ABSTRACT

School Supplies Inventory System includes a computerized and more efficient

inventory which provides ease to staffs and better management and maintenance of data

in a reliable database.

This Inventory Database project serves as a big help for establishments of school

supplies that stores details of products and stocks. The database is designed for the use of

staffs and other authorized users in the establishment to enable them to easily produce

records for the inventory.

Inventory System will provide the needs of storing information in a faster, more

convenient and accurate way of products in a computer system that will lessen the effort

and hard work of staffs in storing the files of each product every now and then. This will

also serve as information especially for the stocks and deliveries in able to get access in

sales of the establishment.

This system will quickly find the location of the product specifications contained

in the list of information. As the demand of students or other people increase, it is harder

to deal with a manual process. In that case, we produce an Inventory System to lessen this

kind of problem.

1.0 Research Description

School Supplies Inventory System includes a computerized and more efficient

inventory which provides ease to staffs, better management and maintenance of data

in a reliable database.

This inventory database project serves as a big help for establishments of school

supplies that stores details of products and stocks. The database is designed for the

use of staffs and other authorized users in the establishment to enable them to easily

produce records for inventory.

Inventory System will provide the needs of storing information in a faster, more

convenient and accurate way of products in a computer system that will lessen the

effort and hard work of staffs in storing inventory reports every now and then. This

will also serve as information especially for the stocks and deliveries in able to get

access in sales of the establishment.

This system will quickly find the location of the product specifications contained

in the list of information. As the demand of students or other people increase, it is

harder to deal with a mechanical process. In that case, we will produce an Inventory

System to lessen this kind of problem.

1.1 Overview of the Current State of Technology

Inventory systems are used in recording and filing records of products. The

proposed system is a system that encompasses all aspects of managing a company's

inventories; purchasing, receiving, tracking and storage, turnover, and reordering.


In today's business environment, even small and mid-sized businesses have come to

rely on computerized inventory management systems. Certainly, there are plenty of small

retail outlets, manufacturers, and other businesses that continue to rely on manual means of

inventory tracking. Indeed, for some small businesses, like convenience stores, shoe stores,

or nurseries, purchase of an electronic inventory tracking system might constitute a

wasteful use of financial resources.

In the last decades the old manufacturing ideology which is based on only

quantity has faded away. With globalization of the world, competitors in all industries

have risen and instead of buyers searching for suppliers, now the manufacturers have to

get to customers by distinguishing themselves from the other competitors.

1.2 Research Objectives

The following are the different general and specific objectives of the study which

are vital in this study and will be the main basis of the proposed system.

1.2.1 General Objective

In this project you may learn how to manage the Inventory System to better

facilitate the adjustment and employment of workers to organize the operation of selling

products.
1.2.2 Specific Objectives

The following are the specific objectives of the study that will determine the

deliverables:

To present an accurate number of stocks for each product.

To lessen the time consumed by mechanical inventory process.

To allow only authorized personnel to use the system.

To warn the user if the minimum level has been reached the quantity on hand.

To avoid difficulties in finding records due to a manual inventory system.

To avoid late raw material deliveries.

1.3 Scope and Delimitations of the Research

Inventory management is primarily about specifying the shape and percentage of

stocked goods. It is required at different locations within a facility of a supply network to

lead the regular and planned course of production and stock of materials. The scope of

inventory management concerns the fine lines between replenishment lead times.

It involves maintaining a proper merchandise class while ordering, handling, and

related costs are kept in check. Setting up an inventory control system can help you to

maximize the value of your inventory by keeping costs under control.


This is the way in which the management team goes around ensuring that as

many sales as possible are to be made and that there is to be a profit within the company

to ensure that they are to be successful.

1.4 Significance of the Research

The significance of inventory systems is to keep track of the flow of goods. This

system is designed to tell you where each product is going, how many products are being

sold, when you need to order more, and which products produce the greatest and the least

profit. Those are the basics, and there are lots of more innovative features that you can

explore. It also includes the items, which are used as supportive materials to facilitate

production.

