MEMORANDUM

TO: All Head Office Employees

RE: Office policies

This is to remind all staff and employees of the head office of the following work-related policies:

1. DRESS CODE – Employees are required to wear proper attire during work hours. Wearing sleeveless
shits/dresses, collarless shirts, sandos, shorts, flip-flops, and other similar items of clothing which can be
marked as unprofessional is strictly prohibited.

2. ABSENTEEISM AND TARDINESS – It has been brought to the management’s attention that a handful
of employees do not follow the prescribed work schedule. We remind you that office hours begin at
________a.m. It is also your obligation to inform the office beforehand if you are going to be absent or
late for work.

As a gentle reminder, absenteeism and frequent tardiness are sufficient grounds for disciplinary action.
The management will no longer tolerate such unprofessional behavior.

3. REFERRALS AND SERVICE INQUIRIES – Service inquiries with the head office are not considered
referrals. Service inquiries must go through the company prescribed procedure – the employee who
attended to an incoming call inquiry to the head office from a potential client shall not record the said
client account as a referral under his/her name.

4. CLIENT MEETINGS – A requisition slip must be filled-out if there is a request for a meeting from a
client. All requests must be recorded on the designated notebook.

After client meetings, the employee must fill-out the required Official Business Form (“OB Form”) and
must ensure that the said form is acknowledged and signed by the parties present.

5. EXISTING AND FUTURE POLICIES – All employees are required to strictly observe and comply with
existing and future work-related policies. Any changes made to existing company policies must always
have the approval of the _____(position)___,. Employees will be notified of such changes.

Kindly observe and comply with the reminders listed above. Violations of foregoing policies will be
more strictly dealt with.
