1. FRONT OF HOUSE

1.1. OPTIONAL RECEIPT PRINTING IN FOH

Front of house can be configured to have receipt printing as an optional feature per sale for members who'd
rather not have a receipt. The setting Enable Optional Receipt Printing can be configured across all scopes,
Enterprise/Region/Club/Workstation Global> FOH(2)/FOH1/FOH1/FOH1 respectively. Once a sale has gone
through, FOH will then prompt:

1.2. MEMBER SERVICE PURCHASE IN FOH SUPPORTS WEEKLY PAYMENTS

When you sell a service option with weekly DD payments in FOH the following functionality now exists:
 You can see that it is weekly DD
 Fee Collections processes this correctly

1.3. IMPROVEMENTS WHEN SWIPING TO LOG IN

When 'Layaside save in database' is turned on (Workstation settings > FOH) it will save layasides in the
database. It will display layaside for the whole club, so you can view your layaside on another workstation.
When 'Display Layaside on Login' is turned on (Workstation settings > FOH), when you change your user in FOH
(user menu) and there is a layaside in your list, it will prompt you to select your layaside or start a new
transaction.

When swiping to change user, swipe your barcode while FOH is running, it will switch the user. If there is a
transaction in progress and you are on the payment page it will not switch and when you swipe, it will display
your layasides if any.
2. MEMBERSHIP MANAGEMENT

2.1. MEMBERSHIP MANAGEMENT SIGN DATE AUDIT TRAIL

An event will now be created on the member's account when the sign date is changed. The event will show who
edited the sign date, what is was previously and on what date it was changed on.

2.2. MM AND MM WIZARDS SUPPORT WEEKLY PAYMENT

You can select a weekly payment option in MM

You can now select a weekly payment option in NMW inc new, renewal, reactivate, upgrade

Termination wizard respects weekly payment option [checks when the member is paid up until, this
represents the first possible termination date (other than now)]

2.3. FORWARD BILLING SUPPORTS WEEKLY PAYMENTS

Forward billing supports weekly payments and will illustrate this correctly in the MM 'Forward Billing' Tab.

2.4. GDPR AND REDACTION

Redaction and GDPR specific functionality will be available within the system soon. We will be supplying
supplementary release notes for this functionality as well as some guidance on preparing for GDPR.
3. REPORTS

3.1. QUARTERS PRESET DATES

When adding a filter to a report/dashboard/whatever, you now get three Quarterly options.
They should filter items as you would expect.

3.2 ADDING/REMOVING DATASETS ON REPORT WRITER

In reports, if datasets are added (after the first), Report Writer will not not automatically refresh the fields
If datasets are removed, the fields associated with that dataset will be removed, but all of the others will stay
the same. The first dataset will still populate the field list.
4. CONTROL PANEL

4.1. ACCOUNTING NAME AND GL ACCOUNT TO TENDER TYPES

Within Control Panel > Data > Inventory POS > Configure tenders > Tender > Properties tab you'll see new fields
for a GL account to be configured and an Accouting name to be given.

4.2. MANUAL CREDIT NOTES TO HAVE SELECTABLE GL CODE

When creating credit note reasons a field has been added to either assign a GL account to that reason or to
select source. When selecting source you will be able to select from the list of reasons upon creating the credit
note against the member's account in MM.

4.3. AGREEMENT PRICES SUPPORT WEEKLY PAYMENT

You can now define a Price Type to be subject to weekly payment. You can select a weekly payment option
in Price types as well as a weekly payment option in service options.

From Control Panel open agreement management, select an agreement then open the pricing tab select a
price and double click. Open the Payment Cycle drop down. You are now able to select a weekly option.

For member services, from Control Panel, open Data -> Member -> Member Service > Select a service
Select a service option and double click to edit. You should be able to select a weekly option from the
Payment Cycle drop down list.

4.4. SUPPORT FOR HIERACHY LOADING OF GL TEMPLATES

A dropdown has been added in Control Panel > Data > Cost Centre for Complex GL Account. This has also
been added to the accounts tab in the GL account themselves within the Cost Centre

5. FEE COLLECTION

5.1. FEE COLLECTION APP SUPPORTS PAYMENT EXPRESS

You are now able to collect credit card payments securely through Payment Express so you can receive
money from your customers who want to have scheduled payments paid by card.

5.2. PAYMENT DATE CONFIGURATION (MONTHLY OR WEEKLY) - COLLECTION SCHEDULES

You can now configure a payment scheme at enterprise level


o Can be weekly or monthly
o Days of week or days of month
o Based on Cron type rules (month + day of week + period and so on)
o In Fee Collection only

You can select a scheme at enterprise, region or club level. As in the rest of Legend, the scheme
selection overrides higher level selection.

Navigate to Configuration > Collection Profile as indicated below

You will be shown the following screen, which gives you the options to view/create/update/delete Collection
Profiles.

Collection Profile Configuration per Location


Navigate to Configuration > General Configuration as indicated below
You can configure the Collection Profiles to use at a location (Enterprise/Group/Club) as indicated.

Note: Collection Profiles configured at locations are not able to be deleted.


6. BULK LOG

6.1. BULK ADMIN ACCOUNTING CHANGES

Fields have been added within the Member Charges tab of the Bulk Log application for accounting purposes.

