Folder Detail)

3. Enter the User ID, Work Item Class, and/or Queue that you would
like to see the Working Folder Details for.
a. Type the User ID, Work Item Class, and/or Queue in the text
field, or

b. Click the List button to select the User ID, Workflow,


and/or Queue from the List of Value field.

4. Click Submit to run the query based on the selected criteria.


5. The query results are displayed and show the User ID, First Name,
Last Name, Queue, Item Class, Item Description, Inactivity Time,
Show Document hyperlink which will launch the image in the 170
MarkView Viewer, and Show Details hyperlink which will provide
additional details related to the work item.

Time to Complete Workflow


The Time to Complete Workflow query helps users to view the efficiency with
which items are moving through workflows. You may want to compare the
efficiency of multiple workflows. The required criterion is the completion date
range and the workflow. In turn, the query will return data showing the number
of items processed in each workflow along with the minimum, maximum,

average time it takes to process an item, and elapsed time for a work item to
go from the starting queue to complete.

Navigation
1. Log into 170 MarkView Home.
2. Mouse over the Utilities tab and select the Time to Complete
Workflow query. (Interactive QueriesOperational
PerformanceTime to Complete Workflow)

3. Enter the Completed Date Range to search within a date range for
invoices that have completed a workflow.
a. Type the dates directly into the between/and fields in the
specified format (DD-MON-YYYY), or
b. Click the to select the dates from a calendar.

4. Enter the Workflow which you would like to search.


a. Type the Workflow in the text field, or

b. Click the List button to select the Workflow from the


List of Value field.
5. Click Submit to run the query based on the selected criteria.
6. The query results are displayed and show the Workflow, Items
Processed, Minimum Time, Maximum Time, and Average Tme it
takes to complete the selected workflow.

CHAPTER 2: 170 MarkView Process Monitor
2.1 Features and Navigation
170 MarkView Process Monitor is a highly configurable, real-time monitoring
tool that enables Managers, Administrators, and End Users to view real-time
information about work items and workflows. 170 MarkView Process Monitor
can be used to manage operational efficiency and help identify bottlenecks,
by allowing users to view both graphical displays and work item displays.

Graphical Display of Queue Levels
Graphical displays allow users to view the current status of work items (e.g.
invoices, supplier documents, follow-up documents) in multiple queues across
multiple workflows.

Work items may be monitored graphically, in real time, via the queue level
displays. Each queue is typically represented by a single bar within the queue
level window. Alternately, a single bar may be configured to represent multiple
queues or a subset of the work items in a particular queue. For example, work
item subsets, defined by filters, may be configured to identify high dollar value
invoices, high priority contracts or purchase orders from a specific division.

Real Time Monitoring


170 MarkView Process Monitor monitors work items in real time. The refresh
frequency of the 170 MarkView Process Monitor is configurable by the user and
may range from seconds to hours. The user may refresh the display on demand
via the Refresh Once button or may initiate automated refreshing via the
Monitor Continuously button on the toolbar.

Highly Configurable
170 MarkView Process Monitor allows many configuration options to the user.
The user may select various queues to monitor, select multiple queues to
display in a single queue level bar, and filter work items for display.
Configuration options may be saved and reused.

Drill Down
170 MarkView Process Monitor allows users to drill down from the graphical
display to detailed information on work items in a queue or a specific work
items properties and history. Users may also create a work item display which
allows users to review a spreadsheet-style view of the history and results of
work performed to date within a particular queue.

Security
170 MarkView Process Monitor utilizes role-based security. Users are strictly
limited to monitoring only those queues or filtered queues that they have been
authorized to monitor. 170 MarkView Process Monitor securities are
administered through 170 MarkView Process Administration.

170 MarkView Process Monitor Components


170 MarkView Process Monitor may be launched from 170 MarkView Home. All
of the components of 170 MarkView Process Monitor are contained within the
Internet browsers content pane.

The 170 MarkView Process Monitor graphical header, displayed below, is
displayed at the top of every page within 170 MarkView Process Monitor.

170 MarkView Process Monitor Toolbar


The toolbar appears below the 170 MarkView Process Monitor header. The
toolbar contains tools relevant to the current available actions. The options
present vary from page to page. The standard toolbar displayed on the Queue
Level Display page is displayed below, as an example.

