Executive Summary:
This report reflects the apprehension and working technological unifying software for the Shaheed
Zulfiqar Ali Bhutto Institute of Science and Technology (SZABIST) that has been formed with
objective of inculcating the quality education in students among deprived areas of Pakistan as
reflected by its vision and mission statement.

In order to achieve the primary objective the institute needs to be equipped with technological
platform to integrate the resource sharing needs among stakeholders. ZabDesk is the solution
which basically developed on C sharp programming language and integration is done using ERP
system at the back-end to maintain sharing of the organizational resources. The software has
certain hardware and software requirements which are mandatory for it perform as per the need to
develop the software.

The report finds the internal and external factors affecting the platform using SWOT analysis. The
analysis help us identified the strong points and the weaknesses from internal perspective as well
as opportunities and threats from external environment. The organization is aware of the prevailing
problems with this platform and has plans to cater them in future. The software does not provide
complete financial automation and lacks human resource function from the system.

Recommendations discussed includes:

Lack of integration between partner financial institutes (banks) and organization and students
bear suffering.

Non-availability of forms on the portal which are necessary for students.

The report presented has some limitations as there are time and access constraints are present. The
system has various modules, however, we have consider only Faculty and Students module. So
the reports generated by system are pertinent to only the two functional areas under discussion.

Introduction of Organization:
Shaheed Zulfiqar Ali Bhutto Institute of Science and Technology (SZABIST) is a fully chartered
institute which is approved by Higher Education Commission (HEC) of Pakistan as degree
rewarding institute and is ranked as highest W ranking by HEC whereas it has been ranked as 6th
university in Business category of recent HEC rankings. SZABIST has been ranked as one of finest
institute by leading international magazines such as BusinessWeek and Asia Inc. It also affiliation
with various national and international bodies.

The vision and mission statement guides the goals and future endeavor of the organization as:

The Vision:
Shaheed Zulfikar Ali Bhutto Institute of Science and Technology shall be a world class institute
recognized globally for its excellence in education, scholarship in research and distinction in
service.

The Mission:
The institute has been established with the objectives of producing highly qualified, scientific
and technical personnel to meet the country's requirements of:

Conducting state-of-the-art scientific and technological research and development in


support of the private and public sector;
Providing hi-tech scientific and technological assistance to the Pakistan industry to enable
it to compete with the world industries in global trading;
Providing highly trained scientific and technological personnel to be able to attract the
growth of high-tech industries and foreign and Pakistani investment;
Providing a sound socio-economic and scientific base and infrastructure to Pakistan to be
able to meet the economic and technological challenges of the 21st century.

Guidelines and Policies:


The institute has several policies enforced to ensure that quality education is imparted to the
students. The policies are aligned in line with international standards in terms of admissions,
educational level, attendance, examinations and grading. SZABIST has also focus on producing

quality research papers, dissertation, and thesis and research projects. The plagiarism level is
checked using Turnitin software which is adopted as standard worldwide.

Campuses and Disciplines:


There are five campuses of the institute located in Karachi, Hyderabad, Larkana, Islamabad, and
Dubai (U.A.E.). These campuses offer multiple programs in various disciplines.

SZABIST is offering programs in Management Sciences, Media Sciences, Social Sciences,


Computer Science, Mechatronic Engineering and Biosciences.

Need for Software:


The primary purpose of creating ZabDesk is to automate the business processes at the university.
It is providing platform to employees, faculty and students. The employees have access to
centralized resources and can coordinate with their peers, supervisors using the software. The
system provides platform to various departments within the organization. Students and Faculty
uses the software for academic purposes. Unlike practices in the past where students have to
register courses, check attendance and view their results manually, now they can do all these
activities online using ZabDesk. Similarly, faculty members also have to perform their routine
tasks manually which is quite cumbersome. The facilitators/teachers can now update students
attendance and marks online. Therefore implementation of ZabDesk has automate the processes
within the organization.

The need is to manage the complex relationship with its clients is of utmost importance for any
higher education institute. The absence of such platform would not have only hinder the uniformity
of information and costly but absence of standards will tarnish the reputation and image of the
institution as services will be inconsistent and fragmented. Therefore, the necessity of having such
unifying platform is mandatory for institute to serve and monitor their clients so they can make
stronger bonds with them.

Hardware and Software Requirements of Software:


The implementation of the ZabDesk has to meet some software and hardware requirements.

Software Requirements: C sharp programming language is needed to develop and maintain the
virtual interfaces and ERP system is used for backend integration of the users to the centralized
database. Internet browser is also required to access the portal such as Internet Explorer, Mozilla
Firefox and Google Chrome etc.

Hardware Requirements:
In order to implement the software and associated database, the servers for Operating System (OS)
is Windows 2008 and SQL Server 2012 is used. These servers has some hardware requirements
which are as follows:

Other hardware requirements are LCD, LAN/Wi-Fi cards, and peripherals like mouse and
keyboard.

Introduction of Software:
Any academic institute requires solution to automate their functions and processes. ZabDesk is a
modular, client-server based system which covers most academic management tasks. It has been
designed to meet the requirement of automation of business processes at any academic institute,
automating the administrative, financial and processes to facilitate every individual and process
involved. The software currently caters the academic discipline completely and financial
department partially.

