FAQ’s for Graduate Trainees

1) Will I be entitled to travel expenses for joining?


No. Travelling Allowance is not admissible for joining on first appointment.
2) Will I be provided accommodation on joining?
Initial 15 days Guest House accommodation, subsequently A-type (Bachelor
accommodation, sharing basis) or B-type (Colony) accommodation may be provided
as per availability and application.

3) What facilities will my accommodation have?


Basic furniture will be provided in bachelor accommodation.
Family accommodation shall contain basic fixtures.

4) What are the documents I need to submit at joining?

5) Can I get my affidavit of the Attestation form made at my current place of


residence?
Yes. The affidavit has to be stamped and sworn in before a First Class magistrate.

6) Can I get my pre-employment medical examination done at my current


location?

No. Once you join the designated place of posting, HR will send you for medical
examination that will take place at ONGC empanelled hospitals located only at
Mumbai.

7) What are the steps for medical examination?

 You will be given a duly signed medical form containing your photograph by
HR section.
 This form needs to be shown at the medical section in Green Building, BKC.
 Next you will be directed for all medical tests, as per the mandatory list.
 Once all the requisite medical tests are conducted the given medical form has
to be signed by a certifying medical officer at Roopnagar Dispensary, Bandra.
 Finally ”Medically Fit” certificate has to be given by the Incharge Medical
Section.
 This medical certificate has to be produced back to HR section and then the
hiring procedure in system will begin.

Note - The medical examination conducted by the Corporation’s Medical Officers will
be free of cost. In case, the candidate incurs any expenditure for such medical tests
etc. on the advice of the competent Medical Authority of ONGC, the same will be
reimbursable to him.

8) What will be my pay structure?


Your pay broadly consists of the following income & deductions:-

9) What is CMRE?

CMRE stands for Conveyance Maintenance Reimbursement Expenditure, referring to


an amount of Rs.8865 (for E1 level) paid to meet the expenditure incurred on
maintenance and use of own vehicle in the performance of official duties. (These rates
are modified every six months depending upon prices of petrol.)

In addition to CMRE, Executives are also paid Transport Allowance @ Rs.800/-p.m.

Admissibility of CMRE : Conditions


CMRE covers all employees who own a vehicle registered in their sole name and
utilise the same for official purposes.
The vehicle is maintained in good running condition and is actually utilised in
discharge of official duties.
How to apply for CMRE?

 CMRE is always paid for the previous month


 Every employee will be required to submit his claim in Web Ice (please refer to the
note below) on monthly basis as per prescribed proforma.

1. Initially after joining, the eligible employees shall apply for CMRE sanction through
Controlling Officer to the concerned Establishment Officer through WebIce.
2. In-charge HR-ER shall verify the details and shall sanction the same.
3. Next month onwards , employee has to apply in Web-Ice
Webice->login (with user id and password) -> Reimbursements and Claims->CMRE
Reimbursement->Click on “New” tab(to create CMRE claim for the previous month)-
>type the entitled amount (Rs.8865 in case of E1 officers)->Certify the amount and
click on “Submit” button->Claim for CMRE has been created and will be paid with
the current month’s salary

Web Ice- It is the employees’ self-service portal of ONGC. To access Web-Ice you need
to have an employee ID and password. Process is explained in details in Qs.No.19.

Special Provision and Extent of CMRE in Certain Working Conditions:-

Note
1. Once an employee joins ONGC, he has to mandatorily fill up his Property returns
(IPR/MPR).If he already owns a car in his name, he has to declare the same in
IPR/MPR. To claim for CMRE for the owned vehicle, employee has to show proof of
the car’s present location (at hometown/place of posting, depending on which
CMRE amount will be fixed)
2. Else on purchasing a new vehicle, he has to declare in Proforma “S” of the
purchase. Once Proforma “S” has been unlocked by I/c HR/ER, only then will the
employee be able to apply for CMRE.
3. Employee also needs to fill in Vehicle Insurance in Webice under Reimbursement
& Claims (Out of pocket Reimbursement) to claim for the insurance paid for the
car.
4. i).For the period of joining time, CMRE shall be reduced on pro-rata basis for that
month.
ii).A month shall be taken consisting of 30 days for the purpose of determining the
quantum of reduced reimbursement under the scheme.

