ILRI/ICRAF/ICIPE HP DIRECT PURCHASE AGREEMENT

ILRI, ICRAF and ICIPE are currently on a joint direct purchase contract of laptops and desktops with HP.

A) Background and Process:

 The ILRI/ICRAF shared ICT service unit purchases and leases computers to ILRI and ICRAF staff in HQ and across
the regions.
 The ICT unit charges a leasing fee for every computer prorated (Monthly) leased out.
 The assets policy recommends replacement of any computer during its 3rd year of use.
 ICRAF Research units may make use of project funds to outright computer purchases. The full cost as per the
schedule below is immediately charged to the cost center provided.
 Every year, the ICT unit makes utmost three bulk purchases to cater for i) Machines due for replacements ii)
New users joining the centres ( NB: Machines previously belonging to users and are in good working condition
may be reallocated.
 All ILRI/ICRAF staff as well Hosted Institutions are advised to adhere to the recommended models as listed
below as all will greatly benefit from Warranty and Spare parts management arrangements in place as well as
internal, specialist support skills ( hardware and software) amongst other benefits.
 Hosted institutions of ILRI and ICRAF can benefit from the direct purchase agreement by having the purchases
done by the respective procurement departments of ILRI or ICRAF. The prevailing procurement fees will apply.
