1. INTRODUCTION

1.1 About Hulbee Desktop


Hulbee Desktop is specially designed software program for desktop search. Hulbee
Desktop brings together highly-intelligent powerful search tools as Search string, Data cloud
and Hulbee gadget. But even more, as a very flexible solution Hulbee Desktop allows usage of
these tools in various combinations.
Hulbee Desktop is powered by Lucene.Net, which is port of the Java Lucene search en-
gine to the C# and .NET platform utilizing Microsoft .NET Framework.

1.1.1 THE PURPOSE OF HULBEE DESKTOP

The main purpose of Hulbee Desktop is to simplify a full text search on local computer,
even without using a keyboard. Hulbee Desktop supports both plain text and the majority of the
most popular formats including archives, Outlook messages with attachments and even audio
files (extracting textual data from tags only).
Formats supported:
 Microsoft Word (97-2007),
 Microsoft Outlook (2003-2007),
 PDF format (.pdf),
 Open Office (.odp, .odt, .sxw),
 .rtf, .htm, .xml;
 Archives (.rar, .zip)
 Audio formats (.mp3, .ogg, .wma, .flac and others). Only textual tags of audio files are
indexed.
Hulbee Desktop can search in different languages. English, German, Dutch and Spanish
are included in the base package. Using intelligent technologies Hulbee Desktop can recognize
all word forms for the supported languages. For example: if search query includes word “light”
then the search results may contain texts with such words as “lights”, “lighted”, “lighting” etc.

However, some features are not yet implemented in the current version of Hulbee Desk-
top. These are some technical improvements that will be realized in later versions:
 Ability to define monitored areas for Hulbee Desktop Indexer (local files and
folders, hidden and system files and folders, net drives, removable media, etc.);
 Wider languages range support.
Later versions of Hulbee Desktop also will include additional intelligent features:
 Data cloud clusterization;
 Search results classification, etc.

2. INSTALLATION AND LAUNCHING

2.1 Installing Hulbee Desktop


2.1.1 SYSTEM REQUIREMENTS

Windows XP/2003/Vista, 32-bit versions;


.Net Framework 3.5 SP1 or higher (require up to 500 MB of hard disk space);
Intel Pentium III (Celeron), 800 MHz or higher;
1GB RAM;
200 MB of free space on hard disk + space for index (depends on documents' size).

2.1.2 INSTALLATION
Hulbee Desktop can be installed on the computer providing it has the necessary pro-
grams and meets the system requirements (listed in 2.1.1 subsection).
Hulbee Desktop installation is performed by a special installer: HulbeeDesk-
top_X.X.X.X_Install.exe. Where X.X.X.X is version of Hulbee Desktop. For example installer
file may be named as HulbeeDesktop_1.0.2.22_Install.exe.
HulbeeDesktop_X.X.X.X_Install.exe file should be started to begin Hulbee Desktop in-
stallation.

 Instruction 2.1 Hulbee Desktop installation


To start Hulbee Desktop installation:
1. Make sure that the computer (Hulbee Desktop is installed on) meets the
system requirements (listed in 2.1.1 subsection);
2. Start the installer by executing installer file.
3. Select the installation language from the Available languages list (fig.
2.1 marker 1) in the language selection dialog (fig. 2.1);

4. Click Next button (fig. 2.1 marker 2);


5. Click Next button in the following dialog. The button location is the same
as in the language selection dialog (fig. 2.1 marker 2);

6. Read the license text (fig. 2.2 marker 1) in the license agreement dialog
(fig. 2.2);

7. Check I accept the terms of the license agreement (fig. 2.2 marker 2)
to accept the terms of the license agreement in order to continue installa-
tion;
8. Click Yes button (fig. 2.2 marker 3);

 Installation destination directory can be changed by mod-


ifying the Path string (fig. 2.3 marker 1) or using the
Browse button (fig. 2.3 marker 2) in Destination directo-
ry dialog (fig. 2.3). But it is recommended to use default
installation directory;

9. Click Next button (fig. 2.3 marker 3) in Destination directory dialog (fig.

10. If .Net Framework 3.5 SP1 has not been installed on the computer, the in-
staller will offer to install .Net Framework 3.5 SP1 (fig. 2.4). To download
.Net Framework 3.5 SP1 from the Internet and install it in automatic mode
(recommended action) Click Next button (fig. 2.4 marker 2).

 Alternatively it is possible to install .Net Framework 3.5


SP1 manually, in this case it is recommended to down-
load the most recent version from Microsoft site using

11. Select desired option in Warning dialog (fig. 2.5). It is recommended to


choose default Restart Microsoft Outlook option (fig. 2.5 marker 1) to
start indexing of Microsoft Outlook content immediately after installation.
Choosing of Index Microsoft Outlook later option will block Microsoft
Outlook content indexing until reboot;
12. Click Next button (fig. 2.5 marker 3) in Warning dialog (fig. 2.5);

13. Click Install button (fig. 2.6 marker 1) in the summary dialog;

15. Wait until the all files are copied (the process may take several minutes).
When the files are copied, the installation completion dialog will be
shown (fig. 2.7);