The benefit of this inventory is to accelerate and become more efficient than

working in mechanical processes for the Larose School Supplies. It also serves having an

easy operation by having up-to-date data regarding all needed office supplies, raw

manufacturing materials and merchandise for sale. It also tells management about loss,

making it invaluable for implementation of loss-control procedures.

Effective Inventory system which is designed to capture and release information

in the shortest possible time with accurate reports to enable the management to make the

right replenishment and purchase decisions to remain within inventory policy guidelines

and improve overall inventory management performance.


1.5 Research Methodology

The researchers will be using descriptive type of research method which will also

include many particular research methods and procedures, such as observations, and

interviews. The two parameter of study will help us understand how descriptive research

in general is similar and different to the other research. On this kind of method the

researchers can perform the research correctly and accurately which theyll be using as

their guide for the coming problems and for an accurate result.

Figure 1 show the concept of the system to be used in this study. This diagram

will help the researchers in the developing an accurate system by following every process

within this cycle. System must have concepts and procedures that offer ample flexibility

to meet unusual and sometimes unreasonable demands on their resources personnel,

facilities and operational. Exceptional customer service also includes providing top

quality products at reasonable costs.


Questioning on the staffs and observation on the establishment will be used as data

gathering for this study. The researchers will then distribute system evaluation forms to

the five (5) IT experts or practitioners.

2.0 Theoretical and Conceptual Framework

Managing an inventory is a hard work drive nowadays the performance

improvement of works are complex and technology plays an important role in assisting

the business in achieving this.

Using this theoretical framework we believe that it will provides a four phase

solution to this business requirement. This execution of the theoretical framework makes

quick prototypes at each stage of the process.

The framework, at the same time as delivering Input and output would also drive

staff roistering based on forecasted business activity. This approach leads to continuous

show improvement.

In essence, a good Workforce Management Solution would remove the

guesswork from staff roistering by leveraging analytics of inventory and timekeeping


information with business activity information. This approach would allow for

2.1 Conceptual Framework

This proposed system will be implementing an automated inventory system

for Larose School Supplies. The studys entire concept is shown in figure 3 which

shows the main conceptual framework of the system that the researchers will be

accomplishing.

This study is divided into 2 different modules, sales and administration. Each of

the entities connects to the server and access the system. Every module has their

corresponding output. This will be used to accurate the developing of the system which is

synchronized in the objectives and deliverables set in this study.

3.0 INVENTORY SYSTEM FOR LAROSE SCHOOL SUPPLIES

The system is an entire inventory process of the locale which tends to improve

their manual process and come up with an accurate one.

3.1 System Overview

The following are different modules of the proposed system and its capabilities

with regards to the inventory system.

Users Administration

This module let the staff or manager to strictly secure their goods and materials.

The creations of new accounts are included for the new users and Management.

Counting stocks

In this module counting products will be automated for an accurate number of

stocks. Using this module will lessen the corruption within the management.
Lowest sale

This module can easily determine the product that has the lowest level of sold

products. This will also lessen the paper works of the staff in identifying them.

Highest sale

Under this module the staffs or management can easily determine the product that

has the highest level of sold products in a minute. It will lessen difficulties in identifying

the marketable products.

Replenishment

With this module the system will tell whether when to order new products particularly if

the quantity on hand reaches the minimum level of the stocked products.

3.2 System Objectives

The following are the different deliverables that the system will be having:

Exchange in mechanical process.

Automated filing and counting of recorded products.

Manager module for securing inventory.

Conflict in number of stocks is determined.

Determined when youre out of stock.

3.3 System Scope and Limitation


The system will only be available in a certain area wherein only the Staffs of the

Inventory and the Cashier may connect to the system. The system will cover the

Inventory process and the Highest and Lowest sold products.

3.5 Architectural Design

The proposed study made used of the different tools that helped the researchers in

designing the logical architecture of the system, these were the Data flow Diagram, Data

Dictionary, Database Structure, System Flowchart, Entity Relationship Diagram, Project

Schedule and Visual Table of Content.