 Fixed charge and Charge from spreadsheet now have a dropdown fields for an Inventory Item to be
selected, this will be used for recording why the charge was raised but also for Taxation purposes.
 Clear balance – bad debt option needs to have a GL account selected, Clear balance – reversal doesn’t.
 Clear credit notes need a clear credit note reason selected.
 GL code reason dropdown will highlight when raising a credit note reason with a selectable GL code.

7. CRM

7.1. GDPR REDACTION: COMPLETION OF CONFIGURATION

Redaction of members is now an option within CRM. There are 4 settings on which you can determine whether
and when a member's information will be redacted. These are as follows:

 Redact member a certain time after being lapsed


 Redact member a certain time after being terminated
 Redact member's information a certain time after a club has close
 Is the option to 'forget me' (Forget my details) selected within CRM

There is also the ability to select which locations the redaction routines are run against so new clubs aren’t
automatically included in the location scope.
Please note that when a member is redacted, selected personally identifiable information is kept in a log so that
the Data Controller can report of members who have been redacted and also use this data to lookup the
members in the database for the purposes of fraud or other investigations.

Once a member record has been exported it should be marked as exported and will not normally be
included in the next export, there should be an option to re-export these log records.

8. ONLINE SERVICES

8.1. CONFIGURING MANDATORY EXTRAS

You can now set a bundle item to be mandatory. Mandatory items are not compatible with continuous courses.
A new check box has been added to the adding and editing inventory item window.
Hover over the question mark symbol and you will be provided with the checkbox information.

8.2. CONFIGURING PER SESSION EXTRAS

You can now set a bundle item to be per session. These cannot be assigned to a continuous course and will not be
displayed in the drop down when configuring/editing the program.
Once configured these cannot be edited.
A new check box has been added to the adding and editing inventory item window.
8.3. MANDATORY EXTRAS IN BACK OFFICE

Back Office now supports mandatory extras. Users will not be able to deselect the mandatory extra.

8.4. EXTRAS CAN BE CHARGED PER SESSION OR FLAT RATE

Extra can be charged be charged as flat rate or per session. Flat rate is where there will be a one-off charge for
the whole course, no matter how long the course is. Per-Session is where the extra will be charged for each
session the member is enrolled on. E.G Member is enrolled on 5 sessions and the extras is £2.00 they will be
charged £10.00 for the extras.

8.5. CANCELLATION OF ITEMS WITH PER SESSION EXTRAS IN BACK OFFICE

When a user cancels a booking in Back Office with per session extras, the default credit should be calculated
based on the per session or flat fee status of the extra.

 If an extra is marked as flat rate the refund calculation will be as at the moment.
 If an extra is marked as per session, the credit will be based on the number of sessions cancelled and the
amount paid for the extra
o E.g. $5 per session extra, 8 out of 10 sessions booked ($40 extras charge), cancel after first 3

9. CUSTOMER COMMUNICATIONS

9.1. BRIEF YOUR MARKET CHANNEL SUPPORT

Brief Your Market is now a supported channel in Customer Communications for SMS and email. It will connect
via an API and pull all your temples through much like DotMailer and Mandrill. You can configure the channel in
Back Office > Configuration > Customer Communications once it has been enabled by Legend Support.

You will also be able to see the contact responses, e.g. delivered, ignored etc.
10. EVENT MANAGMENT

10.1. DISPLAY FRIENDLY ERRORS WHEN GENERATING INVOICES (BULK OR INDIVIDUAL)

If an error occurs when generating invoices, a friendly error will display on screen with information about the
event, failing item and the inventory item involved.

10.2. BOOKING SUMMARY EMAIL IS OPTIONAL

You now have the option to send the Bookings Summary email in LEMS
The tickbox can be configured to be ticked or unticked by default. You configure this by going to BO >
Configuration > Event Management > Email settings.

If both settings are set to True then the option will show and the default option will be send.
11. ONLINE TICKETING

11.1. ONLINE TICKETS CAN ACCEPT BARCODES AS WELL AS MEMBERSHIP NUMBERS

Members can now either use their barcode or membership number in the online ticketing booking form.

12. SPORTS COURSES


12.1. COURSE SEARCH FACILITIES SHOW IN ALPHABETICAL ORDER

The facilities drop down on the course search page now shows in alphabetical order, making it more user
friendly.

12.2. IMPROVED PERFORMANCE WHEN SEARCHING IN SPORTS COURSES

Work has been done to improve the performance of searching for Sports Courses in Back Office.

12.3. MEMBER EVENT CREATED WHEN UNENROLLING FROM A SPORTS COURSE

When a member is unenrolled from a Sports Course an event is now created, the e vent can be viewed in
Membership Management > Comms > Events.

12.4. CONFIGURING PER SESSION EXTRAS


You can now set a bundle item to be per session. These cannot be assigned to a continuous course and will not be
displayed in the drop down when configuring/editing the program.
Once configured these cannot be edited.
A new check box has been added to the adding and editing inventory item window.
13. TASKS & CUSTOMER MANAGMENT

13.1. JOINING SOURCE IN CUSTOMER MANAGEMENT

As a Back Office user, you will be able to see the route through the member joined, so it'll be easy to determine
their joining pathway. For example, joined online at home, joined online in club, joined in club.

13.2. FRAUD MANAGEMENT CHECKS IMPLEMENTED IN BACK OFFICE

Back Office now respects settings configured in Fraud Management when joining, changing membership and
renewing in Customer Management.
