1. INTRODUCTION
Counselling Service is dedicated towards the welfare of the student society, by providing
emotional, academic and financial assistance and sensitizing the campus community
towards key campus issues. This report lists out various activities and initiatives that the
Counselling Service undertook in the Year 2014-2015.

In this report we list out how the objectives of the Counselling Service are achieved by the
professional and the students wings who work hand in hand to organize various activities.
Apart from individual sessions of counsellors with the students, many other activities like
hostel visits by the counsellors and the head, group sessions on key campus issue like
internship guidance, faculty-student interactions etc. were conducted.

The report also highlights the role counselling service plays in organizing the orientation
programme which is aimed at making the transition of the new students into IIT Kanpur
smoother.

Details of the academic help provided by the counselling service and other initiatives such as
English conversation classes are also presented in the report.

2. ORGANISATION OF COUNSELLING SERVICE

2.1 TEAM STRUCTURE

Counselling service consists of a professional and a student wing. The professional wing has
a team of trained counsellors and psychiatrists. The student wing comprises of dedicated
student volunteers. Apart from these, several faculty members also help the counselling
service.

Their activities include taking individual counselling sessions, hostel visits, coordinating
with the student wing, conducting workshops, and planning activities of the counselling
service.

They also provide an interface with the psychiatrists and Health Centre. The counselling
sessions are taken only by the counsellors. At least one of the counsellors is always
available on campus round the clock.

b) Psychiatrists

The counselling service also has the support of two psychiatrists, Dr. Alok Bajpai and
Dr. Sanjay Mahendru. Dr. Bajpai is an alumnus of NIMHANS and Dr. Mahendru has got
his MD in psychiatry from KGMC, Lucknow. Both the doctors practice in Kanpur city.

B. STUDENT MEMBERS

a) UG Core Team:

The undergraduate Core Team comprises of 4 Coordinators and under them are the
Academics Team, Guidance Team and the Operations Team. They act as a link between
the counsellors and the students and help in the general welfare of the community. This
team structure has been implemented for the first time.

Roles of the various student positions in the service :

i. Academics Team- This team shall be responsible for providing academic help
to students from different batches through remedial classes and individual
mentoring. The core team members from this team shall be responsible for
scheduling and taking classes, ensuring their effectiveness and smooth
conduction, grooming and monitoring academic mentors through the new
online academic portal.

ii. Guidance Team- Motivating students on probation/warning or any student


facing emotional distress and personally mentoring and guiding them towards
progress. Each member of this team would be responsible for a set of
counselees and would track and report their progress to the counsellors.

iii. Operations Team- Core team members of this team shall be responsible for
the planning and conduction of activities and sessions such as the orientation
programme, english conversation classes, workshops and events conducted
throughout the year. They shall also be responsible for the upkeep and
management of the website, facebook page and other server based services
and portals, managing the counselling office, managing the team of student
guides and maintaining their own presence and approachability among
students of their hostels.

Student Guides- Student Guides are 2nd year UG students who form an
integral part of the Counselling Service. Beginning with the Orientation
Programme, their initial task is to help the new students adapt to an entirely
new life at I.I.T Kanpur. They are expected to work with full dedication and
sincerity in guiding the junior. A student guide is assigned about 6-9 first year
students as his/her counselees. It is to be noted that the role of a Student
guide is not just limited to the Orientation Period. Student Guides who are in
principle both a friend and a senior to their counselees have been often found
to have a strong and long lasting relationship with them.

Academic Mentors- Academic Mentors are second year undergraduate


students who are required to provide academic support to the first year
undergraduate students in their courses. Remedial Classes are organized at the
Institute Level for academically deficient students which are taken by the
academic mentors. Academic Mentors also provide individual mentoring to
students who are not able to comprehend easily at the Institute level remedial
classes.

b) PG Core Team:

The post graduate (PG) team consists of 9 core team members. The main objectives
include planning of activities for the PG students, provide academic help, and act as an
interface between the counsellors and the PG students.

