Section officers.

(a) Section officers function as supervisors of the Department with a defined allocation of
subjects to be handled. They are responsible to the Chairmen and Teachers under whose
charge the Department functions for ensuring.
(i) Prompt and efficient processing of papers coming up for disposal in their Department.
(ii) An even allocation of work amongst the staff.
(iii) Appropriate development of abilities of the staff under them
(iv) Maintenance of discipline amongst the staff.
(v) That the Section is kept neat and tidy
(vi) Proper maintenance of files, registers and other documents and papers being handled in
the Section
(vii) Strict observance of the instructions contained in the Codes Manuals, Office Orders,
etc. including prompt submissions of periodical statements.
(viii) Punctuality in attendance by the staff.
(ix) Weeding out of old and unwanted papers /documents in the Section.

(b) Section Officers are authorized and are expected to take action on routine matters like
sending reminders, interim replies, issuing acknowledgements and other intermediate
disposals.
Assistants.—Assistants occupy the originating secretariat position for case work and
correspondence handled in the Department. Each Assistant is entrusted with the responsibility
of dealing with certain specified subjects from amongst those allocated to the Department as
a whole. He opens the files, maintains them, notes on cases on subjects allotted to him,
prepares draft replies memoranda, statements, etc. and ensures prompt disposal of issues
brought up for consideration and records the files after action is completed on them.
Assistants type their notes and drafts themselves.
Upper Division Clerks: Perform tasks similar to those performed by Assistants. But
cases handled by them are less complex and important but more routine in nature.
Lower Division Clerks: Lower Division Clerks are responsible for
(a) registration and diarisation of papers coming to the Section;
(b) maintenance of the various registers in the Section
(c) typing and proof-reading of such material as may be assigned to them by the
Chairmen or other supervisory staff.
(d) Preparation of various periodical statements and returns to be furnished by the Section
to other sections or offices.
(e) Ensuring dispatch of outgoing letters and files of the section;
(f) Indexing and recording work;
(g) Preparation and submission of simple notes and drafts under the guidance of the Section
Officer.
Secretary: He will keep the officer free from routine nature of work by mailing
correspondence, filing papers, making appointments, arranging meetings and collecting
information so as to give the Chairmen more time to devote himself to the work in which he
has specialized. The secretary will maintain the confidentiality and secrecy of confidential
and secret papers entrusted to him. He will exercise his skill in human relations and be cordial
with the persons who come in contact. Some of the specific functions are enumerated below:-
i) Taking dictation in shorthand and its transcription on computer;
ii) Fixing up of appointments and if necessary cancelling them;
iii) Screening the telephone calls and the visitors in a tactful manner.
iv) Keeping an accurate list of engagements, meeting etc. and reminding the officer
sufficiently in advance for keeping them up;
v) Maintaining in proper order, the papers required to be retained by the Chairmen;
vi) Keeping a note of the movement of all incoming and outgoing papers, files etc;
vii) Destroying by burning or shredding the stenographic record of the confidential and
secret letters after they have been typed and issued;
viii) Carrying out corrections and making fair copies of draft letters to be signed.
ix) Generally assisting the officer in such manner as the Chairmen may direct.
Duties and Responsibilities of Lab Assistants

a. The Lab. Assistants are required to assist the respective Lab In-Charge for
smooth functioning of the laboratories.
b. Lab Assistants shall be available for operation, maintenance and
care of resources/services.
c. All the Lab. Assistants, in coordination with the respective Lab In-Charge,
are required to report matters, like maintenance/repairing, theft,
damage etc. within the respective labs, to the HOD.
d. Lab Assistants in coordination with Lab In-charge should display
(i) List of Equipments/software with cost
(ii) List of Experiments
(iii)Lab Time Table
(iv)Names of Lab In-charge / Lab Assistants etc. on the Lab Notice
board. e. Any other assignments as given by HOD/Principal/Director.
