ArchivingcanbedoneindifferentobjectsofPP/MM/FI/CO/PMetc.

TheexampleiswithaMMobject,butitcanbeapplicableequallytoanyPPobject(PR_ORDER
Processorder)

Thisdocumentdemonstratestheprocessofarchivingindifferentobjects.Thoughthisisaarchiving
process,thisisageneralwayofarchiving.Archivingisrequiredtohaveafasterandcleansystem.It
isalsopossibletogetthedataoncethesearearchived.

Thearchivingprocesshavegenerallyfoursteps.

Thereare4MainstepsinSAPArchivingare:

Step1Preprocessing
Deletionindicatorswillbesetinthisstep
Applicableforsomeobjects

Step2Write
RecordschosenforArchivingwillbewritteninArchivingfilesysteminUnixserver(Path:
/Volumes/Archiving/<Objectname>/)
Applicableforallobjects

Step3Delete
Writtenrecordswillbedeleted
Applicableforallobjects
ToensurethattheArchivingfilesystembackupistakenforwrittenrecords,atleast2daysgap
tobemaintainedbeforeperformingDeletestep.

Step4Postprocessing
FordeletingsecondaryindexesinFI_DOCUMNTandmovementdatainQM_CONTROL.

EntertheNewVariantnameandclickonMaintainbutton.MaintainPurchasingDocumentsinformationand
Restrictionsasrequired.

SaveVariant.
Executethevariant.Checkthejobs.

Openthespool.

Preprocessingstepsuccessfulfortheselection.

2.WRITEStep:VariantKT2NDLINEWR

Createandsavevariantfortheselection(shouldbesameasmaintainedinPreprocessingstep).
Executethevariant.ChecktheJobs.

OpentheSpool.

Writestepsuccessfullycompleted.

3.DELETEStep:


ClickonArchiveSelection.Selectthefilestobedeleted.

Executetheselection.

OpentheSpool

Fileissuccessfullydeleted.

4.CheckingInformationsystemInfostructureupdation.

WecanseeaGreensignallightforthelastarchivingsession.ThismeansthattheInfostructureisupdated
successfully.

IfthesignalisYelloworRed,PleaseClickin .Itwillfilltheinfostructureonceagain.

Aftereveryarchivingrunthisshouldbechecked.Otherwise,readingdatafromarchivedfileswillnotworkfor
theusers,whichleadstoraisingaticket.

5.STATISTICS:

Thisoptionshowsthedetailsofarchivingsessions.Thedetailsinclude,
Numberofobjects(headerrecords)Written,Deleted
NumberofDeletejobs
WriteandDeleteJobdurations
Etc.

6.LOGS:

IfJoblogisclickedfortheWritestepjob,thefollowinglogisdisplayed.

WecanseetheProgramname,variantused,Userid,Archivingsessionnumber,Howmanynumberof
documentsprocessed,
Pathofthesystemwherethewrittenfileisstored .
NameoftheArchivefilecreatedinthefilesystem,etc.,canbeseeninthelog.

7.READ:

Execute

Keepingarchivesinthefilesystemisactuallynotasafeplace,asdataarenotunchangeableinfile
system.
Henceyouoftenhaveanotherstepcalledstoringtomovethearchivesfromthefilesystemtoa
contentserver.

Whatmakesmealwaysakindofangryisthatallthosearchivingdocumentscompletelyignoretodo
atleastthetestrunswithadetailedlog.Nobodyistalkingaboutcheckingjoblogsanddetailedlists.
Thatthisisactually95%ofthewholearchivingactivity,andprobablyaswell95%ofthequestions
askedintheforumsarebecausethepeopledonotknowaboutlogs.
IfIcommentthatadocumentisjustbasic,thenIoftengettheanswer,itisforbeginners.
Butespeciallybeginnersshouldthenbeeducatedwiththedifficultiesandthemostimportant
settings.ThisistheadvantageofdocumentingandblogginginSCN,tobedifferentfromthestandard

fromthesecondaryindextableslikeBSAS,BSIS,BSAD,BSAKetc...
ThesetablesentriesarejusttheduplicateentriesofBKPFandBSEGtableentrieswhich
arestoredinthesesecondaryindextablesforfastretrievalpurpose.Sopostprocessingis
usedtodeletetheseentriesonceafterarchivingWRITE,STOREandDELETEjobsare
completedforFI_DOCUMNTobject.