2.2 TEAM SELECTION

Counselling service has a large team of around 200 students PGs and UGs both inclusive.
The UG core team comprises of operations, academics and guidance core team members.
These 3rd year students who are selected after several round of interviews taken jointly by
professors,institute counsellors and previous year team members. Students Guides (SGs)
and Academic mentors (AMs) also play pivotal role in ensuring Counselling service realizes
its main motive. They are basically 2nd year students who are selected after interviews that
is taken by professors and senior team members. They are selected for the role of student
guides and academic mentors based on criteria that is decided by the panelists and
counselling service core team. This year around 550 students applied for the post of SGs and
AMs and the interviews were organized in the month of march which spanned one week.

3. COUNSELLING AND PSYCHOTHERAPY

Students generally drop by on their own to meet the counsellors or are referred to the
Counselling Service by their friends, faculty members, psychiatrists or the doctors at the
Health Centre. The counsellor works with the student to assess the seriousness of the
situation and the most effective way of treatment.

3.1 Individual Counselling and Psychotherapy Sessions

These are individual sessions for about 45 minutes to 1 hour each. It often requires more
than a session as recovery is mostly gradual. The total number of sessions required is
decided by the counsellor in association with the student. Students with academic difficulty
are also encouraged to meet the counsellor for individual sessions.The no of counselling
sessions is usually a little less during the vacation period and slightly increases during the
examinations.

3.2 Referral to another provider

In cases where psychiatric intervention is required, the counsellors refer the students to the
Institute psychiatrists. Then the treatment procedure would involve consulting the
psychiatrist as well as follow up sessions with the counsellors.

Psychiatrists visit the campus around four times per semester days and whenever there is
an emergency, the student is directly sent to the psychiatrists clinic, along with some
student volunteer. All the activities related to a psychiatrists visit are coordinated by the
Counselling Service.

It is important to reiterate that only the professionally trained counsellors conduct the
individual counselling sessions. The information about the students visiting the counsellors
is kept completely confidential. This information is not shared with either the student
volunteers of the counselling service or the faculty members associated with the counselling
service.

3.3 Relaxation Therapy:

Along with one-to-one session with the counsellors, relaxation therapy is provided to
students if required. Relaxation therapy helps the students to relieve stress, control anxiety
symptoms, improve sleep, concentration, and to have a better quality of life in general. By
using relaxation therapy, it is possible to improve health, build up resistance to stress, cope
with change, and improve quality of life overall. In relaxation, we try to relax both mind and
the body.

4. HOSTEL VISITS

All counsellors along with the Head of counselling service visit the hostels during the
evening hours. The objective of these visits is to talk to the students on various issues in an
informal atmosphere. The student volunteers inform the residents about these visits in
advance. Usually the team spends about an hour or so in each of the hostels.

In general from PG hostels the attendance used to be low on an average around 30


students. However, in the U.G hostels, almost all the first year students attended these
sessions.

5. SESSIONS AND WORKSHOPS

Counselling Service also organized a number of sessions and workshops aimed at sensitizing
the campus community on issues related to mental health and emotional quotient. Sessions
aimed at promoting student welfare were also conducted.

5.1 World Suicide Prevention Day

World Suicide Prevention Day is an awareness day


observed on 10 September every year. World Suicide
prevention day was organised by counselling service in
association with Techkritis I am strong campaign on
the theme One world connected to sensitize the
campus community about the issue of suicide.
Dr Vikram Singh, former DGP, U.P. gave an inspirational
talk and also told anectodes from his life where he has
saved people from committing suicides. The evening
also witnessed sand art performance from institute fine
arts club that paid tribute to the hollywood legend
Robin Williams. Counselling service also launched
AnFReS ("ANONYMOUS FEEDBACK AND REFERRAL
SYSTEM) which was a small step aimed at providing
campus community with a platform where everyone
can help their friends in need by sharing valuable
feedback accessible only to the counsellors.

5.2 ESO/SO Awareness Session

ESO/SO session was organized primarily to guide the first year students who are going to
take ESOs and SOs for the first time. Information regarding the course content of different
courses were provided by the seniors who have taken that course earlier so that the
students can choose the courses wisely. Information regarding how to add courses using
OARS was also provided. Videos for the same were also prepared. It was held before the
pre-registration in both the semesters.

5.3 Internship Opportunities- Intern Gyan

Counselling service organised intern gyaan sessions for the 2nd and 3rd year students.
Intern Gyaan session for the third yearites was conducted department wise where seniors
shared their internship experiences in various sectors and also told the students how to
prepare for different companies and programmes.The session was conducted within a span
of a week in the starting of the semester. Followed by this session, internship experience of
all the seniors and their details were also shared with the students. The session was aimed
at addressing the concerns and misconceptions of the Y12 batch regarding internships and
to disseminate correct information. At a time when the pressure of getting an intern was
rising high, this session was aimed at helping them decide where and how to apply.