Data Flow Diagram


The data flow diagram is used to determine the flow of stocks and its process that

the researchers used to guide them in developing the system. Through this diagram it

helped the researchers design more accurate and effective process.

Data Dictionary

The data dictionary shows the different table structure and their definition to help

the researchers to easily design and determine the type of data to use.

Database Structure

The database structure was used to determine the database design of the proposed

system. This was very important since this was used as the backbone of the system. The

data are to be stored and retrieved for the input and output of the proposed system.

System Flowchart

This tool was used in identifying the main logical flow of the system from the

user. This was used in demonstrating the flow of the system using chart.

Entity Relationship Diagram

The entity relationship diagram is used to show the relationship from one table to

another and the entities within the system. This diagram helps the researchers in

identifying the different links between tables and entities.

Visual Table of Contents

This tool was used in properly identifying the different screen designs of the

proposed system. The VTOC helped the researchers in determining the different modules

and the different menu used.


3.6 Design and Implementation

In developing the system, the researchers will work together and are planning to

use several instruments such as hardware and software to help them to develop a correct

and accurate system.

The researchers aim to develop an automated inventory system which is

technically, operationally, and economically convenient for Larose School Supplies.

The researchers conduct several interviews in order to gather information about

the present existing conditions of the inventory system, knowing its problems and

enhancing it by developing an automated inventory system.

The data flow diagram was used to guide the researchers in identifying the flow of

the data from input, process to output. The staffs were asked to accurately input data to

the system particularly with the stocks. This is a common problem with mechanical

inventory process.

The system was developed using a carefully designed entity relationship diagram,

it is considered as the back-bone of the system. The database structure should be

followed as specified to guarantee the accuracy of stocks during inventory process.

Upon completing the system, it will be tested by IT experts to identify if the needs

and set deliverables were met. The only constraint addressed was the computer skills of

the system users and the conversion of mechanical documentations into automated form.

4.0 Results and Observation


The researchers interviewed and took pictures of the five (5) IT experts to test and

use the system. Then they evaluated it that corresponds to their findings, summary is

given.

The following are the evaluation results of the different resource persons or IT

practitioners who evaluated the system:

Yes, it is manageable to use.

Yes, it does, the students did not overstate this objective.

Yes, as a second year graduate they meet the objectives of an inventory

system.

2. Evaluate the system in terms of speed, accuracy of data result and system

About speed, it is much faster to input.

Speed is no issue, since this is a local application. Data display is good,

and it is works as intended.

3. Does the system provide user-friendly interface?

Yes, easy to understand.

Yes, it does. The colors are in good contrast and the alert messages are

coherent.

Yes, but insert another security for the database.

The database structures seem good, although it could be improved using

hashes on the user table. Other than that, the table design is okay.

5.0 Conclusions and Recommendations

Inventory System includes a computerized counting form which provides easy

and better management for the staff to store a data in a reliable database.

The project looks at an Inventory Database for an establishment. It stores details

of stocks. The database is designed for use by staff and authorized personnel in the office

to enable them to easily produce information required by the customer in the

establishment.

Inventory System that will provide the needed and storing information in a faster,

more convenient way by storing file of the stocks in a computer system that will lessen

the effort of staff in storing files every now and then.


After the data gathering, interviews and distributing IT experts questionnaire, the

researchers tabulated the collected data and came up with different results.

The results of the tabulation were discussed in the previous chapter and showed

that there was a problem in using a manual procedure in attendance monitoring. And in

using an automated system it helped the locale conduct employee attendance monitoring

faster and more accurately.

Conclusions

The following are the different conclusions based on the conducted research and

system development:

The system provided user-friendly interface.

The system provided accurate count of stocks.

The accuracy of the system was proven through the system evaluation by the

different IT experts.

Lesser time spent in counting of stocks through the use of an automated

system.

Recommendations

The following are the different recommendations of the researchers:

Implementation of the system is recommended.


The locale should establish a concrete network infrastructure for the

implementation of the system.

High-quality server for the finance department.
