Definitions
The terms “Academia,” “institution” and “AA” mean Academia Arcanum.
The term “preponderance of the evidence” means “more likely than not”
that a violation occurred as alleged.
The term “Academia sponsored activity” means any activity on or off Discord
which is initiated, authorized, aided, or supervised by the Academia.
The term “The Court” should be understood to include the founders of the
Suit of Lituus, Calix, Numus, and Ensis, who have responsibility for overseeing
the apprentice conduct process in their respective areas.
The term “policy” means the written regulations of AA as found in, but not
limited to, the Apprentice Code of Conduct, the Apprentice Handbook, the
Academia catalog, administrative directives, and the AA website.
The term “due process” means a guarantee that all proceedings related to
the apprentice code of conduct will be fair and that apprentices will be given
notice of the proceedings and an opportunity to be heard before the
Academia acts to take away their rights and privileges.
The term “witness” means an individual or individuals who have had direct
involvement in an incident and/or who were provided with information
regarding the incident directly from the accused apprentice, alleged victim,
or both. This also includes individuals who in their professional capacity have
contributed information which led to Academia charges.
The term “evidence” means the use of testimony (e.g., oral or written
statements), exhibits (e.g., physical objects), documentary material, or
demonstrative evidence related to the incident leading to the charge(s).

Apprentices can access high quality resources which support intellectual and

Grievance Process
Due Process
Apprentices can expect due process for alleged violations of the Apprentice
Code of Conduct. Due process includes reasonable notice of potentially
adverse actions and an opportunity to be heard.
Personal Growth
Apprentices can expect timely and courteous responses from the Academia’s
academic and administrative departments.
Apprentice Rights
Apprentices enrolling in the Academia assume an obligation to conduct
themselves in a manner that is civil and compatible with the Academia’s
function as an educational institution. Submitting an application to Academia
Arcana represents a voluntary decision on the apprentice’s part to participate
in the programs offered by the institution pursuant to its policies, rules, and
regulations. Violating any of AA’s core values may lead to disciplinary action.
AA apprentices exemplify honesty and a respect for truth in all their dealings.

Administrative Responsibilities
● Disciplinary procedures for apprentices in all credit courses are
administered by The Court.
● Disciplinary procedures for minor and moderate instances of academic
misconduct are administered by the appropriate The Court. See the
Code of Academic Integrity below.
● Apprentices will be charged with violations of the Code of Conduct
when the apparent infractions are observed within Academia property
or other locations where the Academia provides services or when the
off-server behavior negatively affects the teaching and learning
environment.
Infractions of federal, state or local laws occurring off server may be
considered a violation of the Apprentice Code of Conduct when such actions:
● directly affect the health, safety or security of the Academia community
● affect an individual’s ability to fully participate in the Academia’s
academic or co-curricular programs
● affect the Academia’s pursuit of its educational purposes, or
● occur as a direct result of a Academia connected disruption
Interim Actions
Depending on the nature of the alleged misconduct, interim actions may be
taken as deemed necessary for the safety of the Academia community.
Examples include, but are not limited to, interim suspension, server bans,
administrative silence, and removal of privileges. When possible, alternative
arrangements will be made for the apprentice to continue to meet academic
requirements. The Academia may also withhold the award of an apprentice’s
certificate of completion until the completion of the conduct process.
Administrative Sanctions
Educational Sanctions
1. If the apprentice fails to appear, The Court may find the apprentice
responsible and impose sanctions.
2. If there is no basis for the allegation or if it does not warrant disciplinary
action, the Dean will dismiss the allegation.
3. If the apprentice accepts responsibility, The Court will impose sanctions
and no further hearing is required.
4. If the apprentice does not accept responsibility, The Court will initiate
formal disciplinary charges.
If formal charges are filed, the apprentice with the agreement of The Court
may choose one of two hearing options:
At the hearing, The Court will ask the apprentice to respond to the charges. If
the apprentice admits responsibility for the charges, the apprentice will be
given an opportunity to explain any mitigating circumstances. If the
apprentice denies the charges, the hearing will proceed. The burden of proof
rests with the complainant. The Court or the administration will determine
responsibility by the preponderance of the evidence (more likely than not).
The hearing will be held whether or not the apprentice attends.
Written notification of the sanction will be sent to the apprentice via the
apprentice’s Discord messages and/or apprentice’s provided email within 10
business days following the hearing. Any sanction imposed at the server level
applies to the entire Academia.
Hearing Guidelines
The apprentice must receive notice at least two business days before the
scheduled hearing. Notice of the charge(s) and of the time and place of the
hearing will be sent to the student and all involved parties.
Hearings will be closed to the public and press. All proceedings and decisions
will be confidential except as permitted or required by law. All decisions of the
proceedings will be provided to the complainant and accused student and to
Academia officials on a need-to-know basis. Hearings will be recorded.
Educational Sanctions include, but are not limited to: reflection paper,
community service, research paper review of relevant article, policy review
paper, interview key staff, behavior contract/agreement.
Within five business days, The Court will review the due process proceedings
and render a decision. The apprentice will be notified of the decision by email
and/or Discord private messages. The decision of The Court is final.
Deadlines may be extended by a case by case basis; however, The Court has
the authority to extend deadlines at any level of the process.