16. Select desired options:


 To integrate Hulbee Search to internet browsers Integrate Hulbee
Search to internet browsers checkbox (fig. 2.7 marker 1) should
be checked. This option works for Internet Explorer 7-8, Firefox
and Opera. Enabling this option will add www.hulbee.com to
browser search providers list.
 To install Hulbee Gadget (described in 3.2.8 subsection) Install
Hulbee Gadget checkbox (fig. 2.7 marker 2) should be checked;
17. Click Finish button (fig. 2.7 marker 3) in the installation completion di-
alog (fig. 2.7);

18. If Hulbee search was integrated to internet browsers then notification win-
dow (fig. 2.8) will appear.
19. Click OK button (fig. 2.8 marker 1) in the notification window (fig. 2.8);

20. If Hulbee Gadget checkbox (fig. 2.7 marker 2) was checked then Hulbee
Gadget installation dialog (fig. 2.9) will appear. To continue installation
of Hulbee Gadget (described in 3.2.8 subsection) click Install button (fig.
2.9 marker 1);

21. Hulbee Desktop installation is complete after installer window closes. A


sign of a successful installation is Hulbee Desktop Indexer icon in the
notification zone (fig. 3.9).

If any errors occurred during the installation process, subsection 2.1.4 should be reviewed
for solution. If the problem won‟t be solved, it is recommended to communicate with the support
service for solving such situations (section 4.3).

2.1.3 REMOVING
There are two ways to remove Hulbee Desktop from the computer:
1. With the help of Control panel.
2. With the help of the shortcut in the Start menu.
Depending on which operating system (Windows XP or Windows Vista) is installed on
the computer, Hulbee Desktop removal may be started differently.
 Instruction 2.2 Removing Hulbee Desktop with the help of the control panel
To remove Hulbee Desktop with the help of the control panel in Windows Vista:

1. Click Start button and select Control panel command;


2. Select Programs and features command in the opened window;
3. Select HulbeeDesktop in Installed Programs List and click Uninstall
button, which is in the top part of the list;

4. Enter the administrator password or password confirmation if the corres-


ponding request appears;
5. Click Yes in “ Hulbee Desktop” uninstallation window;
6. Click Exit button after the removal is complete;
7. Rebooting is sometimes needed for complete application removal. The
corresponding window will appear in this case. It is recommended to click
Yes button, after which the computer is rebooted automatically.

 Instruction 2.3 Removing Hulbee Desktop with the help of the shortcut
To remove Hulbee Desktop with the help of the shortcut in Windows Vista:

1. Click Start button and select All Programs item;


2. Select Grossbay\ HulbeeDesktop\ Uninstall\ HulbeeDesktop Uninstal-
ler;
3. Confirm the launch and enter the administrator password or password con-
firmation if the corresponding request appears;
4. Click Yes in “ Hulbee Desktop” uninstallation window;
5. Click Exit button after the removal is complete;
6. Rebooting is sometimes needed for complete application removal. The
corresponding window will appear in this case. It is recommended to click
Yes button, after which the computer is rebooted automatically.

2.1.4 HULBEE DESKTOP INSTALLATION PROBLEMS SOLUTION


This subsection deals with solving problem situations and errors, which may occur during
Hulbee Desktop installation on the computer. If the error description is missing, or the proposed
solution does not help, it is recommended to reboot the computer and try to install the program

once more. If the error occurs again, it is recommended to communicate with the support service
(section 4.3).
The following errors may appear during the installation process:
 The User Account Control window (fig. 2.10) may appear on the installation (or
deinstallation) launching.

Solution: Allow command (fig. 2.10 marker 1) should be selected to continue in-
stallation.

 The following error message may appear during .Net Framework 3.5 SP1 installa-
tion process:

1 – Yes button; 2 – No button.

Solution: By some reason automatic installation of .NET Framework 3.5 Service


Pack 1 fails. It may be caused by Internet connection failure. Because .NET
Framework 3.5 Service Pack 1 is required for Hulbee Desktop to function, it

should be installed on the computer to eliminate this error. To get rid of the prob-
lem next actions is recommended:
o Reboot computer and try to install Hulbee Desktop again;
o Check Internet connection. If Internet connection works correctly try to in-
stall .Net Framework 3.5 SP1 manually using next link:
http://www.microsoft.com/downloads/details.aspx?familyid=AB99342F-
5D1A-413D-8319-81DA479AB0D7&displaylang=en;
o If Internet connection is unavailable install .Net Framework 3.5 SP1 from
other sources.
After .Net Framework 3.5 SP1 is successfully installed try to install Hulbee
Desktop again.

2.2 Starting Hulbee Desktop


Hulbee Desktop needs Hulbee Desktop Indexer (described in 3.2.7 subsection) to run
properly.
After installing Hulbee Desktop on computer, the Hulbee Desktop Indexer should start
automatically. Also Hulbee Desktop Indexer will be added to startup (autorun) and started au-
tomatically on Windows startup.
Hulbee Desktop Indexer used to index computer content. After content is indexed
search can be performed using Hulbee Desktop. To start Hulbee Desktop follow any of the
instr. 2.5, 2.6 or 2.7.

 Instruction 2.4 Starting Hulbee Desktop Indexer in Windows Vista


To start Hulbee Desktop Indexer in Windows Vista:

1. Click Start button ;


2. Select All Programs command;
3. Select Grossbay\ HulbeeDesktop;
4. Click Hulbee Desktop Indexer item.
5. Hulbee Desktop Indexer should start and its icon displayed in the notifi-
cation zone (fig. 3.9).

