Effective Dating
Effective Dating is a key feature of the MaineStreet (PeopleSoft) system. It enables us to maintain
and view a complete chronological record of historical, current and future data.

When entering data on MaineStreet pages that include an Effective Date field, you do not
overwrite the existing data. Instead, you add a data row and specify what date the data should go
into effect: an Effective Date. By default, when you add a new data row, todays date enters as
the Effective Date. You can future date information in order to enter it before it actually goes into
effect. For example, if you know a students mailing address will change from the current mailing
address to a new address in October 2007, rather than overwrite the existing data, you add a new
data row, apply a future Effective Date and the new mailing address will become active and
available on that date.

There are three categories of effective-dated records:

Future - All rows that have an effective date greater than today.
Current -The row with the effective date closest to, but not greater than, today. It is the row the
system recognizes as the "current active" row.
History - All rows with an effective date less than the effective date on the current row.

When the date of a future row arrives, it becomes the current row. What was the current row then
becomes history.

Effective Dating example:

You need to update a students mailing address. Before you conduct your search for the students
address record, make certain to check on the Addresses search page.

Next, enter your search criteria and click . The Addresses page will open:

To edit the Mailing address, click on the Edit/View Address Detail link.

The Address History page for the Mailing address opens and shows historical information for
Mailing addresses entered for the student.

You want to enter a new mailing address and make it effective today. Rather than overwrite the
current mailing address, add a data row by clicking on the sign in the upper-right corner of the

current Mailing address row. A new data row is added (see below) with todays date entered in
the Effective Date field and the current address duplicated.

To enter the new address, click the Update Addresses link adjacent to the newly added row. The
Edit Address page appears:

Enter the new address and click . The new row on the Address History page now
shows the new address with an Effective Date of today:

Notice the current Mailing address is the address you just added. If you had entered a future
Effective Date, the new address would not appear on the Addresses page until the future date
arrives. If you want to make certain the newly entered address is correct, click on the Edit/View
Address link in the Mailing address row. Youll return to the Edit Address page and see all
addresses, including future-dated addresses, entered for the Mailing address.

When youre certain your updates are correct, click the button on the bottom-left of the
Addresses page to save your entry.
