CAT6 Transfer to HR CAT6

Purpose
The transfer of CAT2 entries to HR.

Time entries will not transfer to an employee’s record in HR if the record is in Maintain
mode.

CAT6 will run as a batch job each night automatically.

Trigger
Perform this procedure when CAT2 entries need to be transferred to HR.

Prerequisites
CAT2 entries that have not been transferred to HR.

Helpful Hints
SAP Human Resources (HR) is supplied with attendance and absence data and data on employee
remuneration and substitutions by transferring data records from the time sheet or an external time
recording system. The transferred data is then available for further processing and reporting in SAP
Payroll.

Procedure

1. Start the transaction using the menu path or transaction code.

CAT6 Transfer of Time Data to HR Time Management

You can start the report in four different modes. The mode determines how the data is
transferred:

Field Value

Background This is the standard mode if you schedule the report as a background job.
The report is run immediately. Records are posted using transaction PA61.

Foreground The report runs immediately and all screens are displayed. Choose this
mode together with the Repeat transfer option, for example, if errors
occurred during the first transfer.

Field Value

Error If any data records could not be transferred, choose this mode together with
the Repeat transfer option. The report is run immediately and displays the
records that were not transferred.

Direct If you choose this mode, the system writes the data records to be posted
directly to the corresponding infotypes. Posting is significantly quicker when
you use this mode. You cannot use this mode in combination with the
Repeat transfer option.

2. As required, complete/review the following fields:

Field Value

Initial transfer Using this option, you can select the data by personnel number and date.
Only data that has not been transferred before is taken into account.

Repeat transfer Choose this option if you want to transfer records that the system could
not post to Human Resources the first time. You can use the personnel
number, date, date of last retrieval, and time of last retrieval as selection
criteria. Choose the Error or Foreground mode.

Transfer/deletd Choose this option if you want to transfer data records and then delete
them immediately from the relevant interface tables. Only records that
were transferred successfully are deleted. This reorganization improves
system performance, therefore to optimize system performance,
reorganize the interface tables regularly.

Only delete Choose this option if you only want to delete data records that were
already transferred from the interface tables. Only records indicated as
successfully transferred are deleted. If you also want to delete locked
data records, select the relevant field.

Lock/unlock Choose this option if you want to exclude certain data records from the
transfer. This happens when you do not want to correct records with
errors in the source system, but enter them manually in the SAP System.
In this case, you lock the incorrect records in the interface tables by
selecting them and choosing the lock icon.
You can unlock data records that have been locked so that they can be
transferred. To do so, select the records and choose the open lock icon.
You can select data by personnel number and date, and also by incorrect
data, new data, and locked data.
This option is not available when you post substitutions

Field Name R/O/C Description

Personnel number R A unique identification number for personnel assigned by the


system.

Enter the personnel numbers you want to transfer or lf


left blank all employees with entries to be transferred
will automatically be included when running the report
Example: 7000227.
Date R The date of any action or an absence/attendance

Enter the date range of the transactions you want to


transfer or if left blank all entries will be transferred
automatically when the report is run.

4. As required, complete/review the following fields:

Field Name R/O/C Description


Determines whether or not the system outputs a detailed log on the
Output log O transfer.

The log contains detailed information on the selected data records.


There is a traffic light indicating which records were successfully
posted to HR. The log also informs you of any errors that occurred
during transfer.

This field is defaulted by the system, do not remove

if removed no log will be produced to indicate if


errors have occurred.

Example:
Send Mail O Ignore this field as SAP Mail functionality has not been
implemented.

Example:
Specifies that the data is only read from the interface table, but not
Test Run O posted.

Select this field to get an overview of the data records that


can be selected.

6. Click Enter to check your entries.

7. Click Execute.

If this transaction is run in test mode the following screen will appear.

8. Click Back.

9. Select to remove the check mark.

10. Select Execute.

CAT6 Transfer of Time Data to HR Time Management

The report generates a log once the data is transferred successfully to HR. The log shows
how many data records were transferred successfully, and how many records were not
transferred.

If you have chosen the Log option, the log also contains additional detailed information on
the data records. For instance in the above it indicates that an entry was cancelled

If there is a collision with a data record entered in HR, you must check which of the two
records are correct and correct or delete the incorrect record. A collision can occur if the
HR record was entered after the record in the source system, for example.

11. You have completed this transaction.

Next Steps
To validate that the transactions have been transferred to HR successfully go to PA30 and check
Infotype 2001 Absences, 2002 Attendances.

Comments
If the transactions do not appear in HR then do a repeat transfer.