To start Hulbee Desktop:
1. Double click Hulbee Desktop Indexer icon in the notification zone (fig.
3.9);
2. Hulbee Desktop should start and main window (fig. 3.1) should be dis-
played.

To start Hulbee Desktop:
1. Double click Hulbee Desktop shortcut on the windows desktop;
2. Hulbee Desktop should start and main window (fig. 3.1) should be dis-
played.

 Instruction 2.7 Starting Hulbee Desktop in Windows Vista (by Start menu)
To start Hulbee Desktop:

1. Click Start button ;


2. Select All Programs command;
3. Select Grossbay\ HulbeeDesktop;
4. Click HulbeeDesktop item;
5. Hulbee Desktop should start and main window (fig. 3.1) should be dis-
played.

2.3 Exiting Hulbee Desktop


Hulbee Desktop supports traditional ways of closing window.

 Instruction 2.8 Exiting Hulbee Desktop


To exit Hulbee Desktop:
1. Click the cross in the right upper corner of the Hulbee Desktop main
window (fig. 3.1).

 To exit Hulbee Desktop Alt-F4 key combination may


be used also.

Additionally, there is a way to shutdown Hulbee Desktop Indexer using Hulbee Desk-
top Indexer context menu (fig. 3.10).

! Hulbee Desktop Indexer is important part of Hulbee Desktop


software solution. Turning Hulbee Desktop Indexer off may lead to
Hulbee Desktop not functioning properly.

3. WORK WITH HULBEE DESKTOP

3.1 Principle of operation


Hulbee Desktop software solution consists of several modules:
 Hulbee Desktop browser (hereinafter referred to as Hulbee Desktop);
 Hulbee Desktop Indexer (3.2.7 subsection);
 Hulbee Gadget (3.2.8 subsection).

Hulbee Desktop and Hulbee Gadget are the user interface modules. These modules de-
veloped to interact with user, they receive user queries and process software responses to form
search results. Search results can be represented in different forms, as:
 Search results list (fig. 3.1 marker 6);
 Hulbee Desktop Data cloud (fig. 3.1 marker 8);
 Hulbee Gadget Data cloud (fig. 3.15 marker 3).

Hulbee Desktop Indexer is a very important part of Hulbee Desktop software solution.
This module is used to find and collect textual data from defined locations. In current version of
Hulbee Desktop there is fixed list of locations for Hulbee Desktop Indexer to process (only
normal files and folders on local computer). It is planned to add feature that will allow user to
define locations for Hulbee Desktop Indexer to be monitored (local files and folders, hidden
and system files and folders, net drives, removable media, etc.)
Hulbee Desktop Indexer watches over the computer content and traces all changes (new
content added, some files moved or deleted). That is why Hulbee Desktop Indexer is so impor-
tant; it allows Hulbee Desktop to know about current files on a computer. However, usually it
takes some time to process newly added files.
When Hulbee Desktop Indexer processes textual data from files, it saves important data
in special index data base. Index data base allows to find files very quickly. Current version of
Hulbee Desktop can extract data from various sources. Not only the names of files and folders,
document files texts, archives and mail messages but even tags of audio files can be processed by
Hulbee Desktop to extract information (see list of formats supported in the 1.1.1 subsection).
Using this advanced techniques Hulbee Desktop has the power to find:
 Files by file (or folder) names;
 Documents by contained text;
 Mail messages by message text or by attached files text or file name;
 Audio files by tags (author, genre, album, etc.)

3.2 Hulbee Desktop Interface

3.2.1 HULBEE DESKTOP MAIN WINDOW

Hulbee Desktop main window looks like the following:

Hulbee Desktop main window contains the following interface elements:


1. Search panel (fig. 3.1 marker 1) used to input search parameters. Described in
3.2.3 subsection;
2. Hulbee.com button (fig. 3.1 marker 2) allows to make Hulbee.com default search
engine;
3. New search button (fig. 3.1 marker 3) clears Search string (fig. 3.5 marker 3),
Search results list (fig. 3.1 marker 6) and Data cloud (fig. 3.1 marker 8);
4. Main menu (fig. 3.1 marker 4) includes Search, Options and Help items;
5. Links to Hulbee.com web search engine and to Grossbay.com site (fig. 3.1 marker
5);
6. Search results list (fig. 3.1 marker 6) shows search results. Described in 3.2.4
subsection;

7. Filter panel (fig. 3.1 marker 7) allows to filter results by file type. Described in
3.2.5 subsection;
8. Data cloud (fig. 3.1 marker 8) allows to alter Search string (fig. 3.5 marker 3)
by adding or excluding Data cloud words. Described in 3.2.6 subsection.

3.2.2 MAIN MENU

Main menu (fig. 3.2) contains next items:


 Search menu. Contains New Search and Exit commands (fig. 3.3). New Search
command clears Search string (fig. 3.5 marker 3), Search results list (fig. 3.1
marker 6) and Data cloud (fig. 3.1 marker 8). Exit command is used to close
Hulbee Desktop main window (fig. 3.1);

sort order;
2. Sort by list (fig. 3.6 marker 2) allows to sort search results by relevance, name,
date, size, extension or language;
3. File name (fig. 3.6 marker 3) of file found;
4. Brief snippet (fig. 3.6 marker 4) of text from file found;
5. Full path (fig. 3.6 marker 5) to file found.

