ONLINE QUERY MANAGEMENT GUIDELINES FOR ESTATE AGENTS

HOW TO INTERACT WITH THE EAAB?


ESTATE AGENCY AFFAIRS BOARD (EAAB) ONLINE QUERY MANAGEMENT SYSTEM

As from the 2nd of May 2017, all registered estate agents including disqualified estate agents in
terms of Section 27 of the Estate Agency Affairs 112 of 1976 will be required to submit their
query using the online query management system.

The online system is intended to ensure that all queries are logged on the system, tracked and
allocated to the relevant department for consideration and processing by an estate agents using
MyEAAB portal to log a query.

With this change, it therefore means that Estate Agency Affairs Board will no longer accept
emailed queries from estate agents. All emailed queries from the different mailboxes will be
disregarded and the relevant estate agent will be redirected to log a query on MyEAAB portal.

A few questions that can assist in understanding the online system better.

1. What type of queries can be submitted via the online system?

All types of service request from estate agents can be submitted using MyEAAB portal to
submit a query by clicking https://www.eaab.org.za/myffc/query_logging.

A drop down list has been provided on the online system based on the query types that
we receive from estate agents.

2. Can an estate agent log a query if they have not created a profile on MyEAAB
system?

The system will not be able to recognize the individual estate agent; as such the estate
agent will be required to create a profile before they can log a query.

3. Can members of the public log a query using the online system?

Members of the public will not be able to log queries online except if they which to
submit a complaint, which can be done by clicking https://www.eaab.org.za/complaint to
lodge their complaint against an estate agent.

General queries from members of the public can be emailed to eab@eaab.org.za for
consideration or they may contact our call centre on 087 285 3222 for further assistance.

4. How do I as an estate agent log a query online?

Estate Agents are required to visit our website which is www.eaab.org.za. The website
will direct them to our landing page and it will indicate the different tabs which are as
follows:

The estate agent will be required to click on the 7th tab on the right which is noted as
MyEAAB. Once the estate agent clicks on MyEAAB, the system will indicate the following
screen below screen.

5. Which credentials are required when an estate agent logs-in, in order to have
access to the online query management system?

An estate agent must have the following details in order to log in namely:

a) Id number;
b) Surname; and
c) Reference number (7 digit reference number).

Please note below SEVEN (7) easy step guides in logging in and submitting your query.

The below screenshot below indicate the relevant credentials required in order to log in.

Once the estate agent has logged in his particulars will appear, the agent will be required to
click on the right side of the screen in order to log a query.

Estate agents are required to log into MyEAAB portal, in order to ensure that the correct
query is logged by the correct individual.

This will allow proper monitoring and tracking of queries. The screenshot below indicates the
query type and other information required in order to log a query.

Once the estate agent has logged into MyEAAB the estate agents credentials will appear,
the estate agent will be required to click log a query on his/her right hand side in order to log
a query.

Estate agent is required to indicate the subject based on the query type.

Estate agent is required to indicate the query concisely, to allow proper consideration of the
query.

Estate agent may attach relevant supporting documents which will be re-directed into paper
trail for indexing and storing.

Estate agent must click log a query, the query will be submitted and a SAP generated
reference number will be emailed to the client.

Once a query has been logged successfully, the estate agent will receive an email with the
reference number of the query.

6. How does an estate agent track the status of their query

Once a query has been logged online, a reference number will be generated which can
be used to the track. Estate agent may contact our call centre on 087 285 3222 to
conduct a follow up on their query using the reference number generated by the online
system.
