Introduction

Running is one of the oldest activities existed, our ancestors ran for hunting or to survive four
million years ago. We can find hundreds of myths and stories related to runners, for example,
the history of Filipides in marathon war. Filipides ran more than 200 kilometres to warn the
Spartans of the Persian landing in Marathon. That gave the Greeks a chance to win the war
meaning Filipides preserved the life and liberty of hundreds of families because Greeks defeated
the Persian invaders.

Inspired by this myths and stories we decided to create a running student association. Where all
of the members can feel like Filipides, challenging life and our own limits like he did.
Nevertheless, our runners are not going to be alone like him, because we want to create an
environment where you can have fun, get fit and meet new people while you are running.
Moreover, everybody is accepted in our free open association.

We want to participate in a lot of activities in Valencia like races (Spartan race, marathon, Holly
run, etc.) and other running activities. Also, we are working on ideas for other interesting sports,
like trekking.

About us

We are a student sport association from ESIC, Business & Marketing School in Valencia. As our
university project, we are creating an association, which purpose is to create a group of people
who are passionate about running and train together. We believe that this association would be
very attractive to students and bring a lot of joy.

Value and mission

The mission defines mainly what is our work or activity; in addition referring to the target
audience is important. To define the mission we have to think of such questions: What do we
do, for which people, why, what it does for us?

Knowing the concepts, our mission is to create a group of students who are passionate about
running and training together which is making us learn about sharing different personal values.

For achieving this mission we rely on values such as: living a healthy life, enjoying the nature
together, introducing the diversity, motivating people to go outdoors, improving students’ life
style and learning everything about the city, in this case Valencia, because while we are running
we are visiting many places.

Finally our vision is to make Valencia a healthy and athletic student city.

Description of the project

The name of our project is “Go With the Flow” and its main idea is to create a group of people
who would enjoy running together. The idea is to meet on a weekly basis in a specific time and
place and exercise together. There are many running roads in Valencia, which makes it easier to

2
realize our project in to real life. Running around interesting places as for example The City of
Arts and Sciences could also be introduced to acquire the interest of students who are new in
Valencia or even tourists. Our project would not only help people to get in shape and follow a
healthy lifestyle but also explore the city and socialize. Even though, we are mainly aiming at
students, all ages would be welcomed. The speed of running depends on your abilities as well
as the distance, since everyone has different capabilities.

Clash with ESIC

After the first meeting with Enrique Planells, the International Relations Coordinator of ESIC, he
had assured us that at this point no other similar association to our project exists in university.

After talking to Enrique, we met Marcos Laguía, the Communication Director who gave us
different points of motivation to publish our association and thus be able to make us known
among the students to join us.

Funding

At first stages, our project does not require any specific funding. Because the idea behind our
association is to freely meet outside at a set time and run together as well as to explore Valencia.
The money could be needed for advertising, however it is possible to make it online for free as
well. Nevertheless, in further stages in order to expand our association by paid advertising and
other marketing techniques or to have specific decorations such as a stands etc. in our events,
the funding would be useful and important.

Thus, charity events could be introduced, this way not only our funding would be increased but
also the participating in our association and running events would be done for a good cause.
People would be united not just by the idea to run together and be healthier but also to help
someone in need. Some money from charity events could be further used in order to create and
produce t-shirts or any other sport gear with our logo and be sold to further increase the
association’s budget. Depending on the running events that our association will be holding, small
fees could be introduced, however it will be done only once the association is of a certain size
and not straight at the beginning in order to not repel possible participants.

Legal issues involved

As the sport association that we are we should follow and adjust a few regulations. The
regulations differ, some are at local and provincial levels, and some are at the estate level.
Making a transparent management and effective relation with the law of enforcement
guarantees our legality and veracity of our acts.

We are going to show every legal issue that our associations has to follow for the legal
performance:

Legal regulations:

actividades recreativas.
o Decreto 389/1998, de 22 de diciembre, por el que regulan los seguros de
responsabilidad civil exigibles para la celebración de espectáculos públicos y

Also, we should act against another legal issue like the prior authorization of local organisation
such as Play and Show Direction of Valencia and the Direction of Traffic and Mobile Park of
Valencia.

For a correct and safe of public’s spaces, cost, beaches, Urban, interurban and livestock routes
avoiding hazards and ensuring a safety and evacuation plan for the perfect security.

Minutes taken

We have been taking minutes since the first meeting, usually Elizabeth Grokhotova was the
minute taker, but in her absence Javier Fontoba (normally the chair) took her place. During the
project, all of the participants have seen the minutes written down.

First meeting
 Date
o 07.10.16
 Attendees
o (4) Elizaveta Grokhotova, Rocio Bueno, Javier Fontoba, Pablo Cano
 Discussion points
o Two different types of emails were created. The e-mails were sent to 6 different
recipients to both Spain and other foreign countries. The Wix website is at the
beginning of being created. Introductory information has been added as well as

4
contact details. Possible promotional videos for running that could be further
used or modified were being researched.