3.2.5 FILTER PANEL

Filter panel contains the following filters:


1. Language filter (fig. 3.7 marker 1) allows to filter files found by selected lan-
guages, i.e. Search results list (fig. 3.1 marker 6) will show files only in chosen
languages;
2. Type filter (fig. 3.7 marker 2) allows to filter files found by selected types, i.e.
Search results list (fig. 3.1 marker 6) will show only files of chosen types.

Available items for each filter depend on results from Search results list (fig. 3.1 marker
6). In other words if search results contain documents only in English and German then Lan-

filter (fig. 3.7 marker 2), it will show only types of files found.
Usually filters are used after the search is performed to minimize number of results
showed in Search results list (fig. Figure 3.1 marker 6).
 There is a feature that allows to select multiple filter
items (for example English and Deutsch in Language fil-
ter ). To do so:
1. Press and hold control (Ctrl) key on keyboard;
2. Click on desired filter items;
3. Release control (Ctrl) key.

During search process Data cloud (fig. 3.1 marker 8) is updated to correspond with
Search string (fig. 3.5 marker 3) and computer content. Any changes of Search string will
reflect on Data cloud and vice versa.
Data cloud contains characteristic words from computer content, concerning query
words the most. Data cloud words can come from different sources, like file or directory names,
documents texts, tags etc. (see section 3.1 and list of formats supported in the 1.1.1 subsection).
In other words Data cloud presents terms related with query terms by computer content.
In contrast to Search string, Data cloud visually presents possible ways of making a query, i.e.
offers possible variants in an easy and understandable form.
Adding or excluding query words with the Data cloud is a matter of mouse click.

3.2.7 HULBEE DESKTOP INDEXER

Hulbee Desktop Indexer is designed for automated computer content indexing and mon-
itoring. Hulbee Desktop Indexer is important part of Hulbee Desktop software solution. It is
recommended to keep Hulbee Desktop Indexer in active mode for proper Hulbee Desktop
functioning. Anyway Hulbee Desktop Indexer can be paused or turned off using Hulbee Desk-
top Indexer context menu (fig. 3.10).
In current version of Hulbee Desktop only local files and folders are monitored by Hul-
bee Desktop Indexer. None of hidden, system files and folders, net drives or removable media
is indexed.
Hulbee Desktop Indexer has several modes:
 Active mode

This is a normal Hulbee Desktop Indexer mode when it monitors computer con-
tent. To pause Hulbee Desktop Indexer command “Pause” from Hulbee Desk-
top Indexer context menu should be selected (see fig. 3.10).

! It is recommended to keep Hulbee Desktop Indexer always in normal


mode. To know more about why it is so important see section 3.1.

 Paused mode

In this mode Hulbee Desktop Indexer can‟t monitor computer content. To switch
to active mode command “Resume” from Hulbee Desktop Indexer context
menu should be selected (see fig. 3.10).
Hulbee Desktop Indexer context menu can be called by right button click on Hulbee
Desktop Indexer icon in the notification zone.

Hulbee Desktop Indexer context menu contains the following commands:
1. Search with Hulbee Desktop starts Hulbee Desktop;
2. Show Status allows to view Hulbee Desktop Indexer status window (fig. 3.11);
3. Pause/Resume allows to switch Hulbee Desktop Indexer modes;
4. About shows brief info about Hulbee Desktop software;
5. Exit allows to shut down Hulbee Desktop Indexer.

Hulbee Desktop Indexer status window (fig. 3.11) can be displayed by using Show Sta-
tus command from Hulbee Desktop Indexer context menu (fig. 3.10). Hulbee Desktop In-
dexer status window contains information on current tasks of Hulbee Desktop Indexer. Moni-
tored path string (fig. 3.11 marker 1) show current folder being indexed. When Hulbee Desk-
top Indexer processes files Status information field (fig. 3.11 marker 2) displays “Learning
…” and keywords from files processed (fig. 3.11). During processing of some files keywords
will not be displayed.

3.3 The Principles of Work With Hulbee Desktop


Search with Hulbee Desktop can be performed using any or any combination of Hulbee
search tools (Search string, Data cloud and Hulbee gadget). But any search process can be
divided into several basic steps:
1. Set initial search query;
2. Check results of search;
3. Clarify search query;
4. Use search results.

Even so Hulbee Desktop is designed to search on local computer, but it is integrated


tightly with Hulbee Internet search solution. At any moment with the help of Search where list
(fig. 3.5 marker 2) it is possible to turn local search into internet search.

 Instruction 3.1 Performing Internet search


To perform Internet search for specific query:
1. Go to Hulbee Desktop main window (fig. 3.1). If Hulbee Desktop is not
running refer to section 2.2;
2. Click on New search button (fig. 3.1 marker 3) to clear Search string
(fig. 3.5 marker 3) if necessary;

! Click on New search button will clear not only Search string (fig.
3.5 marker 3), but also Search results list (fig. 3.1 marker 6) and Da-
ta cloud (fig. 3.8).