With the timing of the session being such when endless queries and apprehensions
regarding internships occupied the minds of the entire batch, the response was great.
Almost eighty per cent of the students from various departments attended the session. Be it
those who were interested in a research based internship, or those interested in applying in
industries, almost everyone had something to take back from the session

Intern Gyaan for 2nd yearites was conducted to enlighten the students about different
opportunities they have for their summers. Seniors told them about various programmes
that are available for the 2nd yearites and their internship experience. The session saw a
huge participation from the campus community.

Seniors who had done intern after 2nd year were invited to share their experiences. At the
same time other issues like importance of academics, soft skills etc. were addressed to
encourage them start preparing for their career. A repository containing name and other
details of seniors, who had done intern after their second year was mailed to give them
wider idea of opportunities that they could avail.

5.4 Know Your Department

Counselling service organized Know Your Department


session for the first year students. The session was
organized department wise spanning across an entire
week. The session was meant to give the first year
students glimpse of different departments. It covered
various topics ranging from courses to future prospects. It
was taken by fourth and fifth year students who have
excelled in their fields. The session was interactive and the
students asked several questions. The session saw huge
participation from the students.

5.5 Session with Seniors

The Counselling Service organised this session targeted towards first year students. The
session was conducted in all Undergraduate Halls of Residence. In every hall, six 4th year
Undergraduate Students who have shown excellence across their respective fields, were
invited to speak about their journey and interact with the first year students. The number of
students attending this session varied between 150-180 in each of the halls.
The session was conducted in both the semesters.

In the first semester, the session aimed at being a platform


for 1st year students to get to interact with senior students
from fourth year. Topics of discussion encompassed
important topics like developing overall personality, the
importance of academics, communication skills,
maintaining balance between academic and non-academic
activities etc.
This was more of an interactive session rather than being a
talk. A lot of students used this as a platform to get their
doubts about certain issues resolved. A lot of myths that
are generally existing in the minds of the first year students
were busted here.
In the second semester, the session aimed at informing the
students about utilising the upcoming summers, responsibilites as a senior, sharing their
experiences and improving upon the mistakes done in the first semester.
All the students found this session very helpful and were of the opinion that a lot of their
preconceived notions about life in IITK were busted and/or transformed.

5.6 Zumba

This was introduced for the first time year as a fun activity to break down inhibitions and
enjoy while dancing on random steps on a upbeat music. The session was a major stress
buster. It was highly appreciated by the students.

5.7 Session on Study Techniques

This year Counselling Service organized a session on study


techniques to help students who face academic difficulties
due to improper methods of studying. The session saw
huge attendance with a total of about 150 students
attending the session. The session included methods of
retaining better in lectures using psychological
techniques, tips on maintaining better organized notes,
techniques on memorizing before exams, etc. Some
students who had done well in academics shared their
experiences in the session and gave the students general
advice on how to perform better.

5.8 Session on general psychology- Connecting the dots

A session by the new counsellors Ms Uttara Chari and Mr Shoukath Ali was organised. It
covered topics about general psychology of a teenager student. Both the counsellors via
means of activities performed on the audience, showed us generic trends that exists in a
student.
They also spoke about the symptoms and signs shown by people who are facing stress or
some kind of issue in life. It was attended by about 30 people.

5.9 Student Guide Sensitization Session

Counselling service organized sensitization session for the student guides to keep the SGs
informed about the issues that students generally face and also acquaint them to the
various ways in which they can handle those issues. This session was organized for the first
time.
It was held mid way into the semester and was meant to take feedback from the SGs about
their counselees.The session was taken by the institute counsellors and the main emphasis
was again to discover the issues that a student faces once he/she has spent a considerable
amount of time.