NOTE:
Always use the Toolbar to navigate through the 170 MarkView
Process Monitor screens. Using the Internet browsers back
button to return to a previous screen or the Internet browsers
refresh button to update the current page is not supported

Page Title Bar


The page title bar, displayed below, is displayed on each page directly below
the toolbar. It contains text that describes the page currently being viewed.

About Bar
The About Bar, displayed below, appears along the bottom edge of every 170
MarkView Process Monitor window. The About Bar provides information about
the currently logged on user, the database the user is connected to, and the
application version.

For example, in the image displayed above the user is JSMITH, the database
the user is connected to VIS115.WORLD, and the version of 170 MarkView
Process Monitor being used is 2.7.2.1.

The Queue Level Display Window


The Queue Level Display window depicts a graphical display of the work items
currently present in the queues of the configuration and a legend for the
graph. The number at the top of each bar indicates the number of work items
in each queue.

Each queue is represented by a single colored bar, and the number of items in
each queue is displayed at the top of the bar.

Space permitting, the label for each queue is displayed beneath the graphical
bar. When space does not permit the full label, the label is replaced with the
bars positional number. The legend may be used to determine the bars label
based on the number displayed. Additionally, the bars label is displayed when
the user hovers the cursor over the graphical bar.

Magnification Tools
Users may zoom in and out to maximize and minimize the queue level display
graph via the magnifying glass buttons on the right side of the title bar.

Navigation
1. Click the magnifying glass containing the minus sign to reduce the
graphical display.

2. Click the magnifying glass containing the plus sign to enlarge the
graphical display.

The Queue Items Display Window
The Queue Items Display window displays a list of the work items in a given
queue(s), as displayed below. The Queue Items Display is used to view the
contents of a specific queue from a Queue Level Display, or created to monitor
work items without requiring a bar graph. Users may click on any bar in a
queue level display to show details about the items in that bar in a Queue
Items Display or may create a Queue Items Display.

Detailed information on each work item is displayed in the Queue Items Display
window as described in the table below.

NOTE:
Enter a number in the Work Items per Page field and click the
Apply button to configure the number of Work Items displayed
on each page. If the number of work items you configure does
not fit on one screen, a scroll bar will be present to allow you
to scroll through the items.
The Queue Items Display window may be accessed directly from a
configuration, as described in Chapter 2, or by drilling down on a particular
queue of the Queue Level Display window, as described below.

Navigation
1. To display the Queue Items Display list for a particular queue,
click the bar on the graph depicting the desired queue.
2. The Queue Items Display window will display on your screen.
NOTE:
By default, the work items listed are sorted in ascending order
by Date Received. Click on any of the headers in the view to
sort the work items by the specified header. The header in
which the work items are currently sorted by will display an
arrow button to the right of the header text. Click the arrow
button to modify the sort from ascending to descending and
vice versa.
3. To return to the Queue Level Display window, click the Show
Queue Levels button on the toolbar.

From the Queue Items Display window, you can drill into more detailed
information about each work item by clicking designated icons. Work Item
History allows users to view queue names, user retrieval and actions taken on
work items in each queue. Work Item Properties allow users to view detailed

History Properties 170 MarkView

Work Item History Display


The Work Item History Display window indicates each queue the work item has
transitioned to since it entered the workflow, as shown below. The work items
description and work item number are displayed in the title bar.

The Work Item History Display window may be accessed from the Queue Items
Display window by clicking on the History icon or from the Work Item Property
Display window by clicking on the Work Item History button on the toolbar.

Each line represents one Queue Visit or event.
NOTE:
Enter a number in the Visits per Page field and click the Apply
button to configure the number of Queue Visits displayed on
each page. If the number of visits you configure does not fit on
one screen, a scroll bar will be present to allow you to scroll
through the items.

Detailed information on each item in the history list is displayed as described in


the table below.

was retrieved, or null if it was not

NOTE:
By default, the history detail is sorted in descending order by
the Enqueued date. Click on any of the headers in the view to
sort the history detail by the specified header. The header in
which the history details are currently sorted by will display an
arrow button to the right of the header text. Click the arrow
button to modify the sort from ascending to descending and
vice versa.