3.3.1 USING SEARCH STRING


Search string (fig. 3.5 marker 3) is well-proven traditional search tool. It is used to input
words to search through computer content. However Search string support wildcard symbols
(„?‟ and „*‟), logic operators (AND, "+", OR, NOT and "-"), fuzzy search and many other tools.
To get detailed description on search query syntax see subsection 3.5.1.
 Instruction 3.2 Performing search using Search string
To find a file using Search string:
1. Go to Hulbee Desktop main window (fig. 3.1). If Hulbee Desktop is not
running refer to section 2.2;
2. Click on New search button (fig. 3.1 marker 3) to clear Search string
(fig. 3.5 marker 3) if necessary;

! Click on New search button will clear not only Search string (fig.
3.5 marker 3), but also Search results list (fig. 3.1 marker 6) and Da-
ta cloud (fig. 3.8).

3. Click on Search string (fig. 3.5 marker 3);


4. Type in search query;
5. Press Enter key or click Go button (fig. 3.5 marker 4);
6. Review files found in Search results list (fig. 3.1 marker 6);

If search results do not contain desired files for specific query, it is recommended to ad-
dress subsection 3.3.4.

3.3.2 USING DATA CLOUD


One of Data cloud (fig. 3.8) distinctive features is ability to suggest query variants. This
ability exempts from the need of formulating a query exact wording. Data cloud will always be
there to help when it is difficult to formulate a query or if the search subject is unknown. During
search process Data cloud is rebuilt every time a query changes. Adding or excluding query
words builds a new cloud consisting of the words that are the closest to the search subject. Data
cloud allows using of less accurate initial queries and clarifies them easily.
The query should be clarified if it is not sufficiently precise. Query can be clarified by
adding the query words or excluding them.
Query words should be added if:
 The query contains few words (1-2);
 The items of interest are not found.

Query words should be excluded if:


 The query contains unnecessary words, which do not fit in theme of the
search;
 The query contains too many words.

Query clarification should be repeated by adding and excluding words until the items of
interest will be found. If the query clarification does not give the desired results, this means that
there are no such files on computer.

 Instruction 3.3 Performing search using Data cloud


To find a file using Data cloud:
1. Go to Hulbee Desktop main window (fig. 3.1). If Hulbee Desktop is not
running refer to section 2.2;
2. Click on New search button (fig. 3.1 marker 3) to clear Search string
(fig. 3.5 marker 3) if necessary;

! Click on New search button will clear not only Search string (fig.
3.5 marker 3), but also Search results list (fig. 3.1 marker 6) and Da-
ta cloud (fig. 3.8).

3. Click on Search string (fig. 3.5 marker 3);


4. Type in search query;
5. Press Enter key or click Go button (fig. 3.5 marker 4);
6. If query is not sufficiently precise – clarify it by adding (instr. 3.4) or ex-
cluding (instr. 3.5) query words;
7. Review files found in Search results list (fig. 3.1 marker 6);

If search results do not contain desired files for specific query, it is recommended to ad-
dress subsection 3.3.4.

 Instruction 3.4 Clarifying search query with Data cloud by adding the word
To add the word to search query with Data cloud:
1. Select the word in Data cloud (fig. 3.8) which concerns search goal the
most;
2. Click the selected word;
3. The word will be added to the query and highlighted correspondingly.

 Instruction 3.5 Clarifying search query with Data cloud by excluding the word
To exclude the word from search query with Data cloud:
1. Select the word in Data cloud (fig. 3.8) to exclude. The query must con-
tain that word (word highlighted correspondingly);
2. Point the cursor at the selected word. Strikethrough line should appear on
that word;

3. Click the selected word;
4. The word will be excluded from the query.

3.3.3 USING HULBEE GADGET


Hulbee Gadget (fig. 3.15) combines Data cloud (fig. 3.8) and Search string (fig. 3.5
marker 3) in a very compact form of Windows Vista gadget. Hulbee Gadget can be used as al-
ternative to Data cloud (fig. 3.8). But main purpose of Hulbee Gadget is to receive initial query
and transfer it to Hulbee Desktop application.
 Instruction 3.6 Input of search query with Hulbee Gadget
To input search query with Hulbee Gadget:
1. Click Search string (fig. 3.15 marker 1) on Hulbee Gadget;
2. Type in search query;
3. Press Enter key or click Go button (fig. 3.15 marker 2);
4. Hulbee Desktop main window (fig. 3.1) should appear with results on in-
putted query.

 Instruction 3.7 Using Hulbee Gadget Data cloud


To use Hulbee Gadget as alternative to Data cloud:
1. Click Search string (fig. 3.15 marker 1) on Hulbee Gadget;
2. Type in search query;
3. Press Space key;
4. Hulbee Gadget Data cloud (fig. 3.15 marker 3) should display words
concerning query;
5. Clarify query using instr. 3.4 and instr. 3.5 for Hulbee Gadget Data
cloud;
6. Click Go button (fig. 3.15 marker 2);
7. Hulbee Desktop main window (fig. 3.1) should appear with results on
clarified query.

By default Hulbee Gadget is docked in sidebar panel (fig. 3.14). But as any gadget it can
be moved to desktop easily (instr. 3.8). To close Hulbee Gadget follow instr. 3.9.
 Instruction 3.8 Moving Hulbee Gadget
To move Hulbee Gadget:
1. Point cursor at Gadget manipulation string (fig. 3.15 marker 4);
2. Drag „n drop Hulbee Gadget to desired position on desktop (or in Side-
bar panel).

