PROGRAM / EXECUTIVE ASSISTANT

Mercy Corps Mongolia is seeking an experienced Program / Executive Assistant to work in


UB office.

Working under the supervision of the Country Director the Program/Executive Assistant provides
administrative support to the Country Director, program team and the field teams for the growth
and implementation of high-quality and impactful programming in the Mongolia. She/he also
responsible for duties as Receptionist in UB office.

ESSENTIAL JOB FUNCTIONS:

Program support – 70 %
• Provide administrative support, including but not limited to: travel arrangements, meeting
arrangements, logistics management.
• Document and maintain accurate records including meeting minutes, and any other
documentation.
• In coordination with the Program Managers, support internal communications and the
communication with other teams.
• Answer all incoming telephone calls and direct to the proper person or department, ensure
availability of the recipient prior transferring the line;
• Greet and receive all visitors, suppliers, etc., directing them to the appropriate staff person
• Receive/send correspondence, faxes, and messages for staff, ensure its record at the in/out
correspondence sheet;
• Facilitate hotels for guests and venues for meetings, trainings, etc.,
• Subscribe, receive and log in mail and distribute;
• Other duties as assigned by supervisor.

Assist Country Director-30%

• Provide administrative support including: travel arrangements, meeting arrangements,


logistics management.
• Document and maintain accurate records including meeting minutes, official letters, and
any other documentation.
• Provide translation for Country Director and expats as needed;
• Filing and Archiving

ACCOUNTABILITY:
REPORTS DIRECTLY TO: Country Director.
WORKS CLOSELY WITH: Program staff, Field staff and Support team

KNOWLEDGE AND EXPERIENCE:

• BA in related field preferred.


• Excellent computer skills: Microsoft Office (Word, Excel, PowerPoint), Outlook
• Fluent written /spoken English and Mongolian.
• 2 years’ experience in office administration
• Excellent problem solving and interpersonal skills
• Excellent written and oral communication skills
• Previous experience in international or non-profit work or a demonstrated interest in
these fields preferred
• Ability to be flexible, resourceful and innovative in a variety of situations
• Willingness to maintain open line of communications with supervisor