6. ENGLISH CONVERSATION CLASSES

The Counselling Service organized English


Conversation Classes (ECC) for the students
who face difficulty in understanding and
communicating in English. These classes
were conducted in first semester of the
2014-15 academic year. There was a trial
class organized for students to get
acquainted with the contents and goals of
ECC before they registered.
English Conversation Classes were conducted
by Mrs. Deepika Munjal and Ms. Angana
Sengupta.
After the trial class a basic English Diagnostic Test was taken. Based on their marks in the
test the students were divided into Basic and Advanced tracks. The Basic track focused
mainly on improving the basic grammar of the students. The advanced track was meant for
students with some background of English dealt with the aspects of communication and
conversation. Besides covering basic grammar and some other general rules of the
language, these classes also included many interactive sessions, group discussions, plays etc.
so that the students feel more confident about interacting in English.
At the time of registration, 218 students enrolled for the classes. With 70 students in the
basic track and 148 in the advanced track. The advanced track was further divided into two
sections, one taken by Mrs. Deepika Munjal and the other by Ms Angana. The basic track
was also taken by Mrs.Deepika.
One of the major issues with these classes was the dismal attendance during the second half
of the semester (after the mid-semester recess). Some students felt that the duration of
these classes was long and they were unable to pay attention for the entire 90 minutes.
Some others felt that the size of the batches should be smaller and individual attention
must be paid to every student.

7. SKILL ENHANCEMENT CLASSES

In the summers, Skill Enhancement Classes


were introduced. These classes were
essentially interaction sessions aimed at
improving basic communication and
presentation skills of the students.To achieve
this purpose certain confidence boosters
were organized which involved the
participants to speak up on some topic.
Presentation skills were honed by having
mock presentations and discussions on the
same. To help students open up in a new
environment, group activities involving speaking and comprehension were organized. The
classes were organized for about a month and saw a participation of about 30 regular
students.

8. ORIENTATION PROGRAMME

Each year, an Orientation Programme is organized for the freshmen before the start of the
session to acquaint them with the facilities, services, personnel, rules and regulations of the
institute. The Student Guides, the student volunteers attached to the Counselling Service,
help the newcomers acclimatize and settle in the new environment. The students are also
introduced to the Institute Counsellors, whom they can approach later whenever they are
faced with any issues. This year a Pre Orientation Programme was also organised which was
optional for the students.

PRE ORIENTATION PROGRAMME

Purpose:
A 3 day Pre-Orientation programme was introduced for the very first time this year to
acclimatize the freshmen in the new and alien environment of IIT simultaneously making
them learn skills that can help them in their future endeavours. In the pre orientation

programme various sessions and workshops were organized for both freshmen and their
parents. Accomodation was also arranged by the institute for these 3 days.

Main Activities:

1. Aerotrix Workshop: Applying the theoretical knowledge to the practical world and
understanding the Aerotrix organised their lectures and workshops on aeromodelling.
The students were taught how to make model planes using Balsa wood and styrofoam.

2. English Classes(British Council) - These classes were organised by the British Council
focussing on students not proficient in the English Language and who may face problems in
comprehending lectures. The classes focussed on basic grammar and comprehension so
that students are at a minimal level of understanding, helpful to grasp the lectures and
reference material.

3. Joyrides: The IITK campus boasts of being the only academic institute in the country with
a 1 km long airstrip. To give the students and parents a feel of this; a 15 minute tour of
Kanpur city in the aircraft owned by IITK was arranged.

4. Session with Professors for Parents- In order to acclimatize the students and parents
with the academic structure followed here and the varied opportunities available to them in
the field of academics, this session was organised where parents and students were able to
interact with the faculty of the institute. The professors tried to clear the apprehensions
that the parents and the students had and they also told them about the immense inter
disciplinary freedom available to them.

5. Informal Session with CS of parents

6. Campus Tours for both parents and students- Campus tour was organised for parents as
well as the students where they were made to visit the Airstrip, Open Air Theatre, Shopping
Center etc. They were also shown the sports facilities available here.

ORIENTATION PROGRAMME

The students were addressed by the Director, Deputy Director, Dean of Students Affairs,
Dean of Academic Affairs, Head, Counselling Service and the Student Gymkhana Executives.
These sessions were separately held for the incoming UG and PG students.

The Counselling Service in coordination with the office staff took care of all the admission
related procedures of the incoming students. These include activities such as Bank Account
Opening, CPA (Compulsory Physical Activity) allotment, Medical Checkup, ID card making,
CC login, PI form filling, Fee Submission and Academic Registration.