The design of application requires thorough analysis of the system requirement for current and
future requirement of the organization. The virtual interfaces of the application is developed using
C-Sharp programming language by the students of Computer Science (CS) department of the
institute. The design includes back-end integration using Educational Employee Relationship

Management ( ) which is basically database engineering and communication system meant

for the organization and provides access information to one central location. is integrated
with back end ERP system for data redundancy and to ensure updated data is available to all
members across the organization. The data and information is available for academia (faculty and
students), administration, finance, records and registration and library activities.

Function and Reports:


As mentioned earlier that the main reason to deploy ZabDesk software solution is to automate
various process within the environment of SZABIST. Like any Management Information system,
ZabDesk also generates reports based on the input. The functions and reports under our selected
section are as follows:-

Functions:
The key function this system has done is to provide the unified platform to faculty, students and
staff of the university. The system will ensure the availability of organizational resources by having
single database to members based on their domain and role within the organization. This system
implementation will result in uniformity of decision making and avoidance of duplication which
is prone to occur in the manual system within an organization. The platform also serve as great
tool for course delivery and management as it facilitates students and the faculty.

Reports:
The modules we consider are Students and Faculty. The reports which ZabDesk generates within
these modules are attendance, results of the students, and students feedback.

The faculty enter the attendance which can either be Present, Absent, Late or Excuse. The
university has policy of maximum three absent allowed in a certain course and system is linked
with SMS system. So in case of two absents a caution, for three absence a final warning and on
fourth course removal text message has been sent to the student.

The faculty do not have to calculate individual grades. The teachers simply enter marks student
obtained in each head mentioned in their respective course. The system will calculate course-wise,
semester-wise and overall CGPA of the student.

Moreover, there is option available to students where they can enter feedback of the facilitator and
upon the feedback a consolidated report is send to the concern faculty members so they can take
note of the improvement in different aspects of the teaching expected by them.

SWOT Analysis of Software:


SWOT matrix or analysis is an acronym used for identifying Strength, Weaknesses, Opportunities
and Threats of an organization, product, project, industry or a business venture. This analysis
approach is beneficial in specifying external and internal factors which may support or oppose the
objectives. The analysis also aids assessing future steps of planning to achieve primary objectives.
The SWOT analysis for ZabDesk is as follows:-

Strengths:-
The platform possesses numerous resources and capabilities that can be utilize as source of the
competitive advantage. Some of the strength are:-

The system has been incorporated for some time and is well accepted by the stakeholders.
Provides the manageable and centralized source of resource sharing for members of the
organization.
Works well for course management and delivery for formal education.

Weaknesses:-
Although the system has numerous strong points but it also lacks few capabilities as well.
Following are some weaknesses:-

The system is designed for Web 2.0 and does not support current graphic rich content
supported by Web 3.0 such as photos and videos.
Portal does not entail communication for students and faculty members whereas it has been
supported in portals in many foreign universities.

Opportunities:-
The external environmental scanning can help identify the opportunities for growth and profit.
Below are some opportunities to be exploited from the environment:-

The portal can be extended and enhanced to support e-learning which can be used to cater
additional students who cannot attend traditional classroom environment.
Access can also be given to suppliers to automate the traditional procurement function of
the organization. This will reduce the cost of procurement function.

Threats:-
There may also exist some factors that can act as threats to the environment such as:-

Technology may change and complete overhauling of system may require.


Data can be altered and theft due to hacking.

Future Development of Software:


Presently the system provides partial solution to the financial processes. However, it has been part
of plans to fully automate the financial process of the organization. Moreover, Human Resource
department has been completely neglected while implementation of the system which will be
incorporated in next phase of the development.

Recommendations:
Despite the implementation of ZabDesk there are various processes which are manual and students
have to visit different departments. Students are supposed to submit their paid fee voucher as
evidence of fee payment to Finance department so that they are allowed to be registered their
courses. This is not very effective measure and this system should be automated so that students
can attach their fee voucher on the portal itself.

Likewise, students requires many kinds of form for various purposes such as Tax Forms,
Scholarships Forms, and Clearance Forms etc. that are available at reception of 90 and 100 campus.
These forms should be available to be filled by the students on portal instead of manually filling
and submitting. It would not only save students time but will also provide them great convenience.

organization. This will reduce the cost of procurement function. Threats:- There may also exist some
factors that can act as threats to the environment such as:- ? Technology may change and complete
overhauling of system may require. ? Data can be altered and theft due to hacking. Future Development
of Software: Presently the system provides partial solution to the financial processes. However, it has
been part of plans to fully automate the financial process of the organization. Moreover, Human
Resource department has been completely neglected while implementation of the system which will be
incorporated in next phase of the development. Recommendations: Despite the implementation of
ZabDesk there are various processes which are manual and students have to visit different departments.
Students are supposed to submit their paid fee voucher as evidence of fee payment to Finance
department so that they are allowed to be registered their courses. This is not very effective measure
and this system should be automated so that students can attach their fee voucher on the portal itself.
Likewise, students requires many kinds of form for various purposes such as Tax Forms, Scholarships
Forms, and Clearance Forms etc. that are available at reception of 90 and 100 campus. These forms
should be available to be filled by the students on portal instead of manually filling and submitting. It