 Instruction 3.9 Closing Hulbee Gadget


To close Hulbee Gadget:
1. Point cursor at Gadget manipulation string (fig. 3.15 marker 4);
2. Call Gadget context menu (fig. 3.16) by right button click;
3. Select Close Gadget menu item.

 After Hulbee Gadget is closed (instr. 3.9) it will not be
shown in Sidebar panel any more. To enable Hulbee
Gadget it should be added to Sidebar panel again (instr.
3.10).

 Instruction 3.10 Adding Hulbee Gadget to Sidebar


To add Hulbee Gadget to Sidebar panel:
1. Point cursor at Sidebar panel;
2. Call Sidebar context menu (fig. 3.16) by right button click;
3. Select Add Gadgets menu item;
4. Select Hulbee Gadget from gadgets window by double click.

Like any gadget Hulbee Gadget can be removed from Sidebar panel or uninstalled. If
Hulbee Gadget was removed from Sidebar panel it can be returned using The Gadget Gallery.

3.3.4 SEARCH PROBLEMS SOLUTION


If search results (Search results list, fig. 3.1 marker 6) do not contain desired files for
specific query this means that there are no such files on computer or search query is not precise
enough. There are several ways to continue search:
 To continue search on local computer try to repeat search with another query, or
refined initial query;
 Try to clarify initial query with Data cloud (instr. 3.3);
 Try to search in the Internet (instr. 3.1) using initial query or clarified query.

 If search results do not contain desired files for specific


query it is possible to turn local search into internet
search. To do so just chose Internet in Search where list
(fig. 3.5 marker 2) and click Go button (fig. 3.5 marker
4). Detailed instructions can be found in instr. 3.1.

Not as a problem, rather a small issue: usually, then search query words are added or ex-
cluded it makes the Search results list (fig. 3.1 marker 6) to refresh with changed content. But
there is one exception for that rule. When search query contains exact name of some file, adding
of words that is similar to the names of directories that build up file path for that file will not
change content of the Search results list (fig. 3.1 marker 6). Similar situation may occur when
some words (similar to the names of directories that build up file path) are excluded from the
search query with exact file name.

In described cases Search results list (fig. 3.1 marker 6) will be not updated as usual,
but this behavior is normal.
If the problem won‟t be solved, it is recommended to communicate with the support ser-
vice for solving such situations (section 4.3).

3.3.5 CHANGING INTERFACE LANGUAGE


Hulbee Desktop interface is localized on several languages (English, Deutsch, Spanish
and Nederland localization in current version).
 Instruction 3.11 Changing Hulbee Desktop interface language.
To change language:
1. In Main menu (fig. 3.1 marker 4) click on Options;
2. Point cursor at Language item;
3. Language menu (fig. 3.4) should appear;
4. Click on desired language item.

3.3.6 INTEGRATING HULBEE SEARCH TO BROWSER


Hulbee search can be integrated to Internet browser (Internet Explorer 7-8, Firefox and
Opera are supported) by adding www.hulbee.com to browser search providers list. Search pro-
vider can be added during installation (see instr. 2.1, step 13) or during Hulbee Desktop runtime
(instr. 3.12).

To add Hulbee to browser search providers list:
1. In Hulbee Desktop main window (fig. 3.1) click Hulbee.com button (fig.
3.1 marker 2);
2. Integration question window will appear (fig. 3.19);

4. User Account Control window (fig. 2.10) may appear on this step, in this
case click Allow command (fig. 2.10 marker 1);

3.4 Typical tasks


3.4.1 DOCUMENT SEARCHING
Effective document search with Hulbee Desktop can be performed using several of Hul-
bee search tools (Search string, Data cloud or Hulbee gadget). In most common case docu-
ment search can be performed using next instruction:
 Instruction 3.13 Performing document search using Search string and Data
cloud.
To perform document search:
1. Run Hulbee Desktop (instr. 2.6);
2. Type query word or words to the Search string (fig. 3.5 marker 3). To do
so see instr. 3.2 points 2-5;
3. If initial query is not accurate enough – clarify it, using Data cloud (fig.
3.8). Query is clarified through adding (instr. 3.4) or excluding (instr. 3.5)
query words. Clarification should continue until query is accurate enough;
4. Review files found in Search results list (fig. 3.1 marker 6);
5. If there are no desired files found – repeat steps 2-4 with another initial
query;
6. If there are still no desired files found – try to search in Internet (instr.
3.1).

To get better understanding of how to search with Hulbee Desktop see example in 3.4.4
subsection.

3.4.2 SEARCHING FILE BY FILE NAME


File searching with Hulbee Desktop can be performed in same manner as for document
(see 3.4.1 subsection). But for effective search some advanced techniques may become handy.
By default Hulbee Desktop is searching files by content and file name, in this case
search results will include 2 file types:
1. Files with query words in the file name;
2. Document files containing query words within its texts.
When files are searched by name it is obvious that files of 2nd type does not meet the
search criteria. To limit the search by file names and directory names only name_content field is
used (To get detailed description on search query syntax see subsection 3.5.1). In this case query
will look like next:
name_content:”file_name”
Where file_name is the name of the file to search or the name of directory containing that file.

 Searching by directory name will be effective in case of
rare or unique directory name. In case of common direc-
tory name (like “Temp” or “New folder”) such a search
will be useless.