SESSIONS AND ACTIVITIES:

1. Explore and Gymkhana Presentations:


To familiarize the students with various laboratories and facilities of the campus, a bus tour
was organized. Various clubs enlisted under the Student Gymkhana Councils made their
presentations to the students to expose them to the plethora of extra-curricular
opportunities that lie ahead of them. Apart from this art exhibition and SnT Pavillion was
also organised to showcase the different opportunities available to the students.

2. Joy of Science:
This session was organized with the objective of demonstrating practical aspects of basic
science concepts learned by the students during their JEE preparation. These experiments
have been designed by Dr. H C Verma, Professor, Dept. of Physics. The students were able
to relate the theoretical concepts of physics with the experiments , and was appreciated by
everyone.

3. Art Exhibition

4. Bond and Connect, Dilemmas to Decision, Communication Core


Group Activities were organised aimed at improving the communication skills and inculcate
qualities of team bonding and effective decision making. These activities were taken by two
professional behavioural consultants.
a) Bond And Connect: Team Activity which will demonstrate the qualities of winning
teams and skill and attitude of an effective team player.
b) Dilemmas to Decision:Team Activity to understand the decision making process
c) Communication Core: Group Activity to demonstrate the importance of effective
communication and understand the reason for communication gaps

5. Skyphoto:
A collective photo of the entire incoming batch during the Orientation was taken by aligning
the students in the required formation to form the figure of Y14. In the end it was a
success and the photograph stays a highlight of the Orientation 14.Since the Orientation
period is a time all the students remember as one of the highlighting experiences of their
stay on campus, we decided to capture it, its importance lying in the fact that getting
together the entire batch together for a photo would probably never be possible again.

6. SnT Pavillion

7. Zumba Session:
This was introduced for the first time in the Orientation Programme this year as a fun
activity to break down inhibitions and enjoy while dancing on random steps on a loud music.
The session was a major stress buster. It was highly appreciated by the students and was
rated as best activity in the orientation program.

8. Session with Sports Coaches-


In this session first year students were addressed by various coaches of different sports who
spoke about the different opportunities available to them here. This session was held for
the first time with the motive to give the first yearites unbiased information about different
choices available to them in CPA. The coaches enthusiastically interacted with them and
motivated them to explore their talents in the field of sports.

9. Session with Counsellors (Accosting Transition)

A session with the counselors of about 2 hours duration was organized as a part of the
Orientation Programme 2014 for the new undergraduate students. The primary objective of
the session was to introduce the new students to the counselors, so that the counselors
become more approachable during the semester.
The counsellors mainly talked about the various challenges and issues that students
generally face once they come to IIT Kanpur. They also emphasized that they should keep in
mind that each one of them was unique and should learn to make their decisions
independently depending on their own interests and not by hearsay.

10. Technical Education- An IITK Perspective


A talk was delivered by Prof. Asok Mallik, former Professor, Department of Mechanical
Engineering, IIT Kanpur emphasizing the current state of technical education in our country
and the importance of being exposed to various fields for a first yearite.

11. Inter wing sports Activities:


The orientation program mainly has sessions and lectures which can be extremely
exhausting both mentally and physically. To counter that and promote interaction between
the students hall level activities were organised like inter wing sport competition and
photography competition.

12. Session with coaches:


A session with institute coaches was organised so as to emphasis on the importance of
physical activity required in students life. They also informed the students about various
CPA (Compulsory Physical Activities) they can opt for in their first year.

13. Session with professors:


To provide the students with the perspective of a professor on how they should go about
their 4 years at IITK, and their approach towards academics and extracurriculars, we invited
professors like Prof. Suchitra Mathur, Prof. A. K. Ghosh, Prof. Sudhir Mishra and Prof. Sanjay
Mittal. The professors answered the queries of students and guided them the way to extract
best out of their 4 years at IITK.

14. Cognizance- Social Awareness Session:


Gender sensitization along with mutual respect and understanding of other gender is an
essential component of ones social life. Awareness on resource wastage specifically food
wastage is something which is of prime importance at a place like IITK where the students
enjoy minimal supervision and maximal freedom. To press on these issues, a social
awareness session was conceptualised employing day to day examples, statistics and
thought provoking documentaries. The session was conducted by the present and previous
Core Team members of the Counselling Service. The session was very well received by the
incoming batch.

