Internship Policy

OBJECTIVE
The objectives of the Internship Policy of Aspire are to:
(a) Provide a framework of guidelines, norms and standards, which will allow the
Aspire to create opportunities for students to receive in-education training and
gain practical work exposure;
(b) Meet the challenges of capacity building in students and thereby developing skills
which will be useful for their career and future employment; and
(c) Create awareness within the educational sector as to the manner in which the
private organizations function.

SCOPE
All those students who apply or are willing to do internship at Aspire Group of Colleges
fall in the ambit of the Internship Policy.

PROCEDURE
Selection Criteria
In order to be eligible for internship at Aspire Group of Colleges, an applicant should:
(a) Be national of Pakistan
(b) Have attained the age of 20 years
(c) Be enrolled in, or have graduated from an accredited academic institution
(d) Be fluent in English and Urdu
(e) Have studied in an area of interest to Aspire Group of Colleges.
(f) Be energetic, courteous, positive minded and knowledgeable.

Internee Status
(a) Internees are not in any way considered as employees of Aspire Group of Colleges,
and consequently shall neither be entitled to privileges and amenities, nor to rights
and benefits provided by the Aspire Group of Colleges to employees. Accordingly
they shall not perform an employees functions, nor represent the Organization
externally.

(b) Internees may not undertake any duties without the authorization of their
Internship coordinator and are expected to carry out all assigned tasks in
compliance with the instructions given by their Internship coordinator, and to
follow the administrative guidelines given by the HR Department of Aspire Group
of Colleges.

Screening
(a) The selection and placement of internees is an H.R. management function, and
must be performed in consultation with the Top Management Aspire Group of
Colleges.
(b) The screening process and interviewing must be implemented in line with the
Selection Criteria set by the Aspire Group of Colleges.
(c) The placement of internees is done in field of specialization in academics and
must be done in consultation with the related Department of Aspire Group of
Colleges.

Period of internship
(a) The period of training under an Internship Programme is 1-2 months. This period
can be increased or shortened in exceptional circumstances.
(b) No expectation of permanent employment is ensured following the Internship
Program.

Stipend
(a) During internship period, internees shall have to find residential accommodation
by themselves, however at Aspire Group of Colleges, lunch facility is available
free of cost.
(b) Any financial stipend after successful completion of the internship may be
decided by the Executive Director on case -basis through Manager HR.

Working time and Leaves:


(a) In principle, internees shall be required to work for 48 hours per week.
(b) Working time for internees shall coincide with official working time of the
department he or she is placed in during the Internship.
(c) Internees may occasionally be required to perform extra hours beyond the
normal working hours.
(d) Internees shall be entitled to the same public holidays as Aspire Group of
Colleges employees. All other absences must be justified and authorized.

Responsibilities of Internees:
(a) Internees should have reasonable access to available office accommodation,
computers, information and work-related resources that are used by the
departments to which they are assigned.
(b) During the internship, the Internees shall comply with Aspire Group of Colleges
rules and policies and follow the instructions and guidelines received from HR
department.
(c) The Internees shall respect the impartiality and independence of Aspire Group of
Colleges, and shall neither seek nor accept instructions from any authority
external Aspire Group of Colleges during the internship.
(d) The Internees shall refrain from any conduct that would adversely reflect on
Aspire Group of Colleges and shall not engage in any activity that is incompatible
with the interests of Aspire Group of Colleges.
(e) The Internee undertakes (on Undertaking for Internship) to exercise the
utmost confidentiality in all matters of official business of Aspire Group of
Colleges. He shall not use, under any circumstances, any secret information of
Aspire Group of Colleges acquired during the internship, or to communicate it to

a third party, or to publish it, even after the end of the internship, except the
Internship Report.
(f) Any reports produced by the Internee strictly for academic purposes shall be
submitted to Aspire Group of Colleges prior to delivery to the competent
academic authorities.
(g) Internees shall not take with them any Aspire Group of Colleges documents at
the end of the internship.

Use of internees:
(a) Departments that intend using internees are required to develop a specific and
detailed programme on what they will be expected to do during their internship
period. It must also indicate how the Aspire Group of Colleges and the internees
will benefit from the internship.
(b) The HR Department reviews this programme and forwards it to the Top
Management for approval.
(c) Each internee must be attached to a specific supervisor through Manager HR,
who will be responsible for his or her mentoring and development.
(d) The number of internees per Department must be limited in order not to disrupt
internal performance.

Evaluation of Internees:

(a) The departmental heads must compile evaluation of individual internees, and
submit these reports to the HR Department.

(b) Department must evaluate the contribution that internees make, and their
development and exposure in the Aspire Group of Colleges.

(c) HR Department shall issue internees Merit Certificate to those who


successfully complete their internship and will maintain record of internship
programs.

Termination of Internship:

(a) Internees must comply with the rules and procedures of the Aspire Group of
Colleges. They are expected to behave and account for their conduct, in the
same way as any Aspire Group of Colleges member of staff.

(b) If the performance or conduct of an internee is not satisfactory and not in line
with the rules and procedures of the Aspire Group of Colleges, the internee in
question must be informed and given a written warning.

(c) If the internee fails to perform and behave according to the rules and procedures
of the Aspire Group of Colleges, the institution may decide to terminate his or
her internship.

(d) The Aspire Group of Colleges reserves the right to terminate an Internship
Program with an internee at any point during the specified period.

(e) If the Internee be found in breach of this obligation, the company reserves the
right to terminate the internship and to engage in any applicable legal
proceedings.

Review of Policy:

This policy is subject to review from time to time by HR Department as per instructions of the
Top Management.
