CHAPTER ONE
A.1. INTRODUCTION

Many Hotels are yet to adopt the new system of hotel


management has continue to pose a lot of set backs and
problems to these in the hospitality section, customer
services and other sections in both government and
private hotels.
On the other hand, efforts are made consciously in
designing an economical and management system and
their services.
Nevertheless, a good example of such hotels that is yet to
adopt the automated system is writer I used as my case
study. Details had it that writer suits and hotels has
about 32 to 39 customers (guest) per week and 128 to
156 guest per month.

1.2 BACKGROUND OF THE STUDY

Many hotels in Owerri, guest finds it difficult to see their


facilities and what they have to offer them from other
places in the world. To give them some6thing of a choice,
there should be a wide range of available facilities and
hospitality as possible. In write suites and hotels, the staff
strength is about 35 which is made up of the director the
general. Manager, head of administration and Accounts
and departmental heads etc.

1.3 STATEMENT OF THE STUDY

The existing method of operation in writer suits and hotels


is manual which is impeded by the following problems.
1 The difficult of the inventory keeping ensuring control
and out stock syndrome.
2 The difficulties of keeping financial records and
billings
3 The difficulties of training replacement and substitute
staff.
4 Availability of an organized system and written
procedures (standards) for new employers to follow.
5 Time wasting in both services and office
management.
6 The problem of completing formal documents
properly without transaction errors to ensure prompt
payment and also avoid cash flow problems.
7 The manual system of hotel management involves
the use of receipt for payment of goods bought which
are handwritten, most of which are not properly kept
or accounted for.

1.4 AIM AND OBJECTIVE OF THE STUDY


The aims and objectives of the study include:
1 To study and use advance programming language as
a logical tool for developing hotel management
system and services.
2 To expose the staff and the manager to the
importance of practical experience in large database
system.
3 To make sure of effective analysis, design and
implementation of all necessary modules and
solutions to stated problems in winter suites and
hotels.
4 Studying the existing hotel management system and
service in written suites and hotels and collection of
information on the general problems.
5 To improve and standardize practice planning of
efficient and effective communication skills in the
hotel.
6 To achieve good computing skills for the
management and staff of the hotel.
7 To fully automate the operation of the hotel and
managerial system in the hotel.

The scope of this project is building or designing workable

However, it involves the total automation of managerial
and office system in the use of better management
practices. Thus, this includes the full automation of the
system as only alternative selected; Hence, The project
encompasses all the objectives that would be achieved.
The scope of this research work extends to the range and
details with the total automation of the following.

1.6 SCOPE OF THE STUDY

The scope of this project is building or designing workable


easy to operate and reliable software to winter suites and
Hotels with the available resources.
However, it involves the total automation of managerial
and office system in the use of better management
practice. Thus, this includes the full automation of the
system as only alternative selected. Hence, the project
encompasses all the objectives that would be achieved.
The scope of this research work extends to the range and
details with the total automation of the following:
1 The payroll system in the hotel is also
automated in this work.
2 The automation will also be carried out in the
food and barrages department of the hotel, like
food items record, maintenance and
preservation of food and drinks, inventory
quantity of stock etc.
3 The project is going to automate the
department responsible for billing the customer
in order to facilitate the billing operation in the
hotel.
4 It will deal with the guest management
operations like, the lodging-in of guest and
room reservation and management.
5 The module expected will deal with the
purchase of items, maintenance of stock etc.
the above listed departments in winter suites
and hotel will be automated in this project work
this represent the range in which this work will
cover.

1.7 LIMITATION OF THE STUDY


The limitation of this project includes the difficulties
encountered in getting information and relevant fact about
the existing system from the inquisitive and critical
management and staff in the hotel.
However, the cost of getting information from relevant

automation to managerial and office system in the use of


advance tools and also the use of better management
functions.
Hence, this project covers the technical feasibility,
economies, and political operational feasibilities.

1.8 DEFINITION OF TERMS

HOTEL A hotel is a building where traveler can pay for


lodging, meals and other service is been reduced to its
customers.

DESIGN Design is an act of working out the form of


something by making a sketch outline or plan.

DATABASE Database is an organized body of related


information for use.

IMPLEMENTATION Implementation is the act of providing a


practical means for accomplishing a task.

DATABASE MANAGEMENT SYSTEM (DBMS) This is a


software that allows users to store modify or extract
information from a database. It manages the database on a
computer by updating of data in a computer system. It
provides access to the database.
DATA Data is a term to disable facts or it is a collection of
facts, numbers, letters and symbols. Data can also be seen as
anything in a form suitable for use with a computer.

DATABASE SYSTEM This is a system to achieve an


organized, store a large number of dynamical associated data,
facilitate for multi-user accessing to computer hardware,
software and data, that it is a computer system with database
technology.

RECORD This is a collection of related fields of information, it


consist of data relating to a field within a table that are
relevant to a specific entity.

FILE A file is a collection of data of any form which is stored


beyond the time of execution of single job. It can also be seen
or define as a collection of record with similar characteristics.

APPLICATION Application is a program that tells the


computer how to accept instruction from the user and how to
produce information in response to those instructions.

APPLICATION DEVEPOLMENT This is the process of using


a programming language or development to build software
application.

PROGRAM - A program is a sequence of instruction given to


computer to solve a particular problem. A program must have
a characteristic of being precise, correct clear and terminating.

AUTOMATION - This is a design of an object to work in an


effortless manner with high speed without human intervention.
It can also be defined as an act of practice of using machine
that need little or no human control or effort, especially in
some work places.

OUTPUT - This is the result generated after the processing of


imported data. An output is the real information.

INPUT - This is an operation or program of transferring data to


or from a computer system.