15. HOD Meeting:


Session with the HODs- To introduce the students to their respective departments, a session
with the Heads of the Departments was also held. This session was useful to in clarifying the
doubts of the students with reference to the opportunities and choices available to them.

16. Informal Session with CS:


Towards the end of 10 day Orientation Program, an informal session with the core team
members of CS was organised so as to provide the students a sense of assurance and
answer their doubts and queries for their first year at IITK. Students shared their
appreciation and criticism on the Orientation Program and the session marked the end of
the Orientation Program 2014 on a very high note.

17. Alumni Talk


With the idea to motivate the students to lead their lives in the campus successfully, the
Service organized a session by an alumnus of the Institute, Mr.Pramod Joshi, who has an
accumulated experience in people assessment through behavioral techniques and is also a
popular speaker at various seminars. The session focused mainly on advising the students
about the things to do and not to during their four years.

HALL AND ROOM ALLOCATION

The sole criteria for distribution of students in halls and wings was that it should be as
uniform and unbiased as possible. Any possibility of a formation of a regional group
amongst students was tried to be done away with. For instance, it was tried that every wing
has people from different backgrounds, departments, regions etc.

Once the Hall Allocation policy is decided by the Students Senate, it is sent to all the
hostels with a break-up of number of students. The volunteers of Counselling Service get
the list of rooms to be allotted to the incoming students from respective hall offices for each
hostel. Any mismatch among the two is resolved with the help of President, Students
Gymkhana and Hall Executive Committees.
Next the volunteers get the number of students offered the admission from the office of
DOAA .The hall allocation from previous year is compared with regard to:
How many students actually reported
Which department went to which hall
Based on this data, a certain amount of attrition for each department is assumed. Then the
halls are allotted department-wise, we over allot without considering this attrition. (No
specific rooms are allotted to the students) by keeping following points in mind:
Immediate seniors and juniors not in same hall.
If any department has a majority, it is split into specializations and then hall is allotted.
Main work is to assume the attrition well and usually over allotment by 10-20% for
every hall is done.

PROGRAMME FOR PARENTS-

We understand that the parents mind are filled with umpteen number of apprehensions
related to the student life at IITK. In order to address them, the Parents were addressed by
the Director, the Dean of Students Affairs and the Head, Counselling Service. The parents,
their students and the respective Faculty Guardians also got a chance to interact with each
other during the High Tea Session organized on the first day of the Orientation Programme.
An interactive session with the Institute Psychiatrist, Dr. Alok Bajpai was also organized in
the evening of the first day of the Orientation Programme. Doubts at a personal level were
discussed in this session. The main purpose of all such activities was to sensitize the parents
with various issues that their ward might face in the competitive environment of IITK and
how to tackle them. A pamphlet titled, A word to Parents was given to the parents in order
to give them some more insight about the life of students at IITK. This pamphlet was
published in both Hindi and English languages.
The results and analysis of the students survey conducted on the first day of the Orientation
were also discussed in this session. The survey was used to clarify many of the preconceived
notions and biases of the new students about life and academics at IITK. The counselors
further emphasized the fact that the students could always feel free to contact the
Counselling Service in case they are in need of any kind of help. In all, the session served
very well as a medium to break the ice between the students and counselors due to the
interactive nature of the session.
It has been seen that, in general, the incoming students since the last three years are much
more open and feel more comfortable approaching the counselors compared to previous
batches.

STUDENT GUIDE WORKSHOP

The Student
Guides are an
integral part of
Counselling
Service and have
a major role in
assisting the
incoming
students. The
workshop was
aimed at
sensitizing the
the Student
Guides towards
their
responsibilities and instructing them on dealing with the various situations that may arise.
The workshop also incorporated a panel discussion involving Faculty members on the
Student- Faculty Guide relationship. Besides, they were also trained to do certain activities
that they would be required to do during the orientation program and post-orientation
time. These activities included Computer Center Login, Personal Information form, setting
up a desk at railway station, etc. The Student Guides were also introduced to the spectrum
of activities that the Counselling Service organizes.
The session included the following parts:
i) Opening address by the Dean of Student Affairs and The Head, Counselling Service
The SG workshop started with a formal welcome by the Dean of Student Affairs where he
motivated the Student Guides and highlighted the importance of their position.
ii) A session on sensitizing student guides
The session was taken by the Institute counsellor Mrs.Sharmishtha Chakraborty and it was
specifically aimed at sensitizing them by taking examples of the most common problems
that are experienced by the freshmen. Through a discussion, Student Guides were
introduced to different solutions that could be possible for those problems. The counsellor
further tried to make them understand the different effects that their action could have on
the freshmen. They were also introduced to the working of the counsellors.
Here, they are instructed to report to the counsellors whenever they find any of their
counsellee in any kind of academic, emotional or personal problems while maintaining strict
confidentiality.

