Abstract and Full Paper Submission Guidelines

All submitted abstracts will be referred by the IHEX 2018 Scientific Committee. Based on
their scientific quality and relevance to the conference topics, the abstract will be either
accepted for publication in the Book of Abstracts or rejected. The Book of Abstracts will be
published in IHEX MUKISI websitein electronic version. The abstract will not be published,
unless the registration fee of the registered author is received before 9th March 2018.
Abstracts must be written in English and should report new previously unpublished work. The
total length, including figures and all references, is limited to one A4 format page(all types of
contributions - oral presentation as well as for e-posters).Please follow the requested format of
the abstract template. The abstracts that does not conform withthe format may be rejected.
The submitted abstract must be a Microsoft Office Word file (.doc, .docx). Authors must
submit the abstract in electronic form via conference email; ihex2018@gmail.com with the
subject: Abstract IHEX 2018_ followed by abstract title_and topic category. Deadline for
abstract submission is 16th February 2018.

General Recommendations Abstract Format

The abstract should be typewritten for A4 format paper, maximum one page for all
contributions.

 Margins: Top and Bottom: 2.5 cm; Left and Right: 1.5 cm. Gutter: 1 cm. Please respect
the margins!
 Paragraphs:Single line spacing. A single line spacing left empty between two
consecutive paragraphs.
 Font: Times New Roman. Title: 16 pt, Bold, centered. Authors names: 12 pt, Normal,
centered. Affiliations: 11pt, centered. E-mail: 11 pt, Normal, centered. Main text: 12 pt,
justified left and right.
 Format:The format of abstract should provide the purpose,
design/methodology/approach, findings, and discussion on originality/value.
 Keyword:a maximum of six keywords may be included at the end of the abstract.

All articles should be written in English. Authors must submit the manuscript of full paper in
electronic form via conference email; ihex2018@gmail.com with the subject: Full Paper
IHEX 2018_ followed by the title_and topic category. The submitted paper must be a
Microsoft Office Word file (.doc, .docx).Deadline for full paper submission is 28th February
2018.

General Recommendations Full Paper Format

Manuscript of Full Paper should be typewritten in Microsoft Word 97 or higher and should
not exceed 20 pages of A4 format paper for all contributions.
Authors are required to include a cover page indicating the title of the full paper, name(s),
affiliations, contact number and e-mail of author(s).
Abstract should be enclosed on a separate sheet at the beginning of the text. The format of
abstract should provide the purpose, design/methodology/approach, findings,
originality/value, a maximum of six keywords.

 Acknowledgement: Times New Roman, 12 pt, Italic. After the main text and before the
references (separated by empty lines).
 Citations: Times New Roman, 12 pt. Cite references using square brackets [1-4].

Oral Presentation Guidelines

Before The Conference

1. Please submit your full paper/ manuscriptbefore 28th February 2018 to the IHEX 2018
email: ihex2018@gmail.com
2. The official language of the scientific conference is English.
3. The allocated time for presentation is; 8 minutes for presentation followed by 2 minutes
of discussion.
4. Please email your presentation slides in portable document format: (.pdf) and power
point format: (.pptor .pptx), not more than 10 (ten) slides (maximum file size: 2MB) not
later than 9 March 2018.
5. The presentation slides may include Introduction, Objectives, Methodology, Results and
Conclusion.

During The Conference

1. The conference room will be equipped with a notebook and an LCD Projector. Please
use conference notebook rather than your personal notebook.
2. Please prepare your backup copy in a USB drive or a CD.
3. Please arrive at the session room 15 minutes before your session starts.

Before The Conference

3. The presentations will be facilitated with the use of an electronic poster screen.
4. The allocated time for presentation is; 5 minutes for presentation followed by 2 minutes
of discussion
5. Please prepare your electronic poster according to the following:

 Layout: Portrait (vertical orientation)

 Poster size:
o Pixels: the minimum recommended size (format WxH) is 1125 x 2000px and the
maximum is 2250 x 4000px.
o DPI 300 pixels/inch
o File size: the maximum file size is 4 megabytes (4MB)
o File format: save your file in PDF and JPG format
o Media: pictures, graphs and tables can be included in the e-poster
o Multimedia: videos and music are not allowed in the e-poster.

1. The e-poster content may include: Introduction, Objectives, Methods, Results,

Conclusion or other format according to the nature of your presentation.
2. Please upload your presentation file to our website not later than 9 March 2018.

During The Conference

1. The conference room will be equipped with parallel electronic poster screens.
2. Please prepare your backup copy in a USB drive or a CD.
3. Please arrive at the session room 15 minutes before your session starts.
4. The presenting author is requested to stand by on his/her e-poster screen 15 minutes
before the scheduled time.