Navigation
1. To display the Work Item History window from the Queue Items
Display window, click the History icon for the desired work item.

To display the Work Item History window from the Work Item
Properties Display window, click the Work Item History button on the
toolbar.

2. The Work Item History window will display.

Work Item Property Display


The Work Item Display window displays the Work Item Properties and values
that are defined for the particular work item, including technical details used
primarily by system administrators.

The Work Item Property window may be accessed from the Queue Items Display
window by clicking on the Properties icon or from the Work Item History Display
window by clicking on the Work Item Properties button on the toolbar.

Navigation
1. To display the Work Item Property window from the Queue Items
Display window, click the Properties icon for the desired work
item.

To display the Work Item Property window from the Work Item History
Display window, click the Work Item Properties button in the toolbar.

If the work item has an associated 170 MarkView image, users may display the
image from the Queue Items Display window, the Work Item History window, or
the Work Item Properties window. Users may launch the invoice image in the
170 MarkView Viewer.

Images may be reviewed from any point in the workflow.

Navigation
1. To launch the associated 170 MarkView Image from the Queue
Items Display window, click the 170 MarkView Image icon.

To display the 170 MarkView Image from the Work Item History
display window, or the Work Item History display window, click
the 170 MarkView Document button in the toolbar.

2. The 170 MarkView Viewer will launch the 170 MarkView Document
associated with the work item.
Refreshing the Display Windows
Users may refresh the display windows with real time information by clicking
the Refresh Once button on the toolbar.

Optionally, users may configure the display for continuous monitoring by


clicking the Monitor Continuously button.

Navigation
1. To initiate continuous monitoring, click the Monitor Continuously
button on the toolbar.
NOTE:
The Monitor Continuously button is a toggle button that starts
and stops continuous monitoring. When continuous monitoring
is initiated, the Refresh Once button disappears and the
Monitor Continuously button changes to display Stop
Monitoring. The refresh rate for continuous monitoring is user
defined and set via 170 MarkView Process Monitor General
Preferences.
2. To stop continuous monitoring, click the Stop Monitoring button on
the toolbar.

NOTE:
170 Systems recommends that users stop monitoring
continuously when refreshed data is no longer required to avoid
unnecessary polling of the database.

Multiple Page Displays


When a Display window contains multiple pages, buttons will appear in the title
bar to allow the user to navigate through the pages, as shown below.

Navigation
1. To display the next page of the item list, click the Next Page
button.

2. To display the last page of the item list, click the Last Page
button.

3. To display the previous page of the item list, click the Previous
Page button.

4. To display the first page of the item list, click the First Page
button.

5. To navigate to a particular page number, click the number button


for the desired page.

2.2 Configurations Overview


170 MarkView Process Monitor displays are accessed via Configurations.
Configurations define which queues or work items, from which workflows, are
included in the specified monitor set. Advanced configuration options allow
the user to display work items from multiple queues or subsets of work items
from a particular queue per graphical bar. 170 MarkView Process Monitor
configurations are stored in the database so that they can be accessed from

any client computer. The queues and filters available for monitoring are
controlled by security defined by the 170 MarkView System Administrator.
Queue Level and Queue Items Displays
The Queue Level Display provides a bar graph of aggregate data indicating the
number of work items in a given queue or bar, as shown below.

Queue Items Display provides a list of the work items in the selected queue(s),
as shown below.

NOTE:
Queue Items Display may be created as a configuration or
obtained by drilling down to the detail from a Queue Level

Opening an Existing Monitor Configuration


Once a monitor configuration has been defined and saved, the user may select
the existing configuration from the Configurations list on the Open
Configuration window.

Navigation
1. Log into 170 MarkView Home.
2. Initiate the 170 MarkView Process Monitor by mousing over the
Utilities Tab and selecting Process Monitor.
3. The Open Configuration page will appear. Highlight the desired
configuration from the Configurations list and click the Open
Configuration button beneath the Configurations list.

4. The Queue Level Display window for the selected configuration


will display.