iii)Session by the Counselling Service Core Team


This session was taken collectively by the Assistant Coordinators. First, the Student Guides
were introduced to the work and they were briefed about different activities of the
Counselling Service. The activities related to the Orientation were explained in detail and
the job allotment was done amongst the Student Guides. These jobs include duties at the
Computer Center for ID Card Making, Railway Station Desk Duties, escorting freshmen to lab
tours, institute tours and for registration of the freshmen. Also, the Student Guides are
given instructions for filling up of the different forms for the freshmen. Their responsibilities
regarding them being a link between the Faculty Guardian and the counsellee was also
stressed upon.

BROCHURE DESIGNING

The team designed a brochure and compiled all the information which the parents and
students needed to know before coming to the institute. As the brochure is part of the first
set of documents being sent to the students, it had to be designed carefully in order to
reflect the pride and honor associated with the institute and raise the spirits of the
freshmen.

PARENTS AND STUDENT SURVEY

In order to get some idea about the expectations, aims and perceptions of the parents and
the students about life at IITK, a survey was conducted during the Orientation Programme.
It has been observed that unreal/misguided expectations/ideas are often a cause of stress
and so this survey could possibly give us an insight into the issue. The results from these
were to be used in Parents' Session with the Counselling Service and Students session with
the Institute Counsellors during the Orientation
This was conducted as soon as the students and their parents arrived at the hostels. Student
guides conducted the parents survey while their wards were going through the registration
process in the hall office. Along with the registration process the students were also
required to fill the students survey. A total of 23 questions were asked to the parents
related to their wards stay at IIT Kanpur. There were a total of 639 responses. Various
results helped us to understand the parents expectations better.
Similarly, 18 questions were also asked to the students. In total, 757 students responded to
the questionnaire. This gave us an opportunity to understand the views of the students and
compare them with the expectations of their parents. A complete analysis of the summary
of responses by the Parents and Students Survey is given below-

ORIENTATION FEEDBACK

At the end of the Orientation, a feedback was collected from all the students regarding the
events conducted at the Orientation, the behavior of their respective student guides, issues
they faced in the first week and things that could be improved on for the next Orientation.
A session was held in absence of the student guides and a lot of issues were discussed.
Along with that, all the students filled in a survey asking them to rate their student guides
and the events conducted. An elaborate analysis of the data was done especially regarding

the events that were conducted on a hall level basis in order to conclude what events
turned out to be more successful.

9. FINANCIAL ASSISTANCE- STUDENT BENOVALENT FUND

Institute grants scholarship to students requiring financial assistance through STUDENTS


BENEVOLENCE FUND. This is for students who demonstrate financial need, but could not
aquire finance from the institute or any other means. Students who apply for the same are
interviewed by a panel consisting of a faculty member and a senior CS core team member
and the eligible students are selected. Apart from this, SBF Loans are also given to those
who still are in dire need.
Interviews were conducted for 4 days. There were faculty members who joined as panellist
members. The interviews were held in Tutorial Block and were taken by the professors and
the PG Core Team Members.

SBF results were declared on 26th March 2015 . 77 people were selected. All the students
were awarded Rs 13500.

10. ACADEMIC ASSISTANCE

10.1 Remedial Classes

The Counselling Service organized remedial classes in the Lecture Hall complex in the
weekends in the first semester. These classes were mainly meant for the students who were
having problems in the subject. The classes were of basic level and helped students get a
better idea of the subject.
These classes were taken by the Academic Mentors, who had already revised some specific
parts of the courses assigned to them and prepared lectures and other material thoroughly
before the classes began. There were about 8-12 academic mentors for each of the courses.
They were allotted some specific chapters/portions of the course based on their preference
which they had to prepare.
The classes were organized for almost all the first-year courses (MTH101, PHY102, PHY103,
ESC101, and LIF101). Since the classes were held by second-year students only, they were
expected to be very interactive and a lot of focus was given on clarifying the doubts and
difficulties in specific topics that the first year students faced.

