JOB DESCRIPTION

Position : Building Admin Executive

Company :

1. Assist Building Manager in daily operation.

2. Supervise and monitor administrative and maintenance staff.

3. To perform HR related matters such as registration staff attendance and leave forms.

4. To observe and monitor all the agreements between Management and Service Providers on expiry
dates, renewals, compliances and services.

5. To attend all correspondence related matters as response to complaints or feedbacks from owners /
residents via letters, e-mails or telephone when applicable / necessary / instructed by Building
Manager.

6. Maintain good rapport with owners / residents.

7. To prepare necessary notices, memos and liaise with Local Authorities when applicable /
necessary.

8. Supervise and monitor all the services rendered by the service providers/contractors/sub-
contractor staff such as cleaners, security guards, gardeners and etc.

9. To check monthly suppliers/contractors/service providers invoices and utilities bills compiled by


admin staff are with proper supportive documents (eg attendance, Job/Service Sheet, Delivery
Order, correct bills, reports etc) before submitting to Building Manager for verification and
processing of payments.

10. To summarise quotations/proposals received by suppliers/contractors/service providers to raise


Requisition of Expenditure (via RE Form) for Building Manager recommendation and further
approval.

11. To prepare Purchase Order for Building Manager verification.

12. To ensure all renovation application submitted are with proper documentations and the scopes of
works are within perimeters of the existing By-laws / House Rules.

13. To monitor and check with bank or bank statement and Cash in Transit on Direct Bank-in
transactions before authorize Admin/Account cum Customer Service Assistant to issue receipts

14. Assist Building Manager in credit control and all exercises carried out to improve collections of
Building Maintenance Fund and Sinking Fund.

15. To ensureto do daily bank in for collection received.

16. To ensure copies of the fire insurance policy sent to owners end financier on yearly basis.

17. To assist in preparation of the annual AGM or EGM.

18. To carry out any other instructions by immediate superior.

19. Any other assignment that may be assigned at the discretion of the Company.