NOTE:
The Open Configuration window is the default screen displayed
upon login when there are existing configurations for the user.
You may also access the Open Configuration window from
either the Queue Level Display or Queue Items Display pages by
clicking the Open Configuration button on the corresponding
toolbar

Creating a New Queue Level Display Configuration
The user may define a new queue level display configuration to view selected
queues within a workflow. Once defined, the queue level display configuration
may be saved for reuse.

Navigation
1. From the 170 MarkView Process Monitor toolbar, click the New
Queue Level Display button to create a Queue Level Display
configuration.

NOTE:
If the New Queue Level Display button is not visible on the
toolbar, you may have to navigate to the Queue Level Display
view. If you are adding a bar, saving a configuration, deleting a
configuration, editing the queue level layout, or editing
general preferences, you will not see the New Queue Level
Display button.

2. On the Queue Configuration: Workflows screen, highlight the


Workflow(s) you wish to monitor, or select All Workflows to
display queues from all the workflows.
3. Click the Select Queues button.
NOTE:
Holding down the Control key on your keyboard allows you to
select multiple workflows.

4. On the Queue Configuration: Queues & Work Item Classes screen,


highlight the Queue(s) and Work Item Class(es) to be monitored
from the lists and click the Show Queue Levels.

NOTE:
Items in the Queues To Monitor list are displayed with the
queue name, followed by a hyphen, followed by the filter
name, followed by the filter parameter. The default filter is
All Items which displays all items in the given queue.

NOTE:
Occasionally, more than one work item class is authorized for a
workflow. It is possible to monitor specific work item classes
from the set of queues being monitored. All Work Item
Classes is the default option so that no work items are
excluded.

5. The Queue Level Display window will display on your screen,


based on your selection in Step 1.

Creating a New Queue Item Display Configuration


The user may define a new queue item display configuration to view selected
work items in a queue. Once defined, the queue item display configuration
may be saved for reuse.

Navigation
From the 170 MarkView Process Monitor toolbar, click the New Queue
Item Display button to create a Queue Item Display configuration
button to create a New Queue Items Display configuration.

NOTE:
If the New Queue Items Display button is not visible on the
toolbar, you may have to navigate to the Queue Item Display
view. If you are adding a bar, saving a configuration, deleting a
configuration, editing the queue level layout, or editing

Modifying an Existing Configuration


Configurations may only be modified by the user(s) granted modify privileges in
the configurations setup.
Add a Bar to an Existing Queue Level Configuration

Navigation
1. On the Queue Level Display window, click the Add Bar button on
the toolbar.

2. The Queue Configuration: Workflows window displays.
3. Highlight the workflow(s) you wish to select queues from and click
the Select Queues button beneath the Workflows to Monitor list.

NOTE:
You should only select one workflow/work item class at a time
or all will be displayed within the same bar.
4. The Queue Configuration: Queue and Work Item Classes window
displays.
5. Highlight the Queue(s) and Work Item Class(es) to be monitored
from the lists and click the Show Queue Levels button.
NOTE:
You should only select one workflow/work item class at a time
or all will be displayed within the same bar.
6. The additional bar containing the workflow(s) and queue(s)
selected will now be included in the Queue Level Display graph.
Edit the Queue Level Layout
Users may re-title the Queue Level Display window, re-label the vertical axis of
the display graph, resize the graph, rename queues/ bars, or delete queues/
bars from the Queue Level Display Window via the Edit Queue Level Layout
feature.

Navigation
1. From the Queue Level Display window, click the Edit Queue Level
Layout button on the toolbar.

2. The Queue Level Layout window will display, as shown below.

3. To change the title of the graph as displayed, over-key the text in
the Graph Title field with the desired title.
4. To change the label of the vertical axis of the graph as displayed,
over-key the text in the Vertical Axis Label field with the desired
label.(e.g. Invoices)
5. To modify the width or height of the graph, select the desired
width and height values from the Graph Width and Graph Height
drop down lists.

NOTE:
Increasing the Graph Width will cause the queue label to
display directly below the queues and decreasing the Graph
Width will show the need for the legend directly below the
queue level display.

6. To re-label any of the queues/ bars, over-key the text in the Bar
Preferences section of the window.
7. To delete a bar from the graph, click to place a check box in the
Delete field of the desired bar.
8. Click the Update Queue Level Layout button to save the
modifications.