In the second semester the classes were held only for the AP/ Warnings students to focus
on them and they can come of probation.

Hall level Doubt Solving Sessions are organized in various halls of residence taken by
Academic Mentors wherein all the academic mentors of the hall (of all the courses) would
be present and the students could come and get their doubts clarified. This is open for all
students (not restricted to academically deficient students).

10.2 One to one mentoring

Apart from the remedial classes being held in the Lecture hall, one to one mentoring was
done to the students having great difficulty in understanding the subject. Personal mentors
were assigned to these students and a check was kept on the Academic Mentors so as to
ensure that the academically weak student is getting help from the Academic mentor.

11. INITIATIVES

11. 1 New Team Structure

Being an organization aimed at achieving mental and social well-being for the campus
community at IIT Kanpur, it is indispensable for Counselling Service to have as many helping
hands as it can in its endeavours. Thus, since its inception, Counselling Service has always
taken steps to involve as many students in its activities as possible. In order to work towards
achieving this ideal, CS carried out a change in its structure in order to function more
efficiently and inclusively.

In the new team structure, the core team comprises sub-teams that are responsible for the
different facets of our work, namely academic help, mentoring and counselling students,
scheduling and organizing various activities and sessions. The different teams work in
coordination under the guidance of mentors from the previous team .

11.2 Pre Orientation Programme

A 3 day Pre orientation programme was introduced for the very first time this year to
acclimatize the freshmen in the new and alien environment of IIT simultaneously making
them learn skills that can help them in their future endeavours. In the pre orientation
programme various sessions and workshops were organized for both freshmen and their
parents. Accomodation was also arranged by the institute for these 3 days.

11.4 Anonymous Feedback and Referral System

Built using the Google Docs API the anonymous feedback and referral system aims to
provide a hassle free way for someone to express their concern about a student directly to
the counsellors. It is highly confidential and only the counsellors can acces the repsonses.

11.5 AM Portal

To facilitate academic monitoring of AP/Warning students and organize different resources


made available to them by the CS Academic Team, we have conceptualised and created an

Academic Mentor Portal. It is also intended to aid in managing remedial class attendance
records, storage of the sample quizzes and other such functionalities meant to ease the
entire academic mentoring process.

11.6 Titanium Software

The CS has procured license for an electronic medical records (EMR) system called Titanium
schedule. It automates and digitizes most of the paperwork done by the counsellors and
bookkeeping done by the office staff. All student entries and session records are securely
stored at a central server. The software allows efficient indexing and retrieval of records and
ensures security of sensitive data. It also gives a diagnosis of probable health concerns in a
student by analysing the symptoms shown by a student using the latest DSM-IV codes along
with helping the counsellors stay in sync with the information pertaining to any student
even when they are not present in the campus.

11.7Website Revamping

The CS website was redesigned this year with the motive of providing more information and
increasing our reach via a modern looking frontend. The site seeks to provide a fast, fluid
and user friendly interface to provide information about the work of CS. We have tried to
pull all things relevant to CS work and student life into a single online resource.

The CS website becomes the primary portal for information during the orientation. All
necessary documents, forms and information is put on the website during the JEE
Counselling period for easy access. Also relevant content from sessions and workshops
throughtout the year is made available online through the website.
The website was made from scratch keeping in mind the vast multitude of form factors that
modern devices, specifically smartphones present. The website was made with a layout that
responded to the platform it was being viewed on so that the viewer gets a better
experience.

12.FUTURE ENDEAVOURS

Collaborating with NGOs for interns

Over the years, students have shown a greater inclination towards internships during the
summers. CS plans to collaborate with some NGOs to provide internships to students. The
focus of this initiative is to open students to humanitarian efforts as viable career options as
well as good utilization of their vacations.

CoRe

Course review was a student initiative to provide create an openly accessible course review
platform for the IITK students. It allows students to review courses that they have taken up
and makes it available to other students registered on the forum. Any student can access

the web platform from the local IITK network. CS plans to integrate the CoRe website in its
own domain and make further improvements and tweak to it.
