How to manage AIESEC

during exams

What happens in AIESEC
During this period most of the
operations in AIESEC halts. Affecting
JUNE JULY our Winter operations as well as a
good start to our Summer operations

REASONS
These are the most common or you
can say the non negotiable factors
Time Travel that stop operation during AIESEC.
Management Exams
Plans These factors cant be blinded and you
cant do much about these factors
apart from working towards
Preparation you need to do before your members head
into exams

We recommend you to prepare your LC to


work during exam/holiday period a week in
advance.
EXAMS

First, very important thing to understand is that out of


the 3 factors TIME MANAGEMENT is a something that
Time
we can teach.

Recommendation to add Time Management session to
your next LCM agenda. Check the resources in the TM
Folder.
REASONS why do we need a WINTER TASK FORCE?
We have responsibility towards our customers.
We have responsibility to all the work that we've done so far to get to where we
are right now
time management can only be taught if you actually have more then one thing that
are important
Personal growth during challenging times will be useful in all aspects of life
afterwards
AIESEC is real- customers are real, if they contact us, if they're already with us, this
shows that they actually do care about their experience and what they are getting
into.
The value delivery part is where the magic of leadership development really begins
To not have our Summer operation timeline be affected due to exam/holiday
period.
We recommend you to have rota*onal winter task force.
(If you dont have members in the LC for that enGre period) However these
tasks force are more to address for winter operaGons and to help them set up
the goal for next semester.
Ways to implement Winter Task Force.
1. Recommend to have a minimum of 3 - 4 people in a group at a time for
the task force.
2. Making sure all the people in the group terminate the task force at the
same time. To avoid issue with tracking.
3. A training/seminar, to set expectations and do training on the portfolio
they are doing for those couple of days.
4. Have a strong and easy tracking system during this period, a way that
the members involved in the task force can update as well as use it for
transition.
Profile Options Team Options
Open to all members who are
available during the period. OR Only Have one team of task force
to current Team Leaders and the Team for both the portfolios OR
Leader applicants for leadership role. Two different set of teams.
(Depends on the EB)
Job Descrip*on (for OGX and Marke*ng)

1. Check EXPA every day to contact opens (mark as contacted, assign EPs and actually
contact them)
2. Make a list of all the available EPs that you have currently in your LC and set
expectations (set expectations on when your exams are, any time that you will be
studying and best method to contact them during this time e.g fb, text messages,
phone calls
3. Have a data of all the IR partners.
4. Follow up on the EPs that are not approved (for winter or summer)
5. Ensure all governance materials are collected as soon as approved (e.g. insurance,
flights, and any logistical or expectation setting needed from the other entity
6. Deliver outgoing preparation for the approved EPs
7. Visa assistance to all approved EPs
8. Tracking and updating the status of all the EPs
9. Work with Marketing to collect and share BA stories through the AIESEC Bucket
List Challenge
10. Having Guerrilla Marketing during exams.

AIESEC during holidays
During holidays, members can give more time to AIESEC compared to the
times during exams just that a lot might be out for holidays.

AIESEC Local Internship program

We recommend to follow the similar structure as that of the Winter


task force. Since, members might not be physically present, AIESEC
Local Internship Program can be application based ( depending on the
EB decision)