Second meeting
 Date
o 14.10.16
 Attendees
o (3) Elizaveta Grokhotova, Rocio Bueno, Javier Fontoba
 Discussion points
o The vision, mission and core value were discussed, and written down according

and compared. Extra e-mails were sent to receive a further more detailed
information about possible cooperation.
Third meeting
 Date
o 28.10.16
 Attendees
o (4) Elizaveta Grokhotova, Rocio Bueno, Javier Fontoba, Pablo Cano
 Discussion points
o An application that can be used for our running idea has been introduced. The
name of the application is Runtastic. It shows the amount of km as well as
calories lost during the run. It is possible to see and create a map of specific
places for running.
o The ideas for creating a video have been also introduced in order to increase
the awareness of our project. In which not only we will be filmed but also main
monuments and sights of attractions. This would show that by joining our group
association people would run, train and lose calories as well as see the city of
Valencia.
o The structure of the video was outlined.
o Facebook page of our association was also made.
Fourth meeting
 Date
o 04.11.16
 Attendees
o (3) Elizaveta Grokhotova, Rocio Bueno, Pablo Cano
 Discussion points
o The discussion for the video is concluded, the plan is concrete on when to create
it and how. The discussion about presentation has started. Possible parts that
would be included in presentation were talked about.
o Introduction (ourselves, the association, the idea of creating, only short
information) Main part (vision, mission, SWOT analysis, promoting campaigns,
the places for running, the website, the video, other relevant ideas) Conclusion
(future possibilities, how is the dedication will be done, future cooperation’s,
future competition between members to show the importance of the aims and
the association in general)

Fifth meeting
 Date
o 11.11.16
 Attendees

5
o (3) Javier Fontoba, Rocio Bueno, Pablo Cano
 Discussion points
o The video idea is concluded and now we have to put it in practice, so we decided
to start this next Monday (14/11/16) on the old river path, which has been
adapted for runners.
o The idea of starting with the PPT was introduced, so we created a common
template, with the objective to make it easier for individual work. We are
studying which parts of the power point design will everybody be working on.
Sixth meeting
 Date
o 02.12.16
 Attendees
o (4) Elizaveta Grokhotova, Rocio Bueno, Pablo Cano, Javier Fontoba
 Discussion points
o The work on the project continues. The parts for the essay that earlier were
separated will soon be combined in order to create a proper report. The
presentation parts will also be created and divided between the team members.
o Creation of the video is planned for Monday in order to increase the awareness
of our project.

The conclusion is that taking minutes have been really useful. Because it helped us to be more
organised with our short time objectives. Moreover, it helped us to be more efficient because
we put end lines to all our minutes.

SWOT analysis

In order to determine the external and internal factors that will have an affect on our
association, a SWOT analysis has been made. The factors were discussed with the group
members to further classify the exact points that should be taken into consideration. Creating a
good outline, which would include weaknesses and threats, helps in building a better
understanding of what should be done in order to avoid these to happen.

Strengths:
 Motivation of the group members
 An interesting idea that can be expanded further and collaborated with other bigger
associations
 Personally created, well designed website
 Well remembered and recognizable name
 It is useful for getting more people
 Every day new ideas are discussed and brought into the project

Weaknesses:
 No replies from the emails that were sent to different universities with the aim to
collaborate
 Promotional video is still in the process
 The amount of people who would join the association still remains unknown for now,
however we aim high
 No start up funding for creating the events

6
 The amount of group meetings is relatively low

Opportunities:
 Nowadays running is becoming more and more popular between people
 Everybody can run and become a participant, from young to old people
 Due to high popularity, it is easier to attract interest to our association
 Our association is also run by young people, meaning they psychologically may feel more
attracted and comfortable

Threats:
 There are many other big scale associations in Valencia and Spain in general
 The competition is high
 Our association has to be recognized, as for now it is very new and not known yet
 There has to be a constant participation by the people from association, might be hard
to cooperate with full time university

Future ideas were introduced to set the goals and have an outline of possible achievements.

Plans to continue developing for longer than a year:

 Different distance running possibilities (5km / 15km / etc.)

 Possible competitions between people
 Participation in charity events
 Further cooperation with bigger scale associations in Spain
 Creating t-shirts, etc. in order to increase funding for future events
 Excursions in time of activities
 Introducing a whole healthy lifestyle (including eating habits, tips for everyday training,
etc.)

Feedback

Knowing that we are a new and for now a small association, it was difficult for us to get any
interest from others in our project, so we have not received any responses from any sources of
information that we have contacted. We tried to communicate with different universities and
associations, however unfortunately it was not successful. For now, we have to let the time pass,
make the association known and grow bigger.

Dear Sir / Madam

Let us introduce ourselves; we are a student association from ESIC, based in Spain. It is a private
business & marketing school in Valencia.
The purpose of our association is to create a group for people who are passionate about running.
We have found your running events to be very successful. Thus, we are writing to you in order to
receive advices and tips about creating such an association in our university.

Look forward to hearing from you!

Yours sincerely,
The Go With the Flow team

Website and social Networks

Like every new association that appears in this nowadays-globalized world, creating networks
and social platforms is crucial. Thus, to increase the awareness of our association and gain
constant interest from people we have created a page on such social media platforms as Twitter
and Facebook. We have also created own web site and in the future may create a YouTube
channel.

Conclusion

This association has become a responsibility for us. Because, we have had to take care of it and
try to keep the original idea alive. It has been an interesting project that has required a lot of
time and hard work. But at the end of the day, we see our job and we feel proud about the
association that we have created. A free running student association where you can relate with
other people and do sports. We believe that we have learned and improved our skills a lot, such
as time management, responsibility of accomplishing tasks as well as teamwork and our
negotiation skills. It has been a short trip, but we have interest on going with the project, so it is
not the end of it and we hope that the project continues this right way.
