2nd Administrative Council Meeting

I. Premilinaries

1. The meeting was called to order by Mrs. Maria Melani Barquilla at 9:45a.m. after the
opening prayer led by Dr. Marivic Diwa.

2. Reading of the Previous Minutes was made by Dr. Marivic Diwa and was corrected
and approved by Mrs. Nila N. Garcia which seconded by Mrs. Ana Villa B.
Abarquez.

II. Business Arising From Previous Minutes

1. Mrs.Barquilla suggested making a formal letter addressed to Fr. Coja for the guards
to have a strict policy with regards to haircut. On the other hand, Mrs. Garcia said
that concerns must be raised first to the Student Discipline Officer ( Main & Basak)
who was absent during the meeting.
2. Student Manuals for Senior High School Department has not yet reviewed.
Clarification for the payment must also be addressed whether it will be the same
with the college. Mrs. Garcia said that she will see within the month if there will be
update, if theres not, she will suggest to get the manual and be reviewed by the
committees which she will be assigning. The student manuals should be signed by
the parents.

III. New Business Matters


A. Principal Concerns

Grade Template was already made by Sir Sanchez. Teachers will encode the
raw data at the new grade template which will automatically upload at registrar
thus; there is no need for manual entry. In addition, teachers will still use the
dummy to avoid doubts of the students and parents if in case there is a
complaint.

Mrs. Garcia informed that there is one student who transferred from Basak (St.
Ezekiel) to Main Campus (St. Alonzo) and two students from ACT which are now
at Dr. Diwas class.

Mrs. Garcia requested to have a seminar with regards to alignment of Standards


and Classroom Management. Some students at Main Campus complained that
there are teachers who are so loose with their students.

Medical Examination- Mrs. Barquilla suggested that Medical Examination must


be scheduled during 1st week of the class.
No monthly test for PE since they were seeing only one hour in a week.
Schedule of Examination (12:00 5:00pm) Mrs. Garcia will try for another
scheme so that students can have their break.
School Ability Index It was already prepared as per Mrs. Barquilla. Mrs. Garcia
suggested having at least one section within the week so that advisers can see
the results.
Homeroom Modules The principal has asked help with the SDPC coordinators
to talk with the SDPC councilors. Some SDPC councilors interferes the
classroom management directed by the advisers which resulted confusion to the
students.
Snapshot Video A concerned student reported to the principal that there were
Senior High School students involved in the video. It is alarming because these
students keep on recruiting another student. Mrs. Barquilla proposed to have a
drug testing with the parents consent. In addition Mrs. Garcia asked for a list of
absent and late students.
Textbook Evaluation- It will be on the month of August and as suggested by the
Academic Council, tools must be modified.
Rover Leaders Training will be July 23 - August 6, 2016. Programs to be
followed up by Dr. Diwa.
PTA Some parents from Main Campus suggested installing water dispenser at
classrooms. Some also complaint about the elevator.
PTA Board of Officers will be having their 1st PTA meeting on July 30, 2016.
They will attend a seminar first at CfPA from 9am 12:00noon.
Promissory Note to follow-up parents.
Update for New Senior High School Building
Budget for the Student Related Services Php 50,000.00 in a year.

B. SAPCs Concern

Activities for the Month of August Buwan ng Wika & History Month
Dr. Diwa admitted that she always runs out of time no matter how she prepares
the activity in advance. Mrs. Garcia suggested giving her 1 READS to assist her.
Clubbing - Some clubs has no advisers. Mrs. Garcia recommended having the
schedule every other week or alternative as long as we can comply the
components of club grade.
Leadership Training (RTLs) Proposed schedule is on August 20, 2016
overnight at Talavera House of Prayer. Mrs. Garcia on the other hand proposed
to have the training for 1 day. The food, venue and the program are still to be
discussed.

C. SDPCs Concern
Main Campus
Shortened Classes Maam Ann presented that some class were affected
specially with teachers who were handling college. Maam Nila advised that
teachers must prepare an activity for students and to be ready for substitution.
Other activity interruptions cant do anything about it because it is Academic
Activy.
Basak Campus
Pre-counseling schedule Maam Nila suggested having a Memo to the teachers
to be aware. Pre Counseling interview form has already distributed.
Senior High School IDs Text at the back of the ID must be edited (If found,
please return to HS Department).
Excuse Slip Letter must be addressed to the Principal
Special Exam Letter addressed to the Principal. Maam Nila recommended
having a Special Exam Permit with the Excuse Slip.

D. CEAP National Convention CEAP National Convention will be on September


28, 2016. There must be at least 1 administrator to join.

IV. Adjournment
The meeting was adjourned at 12:45pm after the closing prayer led by Mrs.
Anna Villa B. Abarquez.