10) What is HRA ?

HRA or House Rent Allowance – varies between @ 10%-30% of Basic Pay depending
on place of posting

11) What is my level in the Organization?

There are 4 classes of employees:

12) What will be the criteria for my next promotion?

You will be promoted after 4 yrs. (joining year not counted) and a consistently good
Performance appraisal rating to be maintained.

13) What will be my increment date and rate of increment?

You will be entitled to 3% increment on your basic pay on every year from the 1st of
January. However, your 1st increment will be effective from 01.01.2016 but it shall
be paid only after completion of your probation period.

14) How can I claim leave and other benefits?

You have to apply online at Web Ice & your immediate supervisor called your
“Controlling Officer” will grant/approve the same.

15) What other benefits will I be entitled to?

16) Am I entitled to colony accommodation?

Yes. Besides, Bachelor Accommodation Type “A”, you are entitled to Type “B” (600
sq.ft) flat. Application to be made online between 1st of April (when the application
window opens) to 1st June (when the application window closes). A seniority list
(done by considering Date of Joining ONGC > Date of joining the present location>
Date of joining the post) for colony allotment is drawn up by 15th June and is
published in MR_Intranet. Allotment starts from 15th of June onwards. However, in
your case, your application shall be considered as per your seniority with effect
from your date of joining.

17) Will my probation be automatically completed after the initial period of one
year from my date of joining?

No. Probation report will be filled in by the competent authority & depending on the same,
probation may be completed (after 1 year) or extended ( up to a maximum of 2 years) from
your Date of Joining.

18) How can I know the details of ONGC’s HR policies?

ONGCreports.net/org/HR help desk. Ongc reports (log in) ->Organization -> HR-ER
-> Helpdesk -> Consolidated orders

19) Do I automatically get access to ONGC reports?

After completion of your joining process, a unique identification number shall be


generated for you. This number will be called your CPF no or identification number.
Along with the same number and your registered (& activated new ONGC provided)
mobile no. you have to apply for password of web ice/ONGC reports (HR mails to
ICE basis). All other claims like housing, CMRE etc can be applied through webice.

20) What will be the sequence of events related to my joining process?

You have to report to the said I/C HR-ER & submit the documents/requisites.

 You have to undergo medical examinations.


 Medical report is a must for joining.
 The head of work centre will accept your joining .
 Your details are to be entered in SAP, HR module.
 Next day an Employee ID (CPF No.) is generated.
 Subsequently you can apply for SIM card/Data Card/Bachelor/Colony/Identity

 Meanwhile you can request HR to write for your passwords.

21) When & how will my performance appraisal be done ?

Performance Appraisal Report (PAR) and Performance Related Pay (PRP)- A


PAR (Performance Appraisal Report) reporting chain for leave/tour approval will
be generated for new entrants. However if the service period is less than 4
months, the employee won’t be assessed for that period and hence they
won’t be getting any PRP (Performance Related Pay) for that period.

22) What is self-lease & can I avail it?

23) How much leave am I entitled to?

Prefixing and Suffixing of Holidays:
 Sundays/holidays immediately preceding or following any type of leave shall not be
counted as part of leave.
 Sundays/holidays falling in between the first and the last day of leave shall be
treated as part of the leave, except in case of casual leave and special casual leave.

24) What is Probation?