Modifying the Bar Configuration
Users may view or modify the configuration of each bar in the Queue Level
Display window. This process may be used to modify the queue represented by
a particular graphical bar or to configure a single graphical bar to represent
work items from multiple queues.

Navigation
1. Click the label for the queue/ bar on the horizontal axis of the
graph or in the legend to display the Queue Configuration:
Queues and Work Item Classes window.

2. Highlight the desired queue(s) to display in this particular bar of


the Queue Level Display graph.
NOTE:
Users may select queue(s) from workflow(s) other than the
workflow of the original queue configuration by clicking the
Select Workflow button on the toolbar, selecting the alternate
workflow(s), and proceeding to the Queue Configuration:
Queues and Work Item Classes window.

3. Click the Show Queue Levels button.

NOTE:
The bar label and legend label does not change when the
configuration of a bar has been modified. Users should modify
the label via the Edit Queue Level Layouts button, described
above, to avoid confusion.

Saving the Display Configurations


Monitor configurations may be saved and reused. Configurations are saved to
the database and may therefore be available from any client computer.

Navigation
1. From the Queue Level Display or Queue Items Display window,
click the Save Configuration button on the toolbar.

2. The Save Configuration screen will display, as shown below.

3. The radio button for Save As New: is selected by default. Accept


this default to save the current configuration as a new
configuration and enter a title for this configuration.

a. To overwrite an existing configuration with the current
configuration, click the radio button for Save As Existing and
select the desired configuration from the drop down list.
NOTE:
Users will only be able to overwrite configurations for which
they were granted permission to modify in the configurations
setup.

4. Enter a Description for this configuration (optional).


5. If you are assigning the configuration to be available for all users
in a specific role, select that role by clicking the drop down
arrows in the Assign to Role section.
6. In the Can Be Opened By section, click the radio button for one of
the following: Public-if you want to make this configuration
available to all users with appropriate security access; Role-if you
want to make this configuration available only to those users
assigned the role selected in the Assign to Role field; or
User(Private)- if you want this configuration to be available only
to the user saving it.
7. In the Can Be Modified section, click the radio button for one of
the following: Public-if you want to make this configuration
available to all users with appropriate security access; Role-if you
want to make this configuration available only to those users
assigned the role selected in the Assign to Role field; or
User(Private)- if you want this configuration to be available only
to the user saving it.
8. Click the Save Configuration button to save the modifications.

Deleting a Display Configuration


Configurations may only be deleted by user(s) granted the modify privilege in
the configurations setup.

Navigation
1. Click the Delete Configuration button.

NOTE:
The Delete Configuration button is available from either the
Queue Level Display or Queue Items Display windows.

2. The Delete Configuration window displays, as shown below.

3. Highlight the configuration you wish to delete from the


Configurations list on the Delete Configuration window.
4. Click the Delete Configuration button.
5. The Are you sure you want to delete: prompt will display on
your screen, as shown below.

6. To confirm deletion of the selected configuration, click the Delete


Configuration button.

2.3 General Preferences
Preferences are used to customize the behavior of 170 MarkView Process
Monitor including refresh rates and date display formats. Preferences are
configured on the General Preferences window in the 170 MarkView Process
Monitor.

The General Preferences window may be accessed from the Queue Level
Display, Queue Items Display, Work Item History and Work Item Properties
windows by clicking the Edit General Preferences button on the toolbar.

Navigation
1. To launch the General Preferences window from the Queue Level
Display, Queue Items Display, Work Item History, or Work Item
Properties windows, click the Edit General Preferences button on
the toolbar.

2. The General Preferences window will display.

3. In the Monitoring Preferences section, enter the hours, minutes
and seconds duration to configure the refresh rate of data when
170 MarkView Process Monitor is in the Monitor Continuously
mode.
4. In the Queue Item Preferences section select a date format mask
from the drop down list to configure the date/ time display
format for work items in the Queue Items Display window.
5. In the Item History Preferences section select a date format mask
from the drop down list to configure the date/ time display
format for entries in the Work Item History display window.
NOTE:
A checkbox in the Display Detailed Item History field will cause
the display of additional columns and detail in the Work Item
History display screen. The most commonly used columns are
displayed without this feature enabled.
6. Click the Update Preferences button.