Searching file by name can be performed using next instruction:


 Instruction 3.14 Performing file search by file name using Search string.
To perform file search:
1. Run Hulbee Desktop (instr. 2.6);
2. Type query to the Search string (fig. 3.5 marker 3). To do so see instr.
3.2 steps 2-5. If the search target is file named “secret file” then query will
look like „name_content:”secret file”‟ (without single quotation marks);
3. Review files found in Search results list (fig. 3.1 marker 6);
4. If there are no desired files found – try to search using basic techniques
(see 3.4.1 subsection);
5. If there are still no desired files found – try to search in Internet (instr.
3.1).

 Searching archive file by file name will add files con-


tained in archives found to Search results list (fig. 3.1
marker 6).

3.4.3 SEARCHING AUDIO FILE BY TAG INFORMATION


Hulbee Desktop allows to search files of audio formats by file names (see 3.4.2 subsec-
tion) or by tag information. Searching of audio file is as easy as basic document search (see 3.4.1
subsection). To perform search of audio file instr. 3.13 should be used with one remark: search
query should contain tag information to search for, like composition, album or artist name (or
another tag information).

3.4.4 SEARCH EXAMPLE


For example, let us suppose that search goal is Hulbee Desktop manual, but user forgot
how exactly software is named and searches for documentation on search software. Let initial
query be “search software”. In this case next sequence will lead to success:
1. Type query “search software” to the Search string (fig. 3.5 marker 3) and press Enter.

3.5 Advanced features

3.5.1 SEARCH QUERY SYNTAX


Hulbee Desktop provides a rich query language that gives the power to use wildcard
symbols, logical operators and many other tools. Hulbee Desktop query language allows con-
struction of advanced queries that improve search efficiency dramatically. There are next tools
available in Hulbee Desktop query language:
 Terms

A query is broken up into terms and operators. There are two types of terms: Single
Terms and Phrases.
A Single Term is a single word such as "test" or "hello".
A Phrase is a group of words surrounded by double quotes such as "hello dolly".
Multiple terms can be combined together with Boolean operators to form a more complex
query (see below).
 Fields
When performing a search either a field can be specified, or the default field used. There
are several field names reserved: content, name_content and name. The default field is content
field. Content field is used to search on all available data. Name_content field is used to search
only file or directory names. And name field is reserved for service function.
Any field can be searched by typing the field name followed by a colon ":" and then the
query term.
As an example, let's assume that the search target is the document file named "The Right
Way" which contains the text "don't go this way". In this case search query may look like:
name_content:"The Right Way" AND content: "don't go this way"
or
name_content:"Do it right" AND "don't go this way"
Since content is the default field, the field indicator is not required.
 The field is only valid for the term that it directly pre-
cedes, so the query
name_content:Do it right
will only find "Do" in the name_content field. It will find
"it" and "right" in the default field (in this case the con-
tent field).

 Wildcard Searches
Hulbee Desktop supports single and multiple character wildcard searches within single
terms (not within phrase queries).
To perform a single character wildcard search use the "?" symbol.
To perform a multiple character wildcard search use the "*" symbol.
The single character wildcard search looks for terms that match that with the single char-
acter replaced. For example, to search for "text" or "test" next search query can be used:
te?t
Multiple character wildcard searches looks for 0 or more characters. For example, to
search for test, tests or tester, next search query can be used:
test*
Also wildcard symbols can be used in the middle of a term:
te*t
 A * or ? symbol cannot be used as the first character of a
search.

 Fuzzy Searches
Hulbee Desktop supports fuzzy searches based on the Levenshtein Distance, or Edit Dis-
tance algorithm. To do a fuzzy search use the tilde, "~", symbol at the end of a Single word
Term. For example to search for a term similar in spelling to "roam" use the fuzzy search:
roam~
This search will find terms like foam and roams.
An additional (optional) parameter can specify the required similarity. The value is be-
tween 0 and 1, with a value closer to 1 only terms with a higher similarity will be matched. For
example:
roam~0.8
The default that is used if the parameter is not given is 0.5.
 Boosting a Term
Hulbee Desktop provides the relevance level of matching documents based on the terms
found. To boost a term use the caret, "^", symbol with a boost factor (a number) at the end of the
query term. The higher the boost factor, the more relevant the term will be.
Boosting allows to control the relevance of a document by boosting its term. For exam-
ple, if initial search query is
Grossbay hulbee
To make the term "Grossbay" to be more relevant boost it using the ^ symbol along with the
boost factor next to the term. Search query will look like:
Grossbay^4 hulbee
This will make documents with the term Grossbay appear more relevant. Phrase Terms
also can be boosted as in the example:
"Grossbay hulbee"^4 "Hulbee Desktop"
By default, the boost factor is 1. Although the boost factor must be positive, it can be less
than 1 (e.g. 0.2)
 Boolean Operators
Boolean operators allow terms to be combined through logic operators. Hulbee Desktop
supports AND, "+", OR, NOT and "-" as Boolean operators. Boolean operators must be ALL
CAPS.
The OR operator is the default conjunction operator. This means that if there is no Boo-
lean operator between two terms, the OR operator is used. The OR operator links two terms and
finds a matching document if either of the terms exist in a document. This is equivalent to a un-
ion using sets. The symbol || can be used in place of the word OR.
To search for documents that contain either "Grossbay hulbee" or just "Grossbay" use the
query:
"Grossbay hulbee" Grossbay
or
"Grossbay hulbee" OR Grossbay