Probation - Every person appointed to a post will be on probation for a period of one
year, provided that the Appointing Authority may extend the period of probation
maximum upto one year (i.e. no Employee shall be kept on probation for a total period
exceeding two years, in any post).
 During the period of probation, an employee may be required to pass a written
examination or a proficiency test or a trade test within a specified period
 A decision on the question of extension of probation period will be taken within a
period of one month from the date of expiry of the period of probation and
communicated in writing to the Employee. However, non-communication in this
regard shall not result in automatic confirmation of satisfactory completion of
probation.
 An Employee, who fails to complete his probation satisfactorily may be discharged
from the service of the Company
 Service rendered on satisfactory completion of probation shall count as service
towards increment and leave
 If the period of probation is extended, the increment due shall be granted from the
1st of January following date of satisfactory completion of probation so extended.

25) Will I be allowed to apply for jobs outside ?

four applications in a year will be forwarded.

 Employees who wish to appear in a Competitive Examination conducted by the
UPSC/State Public Service Commission may submit their applications in the
prescribed form direct to the Service Commission. They should, however,
immediately inform the Personnel Department through their Head of the

Department, giving details of Examination for which they have applied,


requesting therein to communicate permission to the concerned Public Service
Commission directly, with a copy endorsed to the Employee(s).
 In the event of their selection in another organisation, Employees whose
applications for outside employment are forwarded or to whom ‘No Objection
Certificate’ is issued would be required to resign from their post, giving three
months’/one month’s notice. The Competent Authority at its discretion, may
agree to adjust any short-fall in the notice period against the earned leave due
to the concerned Employee or may require such Employee to pay a sum
equivalent to the short-fall in the notice period.

26) What if I want to resign ?

Resignation : Employee on probation shall be required to give one months’


notice ( 3 months for 3 years of service) in writing to the Company while
submitting his resignation.
If an Employee leaves the service of the Company without requisite notice, the
Company may deduct from his pay and allowances and any other personal
claims due to him, a sum equivalent to his pay and allowances for the unserved
notice period.

A resignation becomes effective when it is accepted and the Employee is relieved


of his duties.

27) What are Office timings & no. of working days?

For employees posted in offices in Mumbai:-


o Working hours are 10 am to 6 pm
o Lunch:- 1.30pm to 2.00pm
o 5 days working days
However, there are different work patterns including 14/28 on/off duty depending
on workplace (offshore/onshore field/office). The office timing is also different at
other regions.

28) Can I work from home ?

Such opportunities are not yet available in ONGC.

29) Will my family be eligible for benefits?

Yes, medical facilities are extended for your dependent family members.

Treatment:
• In house wherever Hospitals are available
• Referral facility available in empanelled hospitals
• If treatment taken place in private hospitals in case of emergency, amount
reimbursed based on KEM Hospital rates
• Full reimbursement in case treatment is availed in Paneled Hospitals/Govt.
hospitals.

30) Is there a pension plan in place ?

Yes, PRBS or the Post Retirement Benefit Scheme is our defined contributory
pension scheme. As per the scheme you will be entitled to pension as per your
contribution.

31) Am I covered by any insurance policy?

Yes, ONGC has its own Life insurance policy called CSSS or Composite Social
Security Scheme (CSSS). All Members of this scheme contribute on a monthly
basis.

Survival Benefit: This shall be equivalent to employee’s contribution along with

32) Will I have to serve different Regions including North East?

You will be covered by Job rotation & transfer policy and will be posted as per
ONGC’s requirement.

33) Will I have to compulsorily join the Territorial Army?

The appointee shall, if so required, be liable for military service in the ONGC
(Territorial Army) for a period of 7 years in the Territorial Army and 8 years in
the Territorial Army Reserve or for such period as may be laid down in this
behalf, from time to time.

34) What kind of training shall be provided to me?


You will undergo an induction training and a multi -disciplinary field
familiarization training. Thereafter depending upon the job requirements you
will be exposed to different kinds of training programs.

35) Is there any corporate mentoring program in place?


Yes, a corporate mentoring program is in place and you will be assigned to a
mentor, who will be a senior officer of your discipline.
