Analyzing and Reporting upon Workshop Evaluation Forms Results


Cover note for facilitators

Workshop evaluations are useful for two main purposes: One is to provide feedback to facilitators
on the workshops contents, formats and facilitation, so as to improve future similar exercises.
The second is to report to donors on the effectiveness of the training as is reflected in
participants appreciation of various aspects of the workshop.

What the facilitators may want to know:


If each training module was clear and adequately covered section 1
If overall the training covered the topics adequately (level and time) section 1
If the presentation and methods applied were effective and appreciated section 3 & 4
If and how participants expectations could have been better met - section 3 & 4

What the donors (and facilitators) may want to know:


How many participants report they have gained knowledge from the workshop section 1
Have learning objectives been met overall (consolidation of each specific LO) section 2
How many participants report being satisfied with the workshop quality section 3

Based on these assumed information needs, some guidance is proposed on how to consolidate
and use the results of the workshop evaluation form. The workshop evaluation form structure is
purposefully kept to allow easy reference.

1. Capturing Workshop Contents strengths and weaknesses

Information provided by the table in section 1 will be specifically useful to the facilitator, to identify
module per module, what parts of his/ her training was most useful and appreciated.
Some information, once consolidated for the overall workshop, may also be of interest to the
donors.

To analyze the information from section 1:

1) Fill in the scores of each participant in table 1, and repeat for each module (paste in excel
spreadsheet). The bottom row will provide a basis to report on the satisfaction of participants
over the clarity / coverage / knowledge they gained related to the given module.
2) Then copy the results in table 1s two last rows into table 2 in order to extrapolate the results
per module for the overall workshop.

2. Capturing perceived Achievement of Objectives and Workshop Quality

To analyze the information from sections 2 and 3:

1) Fill in tables 2 and 3 below, to report on the average perception of participants regarding the
extent to which objectives were reached.
2) In addition to reporting on the quantitative results above, comments from the facilitator
qualifying the results and providing some meaning to complement them should also be
provided in narrative form. Extreme scores (1s and 5s in particular) should be commented
upon. Additional comments provided by participants may help qualify the results.

3. Capturing recommendations for Improving the Workshop

Recommended action to capture the open comments made by participants on strengths,


weaknesses and improvement recommendations is to first aggregate them in order to identify
which comments are expressed by a number of participants and report on the 3-5 most
frequently mentioned items under each category.