The AND operator matches documents where both terms exist anywhere in the text of a
single document. This is equivalent to an intersection using sets. The symbol && can be used in
place of the word AND.
To search for documents that contain "Grossbay hulbee" and "Hulbee Desktop" use the
query:

The "+" or required operator requires that the term after the "+" symbol exist somewhere
in a field of a single document.
To search for documents that must contain "Grossbay" and may contain "desktop" use the

The NOT operator excludes documents that contain the term after NOT. This is equiva-
lent to a difference using sets. The symbol ! can be used in place of the word NOT.
To search for documents that contain "Grossbay hulbee" but not "Hulbee Desktop" use

 The NOT operator cannot be used with just one term. For
example, the following search will return no results:

 Grouping
Hulbee Desktop supports using parentheses to group clauses to form sub queries. This
can be very useful because it allows to control the boolean logic for a query.
To search for either "Grossbay" or "hulbee" and "website" use the query:
(Grossbay OR hulbee) AND website
This eliminates any confusion and ensures that website must exist and either term Gross-
bay or hulbee may exist.
 Field Grouping
Hulbee Desktop supports using parentheses to group multiple clauses to a single field.
To search for a document, by file name or path that contains both the word "return" and
the phrase "pink panther" use the query:

 Escaping Special Characters
Hulbee Desktop supports escaping special characters that are part of the query syntax.
The current list special characters are
+ - && || ! ( ) { } [ ] ^ " ~ * ? : \
To escape these character use the \ before the character. For example to search for
(1+1):2 use the query:
\(1\+1\)\:2

4. LICENSE AND SUPPORT

4.1 License
Please read all of the following conditions thoroughly before you install the program. Us-
ing, transferring or installing this copy of Hulbee Desktop Software constitutes your acceptance
of the conditions of this license agreement, unless you have entered into a different written con-
tract with Grossbay AG.
If you do not agree with any of the terms of this agreement, you must not install, use or
transfer this copy of Hulbee Desktop Software. If you purchased Hulbee Desktop from Gross-
bay AG or one of its authorized distributors, you may obtain a refund by returning the unused
copy plus receipt to the seller within fifteen (15) days of the date of purchase. You acknowledge
that you obtained this Hulbee Desktop license directly from Grossbay AG.

LICENSE GRANT
This copy of Hulbee Software may either be installed on one or more workstations for
the sole and exclusive use of one person, or installed on a single workstation used non-
simultaneously by several persons, but not both. Installation on more than one computer for si-
multaneous use by several persons is prohibited.
You may install this copy of Hulbee Desktop Software in a network only if you have ob-
tained a license for every workstation that accesses the software via the network. If, for example,
eight (8) workstations in a network can access the Hulbee Desktop Software, then each worksta-
tion requires a separate Hulbee Desktop license, regardless of whether access occurs simulta-
neously.
Grossbay AG expressly prohibits the use of Hulbee Desktop Software in applications or
systems in which a malfunction of this software could lead to bodily injury or death. Use of the
program in such an environment is at one's own risk. Grossbay AG and its licensers disclaim
responsibility for any loss or damage incurred as a consequence of such unauthorized use.

WARRANTY
Warranty shall only apply to claims for malfunction made within six (6) months of pur-
chase of the Hulbee Desktop license. Obvious defects in the software must be reported within a
week of noticing them. Grossbay AG, at its own discretion, can either replace or refund defective
software. You may request a refund of the purchase price if Grossbay AG fails to provide a re-
placement.

LIABILITY
Grossbay AG and their licensers shall accept liability only for deliberate and gross negli-
gence; however, in the case where basic contractual obligations have been breached they shall be
liable for any culpable conduct on behalf of their employees.
Grossbay AG and its licensers shall not be liable for any direct or consequential damages,
in particular for loss of profits, except when these damages are caused deliberately by their em-
ployees or either deliberately or through gross negligence by authorized representatives or ex-
ecutives.

Liability shall be limited to those damages that could reasonably be foreseen on conclu-
sion of the contract, except when caused deliberately by their employees or either deliberately or
through gross negligence by authorized representatives or executives. We strongly recommend
that new software programs be tested within a non-critical environment before they are put into
service. You are responsible for ensuring that the program can be used for its intended purpose.

PLACE OF JURISDICTION
Inasmuch as you are a sole trader according to German Commercial Code, all disagree-
ments in connection with this license agreement shall be settled in the court of Frankfurt/Main.

GOVERNING LAW
This agreement shall be interpreted exclusively in accordance with German law. The ap-
plication of the convention for the international sale of goods (CISG) is expressly excluded.
This agreement represents the entire contract between both parties, and supersedes all
prior arrangements, purchase contracts and agreements, except when you have made a different
written agreement with Grossbay AG.
All rights to the Hulbee software, not explicitly authorized in this agreement, remain ex-
clusively with Grossbay AG and its licensers. You are not authorized to lend, rent, modify, trans-
late, attempt to decipher, decompile, disassemble or use the software program as a basis for your
own software. You are not authorized to provide the Hulbee Desktop software to a third party
that operates in conjunction with a DP service provider, application service provider or similar
company, or to any company that provides compression, decompression or conversion services
to third parties. You are not authorized to consign any rights that you may have under this li-
cense agreement to a third party.

registered trademarks of Microsoft Inc.
